Recommended Free Tools
Start with one repetitive, low-stakes task; test a basic tool with non-sensitive information; and keep a person accountable for every output. Before expanding, check how the tool handles your data, whether its answers are reliable enough for the task, and what legal, contractual, security, intellectual-property, and customer-trust issues apply to your business. This guidance is U.S.-oriented and practical, not a determination of legal duties for every location or industry.
What decision should a small business make first?
Do not begin by asking which artificial-intelligence product to buy. Begin by choosing a bounded business problem and defining what a useful result would look like. The U.S. Small Business Administration (SBA) recommends starting small and testing lower-cost or basic tools before committing to a larger deployment.

A suitable first task is repetitive, easy for a person to check, and unlikely to cause serious harm if a draft is wrong. Examples include producing ideas for a marketing campaign, turning an internal outline into a draft, suggesting responses to routine reviews, or creating a first-pass answer for common customer questions. Avoid making your first experiment a system that makes hiring, credit, safety, medical, legal, or other high-consequence decisions.
- Define the baseline: How is the work done now, how long does it take, and where do delays or missed inquiries occur?
- Define “useful” before testing: Possible measures include time saved, fewer missed inquiries, a draft that requires less editing, or more consistent formatting. These are evaluation criteria, not guaranteed outcomes.
- Define the boundary: State exactly what the tool may draft, what information it may receive, and what it must never decide or send without review.
Generative AI can improve efficiency or help save time and costs, but SBA materials describe these as potential benefits rather than measured or universal results. A pilot should establish whether the benefit exists in your own workflow.

Where can generative AI help, and where should it not lead?
Generative systems produce text, images, code, summaries, or other content from prompts. Their output is a draft or suggestion, not an automatically verified fact. Match the technology to work where a trained employee can inspect the result.
| Possible use | Appropriate starting boundary | Checks before delivery |
|---|---|---|
| Brainstorming | Generate campaign themes, product names, questions for an interview, or alternative outlines. | Check originality, brand fit, factual assumptions, and whether any suggestion creates an intellectual-property or reputational problem. |
| Marketing support | Create a first draft of an announcement, social post, email, or advertisement from approved facts. | Verify every claim, price, date, offer, audience statement, accessibility requirement, and disclosure. |
| Customer-service assistance | Suggest replies to routine questions using an approved knowledge base. | Confirm the answer, tone, privacy, escalation instructions, and that the message does not promise something the business cannot provide. |
| Review responses | Draft courteous replies to public reviews. | Remove confidential details, avoid arguing with customers, and ensure the response reflects the business’s values. |
| Targeted advertising or segmentation | Help organize approved audience information or propose variations for human review. | Check consent, discrimination risk, platform rules, claims, and whether personal data is being exposed. |
| Some security tasks | Summarize alerts or suggest questions for an analyst. | Require a qualified person to validate the finding and make the final security decision. |
These applications come from SBA examples and are possibilities, not promises of performance. A system that writes a plausible paragraph can still invent a fact, omit an exception, reproduce protected material, or reveal information in its response.
What information should stay out of an AI tool?
SBA explicitly cautions businesses against feeding sensitive or proprietary information into AI tools. Treat a public chatbot or an unapproved account as an external service until you have confirmed its data practices and controls.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesClassify information before prompting
- Public: Information already approved for public release, such as a published opening-hours notice.
- Internal: Non-public operating material that still needs protection, such as draft plans or internal procedures.
- Confidential or regulated: Customer records, employee information, credentials, payment details, health information, trade secrets, source code, unreleased financial data, and material covered by a contract or nondisclosure agreement.
Use public or synthetic examples during a pilot. Remove names, account numbers, unique identifiers, secrets, and unnecessary details. Do not assume that deleting a prompt from your screen deletes copies held in logs, backups, abuse-monitoring systems, or vendor support records.

