Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallIf your flight is delayed or cancelled, check the airline’s latest update, contact the operating airline, and decide whether you still want to travel before accepting a refund, voucher, or replacement flight. Ask specifically about food, a hotel, and transport, and save the airline’s messages and any receipts. Your rights depend on the route and applicable rules; the U.S. and UK protections below are not universal.
What to do first at the airport
- Check the airline’s own updates. Open its app or website and check texts, email, and push notifications. Look at the airport display too, but confirm the status and next steps with the airline. For a codeshare, identify the operating carrier—the airline actually flying the plane—and contact it about the disruption. The U.S. Department of Transportation (DOT) says airlines must provide timely flight-status information; its flight cancellation and delay dashboard also lists airline commitments.
- Ask what the estimate means for your trip. Ask for the current departure estimate, whether the airline can explain the cause, and whether you are likely to miss a connection. Estimates can change, so check again before making plans around one. If you have onward travel or a separate ticket, tell airline staff; do not assume a replacement flight will protect a separately booked connection.
- Choose whether to continue before taking an offer. If you still want to travel, ask for rerouting choices and the earliest practical arrival. Ask whether another airline or a partner has an option, but do not assume the airline is required to put you on a competitor’s flight. The DOT says there is no general rule requiring that. Many airlines rebook passengers on their next available flight after a cancellation, but that is common practice, not a blanket federal requirement.
- Ask about immediate assistance. Ask whether the airline will provide meals, lodging, transport between the airport and hotel, or communication help, and what you need to do to receive it. Policies and legal obligations vary. Save the reply, including a screenshot if you are using chat or an app.
- Keep a record as the disruption unfolds. Save your original itinerary, status alerts, new flight offers, refund or voucher terms, and any case or reference numbers. If you speak with staff, note the time and, if possible, their name. Keep itemised receipts for necessary expenses you pay yourself.
Should you accept a refund, rebooking, or voucher?
Start with the practical question: do you still need to make this trip? A refund returns money in qualifying circumstances; rerouting is for continuing the journey; a voucher or travel credit is not the same as a cash refund. Before accepting an offer, check its deadline and whether it covers only the disrupted flight or also unused parts of your itinerary. Ask how checked baggage will be handled if the trip is cancelled; procedures vary by airline and the available guidance does not establish one universal process.

If you still want to travel
Ask for the available replacement itineraries and compare their arrival times, connections, and effects on accommodation or other onward plans. Get the proposed itinerary in writing before accepting it. If you need to reach a specific destination, ask whether the replacement gets you there or only to a different airport.

If you no longer want to travel
In the U.S., a passenger may be entitled to a refund after a cancellation or a DOT-defined significant change or delay if they decline alternative transportation and travel credit. Taking the changed or alternative flight generally removes the DOT refund entitlement for that flight. The DOT’s refund guidance explains when the rules apply and says covered refunds are generally due within seven business days for credit-card payments or 20 calendar days for other payment methods. If a travel agency or other ticket agent was the merchant of record, it may be responsible for refunding the airfare.

If you want to continue your journey, accepting a refund may not be the right option. See the UK Civil Aviation Authority’s (CAA) cancellation guidance for the available choices.
Will the airline pay for food or a hotel?
Ask before paying for anything yourself, if time permits. The answer depends on the law that covers your flight and the airline’s policy. In the U.S., the DOT directs passengers to the individual airline’s customer-service commitments; do not assume federal rules guarantee a meal voucher or hotel for every disruption. Check the DOT airline dashboard and ask staff what the carrier will provide.

For flights covered by UK261, the CAA says passengers are entitled to care after set waiting periods, regardless of the reason for the delay. Its delay guidance says: “You should receive the following from your airline regardless of the reason for the delay:” The listed care includes food and drink, two phone calls or emails, and overnight accommodation with transport between the airport and hotel when needed.

On a UK-covered flight, the CAA says you may make reasonable arrangements yourself and claim the cost from the airline. Keep itemised invoices and receipts, and choose necessary, proportionate options: the CAA says luxury hotels, luxury meals, and alcohol are unlikely to count as reasonable expenses. For other routes, ask the airline what it authorises before booking; do not assume that a cost reimbursable under UK rules will be covered elsewhere.

Which rules may cover your flight?
Passenger rights depend on the itinerary, operating airline, departure point, and destination. Check which rules apply before relying on a threshold or expecting payment. The U.S. and UK summaries below describe only those jurisdictions.
United States
The DOT refund rules apply in the qualifying cancellation and significant-change situations described above. For meals, hotels, and other amenities, check the airline’s own commitments rather than treating them as a universal federal entitlement. The DOT’s Fly Rights guide says passengers on domestic itineraries generally are not entitled to compensation solely because a flight was delayed or cancelled. International itineraries may involve other legal frameworks, including the Montreal Convention; the guide does not establish how those frameworks apply to an individual claim.

- DURABLE AND RELIABLE: Extra-thick hard shell with scratch-resistant finish guards against impact and rough handling

- ORGANIZED INTERIOR: Keep essentials organized with an interior divider and three zippered pockets
- EFFORTLESS TRAVEL: Navigate with ease thanks to four multi-directional wheels, telescoping handle, and short lift handle
If you are stuck on the aircraft, the DOT describes a three-hour limit for domestic flights operated by most U.S. airlines, subject to exceptions for safety, security, or air-traffic-control reasons. It also says food and water must be provided no later than two hours after a tarmac delay begins, and lavatories and medical attention must remain available under the applicable rules.
United Kingdom
UK-law coverage applies to flights departing a UK airport on any airline; arriving in the UK on a UK or EU airline; or arriving in the EU on a UK airline. Verify that your itinerary qualifies before using UK thresholds. The CAA’s cancellation guidance and the GOV.UK passenger-rights summary describe the coverage.

- SPACIOUS DESIGN: Large size best for 2-3 week trips or vacations; measures 20.7 x 12.6 x 30.7 inches, including wheels
- DURABLE AND RELIABLE: Extra-thick hard shell with scratch-resistant finish guards against impact and rough handling
- EXPANDABLE: Increase packing space up to 15% for added flexibility and organization
- ORGANIZED INTERIOR: Keep essentials organized with an interior divider and three zippered pockets
- EFFORTLESS TRAVEL: Navigate with ease thanks to four multi-directional wheels, telescoping handle, and short lift handle
For a covered delay, the CAA’s care thresholds are two hours for flights under 1,500 km, three hours for flights between 1,500 and 3,500 km, and four hours for flights over 3,500 km. A delay of at least five hours lets a covered passenger choose not to travel and seek a refund for flights not yet taken. If you have a cancellation, the CAA describes care while waiting and a choice of refund or rerouting.
Is compensation separate from a refund?
Yes. A refund concerns the ticket price in qualifying circumstances; care is immediate assistance under some rules; compensation is a separate payment with its own conditions. A delay or cancellation does not automatically mean compensation is owed. For UK-covered flights, eligibility can depend on the cancellation notice, the alternative flight, arrival delay at the final destination, and whether extraordinary circumstances apply. The CAA and GOV.UK describe compensation for some covered cases involving more than three hours’ arrival delay, subject to those conditions.
For a possible claim, keep evidence of the disruption and your final arrival time, and ask the airline for its decision in writing. The airline may use a separate process for compensation and for expenses such as meals or accommodation. If a UK airline’s final response is unsatisfactory—or it has taken more than eight weeks—you may be able to use an approved alternative dispute resolution (ADR) provider or the CAA’s Passenger Advice and Complaints Team, depending on the airline. U.S. passengers can consult the DOT’s Fly Rights guide for complaint options.
