Before splitting a task manager from a notes app, prove that your data, relationships and daily workflow will survive the move. Inventory every field you rely on, verify the exact export and import formats for your app pair, test a small sample, check devices and storage, and keep a recoverable copy of the originals. An app advertising “imports” does not guarantee that your particular export will arrive intact.
Why a split setup needs a migration check
Separate apps can work well when one is optimized for deadlines and notifications while the other holds long-form context. The risk is not simply losing a task title. A migration can drop recurrence rules, reminder times, comments, attachments, tags, completion history or the link that tells you which note supports a task. A workflow can also fail after technically successful import if search, notifications or device access are slower than before.

Treat the move as a controlled change. Keep the old system available, test representative records, compare the result with the originals, and only then move your active work. The same method applies whether you are moving one project or an entire archive.
1. Inventory everything that must move
Start with a written inventory rather than an export button. Record what exists, where it lives and whether it must be preserved exactly or can be recreated.

Task data
- Task titles, descriptions and subtasks
- Due dates, start dates, time zones and recurring schedules
- Reminders, notification settings and priority levels
- Project, section, list and assignee information
- Comments, activity history and completed items
- Tags, labels, filters and custom fields
- Attachments, embedded files and images
Note and relationship data
- Note titles, body text, headings, checklists and tables
- Backlinks, URLs and deep links between a task and its supporting note
- Folders, notebooks, pages, databases and permissions
- Templates, pinned content and archived material
Mark each item as must preserve, acceptable to recreate or safe to leave behind. For example, you might recreate five active reminders manually but require every attachment and project link from a multi-year archive. This classification determines how much testing and manual cleanup the move warrants.
2. Verify the exact export and import route
Compatibility is specific to an app pair, format and edition. “Supports CSV” is not proof that one app’s CSV schema matches another’s. Read the current export instructions for the source and the import instructions for the destination, then compare required fields and limits.

Use the vendor’s current instructions for the exact versions and account plans you use. A documented route demonstrates that a route exists; it does not promise universal compatibility between every pair of applications.

Create a two-column map before exporting: the source field and its destination equivalent. Add a third column for the test you will perform. This prevents a successful-looking import from hiding silent omissions.

Todoist’s documentation specifically warns that CSV exports have unsupported attributes, and its backup documentation says recurring-date start dates are not retained. Treat those details as migration decisions, not minor formatting differences. If a field has no destination equivalent, preserve it in an exported archive or add a clearly labeled note rather than assuming it is unimportant.
4. Run a small pilot migration
Do not begin with your complete archive. Choose a sample that contains every difficult case: an active task, a completed task, a recurring task, a task with a reminder, subtasks, comments, tags, attachments and a linked note. Include long and short notes, tables, checklists and unusual characters.
- Export the sample. Use the source app’s documented export command. Save the original export file unchanged and record the export date, account and format.
- Import into a test area. Create a temporary project, notebook or workspace in the destination so the trial cannot mix with live data.
- Compare record counts. Count tasks, notes, attachments and completed items before and after. Investigate every difference.
- Inspect content and formatting. Check headings, lists, tables, code, links, line breaks, dates and special characters. Notion warns that imported content may need formatting cleanup; do not treat visual cleanup as proof that all fields transferred.
- Exercise behavior. Trigger a reminder, complete a recurring task, open an attachment, search for a tag and follow a task-to-note link.
- Document manual work. List every field or relationship that required repair and estimate that effort for the full archive.
Proceed only when the pilot meets your preservation criteria. If it fails, change the format, mapping or destination workflow and repeat the pilot; do not “fix it later” after deleting the source.

A split system needs an explicit handoff. Decide which app is authoritative for each kind of information and how a person will move between them in seconds.

