What to Do After Accidentally Sharing Sensitive Company Data

Act quickly, but do not try to hide or erase the mistake. Stop further sharing, contact your company’s security, privacy, or incident-response channel, preserve the messages and logs, and write down exactly what happened. The response team—not the person who made the mistake—should determine the scope, legal duties, and whether anyone must be notified.

An accidental disclosure can be a personal-information breach when information reaches someone who was not authorized to receive it, but the legal classification depends on the data, people, jurisdiction, contracts, and facts. Official guidance from the U.S. Federal Trade Commission (FTC) and the UK Information Commissioner’s Office (ICO) supports the same first principle: escalate immediately, contain carefully, document everything, and let qualified leaders assess notification requirements.

The first 15 minutes

  1. Stop the exposure. Do not forward, repost, or continue discussing the material. If a file is publicly accessible, use the company’s approved process to remove the post or revoke the link. Do not make ad-hoc changes that could destroy access logs or other evidence.
  2. Report through the established incident process. Contact the security operations, privacy, data-protection, or incident-response channel. If you do not know it, tell your manager and ask to be connected. The FTC recommends mobilizing the breach-response team right away, while the ICO advises seeking internal advice and following relevant procedures. Use the FTC business guide and ICO accidental-breach guidance as general reference, not as a substitute for your organization’s plan.
  3. Preserve what exists. Keep the original email or message, attachment, sharing URL, audit-log entries, screenshots, and timestamps. Do not delete the sent item, edit logs, or ask colleagues to “clean up” their copies before the response team records the facts.
  4. Record a factual timeline. Note what was shared, when, through which system, to whom, who had potential access, whether the item was opened or downloaded if the system shows that, and every containment step already taken.
  5. Follow instructions on access and credentials. If the material contained passwords, API keys, tokens, or private links, ask the security team whether and when to revoke or rotate them. Changing credentials may be urgent, but it should be coordinated so investigators retain the evidence they need.

Send the initial alert even if you do not yet know the full scope. A short, accurate first report is more useful than waiting for a complete explanation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What to include in the first alert

  • The exact system or account used (for example, corporate email, a file-sharing service, chat, or a public website).
  • The recipient address, account, group, or audience, including whether it was internal or outside the organization.
  • The file or data categories involved and an estimate of the number of records or people affected.
  • When the disclosure occurred and when you discovered it.
  • Whether the recipient opened, downloaded, forwarded, or publicly exposed the material, if known.
  • Actions already taken, such as disabling a link or asking a recipient to delete a message.

Contain the disclosure without destroying evidence

Containment reduces additional access; it does not decide whether the event is legally reportable. Follow the response team’s instructions and preserve the original state where practical.

If the material went to the wrong person

Tell the response contact exactly who received it. With the organization’s approval, ask the recipient to delete the message and attachments, return them securely, or hold them for collection. The ICO specifically lists those options for an unintended recipient. Ask the recipient not to forward or copy the information, and record their response. Do not rely on an informal promise as proof that every copy is gone.

If a sharing link or post was exposed

Report the URL and its current permissions. The security or IT team can revoke the link, restrict the audience, remove a post, or preserve a server-side copy for investigation. A link that was visible for only a short time can still have been indexed, downloaded, or captured, so provide the exposure window rather than assuming no one saw it.

If credentials or access tokens were included

Flag them as credentials in the first alert. The security team may invalidate or rotate them, inspect authentication logs, and check for use by an unauthorized party. Do not paste the secret into a new message while reporting it; identify the affected system through the approved secure channel.

If a device or physical document is involved

Do not remotely wipe, shred, or alter the item unless the incident team directs you to do so. Secure it from further access, note its location and chain of custody, and give investigators the names of anyone who handled it.

Build an evidence log

The ICO advises starting a log when a breach is discovered and adding facts and actions as they become known. The FTC likewise recommends documenting the investigation and protecting forensic evidence. A useful log separates confirmed facts from assumptions.

Log field What to capture
Discovery Date, time, time zone, and person or system that identified the disclosure.
Event How the error occurred: wrong address, incorrect permissions, misdirected attachment, public post, or another path.
Data Categories such as contact details, employee records, customer information, financial data, health information, intellectual property, or credentials; include approximate volume.
Recipients and access Intended and unintended recipients, groups, public audience, access logs, opens, downloads, forwards, and unknowns.
Actions Link revocation, account lock, deletion request, secure return, credential rotation, and the person who authorized each action.
Decisions Risk assessment, legal advice, regulator or individual notifications, and reasons for decisions.

Keep the original evidence in the location specified by your incident process. A screenshot can supplement a log, but it should not replace the original message, URL, or audit record.

