Start with the exact operation, production zone, product and process risks, cleaning or decontamination cycle, and jurisdictional requirements. Then specify the robot, end effector, controls, integration, qualification evidence, and lifecycle support as one validated system. A model marketed as a pharmaceutical or cleanroom robot is not automatically approved for your facility or process; acceptance depends on the proposed configuration and installed cell.
Start with the process, not the robot catalogue
Write the intended use before comparing models. State what the robot will do, what product or container it will contact or influence, where it will operate, how often products or batches change, and what throughput the line must achieve. The same arm may be suitable for secondary packaging but unsuitable inside an aseptic isolator because particle control, surface design, lubrication, seals, cable routing and decontamination requirements are different.

Your user-requirements specification (URS) should identify the production zone, task sequence, product formats, required cycle time, batch pattern, operator access, and contamination-control strategy. Include the boundaries of the complete cell, not just the arm: controller, tooling, vision, feeders, conveyors, guarding, isolator or RABS interfaces, safety circuits, software, records and maintenance access.
Aseptic filling in an isolator or RABS
Aseptic work places the greatest emphasis on cleanability and validated decontamination. Define the cleanroom or Grade A environment where applicable, the isolator or restricted-access barrier system (RABS) interface, the permitted materials, and the complete decontamination cycle. If vaporized hydrogen peroxide (VHP) is used, require evidence that the robot, seals, cables, lubricants, tooling and end effector tolerate the actual concentration, exposure time, temperature and aeration sequence.

Ask whether the proposed configuration has been evaluated in an environment comparable to yours. A product-family statement is not enough: the arm, wrist, dress pack, gripper, camera, fasteners and mounting arrangement can change the contamination and chemical-compatibility profile.
Freeze-dryer and autoclave handling
Loading and unloading freeze-dryers or autoclaves introduces a different work envelope and thermal or moisture exposure from an aseptic pick-and-place cell. Specify the door clearance, shelf or rack geometry, container presentation, allowable contact surfaces, transfer sequence, access for cleaning, and any temperature or condensation conditions. Confirm that the robot can reach every required position without collision and that the tooling can be removed, cleaned and inspected without creating inaccessible pockets.
Inspection and secondary packaging
Inspection, cartoning, labeling and case packing usually sit outside the most restrictive aseptic zone, but they still require dependable repeatability, vision integration, traceability and changeover control. Define the container or pack formats, reject handling, serialization or other data exchanges, operator access and line-clearance procedure. A robot that meets speed requirements on one format may fail when gripper changes, vision checks or product changeovers are included in the real cycle.

Logistics applications move materials between classified rooms, warehouses, staging areas and production equipment. Specify the route, floor or vehicle interface, doors and lifts, payload including carriers, battery or charging arrangements where relevant, and the controls that authorize movement into each area. Segregate material flows and document how the system prevents mix-ups, unauthorized access and loss of status data.
Match the motion system to the real work
Payload, reach and speed are basic comparison dimensions, but they do not describe the complete task. Evaluate the robot and cell against the following requirements.
| Requirement | What to define in the URS | Why it matters |
|---|---|---|
| Payload | Product, carrier, gripper, camera, hoses and any accumulated material | Underestimating the total moving mass can reduce speed, repeatability and service life. |
| Reach and work envelope | Farthest and closest picks, door and shelf clearances, approach angles and collision boundaries | A nominal reach figure does not prove access to every required position in the installed cell. |
| Cycle time | Complete sequence, including vision, dwell, handshakes, rejects, tool changes and safety pauses | Throughput is determined by the integrated sequence rather than the arm’s headline speed. |
| Repeatability | Required placement tolerance for the product, nest, filling interface or inspection station | Repeatability must be demonstrated with the actual tooling and load. |
| Footprint | Base, controller, guarding, service clearances and operator access | A compact arm can still require substantial space for safe maintenance and material flow. |
| Axes and tooling | Required degrees of freedom, gripper fingers, vacuum circuits, sensors and quick-change needs | Tooling determines product contact, cleanability, changeover time and failure modes. |
| Vision | Camera location, lighting, inspection algorithm, reject logic and data retention | Vision must be qualified as part of the computerized control system, not treated as an accessory. |
Have the supplier simulate or demonstrate the complete work envelope with representative product, carriers and tooling. Require cycle-time assumptions in writing, including acceleration limits, payload, approach paths, vision processing and line-control handshakes. If the task changes by batch or format, test the slowest validated recipe rather than only the fastest demonstration.

