Compare the bill with the order and evidence of what was supplied, then ask the supplier in writing to explain and correct it. The right correction depends on whether the invoice was filed, whether it is an e-invoice, and whether you have claimed input tax credit (ITC).
Start by finding the exact mismatch
Do not assume that a different-looking tax amount proves the rate is wrong. The correct GST treatment depends on the goods or services supplied, their classification, the transaction details and the rate applicable on the transaction date. The available official material does not establish a rate for an unspecified supply, so a bill cannot be assessed from its total alone.

Keep the original invoice and compare it with the purchase order or contract, delivery or service records, and payment calculation. Check the following fields:
- Supplier and recipient names and GSTINs.
- Invoice number and date, and the description and quantity of the goods or services.
- Taxable value, stated GST rate and tax amount.
- Whether tax is split into CGST and SGST, or charged as IGST, and the place-of-supply details.
- Discounts, freight or other charges, and any later credit or debit adjustment that could change the amount due.
Recalculate the tax from the taxable value and rate shown on the invoice. Then check whether the underlying facts support those figures. A difference may come from a value calculation, a supply classification, a discount or charge, or the interstate versus intrastate treatment—not necessarily from a multiplication error.

Separate a tax calculation issue from a tax-type issue
CGST and SGST versus IGST is a different question from the rate or total tax. Check the place-of-supply information and the transaction documents before concluding that the tax split is incorrect. If the GSTIN, place-of-supply detail or description is wrong, state that specific field in your query; asking only for a lower total may not address the underlying record.
Ask the supplier for a written explanation and correction
Send a concise message identifying the invoice number and date, the field you believe is wrong, the figure or document you are comparing it with, and the correction you are requesting. Ask the supplier whether it has filed the invoice details in GSTR-1 and whether it generated an e-invoice IRN. Keep the response alongside the original invoice and supporting records.
For example, explain that the invoice shows a particular taxable value or tax split, while the order or delivery record shows a different basis, and ask the supplier to confirm the correct treatment and the return action it will take. Avoid changing an invoice yourself or treating a verbal promise as evidence that the supplier has corrected its tax record.

Section 32(2) of the Central Goods and Services Tax Act, 2017 states: “No registered person shall collect tax except in accordance with the provisions of this Act or the rules made thereunder.” The practical point is that the supplier should explain the amount collected by reference to the applicable law and correct an error through the appropriate process. A commercial agreement by itself does not resolve an incorrect tax record.
Choose a correction that fits the error and filing status
A credit note, debit note, invoice amendment and recipient-side portal action are not interchangeable. Ask what the supplier has actually done and when, rather than accepting “we will adjust it” as a complete answer.
| Situation | Potential correction route | What to confirm |
|---|---|---|
| Taxable value or tax charged was more than payable | Section 34 of the CGST Act provides for a supplier credit note in the circumstances it covers. | Ask whether the supplier has issued the note and how it has reported the correction. A credit note is not a universal substitute for amending an incorrect invoice record in the supplier’s return. |
| Taxable value or tax charged was less than payable | Section 34 provides for a debit note where the amount was below what was payable. | Check the note and the supplier’s return reporting; if you are a registered recipient, reconcile the change with your purchase records and ITC position. |
| Invoice details already appear in a return | The appropriate GSTR-1 amendment or other correction depends on filing status and period. GST Portal guidance also describes GSTR-1A as a route for additions or corrections before filing the corresponding GSTR-3B, where available. | Ask whether the original was saved, submitted or filed, and which correction the supplier filed. The available route is dependent on status and period. |
| Incorrect supplier record appears in IMS | IMS actions may include accept, reject or pending for many records; an invoice amendment by the supplier may be the relevant fix. | Check the actions actually available for that record and ask the supplier to correct its filing. A recipient action does not replace the supplier’s correction. |
GST Portal material describes amendments to earlier GSTR-1 records and GSTR-1A for additions or corrections in the relevant filing window. Because the correct route depends on the supplier’s filing status and period, do not assume a particular screen or deadline applies to every invoice. Ask the supplier to identify the return and period involved.

