Keep a record of the listing and inspect the piece immediately on arrival. Seller type, location and the law governing the transaction determine what protection you actually have.
Start with the seller, not the furniture
A polished website or a familiar marketplace logo does not tell you who is legally selling the chair, table or cabinet. Record the business or individual’s legal name, physical address, customer-service email and telephone number. Save those details with your order confirmation.

Check whether the site identifies a company registration, VAT or tax number, returns address and complaints contact. A trading name may differ from the legal entity that appears on your invoice. If the site provides only a contact form, ask for a usable email address and a physical address before paying. Search independent consumer sources for reports of non-delivery, fake reviews or difficult refunds; treat an isolated complaint as a prompt to investigate, not as proof of wrongdoing.
Brand-direct or authorized retail
Buying from the manufacturer or a retailer that the manufacturer identifies as authorized generally gives you the clearest route for confirming a new branded item. Check the brand’s own store and authorized-retailer directory, or contact the brand before checkout if the seller is not listed. Herman Miller, for example, advises buyers to use its official website, its stores and the authorized retailers listed on its site to guarantee authenticity. That is brand-specific guidance, but the verification method applies broadly.

Marketplace business trader
On a marketplace, determine whether the platform itself is the contracting seller or whether an independent business is responsible. Read the listing’s seller panel, terms and checkout screen. Identify who will fulfill the order, answer a damage claim, arrange collection and issue a refund. A marketplace may process your payment while leaving the underlying sales contract with another trader.
Ask the seller to confirm in writing which entity will appear on the invoice, where returns must be sent and whether the platform or trader pays collection costs. Save screenshots of both the marketplace policy and the seller’s own terms because they may allocate responsibility differently.
Private resale or vintage seller
A private seller may offer a discontinued or rare piece, but consumer protections can be narrower than for a business trader. Confirm the seller’s identity and location, ask why the item is being sold, and obtain a written condition statement. EU consumer guidance specifically treats the trader/private-seller distinction as significant; the rules that apply depend on the buyer’s and seller’s countries.

Verify that the piece is genuine
Authenticity is a source-checking exercise, not a conclusion drawn from a logo or a confident description. For a current model, compare the exact model name, dimensions, materials, finish options, labels and construction details with the brand’s official information.
For a new branded item
- Copy the model name and any product or edition number from the listing.
- Compare those details with the manufacturer’s current specification, including dimensions, materials, finish and labeling.
- Check the seller against the brand’s authorized-retailer list. If the name is absent or ambiguous, ask the brand to confirm the seller and model.
- Ask for an invoice identifying the manufacturer, model and seller rather than a generic receipt.
Use the brand’s customer-service channel, not an address supplied only by the seller, when requesting confirmation. Herman Miller’s published advice is explicit that purchasing from its official website, Design Within Reach, its stores or listed authorized retailers is the route it recommends for authenticity. Other brands may use different directories or serial-number systems, so follow the relevant manufacturer’s process.
Do not treat a seller’s statement that an item is authentic as independent verification. If authenticity materially affects the price, obtain confirmation from the brand or a qualified specialist before payment.
For used, vintage or discontinued furniture
Request photographs of the actual piece from several angles, close-ups of labels and joinery, and a precise description of scratches, repairs, replaced parts, fading and structural issues. Ask for the known repair history and any provenance records. Paperwork can support a claim, but it is not independently verified merely because it exists.
Ask whether the seller owns the piece, whether it is currently in their possession and whether any consignment, lien or shared-ownership arrangement affects delivery. A dated photograph showing the item in the seller’s possession can help distinguish a real listing from a copied image, although it does not prove authenticity.

Terms such as inspired by, style of or designer look can describe a lookalike rather than an original. An unusually low price for a valuable model is a warning sign, not proof of a counterfeit; investigate the source before treating the discount as a bargain. A French Directorate-General for Competition, Consumer Affairs and Fraud Prevention (DGCCRF) warning described counterfeit-furniture risks including customs seizure and inferior durability. That warning concerns the cases it examined, not a measured prevalence rate.
Make sure the listing describes the item you will receive
Styled room photographs can hide scale, wear and substitutions. Look for multiple images showing the complete piece, underside, labels, hardware and every disclosed defect. If only stock images appear, ask for a dated photograph of the exact item. Marketplace guidance notes that without actual-item photos you cannot assess condition or even be sure the seller possesses the furniture.
Get unresolved answers in writing. Ask whether the price covers the pictured configuration, cushions, inserts, shelves, doors, hardware and finish. Confirm whether the item is new, used, refurbished, vintage or sold as-is. Ask if color and grain can vary from the screen image, and whether a replacement part is original or aftermarket. Save the listing, image set, specifications, messages and terms as files or screenshots; listings can change after an order.

