What to Check in a SaaS Shutdown Policy Before Storing Your Work in a Cloud App

By Freedom251 Team · · 9 min read

Before putting irreplaceable work in a cloud app, read the agreement and every incorporated shutdown, export, retention, and deletion policy. Confirm five things: how much notice a shutdown promises, when export remains available, exactly what the export contains, what conditions restrict retrieval, and when deletion reaches live systems and backups. Then test an export while your account is active and keep an independent copy you can open without the service.

A policy is only a promise on paper until you verify the app’s real archive. “Export available” may exclude attachments, versions, comments, metadata, or settings, and a file format may be difficult to import elsewhere. Treat the export test and an offline backup as part of choosing the service, not as an emergency task after a closure notice.

What a SaaS shutdown policy covers

A shutdown policy explains what happens when a provider discontinues a service or a material feature, and what happens to customer data after cancellation, expiry, suspension, or termination. These events are different:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Service discontinuation: the provider retires the product or a major function for many customers.
  • Cancellation or expiry: your subscription ends normally, often after a billing decision.
  • Suspension: access is blocked temporarily or permanently because of non-payment, acceptable-use issues, security concerns, or another contract clause.
  • Termination: either party ends the agreement under specified conditions.

A notice promise for a product shutdown does not automatically give you the same retrieval rights after an individual account termination. Read the clauses together and check which document controls if the master agreement, order form, data-processing addendum, and a separate deletion policy conflict.

Sandisk 2TB Extreme Portable SSD, Up to 1050MB/s, USB-C, USB 3.2 Gen 2, IP65 Water and Dust Resistance, Updated Firmware, External Solid State Drive, SDSSDE61-2T00-G25
  • Get NVMe solid state performance with up to 1050MB/s read and 1000MB/s write speeds in a portable, high-capacity drive(1) (Based on internal testing; performance may be lower depending on host device & other factors. 1MB=1,000,000 bytes.)
  • Up to 3-meter drop protection and IP65 water and dust resistance mean this tough drive can take a beating(3) (Previously rated for 2-meter drop protection and IP55 rating. Now qualified for the higher, stated specs.)
  • Use the handy carabiner loop to secure it to your belt loop or backpack for extra peace of mind.
  • Help keep private content private with the included password protection featuring 256‐bit AES hardware encryption.(3)
  • Easily manage files and automatically free up space with the SanDisk Memory Zone app.(5). Non-Operating Temperature -20°C to 85°C

Start with the five policy questions

1. What notice is promised, and for what event?

Look for language covering a complete service retirement, discontinuation of material functionality, or both. Identify the promised lead time and every exception. Emergency action, legal claims or litigation, loss of a third-party intellectual-property right, security or safety risk, and compliance with law can permit shorter notice. A promise may apply only to generally available services that your account is using; it may not cover beta features, free tiers, a particular region, or a subcontracted component.

A provider-specific illustration is the AWS Customer Agreement. It says AWS will provide at least 12 months’ prior notice before discontinuing a material functionality of a service that it makes generally available to customers and that the customer is using. The same language lists exceptions for emergencies or risk of harm, claims or litigation or loss of third-party intellectual-property rights, and legal compliance; in those cases it says notice will be given as much as reasonably practicable. This is not a universal SaaS standard. Check the current agreement and the contracting AWS entity that applies to your account.

2. When can you export, and for how long?

Determine whether export is available before cancellation, after termination, or both. Record the number of days, whether the live application remains usable, and whether the clock starts at notice, the termination date, or the end of a paid period. A “30-day” period is useless if the administrator must make a written request on day one or if the account becomes read-only before you can generate an archive.

Post-termination periods differ sharply. Front’s SaaS Services Agreement says Customer Data is available for electronic retrieval for 30 days after termination. Dataiku’s Cloud Terms describe up to 60 days after termination or expiry; on written request, access may be provided for up to 30 days solely for export, without extending beyond the 60-day limit. Freshworks terms dated May 31, 2023 describe a 14-day export period after specified account closures, subject to conditions including payment status. Because that Freshworks document is dated, verify the live terms before relying on the figure.