Specify surfaces, cleaning and decontamination at model level
Cleanability is a configuration property. Request drawings and materials information for the arm, wrist, dress pack, seals, cable jackets, fasteners, lubricants, gripper and any protective covers. Identify ledges, crevices, threaded holes and horizontal surfaces that could retain residue or condensate. Define whether the cell is wiped down, washed, exposed to a sporicidal agent, or decontaminated with VHP, and whether cleaning occurs while the robot is installed.
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Require a chemical-compatibility assessment for every agent and cycle used at the site. The evidence should cover concentration, temperature, exposure time, repetition and drying conditions. Ask the supplier to explain which parts are consumable, which seals or lubricants require scheduled replacement, and how compatibility was established. Manufacturer material describes clean-mapping and chemical-compatibility validation as separate activities; treat both as deliverables rather than assuming that a cleanroom designation proves resistance to your agents.
Some manufacturers divide pharmaceutical offerings by environment and cleaning regime. For example, Stäubli describes Accesspharma, Stericlean and Stericlean+ ranges for inspection, secondary packaging, aseptic processes and isolators, and its technical material discusses Grade A isolator use and VHP decontamination. These descriptions are useful for shortlisting, but the evidence must be checked for the exact model, dress pack, tooling and installed cell.
Similarly, a cleanroom certification claim needs context. ABB states that its cleanroom robots are certified to ISO 14644-1 for life-science and pharmaceutical applications. Ask for the certificate, cleanroom classification, test configuration, operating conditions and limits that apply to the proposed robot. Do not treat certification of one configuration as approval of a modified cell.
Define the regulatory and qualification package
Apply the right jurisdiction and product scope
Regulatory expectations depend on the product, process and market. The U.S. Food and Drug Administration’s Q7A Good Manufacturing Practice Guidance for Active Pharmaceutical Ingredients addresses equipment design, construction, cleaning, maintenance, calibration, computerized systems, qualification, process validation and cleaning validation for API operations. Q7A is not a complete rule set for every finished-drug-product process.
For medicines intended for the European Union, the European Medicines Agency states that manufacturers must comply with EU GMP regardless of where they are located. Identify the applicable EU GMP requirements, national expectations and site procedures before finalizing the URS. If the robot supports both API and finished-product operations, document which requirements govern each use.

Plan DQ, IQ, OQ and PQ
For applications covered by Q7A, qualification normally follows a risk-based sequence:
- Design qualification (DQ): show that the proposed robot, tooling, materials, controls and cell design meet the URS and intended process.
- Installation qualification (IQ): verify installation, utilities, identification, drawings, software versions, calibration status and supplied documentation.
- Operational qualification (OQ): challenge operating ranges, alarms, interlocks, recipes, access controls, recovery procedures and cleaning-related functions.
- Performance qualification (PQ): demonstrate repeatable performance with the approved product, process parameters, operators and production conditions.
Agree during procurement which tests the supplier will execute, which the site will execute, acceptance criteria, deviation handling and the evidence format. Include factory acceptance testing (FAT), site acceptance testing (SAT), traceability from requirements to tests and a process for closing open items.
Validate computerized systems
FDA Q7A states: “GMP-related computerized systems should be validated.” Treat the robot controller, recipe manager, vision system, historian, user-management functions, interfaces and electronic records as part of the validation scope. The depth of validation should reflect the application’s diversity, complexity and criticality.
Specify user roles, unique accounts, password or authentication rules, audit trails, electronic signatures where required, backup and restore, time synchronization, data retention, recipe approval, alarm history and controlled software updates. Define who can change motion programs, safety settings, recipes and network parameters, and how changes are reviewed, tested and released.
Make integration part of the purchase
A robot cell fails qualification or production when its interfaces are left until late engineering. List every upstream and downstream connection: isolator or RABS signals, feeders, filling equipment, inspection stations, conveyors, packaging machinery, safety PLC, plant PLC, manufacturing execution system (MES), barcode or serialization systems, utilities and environmental monitoring.
For each interface, define the signal, owner, timing, failure response and record. Include ready, run, hold, stop, reject, door-open, emergency-stop, batch-complete and maintenance modes. Specify what happens after a power loss, network interruption, vacuum failure, gripper fault, vision error or product jam. The recovery sequence must protect product status and prevent duplicate, skipped or unrecorded operations.

Require alarm messages that operators can act on, event and batch records that quality can review, and a controlled method for exporting data. Confirm that the proposed network architecture meets site cybersecurity and segregation rules without compromising validated functions.