Measure the room and the entire delivery route
A piece can fit the planned floor area and still be impossible to deliver. Measure the assembled dimensions and, when available, the packaged dimensions. Then measure the narrowest doorway, hallway, stair turn, lift entrance and ceiling clearance from the building entrance to the final room. Include skirting boards, handrails, radiators and door swing.
- Measure the intended footprint and note clearance needed to open doors, drawers or recline mechanisms.
- Measure every restriction on the route, including the building entrance, lift, stairs, corridors and the final doorway.
- Compare those measurements with the packaged and assembled dimensions supplied by the seller.
- Ask whether legs, doors, tops or other parts detach, who performs reassembly and whether assembly is included.
- Confirm parking, loading-dock, lift-booking and building-hour requirements with the carrier or property manager.
For upholstered or fragile pieces, ask how the packaging is protected and whether the carrier can navigate stairs rather than stopping at the curb. Confirm who is responsible if the delivery team cannot gain access because a lift was not reserved or a truck cannot park. A basic tape measure is sufficient for this check. Do not rely on a room photograph or on the assumption that delivery staff will disassemble furniture without a written service agreement.
Calculate the real delivered price
The displayed item price is only one component. Obtain a written total that includes shipping, handling, taxes, import duties, currency-conversion charges, delivery to the threshold or room of choice, assembly, packaging removal and any building surcharge. Ask whether a failed-delivery attempt or a return collection creates another charge.
Check whether quoted freight is based on curbside delivery while your building requires room-of-choice service. Clarify whether assembly is mandatory, optional or performed by a third party, and whether the quoted amount includes disposal of crates and protective materials. For a large item, ask whether storage fees accrue if you cannot accept delivery on the proposed date.
Get the delivery date or window in writing and ask what happens if it slips. In a 12 July 2018 warning, the French DGCCRF described online furniture cases with announced delivery delays of up to 30 weeks, as well as orders that were never delivered. Those figures describe the authority’s observed cases and are not a current market-wide estimate.

For an overseas order, identify the seller’s country, the shipping origin and the party responsible for customs. Canada’s Office of Consumer Affairs cautions that overseas protections and product standards may differ. A low cross-border price can disappear once duty, brokerage and room delivery are added. Confirm which currency will be charged and whether your card or payment service adds a foreign-transaction fee.
Read return, cancellation and warranty terms before checkout
Find the terms for the exact item, not only the retailer’s general policy. Check the deadline, acceptable condition, original packaging requirement, collection method, return freight, restocking charge, refund timing and final-sale language. Ask how a defect is handled differently from a change-of-mind return.
Read the warranty separately from the return policy. Confirm its duration, what structural or finish defects are covered, whether labor and transport are included, and whether the warranty follows the item if it is resold. A warranty does not automatically create a right to cancel an unwanted purchase.

Confirm whether selecting a finish, fabric, size or configuration makes the item custom or made to order. Ask when production starts, whether cancellation is possible before that point and what happens if the retailer has already ordered materials. Custom status can limit change-of-mind rights; the contract and local law control.
Request a final specification showing fabric, color, dimensions, filling, hardware and quantity. Keep your approval of that specification. If the listing says “made to order” but gives no production or cancellation terms, ask for them before paying rather than assuming the label has a uniform legal meaning.
Cooling-off periods are not universal
European Commission guidance describes a 14-day cooling-off period for covered distance purchases, while French DGCCRF advice notes an exception for custom furniture. Neither point should be assumed to apply to every country, seller or item. Verify the rule for the buyer’s jurisdiction and the seller’s legal location before relying on it.
In the DGCCRF’s 2018 warning, some sellers were described as retaining 50% of the order amount when a consumer attempted to withdraw. That was presented as a fraudulent practice in the cases discussed, not as a lawful standard return fee. Treat any unusually large cancellation deduction as a reason to obtain a written explanation and check with the relevant consumer authority.
Choose payment and records with disputes in mind
Use a payment method that offers a dispute process for this seller and transaction, and confirm the protection’s conditions before paying. Coverage, deadlines and eligibility vary by country, card issuer, bank and payment service; do not assume that simply using a particular method guarantees a refund.

