First decide whether you need specific files, preservation or memorialization of a social profile, account closure, or reuse of the physical phone. Each outcome follows a different process, and erasing a device or closing an account can permanently destroy access to data.
Keep the phone and any other signed-in devices safe and charged when practical. Record the account involved, collect proof of death and your legal authority, and use the provider’s official deceased-user procedure. A phone passcode, an Apple or Google account password, an email account, and a social-media profile are separate access problems.

Start by defining exactly what you need
“Access to the phone” can mean several different things. Write down the desired result before contacting a provider:

- Recover data: photos, documents, email, contacts, cloud files, or a limited account archive.
- Preserve a public profile: memorialize a social account or publish a final notice.
- Close an account: stop billing, remove a profile, or comply with the person’s wishes.
- Reuse the hardware: erase and set up the phone for another person.
These goals can conflict. For example, closing an online account may prevent a later content request, while erasing a phone is normally required before it can be used by someone else. Access to a cloud account does not automatically unlock an encrypted handset.

Protect the phone and accounts while you decide
Do not reset, erase, or repeatedly guess
Do not use “unlock” utilities, forensic-extraction products, or a third-party service that promises to defeat a passcode. The provider material here does not establish that such services can lawfully or reliably bypass the protections involved. Repeated guesses can trigger longer lockouts or data-erasure settings configured by the owner.
Apple states that a passcode-locked device is protected by passcode encryption and that Apple cannot remove the passcode without erasing the device. Its official wording is: “Please note that devices locked with a passcode are protected by passcode encryption, and Apple can’t help remove the passcode lock without erasing the device.” That statement appears in Apple Support’s “Request access to a deceased family member’s Apple Account,” published August 24, 2026.
Keep existing sessions intact
If a tablet, computer, browser, or secondary phone is already signed in, do not sign out. Photograph or inventory the devices, keep them powered safely, and avoid installing software or changing passwords until you know whether the change could revoke an existing session. Do not copy private messages or files beyond what is necessary for the estate’s documented purpose.

- The deceased person’s full name and the relevant account identifier, such as an email address, username, phone number, or device serial number.
- A government-issued death certificate or other accepted proof of death.
- Your own identity document and current contact information.
- Evidence of your role: executor appointment, probate papers, letters of administration, heirship documentation, or another legal authorization recognized in your jurisdiction.
- A short statement specifying the requested outcome: data delivery, preservation, memorialization, deactivation, or closure.
Do not assume that being a spouse, child, or other relative automatically gives you a right to private content. Providers may require a court order or subpoena, and local law can limit what they are allowed to disclose. An estates lawyer can explain the rule where the account holder lived and where the estate is administered; provider help pages are not a substitute for that advice.
Request data before asking for closure
If any files or messages matter, make the content or preservation request first. Google explicitly says that after it closes an account it cannot process a later request for the account’s contents. Ask the provider what preservation or data-delivery route is available, wait for a response, and request deletion or closure only after deciding that no further data is needed.
Closure, deletion, and device erasure are often irreversible. Keep a written record of every request, case number, document submitted, and date. Submit documents through the provider’s official form or legal channel rather than sending passwords or attempting a password reset in the deceased person’s name.
Apple Account, iPhone, and iPad
Use a Legacy Contact when one was designated
Apple describes its Legacy Contact process as the easiest and most secure way to share access to certain Apple Account data after death. A designated contact needs the access key created by the account holder and proof of death. The request goes through Apple’s Digital Legacy process and is limited to the data Apple can provide under that process.

Search estate papers, password-management records, and the person’s devices for the Legacy Contact access key. Do not treat the key as a passcode: it may provide a defined route to certain cloud data, but it does not unlock the iPhone or iPad itself.
If there is no Legacy Contact key
Apple requires and verifies legal documentation for deceased-account requests. Depending on the country or region, that can include a death certificate, a court order, or alternative documentation. The exact list is regional, so use Apple’s current support procedure for the account holder’s location and provide only the documents requested.
Understand the device limit
Cloud-account access and device access are separate. Apple cannot remove a passcode lock without erasing the device. If Apple approves an account or deletion request and you want to reuse the hardware, the device must be erased and restored; that step removes locally stored data that has not been preserved elsewhere. Decide whether data recovery or device reuse is more important before authorizing an erase.
Some Apple data is end-to-end encrypted. Apple may be unable to decrypt that material even when it accepts a legal request, so approval does not guarantee delivery of every item that once appeared on the device.