When several robot families or integrators appear viable, compare them against one matrix. Manufacturer taxonomies help create a shortlist, but they do not replace site-specific acceptance criteria.
| Comparison axis | Questions to answer |
|---|---|
| Process and throughput | Does the complete sequence meet the validated cycle time for every product format and changeover? |
| Production zone | Is the evidence applicable to the isolator, RABS, inspection room, packaging area or logistics route where the robot will run? |
| Particles and cleanliness | What cleanroom classification, particle data and operating limits apply to the exact configuration? |
| Decontamination | Has the robot been assessed against the site’s agents and cycle, including VHP where used? |
| Mechanical capability | Do payload, reach, repeatability, speed, footprint, axes and tooling meet the URS with margin? |
| Integration | Are isolator, filling, inspection, packaging, PLC, MES, safety and data interfaces supported and testable? |
| Qualification | Will the supplier provide drawings, materials, software records, FAT/SAT protocols and DQ/IQ/OQ/PQ support? |
| Lifecycle | Are maintenance, spare parts, training, software change control and service coverage documented? |
FANUC describes pharmaceutical applications including aseptic dispensing, filling and capping, as well as cartoning, labeling, packaging and palletizing. Such application coverage can help identify candidate architectures, but verify the exact model’s cleanroom evidence, tooling, software and chemical compatibility for your process.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Buy the lifecycle, not only the installation
Ask for a preventive-maintenance schedule tied to operating hours, cycles and environmental exposure. It should identify lubrication, seal, cable, filter, gripper and battery replacement intervals where applicable, along with calibration checks and inspection points. Q7A expects maintenance procedures and records; make those records part of the site system and qualification plan.
Obtain written information on spare-parts availability, lead times, service response, escalation, remote support, field-service coverage, training and documentation updates. The available regulatory and manufacturer material does not establish comparable service-level agreements or lifecycle-cost figures, so request vendor-specific commitments and quotations rather than relying on generic percentages or payback claims.
Recommended Free Tools
Software support needs the same discipline as mechanical support. Define supported controller and operating-system versions, cybersecurity patches, backup media, obsolete-part notification, change-impact assessments and revalidation triggers. Require the supplier to notify the site of changes that could affect validated software, materials, cleaning performance, safety or data integrity.
Best Value
A practical procurement sequence
- Map the process: document product formats, operations, batch sizes, changeovers, throughput, contact points and contamination risks.
- Classify the environment: identify the room, isolator or RABS, cleanroom classification, particle expectations and operator-access constraints.
- Define cleaning: list agents, concentration, temperature, exposure time, VHP or other decontamination cycles, wipe-down or washdown methods and drying requirements.
- Write the mechanical URS: set payload, reach, cycle time, repeatability, axes, footprint, end effector, vision, guarding and service clearances.
- Write the controls URS: specify recipes, alarms, user roles, audit trails, electronic records, interfaces, safety functions, recovery modes and data retention.
- Set qualification deliverables: agree DQ, IQ, OQ, PQ, FAT, SAT, risk assessments, cleaning evidence, software validation and change-control documents.
- Request model-specific evidence: obtain certificates, materials lists, chemical-compatibility data, cleanability studies, test reports and references for the same production zone and decontamination regime.
- Run a representative acceptance test: use actual or equivalently challenging products, tooling, recipes, loads, environmental conditions and failure scenarios.
- Compare lifecycle offers: evaluate maintenance, spare parts, training, response times, software support and total cost from supplier quotations.
- Freeze the validated configuration: record model numbers, dress packs, tooling, software versions, materials, utilities and approved operating ranges before installation.
Common buying mistakes and how to avoid them
Choosing a robot because it is labelled pharmaceutical
“Pharmaceutical” and “cleanroom” are broad marketing categories, not blanket regulatory approvals. Require evidence for the exact configuration and installed cell, then map that evidence to your site’s acceptance criteria.
Using headline speed as throughput
Arm speed excludes vision processing, handshakes, safety pauses, rejects, tool changes and product changeovers. Measure the complete validated sequence at the slowest required format.
Ignoring tooling and dress packs
The gripper, vacuum lines, camera, cables and covers can determine particle generation, chemical compatibility and access for cleaning. Qualify them with the arm rather than treating them as interchangeable accessories.
Leaving software and data until commissioning
Late decisions about user roles, audit trails, recipes, interfaces and records create rework and validation delays. Put computerized-system requirements in the URS and test them in FAT and SAT.
Assuming a certificate covers every installation
Ask for the cleanroom classification, test conditions, certificate scope and configuration details. A modified wrist, cable package, lubricant, end effector or mounting arrangement may require additional assessment.
Comparing capital prices without support terms
A lower purchase price can be offset by unavailable spares, long service response, unsupported software or extensive site engineering. Compare the complete lifecycle offer and document assumptions.
Questions to put in the supplier response template
- Which exact model, controller, dress pack, tooling and software versions are proposed?
- What payload, reach, repeatability and cycle-time assumptions support the offer?
- What cleanroom classification and particle evidence apply to this configuration?
- Which materials, seals, lubricants and cables are exposed to the process?
- What chemical-compatibility and decontamination evidence covers the site’s agents and cycle?
- What are the cleaning, inspection, lubrication and replacement procedures?
- Which interfaces are included for isolator or RABS, feeders, filling, inspection, packaging, PLC, MES and safety?
- How are user access, recipes, audit trails, backups, alarms and software changes controlled?
- Which DQ, IQ, OQ, PQ, FAT and SAT documents are supplied, and who executes each test?
- What spare-parts stock, service response, training, warranty and end-of-life notification are provided?
- Which assumptions, exclusions and future modifications would require requalification?
Bottom line
Buy a validated automation system, not an arm in isolation. The defensible choice is the configuration that demonstrably fits the intended process zone, product and cleaning cycle; meets payload, reach, repeatability and throughput requirements; integrates safely with line controls and data systems; and comes with model-specific qualification evidence and sustainable lifecycle support. Verify every claim against the actual installed cell and the rules governing your product and market.
