Which skills matter across office and administrative jobs?
Communication
Office work often involves answering calls and email, greeting visitors, writing routine messages, and passing information between colleagues. The U.S. Bureau of Labor Statistics (BLS) says, “General office clerks must convey information clearly when answering phones and writing memos or emails.” BLS: General Office Clerks

Accuracy and attention to detail
Administrative work can involve entering and maintaining records, proofreading documents, handling bills, and retrieving information. Careful checking helps prevent errors from carrying into records or deliverables.

Interpersonal skills and courtesy
Many office roles require regular contact with coworkers, visitors, customers, vendors, or executives. A courteous manner and the ability to maintain productive working relationships are relevant alongside written and technical skills.
Adaptability
General clerical duties can shift with an employer’s needs. O*NET includes learning newly implemented office technologies among the work, so being willing to learn unfamiliar systems can matter as much as familiarity with a particular tool.

What computer skills do employers ask for?
For U.S. secretary and administrative assistant postings linked to occupation SOC 43-6014.00, O*NET/Lightcast reported these software mentions in nationwide postings from January 1 through December 31, 2025:
| Software skill | Share of postings mentioning it |
|---|---|
| Microsoft Office software | 30% |
| Microsoft Excel | 28% |
| Microsoft Outlook | 19% |
| Microsoft PowerPoint | 15% |
| Microsoft Word | 10% |
These are posting mentions in that occupation and period—not the share of workers who need each skill, a proficiency measure, or a universal requirement. The figures also do not establish that every vacancy expects the full Microsoft suite. Executive assistant postings have a different mix, with relatively more Excel and PowerPoint mentions and some Google Workspace, Zoom, SAP Concur, and SharePoint.

Software is only one part of the work. BLS identifies writing and reading, computers and information technology, and adaptability among top skill categories for SOC 43-6014. For executive secretaries and executive administrative assistants (SOC 43-6011), its categories include adaptability, interpersonal skills, and writing and reading.
How do the skills vary by office role?
Administrative and office jobs are not interchangeable. Compare the responsibilities and tools in the vacancy rather than assuming a single standard skill set.

| What to compare | Questions to ask about the posting |
|---|---|
| Software | Does it name Excel, broader Microsoft Office tools, email and calendar software, presentation tools, Google Workspace, or industry-specific systems? |
| Communication | Is the work mainly internal coordination, or does it involve frequent contact with visitors, customers, vendors, or executives? |
| Records and accuracy | Will you review documents, maintain databases, manage schedules, handle billing, or work with confidential files? |
| Coordination scope | Does the role support routine tasks, or coordinate executive calendars, meetings, travel, events, or projects? |
| Industry and training | Does the employer expect general office knowledge or specialized legal, medical, finance, or other industry knowledge—and what training or experience does the posting specify? |
For example, a general office clerk may handle phones, email, visitors, appointments, documents, and paper or electronic records. An executive assistant posting may emphasize a different software mix and broader coordination. Medical and legal administrative roles can call for sector-specific knowledge or systems not captured by a general office skills list.

- Turn the posting into a checklist. Note its named software, communication duties, records or finance tasks, scheduling scope, industry systems, and stated experience or training requirements.
- Match each skill to evidence. Instead of listing “organized,” describe a relevant task—for example, maintaining a schedule, coordinating a meeting across constraints, or keeping records current.
- Name software precisely and honestly. If you have used Excel, Outlook, Word, or Google Sheets, say which one and connect it to a task you can explain. Do not claim proficiency with a tool you have not used.
- Prepare examples for interviews. Be ready to describe how you handled simultaneous requests, caught an error in a document or data entry, responded courteously to an inquiry, or learned a new system.
- Address gaps with targeted practice. If a target role names an application you do not know, practice with that kind of tool. BLS notes that relevant computer-application courses may help people unfamiliar with those tools; no single course or provider is required by the evidence here.
Do administrative jobs require Excel or a degree?
Excel appears often enough in the 2025 U.S. postings for SOC 43-6014.00 to be worth checking and, where relevant, practicing. But a 28% posting-mention rate does not mean every administrative job requires Excel; the specific vacancy is the guide.
Best Value
Education and experience expectations also vary. In BLS’s 2025 broad profile of office and administrative support occupations, on-the-job training was required for 90.3% of workers, prior experience for 55.6%, and a high school diploma for 76.3%. These group-level figures span multiple occupations and are not entry requirements for every administrative assistant vacancy. Follow the qualifications stated by the employer.
