When OCR text is wrong, first compare it with the original page and classify the failure. A wrong character, a missing line, scrambled reading order, and an API rejection have different causes and different fixes. Check the source image, the OCR engine’s layout and language settings, and any confidence or quality signals before repeatedly changing filters. Work from a preserved original, change one variable at a time, and verify important fields against the page.
Start by identifying the kind of OCR error
Open the original scan or photograph beside the extracted text. Record several representative failures and where they occur. This prevents an image-cleanup fix from being applied to a permissions or request problem.

| What you see | Likely category | First check |
|---|---|---|
| Letters or digits are substituted | Recognition error | Character size, blur, contrast, noise, language and character-set settings |
| A line, column or page is absent | Detection or crop error | Page boundaries, clipping, faint text, transparency and segmentation mode |
| Words appear in an unexpected sequence | Layout or reading-order error | Page segmentation and whether the engine is using document-oriented output |
| The service returns no text or an exception | Request or file error | Format, size, required fields, storage permissions and service limits |
| Tables contain shifted or merged cells | Structure error | Table visibility, upright orientation, merged cells and the engine’s table support |
Keep the original file unchanged and make a copy for each experiment. A few marked examples—such as a repeated confusion between “0” and “O,” a dropped table cell, or a missing page—give you a consistent basis for judging whether a change helped.

Inspect legibility at the character level
Zoom into the source. Look for blur from camera movement, glare, uneven paper tone, compression blocks, bleed-through, speckles, faint strokes and clipped edges. Text should be large enough to distinguish adjacent glyphs, with lines upright and fully visible. A fluent-looking result can still contain a wrong amount, date or identifier, so visual verification remains necessary for consequential fields.

Look for rotation, skew and cropping
Even a small tilt can make line segmentation unreliable. Rotate or deskew so baselines are horizontal. Check all four edges: a tight crop can remove the first or last character, while an oversized blank margin around a short item can confuse some Tesseract layouts and produce an empty-page result. The Tesseract guide gives adding a small 10-pixel border as a troubleshooting example; treat that as an experiment, not a universal crop specification.
Separate tables and dense regions visually
For tables, make sure the table is visually distinct from surrounding labels and that its text is upright. Merged cells, irregular row heights and inconsistent columns can lead to unstable extraction even when every character is sharp. Compare the table image with the engine’s structural output rather than judging only the plain text.
Use the engine’s own preprocessing guidance
Inspect Tesseract’s processed image
Tesseract performs internal processing with Leptonica. Set tessedit_write_images=true or use get.images to save and inspect that intermediate image. If it is already washed out, over-thresholded or missing strokes, the problem is preprocessing rather than the recognition model. Correct the input and inspect the intermediate result again before tuning other options.
Respect engine-specific resolution advice
Resolution is not a universal OCR minimum. Tesseract’s current documentation says it works best at images of at least 300 DPI and that resizing can help. Amazon Textract’s best-practices guidance recommends a high-quality image, ideally at least 150 DPI, and advises not converting or downsampling an already supported PDF, TIFF, JPEG or PNG before upload. Follow the guidance for the engine you actually use, and judge the size and clarity of characters in the rendered page rather than relying on a DPI label alone.

Check contrast, background and noise
Tesseract applies Otsu binarization internally, but uneven backgrounds can make that threshold unsuitable. Tesseract 5.0.0 added Adaptive Otsu and Sauvola options, which can be worth testing on shadows or tinted paper. Reduce speckles and background variation when they break character shapes, but compare every result with the untouched source: aggressive cleanup can erase punctuation and thin strokes. If text is unusually bold, thin or bleeding together, carefully tested dilation or erosion may help; destructive morphology can make the error worse.
Handle borders, inversion and transparency deliberately
Tesseract documentation notes that a text region with no border can cause trouble, while a very large blank border can also cause an empty result. For Tesseract 4.x, dark text on a light background is the safer starting point; behavior for inverted images differed in older 3.05-and-earlier versions. PNG alpha and transparency handling also varies across Tesseract versions, especially for subtitle-like images. Flatten transparency against a known background and test the result instead of assuming every version treats alpha identically.
Match page segmentation to the material
A clear image can still fail when the engine assumes the wrong layout. A receipt, a code, a paragraph, a two-column page and a single word are different recognition tasks.
Recommended Free Tools
| Material | Useful direction | Common symptom when mismatched |
|---|---|---|
| One line or one word | Use a single-line or single-word segmentation mode where available | Extra words, broken characters or text pulled from nearby marks |
| Uniform paragraph or block | Use a block-oriented mode | Unexpected line grouping or omitted edges |
| Sparse labels or scattered text | Use sparse-text handling | Reading order jumps between distant regions |
| Receipt or price list | Test a layout suited to short rows; consider dictionary and character controls | Prices, symbols or columns are merged |
| Tables and forms | Use a document or structure-aware output mode when the service provides one | Cells appear in the wrong order or lose their row/column relationship |
Tesseract offers page-segmentation modes for a uniform block, single line, single word, sparse text and single character, among others. Its documentation specifically notes that receipts, price lists and codes may not fit default sentence-oriented dictionaries and segmentation. For predictable content, you can disable dictionaries, add expected words or patterns, or whitelist a known character set. These controls are Tesseract-specific; do not assume another OCR service exposes equivalent switches.

