If the decision goes against you, use the appeal route in the notice and policy; deadlines, evidence rights and appeal standards differ by institution and jurisdiction.
During the exam: stay calm and protect your position
Keep your tone neutral and avoid arguing with the proctor while the test is in progress. Ask what instruction you should follow and what concern has been recorded. Comply with reasonable exam directions while clearly stating, if necessary, that you did not cheat and want the concern reviewed through the proper process.

Ask whether you may finish
If you are still taking the test, ask whether you may complete it. The University of Rochester’s published proctoring guidance says proctors should allow students to complete the test, should not search students, and should not search electronic devices. Those are Rochester rules, not a universal requirement. Other institutions may authorize a proctor to stop an exam or secure materials under their own policy.
Understand what an in-person proctor may do
The University of Minnesota Morris procedure describes a non-instructor proctor’s role as limited to confiscating papers, materials or devices and reporting the incident promptly to the instructor. That description applies to that university. Do not physically resist a request to secure an item; instead, note what was taken, when, and who received it, then raise any objection in writing through the school’s process.

Do not make the situation worse
- Do not delete messages, recordings, browser history or files that already exist.
- Do not create a new “proof” document that could be mistaken for an altered record.
- Do not threaten, insult or pressure the proctor or other students.
- Do not guess at an explanation. Say when you are unsure and verify details later.
Immediately after the exam: create a factual timeline
Write your account while your memory is fresh. Use a timeline rather than a long emotional statement. Record the start and end times, location or platform, what happened immediately before the flag, the exact words you remember, each instruction you received, and what you did in response.
Separate observations from conclusions
Identify what you directly saw or heard separately from your interpretation. For example, write “At 10:42, the screen displayed a warning and the proctor asked me to show my desk,” rather than “The software falsely accused me.” You can explain why the event may have triggered an alert, but label that explanation as your understanding unless an official record confirms it.
Capture technical and permitted conditions
Note permitted movement, an approved formula sheet, a calculator, a room entry, a connection interruption, an audio delay, a camera repositioning or another event that could explain an automated trigger. Include the device and network conditions only if you know them accurately. Keep the exam instructions, accommodation notice, permitted-materials list, support tickets and messages that already exist.
Preserve, do not manufacture, records
Save existing emails, portal notices, chat messages, appointment details and screenshots in their original form. Keep copies with dates and times if the system provides them. Do not edit a screenshot, trim a recording to remove context or ask someone to “re-create” a message. Ask the institution how it wants additional files submitted and whether there are size, format or privacy requirements.
These steps reflect how official procedures treat reports and evidence. Rochester directs proctors to document suspected dishonest behavior, and Minnesota Morris describes turning over confiscated evidence and reporting the event. Their documentation rules are local examples, but a prompt, accurate record is useful in any process.

Ask for the allegation, rule and evidence
Contact the instructor or the academic-integrity office named in the notice, preferably in writing. Your first message should seek the information needed to respond, not argue every detail before you know the charge.
Questions to ask
- What specific conduct is alleged?
- Which academic-integrity or examination rule is said to apply?
- What evidence is being considered, and how can I review it?
- Who will decide the matter?
- What is the response deadline and required format?
- Will there be a meeting, review or opportunity to provide witnesses?
- What is the next step if I disagree with the outcome?
The University of Wollongong examination procedure provides one published example: it says a student will be presented with the evidence relating to an academic-misconduct allegation and given an opportunity to discuss the circumstances with an unbiased staff member in a manner mindful of the stress involved. That is not a guarantee that every institution uses the same sequence, but it illustrates the information and impartial-review questions worth asking.

Describe the event that may have produced the alert and ask whether a person reviewed the relevant recording or event log. Boise State’s Adult-Gerontology Nurse Practitioner policy, last revised July 24, 2023, describes an Academic Testing Center review of ProctorU Record+ flags. The reviewer distinguishes a false trigger from a flag referred to faculty for potential misconduct review. This is a program-specific example, not proof that every proctoring system provides human review.
Prepare a concise response
Once you know the allegation and process, answer point by point. A useful response has four parts:
- Identify the allegation. Quote or paraphrase the conduct and rule in the notice so there is no confusion about what you are addressing.
- Give the timeline. State what happened in chronological order, using times and direct observations where possible.
- Explain relevant context. Address permitted materials, approved accommodations, technical interruptions, movement or other facts that bear on the allegation.
- Identify supporting material. List existing records and witnesses, and explain what each item shows. Attach files only as the policy permits.
Keep the tone factual. You do not need to prove a philosophical point about surveillance or accuse the proctor of bad faith. The decision-maker needs a clear account tied to the specific allegation.

Sample opening message
Subject: Response to examination incident notice“I am responding to the notice dated [date] concerning [exam or course]. I dispute the allegation that I [specific conduct]. At approximately [time], [factual event]. I followed the instruction to [instruction] and did not use unauthorized material. Please provide the rule and evidence being considered, confirm the response deadline, and tell me how to submit the attached records.”

