Before sending unpublished writing to an AI reviewer, turn off model-improvement or training, choose Temporary or Incognito mode for sensitive excerpts, disable persistent activity where it controls review, set the shortest practical auto-delete period, and plan to delete the chat and uploaded file afterward. Then check memory, feedback, shared links, connected apps, human-review terms, and the rules for your plan. These controls reduce exposure; none automatically creates a confidentiality guarantee or proves that every copy disappears immediately.
Start with the risk decision
A manuscript is more than a text file. It can contain trade secrets, personal data, unpublished research, identifiable sources, contractual material, or a work that has not yet been registered or submitted. An AI review service may process the words in the prompt, the uploaded document, conversation history, generated feedback, account activity, diagnostic telemetry, and any human-review copy under separate rules.

Decide what the tool actually needs. A request to identify repetitive sentences may require only a few paragraphs. A request to assess chapter structure may require a chapter outline rather than the full book. Redaction, excerpts, pseudonyms, and synthetic examples reduce the amount of original work exposed.

- Use an excerpt when the question is local, such as grammar, clarity, or point of view.
- Remove identifying details such as names, addresses, client information, unpublished results, and unique quotations unless they are essential to the review.
- Check your obligations to co-authors, employers, publishers, research participants, and clients before uploading anything.
- Prefer a workspace with written data terms when a complete manuscript must be processed. Consumer settings can differ materially from business, education, API, or Microsoft 365 versions.
Do not treat an “opt out of training” switch as the same thing as local processing, a contractual confidentiality promise, or immediate deletion. It addresses one use of data; retention, access, backups, feedback, memory, and connected services may be controlled elsewhere.

Universal settings checklist
Use this sequence before opening the upload dialog. Menu names and defaults change by vendor, region, account type, and plan, so confirm the labels shown in your account.
- Turn off model improvement. Look for wording such as “Improve the model,” “Model Improvement,” “Help improve,” “Training on conversation activity,” or “Product Improvement and Training.” Confirm that the setting applies to the product and account you are about to use.
- Choose a temporary mode. Temporary, Incognito, or equivalent modes are designed for one-off sensitive conversations. Read what that mode changes; the definition is not identical across services.
- Disable persistent activity or history where relevant. A history switch can affect storage and personalization without changing every other use of the content.
- Set the shortest practical auto-delete period. Auto-delete normally governs saved activity, not necessarily every backup, safety copy, support record, or human-review copy.
- Turn off or clear memory. A service may save facts inferred from chats separately from the conversation itself. Remove existing memories that contain manuscript details.
- Avoid feedback on the confidential exchange. Thumbs-up or thumbs-down forms can attach the entire conversation to a quality-review process.
- Inspect sharing and integrations. Remove shared links, connected cloud drives, browser extensions, and third-party apps that can receive the prompt or file.
- Read human-review language. Safety, abuse, support, and quality programs can permit employee or contractor access even when training is disabled.
- Delete the conversation and file after review. Use the product’s deletion control, then check account activity, file storage, and recycle-bin or recently-deleted areas where available.
- Record what you changed. Note the account, product edition, date, mode, and deletion action. This helps you reproduce the decision and explain it to collaborators.
ChatGPT consumer settings
Disable model improvement
In ChatGPT, open Settings → Data Controls and turn off Improve the model for everyone. OpenAI describes the opt-out this way: “To opt out, turn off Improve the model for everyone under Settings > Data controls in ChatGPT, or select Do not train on my content in our Privacy Portal.” The control applies to the consumer ChatGPT experience in which you change it; check other accounts or products separately.
Use Temporary Chat for a one-off excerpt
Select Temporary Chat before pasting or attaching a sensitive passage. OpenAI says temporary chats do not appear in history, do not create memories, and are not used to improve models while temporary. That description does not mean you should skip deletion or assume that every operational copy vanishes at once. Remove the conversation and uploaded file when the task is complete, and review the account’s activity controls.

If you submit a thumbs-up or thumbs-down rating on a confidential exchange, OpenAI says the entire conversation associated with that feedback may be used for improvement even after you have opted out. Ask for the review without rating the result, or use a non-confidential test conversation for product feedback.
Check separate data surfaces
Review Memory and clear any saved manuscript facts. Inspect shared links and revoke links you created for the conversation. Check connected apps and cloud storage permissions before attaching a document; an integration can create a separate path for the same file. Afterward, delete the chat and the uploaded file rather than relying only on the global training switch.
Claude consumer settings
Turn off improvement and use Incognito for the most sensitive text
In Claude, open Settings → Privacy and disable Model Improvement or Help improve Claude, depending on the label shown. For an especially sensitive excerpt, start an Incognito chat. Anthropic says Incognito chats are not used to improve Claude.
Understand the safety-review exception
Anthropic says conversations flagged for safety review may be analyzed to improve detection and enforce its Usage Policy. Therefore, an improvement opt-out or Incognito selection is not a promise that no authorized person or system can inspect a conversation for safety enforcement. Avoid sending material that could trigger a false positive when a redacted example will answer your question.