Questions to answer in the vendor terms
- Is submitted content retained, and for how long?
- May prompts or outputs be used to train or improve a model?
- Who can access the content, including contractors and support personnel?
- Are encryption, single sign-on, role-based access, audit logs, and administrator controls available?
- Can your organization delete content and obtain confirmation of deletion?
- Where is data processed or stored, and which subcontractors handle it?
- What happens to your content and access if the service changes, is suspended, or ends?
Product features and terms change. Recheck them before a pilot and whenever the business expands the use case.
What are the principal risks?
Accuracy and fabricated content
A fluent answer is not evidence that it is true. Require the reviewer to check names, numbers, quotations, citations, dates, calculations, and instructions against an authoritative source. Mark drafts clearly so an unverified answer cannot be mistaken for approved policy.
Security and privacy
A prompt can expose confidential information, and an output can repeat it to someone who should not see it. Use the least data necessary, restrict accounts, protect credentials, and define an escalation path for suspected disclosure. NIST’s small-entity guides provide a way to organize security and privacy risk management, but they do not replace a business-specific assessment.

Customer trust and brand values
SBA warns that customers may resist AI-generated outreach and that content may not reflect a business’s culture or principles. A human should assess whether a message is respectful, transparent, culturally appropriate, and suitable for the relationship. Do not conceal an automated interaction when disclosure is required by your policy, contract, platform, or applicable law.
Unfair or harmful decisions
Do not let an untested model silently rank applicants, customers, suppliers, or claims. If a use could affect someone’s rights, access, employment, price, safety, or eligibility, obtain specialist advice, document the process, and require meaningful human judgment.
How to run a controlled pilot
- Select one task and owner. Name the process owner, the users, the approved purpose, and the person who can stop the pilot.
- Write acceptance criteria. Specify the required facts, tone, format, response time, maximum editing effort, and conditions that require escalation.
- Prepare safe test material. Use public, synthetic, or redacted examples. Keep confidential and regulated information out until controls have been reviewed.
- Review the service terms and settings. Record retention, training use, access controls, deletion, storage location, integrations, export options, and administrator features.
- Run a limited comparison. Have staff complete representative examples using the current process and the AI-assisted process. Record errors, omissions, editing time, and failure cases rather than relying on an impressive demonstration.
- Require approval before use. A designated reviewer checks facts, invented claims, tone, privacy, security, intellectual-property concerns, and alignment with business values before anything is sent, published, or used to guide a decision.
- Document and decide. Record the tool, version or plan, intended use, approved data, reviewer, incidents, and escalation route. Continue, change, or stop the pilot based on the acceptance criteria.
SBA states: “If you are using free AI tools or software in your small business, have another person review all AI products.” The practical implication is that review is a required control, not an optional final polish.
How should you evaluate an AI product?
There is no universal best tool. Compare only products that you have actually assessed for the task and data involved. Use a written scorecard so a low price or polished demonstration does not outweigh unacceptable risk.

| Evaluation axis | Questions for a small business |
|---|---|
| Task fit and output quality | Does it handle the required language, format, files, and volume? How often does a reviewer have to correct it? |
| Data use and retention | Are prompts used for training? How long are they retained? Can administrators control and delete content? |
| Security and administration | Are strong authentication, role-based access, encryption, audit logs, and separate workspaces available? |
| Human-review controls | Can drafts be routed for approval, labeled, logged, or blocked from automatic sending? |
| Integration and export | Can the business retrieve its data and move away without losing records or process history? |
| Total cost | Include subscriptions, usage charges, setup, integration, training, review time, and incident response—not only the advertised plan. |
| Support and reliability | What service commitments, outage communication, support channels, and recovery options exist? |
| Contract and intellectual property | Who may use inputs and outputs? What warranties, indemnities, restrictions, and termination terms apply? |
What should human review look like?
Assign a reviewer with enough subject knowledge to detect a convincing mistake. For customer-facing content, the reviewer should verify the underlying facts, remove private information, check the tone and accessibility, confirm that claims can be supported, and ensure that the message does not conflict with a contract or policy.
For internal analysis, preserve the original source material and identify which conclusions came from the model. Require a second check for calculations, summaries that affect decisions, and any recommendation involving a person. Keep a simple log of the prompt purpose, reviewer, approval date, corrections, and incidents. The log helps identify recurring failures and supports retraining or a decision to stop.