  • Data Security: Solid state drives S.M.A.R.T. health diagnostics and adaptive TRIM optimizing data block management ensures consistent write speeds and extends the longevity of the portable SSD
  • USB-C & USB-A Cable: Both cables featuring rapid USB 3.2 Gen2, this USB SSD effortlessly bridges devices, enabling seamless cross-platform file transfers and backup between computers, smartphones, tablets and iPhone
  • Always Fast: No slowdowns for large file transfers. With SLC caching (25% of current available capacity allocated as high-speed cache), this external SSD delivers steady 10Gbps for transfers within the cache capacity

3. What conditions can block retrieval?

Search for payment, administrator, identity-verification, and termination-reason conditions. Some contracts allow a provider to withhold post-termination access until outstanding charges are paid. Others require an authorized administrator to submit a request, or provide different rights after a policy violation than after ordinary expiry. Suspension language may allow immediate blocking even when a general shutdown clause promises long notice.

Ask support in writing whether export is available during a dispute, after a suspension, for a deleted user, and for a free or trial account. Save the answer with your contract record. A support reply cannot safely expand a contract promise, but it can expose an operational limitation before you depend on the service.

4. What exactly is in the archive?

Inventory the data you create, not just the objects named “documents.” Check for:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Source documents and rendered files.
  • Attachments, embedded media, and linked assets.
  • Comments, permissions, audit logs, and sharing links.
  • Version history, deleted items, and timestamps.
  • Tags, folders, relationships, custom fields, and search indexes.
  • Account configuration, automations, templates, and integration settings.

Ask which formats are produced, whether they are documented, and whether encryption or proprietary containers require the original app. A ZIP containing PDFs may preserve readable content while losing comments, revision history, or links. A JSON export can preserve structure yet still require conversion before another system can import it. No policy label alone proves completeness.

  • Secure it to your belt loop or backpack for extra peace of mind thanks to the tough rubber hook.
  • From Sandisk, a brand professional photographers trust to take on assignments.

5. When and how is deletion performed?

Find the deletion start date, completion target, data types covered, and treatment of backups, replicas, subprocessors, logs, and support copies. Look for legal, accounting, fraud-prevention, security, dispute, or regulatory retention exceptions. “Deleted” may mean removed from production systems while encrypted backups age out later; the policy should say whether and when those copies are overwritten.

Deletion can vary by product and data type. A SAP cloud data-processing addendum example (version 1-2024) says remaining personal data is deleted within a reasonable time not exceeding six months, unless law requires retention. A separate RISE with SAP S/4HANA Cloud, private edition supplement (version 10-2024) says a customer may request a final export before termination or expiry and must verify its usability within two weeks of receipt. These are different documents and scopes; apply only the terms attached to your subscription.

Provider or document Notice or export promise Conditions and scope Deletion detail
AWS Customer Agreement At least 12 months’ notice for discontinuing a material functionality that is generally available and in use Exceptions include emergencies or risk of harm, claims or litigation or loss of third-party intellectual-property rights, and legal compliance; separate 30-day post-termination retrieval terms have conditions including payment Follow the current agreement and applicable service terms
Front SaaS Services Agreement Electronic retrieval for 30 days after termination Suspension or termination rights apply in specified circumstances After 30 days, deletion follows the Data Deletion Policy
Freshworks terms, May 31, 2023 14-day export period after specified account closures Export is conditional, including on payment status; dated terms require a current-contract check Terms describe retention for up to three months before ordinary-course deletion, with exceptions
Dataiku Cloud Terms Up to 60 days after termination or expiry; written request may provide up to 30 days of export-only access Requested access cannot extend beyond the 60-day limit; product and agreement determine applicability Read the live terms for deletion timing
SAP cloud DPA example, version 1-2024 Customer should perform a final export before subscription expiry Separate private-edition supplement allows a requested final export and a two-week usability-verification period Remaining personal data deleted within a reasonable time not exceeding six months unless law requires retention
Zendesk deletion policy, updated June 3, 2026 Product-specific timelines for Sunshine Conversations Explicit scope exclusions mean the timeline is not a company-wide rule Check the data type and covered product
Google Workspace DPA, dated 2017 Export during the term and up to 180 days in a specified non-payment or free-trial deletion scenario Old, scenario-specific language; not a current general commitment Verify current Google Workspace terms
Runway Ledger sunset policy, updated May 8, 2026 30-day notice and automatic JSON export for that service Service-authored commitment; portability still requires opening and inspecting the JSON Follow that service’s policy for deletion

Test an export before you trust the app

Run a representative test while the account is paid and active. Use realistic content, including a large file, a folder with nested items, an attachment, a comment thread, a prior version, and a record with custom metadata. The goal is to discover omissions while you can still ask questions or change services.