Finish with deletion and retention checks
Delete the Claude chat after saving only the feedback you need. Review account retention choices and any file-management view separately; deleting the visible conversation may not explain how safety or support records are handled.
Gemini settings
Control Gemini Apps Activity
Open Gemini Apps Activity from your Google Account activity controls. Turn off the setting that permits activity to improve Google AI, then choose the shortest practical auto-delete period. Delete existing Gemini activity and uploaded files after the review. An auto-delete setting is forward-looking for the activity it covers; it is not a substitute for removing material already stored.
Do not confuse Google activity controls
Gemini Apps Activity is distinct from Web & App Activity, Location History, and other Google service controls. Review the controls that apply to the account and device you are using, but do not assume that changing one Google history switch changes all of them.
Account for possible human review
Google says saved Gemini activity can be reviewed by humans. If the manuscript is confidential, avoid leaving activity saved and do not upload more text than needed. Human-review language is a separate question from whether activity is used to improve models.
Notebook source files are a separate case
Do not assume that files in Gemini Notebook receive the same treatment as ordinary Gemini uploads. Google says Notebook source files are not used directly to train generative AI models. Confirm the current Notebook terms, sharing settings, and account edition before treating that statement as a complete retention or access guarantee.
Microsoft Copilot settings
Consumer Copilot
In consumer Copilot, open your profile and choose Settings/Privacy. Turn off Training on conversation activity and Training on voice conversations; labels vary across web, desktop, and mobile. Microsoft says opting out excludes future conversations from training. That does not necessarily erase earlier activity or prevent every form of human review.
Human-review limits
Microsoft says an opt-out of human review is not available for some consumer experiences. If employee or contractor access is unacceptable for the manuscript, a consumer Copilot setting may not meet the requirement even when training is disabled.

Microsoft 365 Copilot for home
Identify the product before uploading. Microsoft 365 Copilot for home has separate documentation stating that prompts, responses, and file contents are not used to train foundation models. That product-specific statement should not be generalized to every Copilot surface, account, or connected service. Delete activity history and uploaded files through Microsoft account privacy controls when finished.
Grammarly settings
Disable product improvement and training when available
Open your Grammarly account privacy settings and disable Product Improvement and Training if that control is available for your account. Grammarly says the control covers content, including Grammarly Go content, used to train models and improve the product. Verify that the switch is present and enabled for the plan and features you are using before sending a manuscript.
Separate content from writing statistics
Turning off content training does not necessarily stop collection of non-content writing statistics. Grammarly may still collect measures such as words written, suggestions accepted, and mistakes made. If those usage patterns are sensitive, review the telemetry and account-analytics choices as well as the content control. Delete documents, snippets, and connected-editor data after the review where the product provides those controls.
ProWritingAid’s deletion claim
ProWritingAid’s privacy policy states: “For grammar checking, once checking has been completed, all submitted texts and their improvements will be deleted.” It also says submitted texts will not be used to improve the quality of its services. Treat this as a vendor-specific policy statement, not a universal rule for every feature or plan. Re-check the current policy and the account’s retention options before uploading a complete manuscript, and still remove the project from your account when the review ends.
Compare tools by the questions that matter
A single “private” label is not enough. Evaluate each service against these separate dimensions, and write down the answer for the exact edition you will use.

A safer upload-and-delete workflow
1. Prepare a minimum necessary sample
Copy only the pages needed to answer the question. Replace names, locations, account numbers, unpublished findings, and distinctive quotations with neutral placeholders. Keep an untouched master copy offline or in your approved storage; do not use the AI service as the only copy.
2. Confirm the account and edition
Check whether you are signed into a personal, work, school, API, or family account. Read the privacy controls for that exact product. A setting changed in one account may not carry over to another.

3. Apply controls before uploading
Disable training or improvement, select Temporary or Incognito mode, shorten auto-delete, and clear or disable memory. Turn off connected-app access that is not needed. Take a note or screenshot for your records without capturing manuscript text unnecessarily.
4. Upload, ask one bounded question, and avoid feedback
State the task precisely, such as “identify passive constructions in this excerpt and quote no more than 20 words.” Do not paste additional chapters merely because the tool asks for more context. Avoid thumbs-up or thumbs-down feedback on the confidential conversation, particularly where the vendor says feedback can include the full exchange.

Copy the recommendations you need into your approved notes or editor. Remove identifying details from those notes if the feedback repeats them. Do not create a shared link to the conversation.
6. Delete every visible copy
Delete the conversation, uploaded document, project or notebook entry, saved memory, shared link, and connected-app permission as applicable. Empty recently-deleted or recycle-bin views when the service provides them.
7. Verify activity and future defaults
Reopen the account’s activity page and confirm that the item is gone or scheduled for deletion. Check that the training switch, temporary mode preference, and auto-delete period are still what you intended; some products reset defaults when you start a new workspace or switch devices.
Common mistakes and how to correct them
“I turned off training, so the manuscript is gone.”
Training controls address model-improvement use, not retention, backups, memory, feedback, or safety review. Delete the chat and file and inspect the other surfaces.
“Temporary or Incognito means no one can ever see it.”
These modes have vendor-specific definitions. OpenAI describes Temporary Chat as absent from history, memory-free, and not used to improve models while temporary; Anthropic still describes a safety-review exception. Read the applicable statement and avoid treating either mode as local processing.
“The chat is deleted, but the attachment remains.”
Some interfaces expose uploads separately from conversations. Look for a files, projects, notebooks, or storage area and delete the attachment there too.
“A thumbs-down is harmless.”
For ChatGPT, OpenAI says the entire conversation associated with feedback may be used for improvement even after opting out. Keep confidential sessions out of feedback programs.
“The business name means business-grade privacy.”
Consumer, business, education, API, and Microsoft 365 products can have different terms. Identify the exact edition and read its retention and access language instead of inferring protections from the brand name.

When not to upload the full manuscript
Do not send the complete work when an excerpt can answer the question, when a co-author or contract forbids third-party processing, when the text includes identifiable participant data, or when the service cannot explain retention and human access to your satisfaction. Use local editing software, an approved organizational tool, or a qualified human reviewer when the confidentiality requirement is stronger than the service’s controls. No consumer toggle can turn a cloud upload into an on-device review.