How the response team assesses risk

Do not decide that an incident is harmless solely because the recipient is known, the file was sent once, or the message was recalled. The ICO’s breach-assessment guidance calls for a structured look at the information, affected people, access, containment, and likely consequences. These questions help the team reach a defensible decision:

Question Examples and implications
What data was exposed? Ordinary business information may carry less risk than credentials, identity data, financial details, health information, trade secrets, or information protected by contract or professional secrecy.
How sensitive and voluminous was it? One record and a complete customer export require different analysis. Record counts may be estimates initially and can be updated.
Who could access it? A vetted employee, an unrelated person, a supplier, a former employee, or an unrestricted public audience present different threat and confidentiality profiles.
Was access actually obtained? Check delivery, open, download, forwarding, authentication, and web-server logs where available. “Unknown” is a result to document, not proof of access or proof of no access.
Is the incident contained? Revoked links, deleted copies, blocked accounts, and written recipient confirmations can reduce continuing exposure, but they do not erase the original event.
What harm could follow? Consider fraud, identity misuse, financial loss, discrimination, safety threats, reputational injury, competitive harm, or contractual and regulatory consequences.
Who is vulnerable? Children, patients, employees in sensitive roles, people at risk of abuse, or others needing extra protection can increase the seriousness of potential harm.

The team may involve security, IT, privacy or data protection, legal counsel, forensics, communications, operations, management, and affected business owners. The FTC notes that an independent forensic investigator may be appropriate when the source or scope is uncertain. The exact mix depends on the organization and the incident.

Notification is conditional and jurisdiction-specific

United States

The FTC states that all 50 states, the District of Columbia, Puerto Rico, and the U.S. Virgin Islands have breach-notification laws involving personal information. Other federal or state rules can apply depending on the data and sector. There is no single U.S. deadline or one definition that resolves every accidental disclosure. Have counsel identify the states and federal regimes connected to the affected people, the organization, and the data, then document the decision. The FTC’s business breach-response guide recommends consulting counsel and checking the applicable requirements.

United Kingdom

For a reportable UK personal-data breach, the ICO says the organization should report without undue delay and within 72 hours of discovering the breach. The clock starts when the organization discovers it, not when the disclosure occurred. If complete information is unavailable, the organization should still make the initial report within the period and provide follow-up information. If the breach presents a high risk to affected people, they should be informed without undue delay. These rules apply only when the relevant threshold is met; not every accidental disclosure is reportable.

The ICO notes that relevant guidance is under review following the UK Data (Use and Access) Act 2025. Confirm the current law and regulator instructions with the organization’s privacy or legal lead before relying on a deadline. See the ICO’s first-72-hours guidance and accidental-breach guidance.

Other countries and contracts

Local privacy law, sector rules, customer contracts, insurance conditions, and confidentiality agreements may create additional duties. A multinational incident can require parallel analysis in several jurisdictions. Do not promise a recipient, customer, regulator, or coworker that no notification is needed until the authorized decision-makers complete that review.

Scenario playbooks

Wrong internal email address

  1. Report the exact address and attachment to security or privacy.
  2. Ask, through the approved channel, for deletion or secure return and a confirmation.
  3. Preserve delivery and access information, including whether the recipient is an employee with a business need to know.
  4. Let the response team assess sensitivity, contractual restrictions, and any further copies.

External supplier or customer received the file

Escalate before negotiating the cleanup yourself. The organization may need a formal deletion request, a contractual notice, legal review, or a coordinated customer communication. Preserve the supplier’s reply and any evidence of downloads or forwarding.

A public page or unrestricted link exposed information

Record the URL, permissions, publication and removal times, and available analytics or server logs. Ask IT or security to remove or restrict it using the normal process, then investigate caches, search indexing, downloads, and reposts. Do not assume that a rapid takedown eliminates the need for risk assessment.

You sent the data from a personal account or device

Tell the company immediately and identify every account, device, application, and recipient involved. Do not delete the account or reset the device before investigators provide instructions. The organization may need to preserve logs, secure the device, and determine whether company policy or a contract was breached.

What not to do

  • Do not delay reporting while trying to reconstruct a perfect timeline.
  • Do not conceal the incident, blame a coworker, or edit a message to make it appear harmless.
  • Do not permanently delete emails, chats, files, browser history, or logs.
  • Do not contact regulators, affected individuals, journalists, or the unintended recipient on behalf of the company unless authorized.
  • Do not make a public statement or promise a legal outcome before privacy, legal, and communications leaders agree.
  • Do not send the sensitive material again merely to prove what it contained; use a secure description or approved evidence repository.

After the immediate response

Once the incident is contained and assessed, the organization can address root causes without turning the review into a search for a scapegoat. Useful corrective actions include:

  • Reviewing address-autocomplete, external-recipient warnings, data-loss-prevention rules, and default sharing permissions.
  • Separating highly sensitive files from ordinary collaboration spaces and applying least-privilege access.
  • Training staff on classification labels, secure transfer methods, and how to report near misses.
  • Testing the incident plan, including an after-hours escalation route and a named privacy or legal decision-maker.
  • Updating vendor, customer, and employee contracts so notification and cooperation duties are clear.
  • Recording lessons learned, control changes, and owners with due dates.

The aim is a documented, proportionate response: stop additional access, establish what happened, assess realistic harm, meet any applicable duties, and improve the control that failed.

Bottom line

Report the mistake immediately, contain it under instruction, preserve the evidence, and provide a precise timeline. Whether regulators or individuals must be notified depends on the data, affected people, access, harm, contracts, and jurisdiction; your organization’s privacy, legal, and incident-response leads must make that determination.