The National Institute of Standards and Technology (NIST) AI Risk Management Framework (AI RMF) is intended for voluntary use. It is a planning resource, not a certification and not a legal safe harbor. Its four functions provide a proportionate structure for a small pilot:

- Map: Describe the intended use, affected people, data flows, context, benefits, and possible harms.
- Measure: Test accuracy, security, privacy, reliability, bias, and user experience against defined criteria.
- Manage: Prioritize risks, apply controls, respond to incidents, and decide whether to continue, modify, or discontinue the use.
NIST’s Generative AI Profile (AI 600-1), released July 26, 2024, is a cross-sector companion to AI RMF 1.0. It describes risks that are novel to or heightened by generative AI and suggests actions under those functions. NIST says the AI RMF 1.0 is being revised, so check the current NIST page when documenting the framework version.
Best Value
| Resource | What it offers | Date or status |
|---|---|---|
| AI Risk Management Framework 1.0 | Voluntary Govern, Map, Measure, and Manage functions. | NIST indicates the framework is being revised; verify the current status. |

| SP 1300, Cybersecurity Framework 2.0 Small Business Quick-Start Guide | Practical cybersecurity risk-management guidance for small and medium-sized businesses with modest or no existing plans. | Published February 26, 2024. |
Use the guides in proportion to the risk. A two-person company may need a one-page register and a review checklist; a business handling regulated or high-volume data may need formal access management, contracts, testing, and specialist help.
When do legal advice and customer disclosure matter?
The applicable rules depend on location, industry, the people affected, the data involved, contracts, and the purpose of the system. SBA flags legal, intellectual-property, customer-trust, security, and ethical considerations and suggests consulting an attorney when one is available. This article cannot determine whether a particular use complies with privacy, consumer-protection, employment, copyright, accessibility, sector-specific, or contractual requirements.
Seek advice before using generated content in a regulated communication, before transferring personal or confidential data, before changing a decision process that affects people, or when a customer or partner contract restricts automated processing or disclosure. Ask the adviser to review both the workflow and the vendor agreement, not just the text produced by the model.

How should a business expand—or stop—the pilot?
Expand when the evidence supports it
- The task has a documented owner and a repeatable workflow.
- Reviewers meet the acceptance criteria with manageable editing effort.
- Data handling, access, retention, and deletion are understood and acceptable.
- Incidents have an escalation and recovery process.
- Users are trained to recognize fabricated content and prohibited inputs.
Pause or stop when controls fail
- The tool repeatedly invents material facts or omits safety-critical details.
- Users paste confidential information despite the approved boundary.
- The vendor changes terms, features, model behavior, or access in a way the business cannot accept.
- Human review is skipped because of workload or automation pressure.
- The cost of checking, correcting, securing, and managing the system exceeds the demonstrated value.
Reassess after significant product updates, incidents, changes in the business process, or new data sources. Generative-AI adoption is an ongoing risk-management decision, not a one-time purchase.
Common failure modes and practical fixes
| Failure mode | Fix |
|---|---|
| Employees use personal accounts for company work. | Publish an approved-use policy, provide an approved workspace, and block or remove access where necessary. |
| A draft is sent without verification. | Make a named reviewer and approval step mandatory; disable automatic sending during the pilot. |
| Sensitive data appears in prompts. | Stop the workflow, document what was exposed, follow the incident process, and review deletion and notification obligations with qualified advisers. |
| The business measures enthusiasm instead of results. | Compare representative tasks with the baseline using predefined quality, editing-time, and risk criteria. |
| The model’s tone conflicts with the brand. | Use approved examples and style guidance, but retain human approval and a route for customer complaints. |
| A vendor promise is treated as a guarantee. | Read the current terms, test the actual configuration, and document assumptions and limits. |
What a sensible first 30 days can look like
- Week 1: Choose the task, baseline the current process, classify the data, and appoint an owner and reviewer.
- Week 2: Review vendor terms and security settings, prepare redacted test cases, and write acceptance criteria.
- Week 3: Run the limited pilot, record corrections and failure cases, and interview the people doing the work.
- Week 4: Apply the NIST-style Govern, Map, Measure, and Manage cycle, document the decision, and set a date to reassess terms and performance.
This sequence keeps experimentation reversible. It lets a small business learn whether generative AI solves a real problem without exposing information or delegating accountability it cannot recover.
