Before paying for a hotel through an online travel agency or booking app, confirm six things: who is selling the room, the complete amount due, the exact cancellation and refund terms, the property and room details, proof that the hotel received the reservation, and whether the seller shows scam warning signs. A low headline rate is not a reliable deal until those details are clear on the selected offer and at final checkout.
The hotel and the booking intermediary may be separate businesses. That distinction can determine who handles a date change, cancellation, refund, or a reservation that is missing at check-in. The checks below are practical consumer precautions; applicable rights depend on your location, the contract, and the rate you choose.

1. Identify who is taking your booking
Start with the seller name shown on the offer, checkout page, payment screen, and confirmation. Determine whether you are buying directly from the hotel or from a third-party platform. Do not assume that the hotel front desk controls every reservation made through an intermediary.

Look for wording that explains who handles changes, cancellations, refunds, payment questions, and problems at arrival. Save the platform’s customer-service contact and the hotel’s direct contact separately. If the offer says the platform is the booking party, a hotel employee may be unable to alter the reservation without the platform’s approval.

Match the seller to the payment recipient
Before entering payment details, compare the legal or trading name on the checkout page with the name in the terms and the confirmation. A different company name is not automatically fraudulent, but it is a reason to find out which entity will issue the confirmation and process a refund. If the page does not clearly identify the seller or support channel, stop and ask for clarification before paying.
2. Reconcile the complete price before final payment
Compare the amount you will actually pay, not just the nightly rate displayed in search results. The Federal Trade Commission (FTC) advises that known mandatory lodging fees should be included in the displayed price, while charges that cannot be calculated in advance should be disclosed before final payment. Taxes and other charges may still vary by location or booking conditions, so inspect the final total.

Take a screenshot or download the page showing the total immediately before submitting payment. If a required charge appears only after payment, keep the earlier and later screens; the difference may be important when you ask the seller to correct the booking.

Use the same assumptions when comparing offers
Compare identical dates, occupancy, room categories, meal inclusions, taxes, and payment timing. An offer that looks cheaper may be nonrefundable, exclude breakfast, require payment at the hotel, or apply a different occupancy limit. The European Commission reported on December 18, 2020, that Booking.com and Expedia Group had improved the display of total prices including mandatory fees after engagement with European consumer authorities. That was a dated, EU-specific example, not a promise that every current site or country uses the same display rules.
3. Read the exact cancellation and refund policy
Open the cancellation terms for the specific room, rate, and dates you selected. A general “free cancellation” label is not enough. Record the deadline, time zone, penalty, refund method, and no-show treatment before you pay.

Find the deadline and time zone
Confirm the final date and time when cancellation is free, and note whether the deadline is expressed in the property’s local time or another time zone. A reservation that can be canceled until midnight in the hotel’s location may have an earlier deadline for you.
Check what happens after the deadline
Read whether the penalty is one night, the full stay, a percentage, or the entire prepaid amount. Check whether changing dates is treated as a cancellation and new booking. If the policy mentions a no-show, determine whether failing to arrive forfeits the whole reservation or only the first night.

Understand how a refund is delivered
Identify whether the intermediary or the hotel issues the refund, the original payment method is used, and whether any service fee is retained. Save the policy as it appeared at checkout; terms can be difficult to locate after payment.
There is no universal free-cancellation period established for every hotel booking. Your rights can depend on jurisdiction, the seller’s terms, the property’s rules, and the rate selected. Treat the written policy for your reservation as the starting point, while checking current local law when a dispute involves a regulated consumer right.
4. Verify the property, room, occupancy, and amenities
Confirm that the offer describes a real property and a room that fits your trip. The FTC recommends checking that an address exists and contacting the front desk when you need to confirm location or other details.

Validate the property’s identity
Copy the hotel’s full name and street address into an independent map or directory. Check that the address corresponds to a lodging property, not an empty lot, unrelated business, or a similarly named hotel in another city. Call the front desk using contact information found independently, rather than relying only on a number in an unusually cheap advertisement.