Replace the bracketed text with your own details before sending; do not leave template markers in the submitted message. If the institution forbids attachments at this stage, identify the records and ask how to provide them.
Follow the formal process and meet every deadline
A proctor’s flag or suspicion may be only an initial report. In Boise State’s cited program policy, a testing-center reviewer decides whether a ProctorU Record+ flag is a false trigger or should go to faculty. Other schools may route the report directly to an instructor, conduct officer or committee. Treat every notice seriously, but do not assume the first flag is the final decision.
Track the case
- Save the notice and governing policy with the date you received them.
- Put the response deadline and meeting time on a calendar with reminders.
- Keep a log of messages, calls, submissions and acknowledgments.
- Ask for confirmation when you submit a response or appeal.
If the notice is unclear, ask the issuing office to confirm the deadline in writing. Do not wait for a complete answer to begin preparing your timeline.
Use available support without surrendering your voice
Depending on local rules, you may be able to consult an adviser, student advocate, disability-services office or student-union representative. The sources reviewed here do not establish a universal right to bring an adviser or lawyer. Check the notice and policy, and ask whether a support person may attend or help prepare a statement.

If the outcome is adverse: appeal exactly as instructed
Read the decision notice for the appeal deadline, filing method, permitted grounds and requested remedy. An appeal is usually not a chance to repeat every disagreement; it must fit the grounds in the governing policy.
What an appeal should contain
- Identify the decision, course or case number and date.
- State the specific ground or grounds allowed by the policy.
- Set out the facts supporting a serious error, unfair procedure or other permitted ground.
- Refer to the evidence and explain why it matters.
- State the relief you want, such as a new review, removal of a penalty or correction of the record.
The University of Minnesota Morris procedure says a contested matter may be referred to its Committee on Academic Integrity when no satisfactory resolution is reached or the student contests the accusation or action. It says an appeal should state facts supporting a serious error in the original proceeding and the relief requested. Those requirements are specific to Minnesota Morris, but they show why a focused, policy-based appeal is stronger than a general claim that the result feels unfair.
Examples of local appeal grounds and proof standards
The University of Calgary lists grounds including relevant new information, procedural unfairness, reasonable apprehension of bias, lack of authority, and an unreasonable decision or sanction. Its process describes a balance-of-probabilities standard. Ohio Administrative Code Rule 3342-3-01.8 states that, under that rule, the person claiming cheating or plagiarism bears the burden of establishing it by a preponderance of the evidence. These examples cannot be substituted for the rule at your institution or in your jurisdiction.
How procedures differ
There is no single appeal route for all students. Before choosing a strategy, identify which combination applies to your case.

Evidence, recordings and privacy: do not assume universal rights
The official materials reviewed do not establish a universal right to obtain a proctoring recording, a universal retention period, or a universal appeal deadline. A school may control access under its academic-integrity, privacy, records-retention or data-protection rules. Ask what may be reviewed or disclosed in your case and make the request through the named office.

Do not claim that a recording was destroyed, edited or withheld unlawfully unless you have verified the applicable policy and facts. If you are concerned about privacy, ask which policy governs the recording, who can access it, how long it is retained and how to submit a records request. Those answers may depend on the institution, location, contract with the proctoring provider and applicable law.
Common mistakes to avoid
- Ignoring the notice: Silence can leave the available evidence uncontested and may forfeit an appeal.
- Sending an angry first email: Insults and speculation distract from the allegation and can become part of the record.
- Overexplaining unrelated details: Address the conduct alleged, then provide only relevant context.
- Assuming an automated alert proves cheating: An alert is a trigger for review in some systems, not necessarily a final finding.
- Assuming a false flag guarantees dismissal: Whether a trigger is false and what consequence follows are decisions under local policy.
- Using another school’s deadline or burden of proof: Policies from Rochester, Minnesota Morris, Wollongong, Calgary, Boise State and Ohio illustrate differences rather than a universal rule.
- Editing or manufacturing evidence: Preserve original records and explain gaps instead of altering files.
When to seek additional help
Consider prompt advice from a student advocate, academic adviser, disability-services office or qualified lawyer when the allegation could affect enrollment, a professional license, immigration status, financial aid or graduation. Confirm whether that person may communicate with the institution or attend a meeting. Even with assistance, review the final submission so it accurately reflects your account.
If an accommodation, medical event, accessibility barrier or technical failure is relevant, identify the office that handles that issue and ask how it should be documented. Do not disclose sensitive health information broadly; provide it through the institution’s designated confidential channel.
Bottom line
Respond to a mistaken cheating flag as a procedural problem: remain composed during the exam, record a precise timeline afterward, preserve original evidence, obtain the exact allegation and rule, answer by the deadline, and appeal only on the grounds and through the route your institution specifies. Local policies control what the proctor may do, what evidence you can see, the proof standard and the time available, so verify those details instead of relying on another school’s rules.