Choose the right language and document mode
Language hints can help—or hurt
Set the language only when it is known and correct. Google Cloud Vision describes language hints as optional and says automatic detection is often preferable; an incorrect hint can significantly hinder recognition. Mixed-language pages may require a supported combination or a two-pass workflow, while a specialized alphabet or code may benefit from restricting the expected characters.
Use document-oriented output for scanned pages
Google Cloud Vision’s TEXT_DETECTION is intended for text in images generally. DOCUMENT_TEXT_DETECTION returns document structure such as pages, blocks, paragraphs, words and breaks, making it a better fit when reading order matters. Google directs users handling scanned documents or structured forms to consider Document AI for OCR and form parsing. The choice affects the shape of the output; it does not guarantee that a poor scan will become accurate.
Consider quality diagnostics when available
Google’s Enterprise Document OCR can return an image-quality score from 0 to 1, where 1 represents perfect quality. When the score is below 0.5, the processor may provide negative quality reasons. This score belongs to that processor and is not a universal OCR grade. The same documentation describes symbol-level output and a character-in-box detector that can be disabled in processor version 2.0 or later when boxed characters cause problems. Confirm the processor and version before relying on those options.
Separate service and file errors from recognition errors
If no text is returned, inspect the error response before editing pixels. Amazon Textract’s DetectDocumentText API reference lists operational failures including BadDocumentException, DocumentTooLargeException, InvalidParameterException, InvalidS3ObjectException and throttling. Check that the format is supported, required request fields are present, the object is readable by the service and the request is within the current size and quota limits.

The same reference describes synchronous input up to 10 MB and asynchronous PDF input up to 500 MB. These are published service constraints and can change, so verify the current limits in the API documentation when implementing or debugging. A size or permission failure will not be fixed by sharpening, denoising or changing page segmentation.
Use confidence as a review queue, not a truth meter
Amazon Textract returns confidence scores from 0 to 100. Use them to prioritize human review according to the cost of an error, not as proof that a field is correct. Names, dates, account numbers, totals and table cells deserve source verification when a single character could change a decision.
| Workflow example from AWS guidance | Illustrative review approach | Important qualification |
|---|---|---|
| Archival handwritten notes | A threshold as low as 50% may be used | This is an AWS example, not a default for every archive |
| Financial decision process | 90% or higher may be required | The threshold reflects higher consequence, not guaranteed correctness |
Thresholds are workflow-specific. A high score can still hide a plausible substitution, and a low score on an unimportant label may not justify manual work. Define which fields are high impact, measure review effort, and adjust the threshold using your own representative pages.

- Select a small sample. Include clean pages and the hardest regions: faint print, skew, tables, handwriting, codes and mixed languages.
- Preserve a ground truth. Keep the original file and mark the exact characters, lines and cells that are wrong.
- Change one variable. Test orientation, crop, resolution, contrast, a segmentation mode or a language setting separately.
- Compare the same regions. Record substitutions, omissions, reading order and structural errors, not only an overall impression.
- Keep the winning configuration. Save the engine version, settings and preprocessing steps with the output so the result can be reproduced.
- Validate before scaling. Run the selected configuration on additional pages, including pages unlike the initial sample.
This one-change-at-a-time method is a practical diagnostic approach based on the configurable preprocessing and engine options documented by Tesseract, Google and AWS; it is not a vendor accuracy benchmark.

When to try another OCR engine
Switching engines is reasonable only after the source, layout and request checks are under control. Compare alternatives on the same representative pages with a ground-truth transcription. Useful axes include:
- Document pages versus scene text or photographs
- Table, form and reading-order output
- Supported languages, scripts and handwriting
- Confidence or image-quality diagnostics
- Local processing versus sending documents to a hosted service
- Integration requirements, quotas and file-size limits
- Error rate on the fields that matter to your workflow
The available documentation distinguishes Google’s general image text detection from its document-oriented output, while AWS Textract and Tesseract describe different input and configuration practices. None of these sources establishes a universal accuracy winner. Use your own difficult pages and measure the errors that actually affect your work.
Improve capture quality when the source is the bottleneck
If repeated scans are blurry, skewed or poorly lit, a flatbed document scanner may improve the source before OCR begins. It will not correct a wrong language, unsuitable segmentation mode, unsupported file, missing storage permission or an engine that cannot represent your table structure. Try the free checks—orientation, crop, preprocessing and settings—first. Consider new capture hardware only when the same physical defects recur across documents and better lighting or careful camera positioning is not practical.