- Confirm the exact room category, bed configuration, smoking status, accessibility features, and view or location promises that matter to you.
- Check the maximum number of adults and children and whether an infant, child, or extra bed changes the price.
- Verify the arrival and departure dates, number of nights, and check-in and check-out times.
- Read which amenities are included in the rate rather than merely available somewhere on the property.
Descriptions such as “room assigned at check-in” or “run of house” give the property more discretion than a named room category. If a promised amenity is essential, obtain confirmation in writing from the seller or hotel before paying.
5. Research the company and the hotel for warning signs
For an unclear or unusually attractive offer, search the company and property name with terms such as “complaint,” “scam,” or “refund.” Look for a consistent business identity, a working support channel, and an address that matches the property. Reviews do not prove that a booking is safe, but a pattern of unresolved complaints about missing reservations, undisclosed fees, or withheld refunds deserves attention.
Pause when details are vague
The FTC identifies pressure to decide immediately and failure to provide specific offer details as warning signs in travel offers. A countdown timer, “last room” message, or urgent phone call should not replace a clear price and written terms. Close the page and verify the offer through an independently found hotel contact if the seller will not answer basic questions.
Be cautious with unusual payment demands
General FTC travel-scam guidance warns about requests for payment that are difficult to recover, including wire transfers, gift cards, or cryptocurrency. Such a request is especially concerning when the seller also refuses to provide a full confirmation or cancellation policy. Do not pay until you understand why that method is required and who will be responsible for the booking.

6. Preserve proof of what was promised
Save the confirmation immediately after booking. Keep the reservation number, seller name, hotel name and address, dates, occupancy, room type, total price, taxes and fees, cancellation deadline, refund terms, and included amenities. Store the confirmation both offline and in an account or email folder you can access while traveling.
Keep screenshots of the checkout page and copies of messages with the platform or hotel. Bring the confirmation details with you. FTC advice specifically recommends carrying copies in case the hotel says the reservation cannot be found. If the seller later changes a term, your dated record shows what you accepted.
7. Compare two offers on more than price
When two listings describe a similar room, compare them using the same five axes. The cheapest headline rate is only preferable when the underlying obligations and protection are comparable.

If one offer is slightly more expensive but has a clear cancellation deadline, a named room, and a direct support path, calculate the value of that flexibility rather than comparing the nightly rates alone.

Before you travel
Recheck the confirmation, dates, guest names, and cancellation status. Contact the seller through the channel listed in the confirmation if any detail is inconsistent. Contact the hotel directly to confirm that it recognizes the reservation, but remember that the intermediary may still control changes or refunds.
At check-in
If the front desk cannot find the reservation, show the saved confirmation and ask the hotel to search by the confirmation number, guest name, and arrival date. Contact the booking seller while you are at the desk and keep notes of names, times, and promised actions. Do not discard the original confirmation or messages.
After a cancellation or refund problem
Read the policy you saved and contact the party identified as responsible for the refund. State the reservation number, cancellation time, amount paid, and remedy requested. Keep every response and document the timeline. If the seller and hotel disagree about responsibility, your records help establish which terms were displayed and which company took the payment.
How jurisdiction and date affect these checks
Hotel booking rules are not identical worldwide. Consumer-protection requirements, tax disclosure, cancellation rights, and the effect of a no-show can vary by country, state, or province. The FTC material is U.S. consumer guidance, while the European Commission’s accommodation example concerns an EU engagement reported on December 18, 2020.
In that press release, European Commissioner for Justice Didier Reynders said: “In view of evolving travel restrictions, I encourage all online travel service operators to follow this example and ensure that European consumers can trust their accommodation offers and easily find information on cancellation practices.” The statement encouraged clearer information; it was not a legal guarantee of a refund for every individual booking.
A practical go-or-stop decision
Proceed only when you can answer all of these questions from the offer and your saved records:
- Which company is taking the booking and who handles changes or refunds?
- What is the complete amount due now and later, including mandatory fees and disclosed taxes?
- When can you cancel, what will it cost, and how is any refund paid?
- Does the property address exist, and do the room, occupancy, dates, and amenities match your needs?
- Do you have a written confirmation showing the rate, terms, and reservation number?
- Has the seller avoided pressure and difficult-to-recover payment demands?
If any answer is missing, pause the transaction, contact the seller or hotel through an independently verified channel, and pay only after the uncertainty is resolved.