Avoid moving a marketplace transaction to an irreversible payment channel merely because the seller offers a small discount. Check that the name charged on your statement matches the contracting seller or that the relationship between entities is documented. Never send a final payment while key specifications, delivery timing or return terms remain verbal.
Keep the product page, seller identity, terms, invoice, payment confirmation, delivery promise and every message. Store them somewhere you can access if the listing disappears. When the furniture arrives, inspect it promptly before discarding packaging.
- Photograph the unopened package, shipping labels and any visible puncture or crushing.
- Photograph the assembled piece from all sides, including labels and defects.
- Compare the delivered model, finish, dimensions and accessories with the order.
- Record visible damage or shortage on the delivery paperwork when possible, while following the carrier’s procedure.
- Notify the seller in writing quickly, attach dated photographs and state the remedy you want: repair, replacement, collection or refund.
The legal effect of signing a delivery receipt differs by location and contract. A signature should not replace a careful inspection or written notice.
Recognize warning signs before committing
- No legal business name, physical address or usable customer-service contact.
- Unclear distinction between the marketplace, a trader and a private seller.
- Only stock photographs, refusal to show labels or evasive answers about condition.
- Authenticity claims without an authorized-retailer listing, brand confirmation or credible provenance.
- A price far below the normal market context for a valuable model.
- Pressure to pay outside the platform, by an irreversible method or before written terms are supplied.
- Delivery promises that are vague, unusually long or inconsistent with the item’s stated availability.
- Surprise handling, room-delivery or collection charges disclosed only after payment.
- Blanket final-sale language on an item advertised as new or free from defects.
- Reviews that appear copied, uniformly positive or impossible to verify. The DGCCRF has warned about specific furniture sites using apparently fake positive reviews and difficult or nonexistent complaint handling; this does not mean reviews in general are fake.
Use a simple decision test before paying
Proceed only when you can answer these questions from saved documents:
- Who is the contracting seller, where is it located and who handles complaints?
- What evidence supports authenticity or, for resale, the claimed provenance?
- Do actual-item photographs and a written condition report match the listing?
- Will the packaged piece pass every measured point on the delivery route?
- What is the complete delivered total, including taxes, duties, assembly and possible collection?
- What delivery window is promised, and what remedy is offered if it slips?
- Can you cancel or return this exact item, who pays collection and does custom status change the answer?
- Which payment protection and written records will remain available if the order fails?
If any answer is missing, pause the purchase and request it in writing. A seller who cannot identify the contracting party, document the item or state the delivery and remedy terms is asking you to accept the risk without the information needed to price it.

The item is damaged
Keep all packaging, photograph the damage and notify the seller and carrier promptly in writing. Do not arrange an expensive repair or discard parts before the seller confirms the remedy. Follow the retailer’s stated reporting process while preserving your own dated record.
The wrong model or finish arrives
Photograph the labels and compare them with the invoice. State the discrepancy clearly and request collection or replacement under the order terms. Avoid accepting a partial discount if you actually need the specified item unless you are willing to keep it permanently.

The seller stops responding
Send a concise written notice identifying the order, the problem, the remedy requested and a reasonable response deadline. Then use the payment provider’s dispute process if its rules cover the transaction, and contact the relevant consumer authority for the buyer’s jurisdiction. The available remedy depends on location, seller type and payment method.
Questions worth asking before checkout
- Is this the exact item pictured, and can you send current photographs showing labels and defects?
- What are the packaged dimensions and weight, and can the delivery team handle stairs or assembly?
- Who is the legal seller, where will the invoice come from, and where are returns collected?
- Is the item in stock, made to order or awaiting production, and what date starts the delivery window?
- What charges could be added for customs, room delivery, assembly, storage or collection?
- What happens if the item arrives damaged, late, incomplete or different from the specification?
Written answers to these questions create a useful record and reveal whether the seller understands its own process. Evasive replies are information too: they indicate that the transaction may be difficult to enforce or unwind.
Frequently Asked Questions
How can I tell whether designer furniture sold online is authentic?
For a current model, compare the exact name, dimensions, materials, finish and labels with the manufacturer’s official information. Check the seller against the brand’s authorized-retailer directory or ask the brand directly. For used or vintage pieces, request actual-item photographs, provenance and a condition report; use a qualified specialist when authenticity materially affects the price.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
What should I measure before ordering a large piece?
Measure the intended floor area and every narrow point from the entrance to the room: doors, halls, stairs, lift openings and ceiling clearances. Compare those measurements with both packaged and assembled dimensions, and ask whether parts detach and who assembles them.
Can I return made-to-order or personalized furniture?
Possibly, but custom or personalized status can limit change-of-mind rights. Read the exact contract, ask when production begins and confirm cancellation, defect and collection procedures before paying. Rules vary by country; do not assume a general 14-day period applies.
Who is responsible when I buy through a marketplace?
Identify whether the platform or an independent trader is the contracting seller. The seller panel, checkout screen and invoice should show who fulfills the order, handles complaints, arranges collection and issues refunds. Save both marketplace and trader terms.
What costs are often missing from the displayed price?
Shipping, handling, taxes, import duty, currency conversion, brokerage, room-of-choice delivery, assembly, packaging removal, storage and return collection can all change the total. Request a written delivered price and ask what happens if delivery fails.

Are unusually low prices proof that a piece is counterfeit?
No. A very low price is a warning sign that calls for source and condition checks, not proof by itself. Confirm the seller, request actual-item evidence and seek brand or specialist confirmation before treating the price as a bargain.
What if the seller stops answering after payment?
Send a written notice identifying the order, problem, requested remedy and response deadline. Then use the payment provider’s dispute process if its conditions cover the transaction and contact the appropriate consumer authority. Available remedies depend on seller type, location and payment method.
The Bottom Line
Buy only when the seller, source, condition, route, delivered price and remedy are documented. Authorized channels simplify authenticity checks; resale can provide rare pieces but demands stronger evidence. Measure before ordering, treat custom terms and cross-border rules cautiously, and preserve every record from listing to delivery.