Google Account, Gmail, and related services
Separate content requests from closure
Google says immediate family members and representatives can request account closure and that, in some circumstances, it may provide account content after careful review. It does not provide passwords or other login details. If you need Gmail, Drive, Photos, or other content, submit that request before asking Google to close the account.
Do not treat Inactive Account Manager as recovery
Google’s Inactive Account Manager is a planning feature for an account holder to designate future sharing or deletion preferences. It is not a password-recovery shortcut for relatives and does not establish authority to access an account after death. Look for a prearranged instruction, then use Google’s deceased-user request process with the required identity and legal documents.
Microsoft Outlook, OneDrive, and personal Microsoft services
Microsoft says it is generally unable to provide information to people who are not account holders. For personal email, OneDrive, and other personal-account content, Microsoft must first be formally served with a valid subpoena or court order to consider releasing information; even then, it may be unable to provide the content. The page identifies different procedures for Germany and China, so verify the rule for the account holder’s region.

These policies can change, so confirm the current terms before relying on a retention deadline. If the account may contain needed files, begin the legal and preservation process promptly.

Meta’s published explanation says memorialization is the default after Facebook learns of a death. A legacy contact can manage limited profile features, such as pinning a post, and may download an archive of photos, posts, and profile information if the account holder enabled that option.
A legacy contact cannot log in as the deceased or read private messages. Meta has explained that releasing private messages would affect the privacy of the other people who exchanged them. That explanation dates from 2017; confirm the current Help Center procedure and available controls before submitting a request, because operational details may have changed.
X account deactivation
X says an authorized estate representative or a verified immediate family member can request deactivation. The requester must provide the requested account information, their identification, and a copy of the death certificate. X explicitly says it cannot provide account access to anyone, regardless of their relationship to the deceased.

Therefore, ask X for deactivation rather than credentials. If the objective is to preserve a public record, save material that you are lawfully permitted to retain before deactivation and document the estate’s authority.

Common mistakes that make recovery harder
- Confusing the handset with the account: A cloud-account decision does not remove an iPhone passcode or decrypt local storage.
- Closing first: Google warns that closure ends its ability to process a later content request.
- Submitting incomplete proof: A name match is not enough when the provider requires identity, death documentation, and estate authority.
- Assuming family relationship equals permission: Message participants and other account users have privacy interests, and local law may restrict disclosure.
- Using unofficial services: Giving a deceased person’s credentials to an “unlock” provider can expose the estate to fraud, privacy violations, or evidence loss.
- Ignoring geography: Apple’s documentation rules and Microsoft’s procedures vary by region, while court authority is jurisdiction-specific.
A practical sequence for the estate
- List every relevant device, account, email address, username, and phone number without attempting new logins.
- Mark each item with the intended outcome: data, preservation, memorialization, closure, or reuse.
- Secure signed-in devices, keep them charged when safe, and avoid erasure or repeated passcode attempts.
- Search estate records for an Apple Legacy Contact key, provider instructions, or an explicit deletion request.
- Assemble death proof, your identification, and documents showing executor, heir, or other authority.
- Submit a data or preservation request first wherever content matters, especially before Google account closure.
- Follow the provider’s official deceased-user or legal process and retain case numbers and copies of submissions.
- Ask an estates lawyer about unresolved regional requirements, subpoenas, court orders, and competing privacy obligations.
- Authorize closure, memorialization, deactivation, or device erasure only after confirming that the chosen step matches the estate’s objective.
What the evidence does not establish
No provider process guarantees that a particular account contains recoverable data or that a request will be approved. The outcome depends on the deceased person’s settings and wishes, the requester’s legal authority, encryption, the privacy of other people, and the law that applies to the account and estate. Provider support pages describe administrative procedures; they do not decide what a court in a particular jurisdiction would order.