Check IMS and GSTR-2B without treating them as proof of eligibility
If the invoice appears in the Invoice Management System (IMS), review the record and the actions offered for it. GSTN’s Invoice Management System FAQ, dated 22 September 2024, describes accept, reject and pending actions for many supplier records. It also says that a record on which the recipient takes no action is deemed accepted at GSTR-2B generation. That makes timely review useful; silence is not a reliable way to flag a disputed record.

GSTN’s Additional FAQ on IMS, dated 17 October 2024, says an incorrect invoice should generally be corrected through invoice amendment in GSTR-1 rather than by issuing a credit note instead. It also says that a recipient cannot act on an upward amended invoice or debit note until the supplier files it. The FAQ describes special treatment for credit notes: an original credit note cannot be kept pending. Since portal behavior and filing workflows can change, check the current record and instructions rather than relying only on an older description of the interface.
GSTR-2B is a portal summary of available and not-available ITC information; its appearance is not, by itself, proof that a credit is legally claimable. The GST Portal cautions that other legal restrictions may make credit unavailable. For a registered business, compare the corrected supplier filing and any note with GSTR-2B and the purchase ledger, and retain the invoice and correction documents together.

Be cautious about claiming or adjusting ITC
Section 16 of the CGST Act sets conditions for ITC, including possession of a qualifying invoice or debit note, receipt of the supply, payment of the tax to government and filing the required return. An invoice that looks wrong can affect both the amount and the recipient’s ability to support a claim. Do not claim disputed tax merely because an entry appears in a portal summary, and do not assume that a supplier’s credit note or amendment automatically resolves the recipient’s records.
If you have already claimed ITC, identify what was claimed and compare it with the supplier’s correction, the corresponding portal information and your books. The amount, facts and filing period matter; obtain advice from a qualified Indian GST practitioner or chartered accountant before taking a position on a material or potentially ineligible credit.
If the invoice is an e-invoice
An e-invoice has an additional portal constraint. The FAQ on the IRIS IRP says an e-invoice cannot be amended on the portal and describes cancellation within 24 hours of generation. That 24-hour period is the cancellation window stated in that FAQ; its publication date is not stated, and portal guidance should be checked against the current system before relying on it.
Best Value
- 2 part carbonless forms (White originals, Canary duplicates) for invoicing customers
- Wraparound cover attached to back to place between sets
- Consecutively numbered within each book
- 50 sets per book
- Space at top for company stamp
After that window, the FAQ says the supplier should make the appropriate GSTR-1 correction, giving a credit note as an example. Ask the supplier to distinguish the tax or commercial correction from an attempt to edit the original e-invoice on the portal. If cancellation is technically impossible, the IRIS IRP FAQ says to send GST Helpdesk the invoice number and the specific issue. A technical inability to cancel does not itself decide what tax correction the transaction requires.
What to do when the supplier does not resolve it
If the supplier refuses to correct a material error, preserve the invoice, order or contract, delivery or service evidence, payment records, your written request and the supplier’s response. Keep a record of the return or portal status you can see, without treating that status as a substitute for the supplier’s explanation.
There is no single escalation deadline or route established for every supplier dispute. The next step depends on factors such as whether you are registered, the supply type and state, the amount, return status, and whether the problem is a tax-law question, a commercial disagreement or a portal technical issue. A qualified Indian GST practitioner or chartered accountant can assess the transaction and the rules applicable to its date. For a technical e-invoice cancellation problem, the cited IRIS IRP guidance identifies GST Helpdesk and requests the invoice number and specific issue.
Quick Recap
A practical checklist before you close the issue
- Match the records. Compare invoice details and calculations with the order, supply evidence and payment calculation.
- Name the discrepancy. Identify whether it concerns rate, taxable value, tax amount, tax split, place of supply, GSTIN or another invoice detail.
- Write to the supplier. Include the invoice number and date, supporting facts and the correction you want explained.
- Confirm filing and e-invoice status. Ask whether the invoice was filed in GSTR-1, whether a correction or note was filed, and whether an IRN was generated.
- Reconcile recipient records. If relevant, compare the supplier’s action with IMS, GSTR-2B, your purchase ledger and any ITC already claimed.
- Get help for material uncertainty. Seek qualified GST advice where the amount, eligibility or filing consequences are significant.