Choose an ownership rule
- Keep due dates, recurrence, reminders and completion status in the task app.
- Keep meeting notes, reference material, decisions and long-form context in the notes app.
- Avoid maintaining the same deadline or status in both places; duplicated fields drift.
Choose a linking convention
Use a stable deep link when both apps provide one. Otherwise, put an exact note title, project code or URL in the task description and the corresponding task identifier in the note. Test links from every device and account that will use them. The available vendor documentation does not establish a universal guarantee that links survive every app pair, so treat link preservation as something you must verify in your pilot.
Test capture and retrieval
- Capture a new task while reading or writing a note.
- Find the supporting note from the task without relying on memory.
- Search for a phrase that appears in both apps and confirm which result is authoritative.
- Share a task or note with another person and verify that permissions do not break the link.
6. Check reminders, recurrence and notifications
Data that looks correct on screen can still behave incorrectly. Create behavioral tests for each schedule type you use.
- Set a one-time reminder and confirm its time zone and notification channel.
- Complete a recurring item and verify the next date, including monthly or weekday patterns.
- Test a recurrence with a defined start date; Todoist’s backup documentation says that start date is excluded from its backup format.
- Check overdue handling, snooze behavior and notifications when a device is offline.
- Confirm that shared tasks notify the intended account rather than the account that performed the import.
Record the result on the device where you actually work. A reminder that works on the web but not on a phone is not a successful migration for a mobile workflow.

List every operating system and browser you use, including a work computer, personal phone and tablet. Confirm that both apps offer supported clients, that your account can sign in on each device and that offline edits synchronize without conflicts.

Microsoft To Do is one concrete example of why this check matters: Microsoft documents apps for Android, iOS, Mac, Windows and the web, with tasks stored in Exchange and integrated with Outlook Tasks. The same documentation notes that some visibility depends on licenses. See Microsoft’s setup guidance and its data-storage and compliance guidance for account and storage details.
For any app pair, verify:
- Supported platforms and minimum versions
- Offline viewing and editing behavior
- Sync delay and conflict handling
- Personal versus organization-managed accounts
- Storage region, retention and export rights
- Whether a subscription or administrator license is required for sharing, history or advanced imports
Do not infer storage or compliance characteristics from a marketing label. Read the provider’s account and data documentation for the edition you actually have.

Retain the original account, the untouched export and any backup until the new workflow has operated successfully through at least one normal work cycle. Store the copy somewhere you can retrieve it without the new app.

- Export or back up the source and record the file name, date and account.
- Make the destination read-only or pause edits during the final export if the app supports that option.
- Import the approved data into the destination.
- Run the validation checklist: counts, dates, recurrence, reminders, attachments, links, search, permissions and device sync.
- Keep a change log for records you repaired manually.
- Only after validation, redirect new captures to the split workflow and archive the old system.
A backup is not automatically complete. Todoist’s own backup documentation demonstrates that a backup format can have constraints, so open and inspect the files rather than assuming that the word “backup” means every attribute is restorable.
9. Troubleshoot common migration failures
Tasks import but dates are wrong
Check whether the source used a time zone, start date or recurrence syntax that the destination does not support. Recreate high-consequence schedules manually and keep the original export as evidence of the intended dates.
Notes look flattened or messy
Compare the imported note with the original in the pilot. Rebuild tables, checklists or headings using the destination’s native blocks, and decide whether an archival copy should remain in the source format. Notion’s import guidance explicitly warns that cleanup may be needed after import.
Attachments or links are missing
Check package contents, file-size limits and permissions. Reattach a small set manually, then test whether the destination stores a copy or merely references the old location. Replace unstable links with a documented naming convention before switching off the source.
Recurring tasks behave differently
Run a complete-one-occurrence test and inspect the next occurrence. If a start date or exception cannot be represented, document the rule in the task and schedule a manual correction.
The split workflow feels slow
Measure the number of taps or clicks needed to capture a task, open its note and return to the task. Simplify templates, shortcuts and naming before migrating more history. A technically intact archive is not useful if retrieving context takes longer than the old workflow.
10. Final go/no-go checklist
- Every must-preserve field has a destination or an archival plan.
- The exact source export and destination import formats are documented.
- A representative pilot passed content, behavior and link tests.
- Recurring dates, start dates, reminders and time zones were verified.
- Attachments, comments, tags, completed records and permissions were checked.
- Task-to-note links work on each required device and account.
- Offline edits, synchronization and conflict behavior are acceptable.
- Storage location, retention, licensing and organizational policy fit your needs.
- The original data and an untouched export remain recoverable.
- The capture convention for new tasks and notes is written down.
If any critical item is unresolved, pause the full move and keep the source as the active system. Splitting apps is worthwhile only when the handoff is as dependable as the individual tools.