  1. Locate the export control. Record the exact administrator path, required role, date, and any size or rate limits. Note whether export is self-service or requires support.
  2. Generate the archive. Save the original download without renaming or editing it. Record the requested scope and the time the provider reports completion.
  3. Inspect the file list. Compare folders, filenames, counts, attachments, and representative records with the live account. Look for separate files containing comments, permissions, versions, or metadata.
  4. Open files without the SaaS app. Use ordinary desktop software or a documented open format. Confirm that text, images, formulas, dates, and character encoding survive.
  5. Reconstruct a small project. Check whether links, relationships, revisions, and access information can be understood or imported elsewhere. A readable file is not necessarily a portable workspace.
  6. Measure the process. Record archive size, generation time, expiration links, password requirements, and any manual steps. Repeat with a second account or a larger sample if the service limits exports.
  7. Escalate gaps in writing. Ask which missing fields are intentional, whether a fuller export exists, and what assistance or conversion charges would apply at termination.

Build a backup and migration routine

Do not wait for a shutdown announcement. Schedule exports at a frequency that matches the cost of recreating the work: daily for active operational records, weekly for ordinary projects, or at every major milestone. Keep the original archive plus a readable working copy when formats differ.

  • Store one copy outside the SaaS account, such as on a portable external SSD.
  • Keep a second independent backup in a different location or system; one drive is not a complete backup plan.
  • Encrypt sensitive archives and protect recovery keys separately.
  • Open a sample after each scheduled export and after software updates.
  • Record the export date, account, product edition, geography, plan, and policy version.
  • Document how to restore or migrate the files, including any required converters.

For large datasets or complex formats, an optional migration or export-conversion specialist may be appropriate. Treat that as a separate budget and risk decision, not as a guarantee that the provider will supply a usable conversion.

Questions to ask the provider before storing important work

  • Does the shutdown notice cover the whole service, the features we use, our plan, and our region?
  • What event starts the export clock, and can an administrator extend or pause it?
  • Is export available after non-payment, suspension, an acceptable-use termination, or a disputed invoice?
  • Are attachments, embedded files, comments, versions, deleted items, metadata, permissions, and configuration included?
  • Which formats are machine-readable, documented, and importable into another system?
  • Are there volume, file-size, API, rate, or support-request limits?
  • When are production data, replicas, backups, subprocessors, and logs deleted?
  • Which legal or dispute exceptions delay deletion, and who can access retained copies?
  • Will the provider charge for retrieval, storage during the export window, or migration assistance?

Common mistakes and how to avoid them

Assuming a long shutdown notice guarantees your files

Notice may cover only a material feature, not account termination or a third-party dependency. Read the exceptions and maintain periodic exports.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Treating a named format as proof of portability

JSON, CSV, PDF, or ZIP describes a container, not whether relationships, revisions, or permissions survived. Open and reconstruct a sample outside the app.

Ignoring payment and administrator conditions

A retrieval period can be conditional. Keep billing current during migration, maintain more than one administrator, and confirm who may request an export.

Relying on a dated policy

The Freshworks terms dated May 31, 2023 and Google Workspace DPA dated 2017 illustrate why a copied document is not proof of the current contract. Save the version that applies to your account and recheck it before renewal.

Confusing deletion of personal data with deletion of every record

Retention exceptions can preserve logs, invoices, legal holds, or backups. Ask which categories remain and for how long.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A practical decision rule

Store critical work only when you can answer all five policy questions, complete a successful export test, and maintain an independent backup. If the provider will not state the export contents, retrieval deadline, or deletion scope clearly, treat that uncertainty as a migration risk. For regulated or legally significant records, create the retention and exit plan before uploading them and obtain jurisdiction-specific advice from an appropriate professional.
