What Permissions Should You Give an AI Assistant Connected to Gmail, Calendar, and Smart-Home Devices?

Give an AI assistant only the narrowest permission needed for the feature you are using. Availability-only calendar access is safer than full event access; message metadata is less revealing than message bodies; reading is less powerful than editing, sending, or deleting; and smart-home access should be limited to the specific devices and controls required.

Permission controls limit what an authorized connection can do through an API. They do not tell you how the assistant stores, shares, retains, or uses data after access. Before approving, read the consent screen, check the product’s privacy disclosures, and grant additional access only when a feature genuinely needs it.

Start with the smallest useful permission

Do not treat a request such as “access your Google account” as one indivisible choice. Gmail, Calendar, and smart-home integrations can expose very different kinds of information and can have very different powers. Separate the decision into two questions:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • What data must the assistant see? Availability, headers, labels, event details, and message bodies are progressively more revealing.
  • What actions must it perform? Reading is weaker than creating, editing, sending, deleting, or operating a physical device.

Start with read-only or availability-only access when that satisfies the task. Add write or control authority only for a feature you intentionally use. Google’s published API scopes are useful examples of this ladder, but an assistant may use another provider or present different labels. Always judge the actual consent screen shown by the product.

#1 Best Overall
Amazon Echo Dot (newest model) - Vibrant sounding speaker, Designed for Alexa+, Great for bedrooms, dining rooms and offices, Charcoal
  • Your favorite music and content – Play music, audiobooks, and podcasts from Amazon Music, Apple Music, Spotify and others or via Bluetooth throughout your home.
  • Alexa is happy to help – Ask Alexa for weather updates and to set hands-free timers, get answers to your questions and even hear jokes. Need a few extra minutes in the morning? Just tap your Echo Dot to snooze your alarm.
  • Keep your home comfortable – Control compatible smart home devices with your voice and routines triggered by built-in motion or indoor temperature sensors. Create routines to automatically turn on lights when you walk into a room, or start a fan if the inside temperature goes above your comfort zone.
  • Do more with device pairing – Fill your home with music using compatible Echo devices in different rooms, or create a home theatre system with Fire TV.
  • Say goodbye to drop-offs and buffering - With eero Built-in, Echo Dot doubles as a mesh wifi extender, adding up to 1,000 sq. ft. of wifi coverage to your existing eero network.

Gmail: separate metadata, reading, drafting, sending, and deletion

Gmail permissions are materially different. An assistant that classifies mail from headers and labels does not necessarily need to read message bodies, while an assistant that summarizes conversations does. An assistant that drafts a reply does not necessarily need permission to send it.

Metadata-only access

Metadata access can support tasks such as finding messages by headers, labels, or other mailbox information without granting access to the full body of every message. “Metadata-only” does not mean “nothing sensitive”: headers and labels can reveal correspondents, subjects, categories, and patterns. Grant this level only when the feature can genuinely work without message content.

Google describes metadata-focused Gmail scopes in its Gmail API scope guidance. Ask the assistant’s consent screen exactly what it calls this access and whether attachments or message bodies are included.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Read-only message access

Summaries, semantic search, extracting tasks from emails, and answering questions about conversations require reading message content. This is substantially more revealing than metadata access and is classified as restricted access in Google’s current Gmail scope documentation. Use it only when the selected feature needs the contents of messages.

Before granting read access, consider the kinds of mail in the account: financial notices, medical information, authentication codes, legal correspondence, private conversations, and other people’s personal data. If the product offers folder, label, account, or date-range limits, use them. If it offers no meaningful boundary, understand that the permission may cover the mailbox broadly.

Drafting versus sending

Drafting and sending are different capabilities. A compose permission can allow creation of drafts, while a send permission can allow an assistant to transmit mail. If your goal is “write a reply for my approval,” choose drafting when available and keep the final send action manual.

Amazon Echo Dot (newest model) - Vibrant sounding speaker, Designed for Alexa+, Great for bedrooms, dining rooms and offices, Glacier White
If the assistant needs to send a message you explicitly request, verify whether its permission is limited to sending or also permits reading, composing, or changing existing messages. The wording matters more than a friendly feature name. Google’s scope table distinguishes send and compose capabilities; consult the current table at developers.google.com/workspace/gmail/api/auth/scopes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Broad mailbox access and permanent deletion

The broad Gmail scope mail.google.com includes reading, composing, sending, and permanently deleting Gmail messages. Google says this scope should be requested only when immediate permanent deletion is necessary. Treat any request that includes deletion as exceptional, not as a normal requirement for summaries, search, drafting, or scheduling.

An assistant that merely labels, archives, or summarizes mail should not need a permission capable of permanently deleting every accessible message. If the consent screen asks for broad mailbox control without explaining a specific feature, decline and look for a narrower integration.

Calendar: availability is not the same as event details

Calendar access can reveal where you are, whom you meet, what you discuss, and when you are unavailable. Choose the least revealing level that still supports the task.

Checking whether you are free

If the assistant only needs to propose a time, availability or free/busy access may be enough. It can determine whether a calendar is occupied without seeing event titles, descriptions, attendees, locations, or attached documents. Start with this level for scheduling suggestions that do not require context about existing appointments.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Reading event details

An assistant that summarizes your day, finds the details of an appointment, or answers “What is my next meeting about?” needs read access to event content. This can expose titles, notes, participants, locations, conferencing links, and recurring schedules. Grant read-only event access when the assistant needs that information but should not change the calendar.

  • Simple smart home control: Set routines, pair and control lights, locks, and thousands of smart home devices that work with Alexa without needing a separate smart home hub. With Omnisense technology, you can activate routines via temperature or presence detection.
  • Say goodbye to drop-offs and buffering - With eero Built-in, Echo Dot Max doubles as a mesh wifi extender, adding up to 1,000 sq. ft. of wifi coverage to your existing eero network.

Creating and editing events

Creating, rescheduling, changing attendees, or updating descriptions requires event-change access. Give it when you want the assistant to perform those actions, and verify whether the permission covers all accessible calendars or only a selected calendar.

Google’s Calendar documentation distinguishes free/busy access, read-only event access, event modification, and broad calendar administration. The broad calendar scope can allow seeing, editing, sharing, and permanently deleting accessible calendars, so it is far more powerful than ordinary event scheduling. Review the current scope descriptions at Choose Google Calendar API scopes.

Permission ladder for common features

Use this table as a starting point. The names are Google API examples, not a promise that every assistant exposes identical choices.

Permanently delete mail mail.google.com Why deletion is necessary; Google treats this as an exceptional scope.
Operate connected devices Selected device and trait permissions where supported Which physical devices and control operations are included.

Smart-home devices: limit both the device and the action

Smart-home permissions can cause a real-world action: unlocking a door, changing a thermostat, switching appliances, opening a garage, or changing a camera setting. A connection that can read device status is not equivalent to one that can control devices.

Use device- and trait-level choices when available

Some integrations let you select a structure, individual devices, and groups of supported traits or controls. In Google’s Nest Device Access flow, Partner Connections Manager lets users choose structures and devices, select available trait groups, and later change or revoke that permission. The documented Smart Device Management scope is https://www.googleapis.com/auth/sdm.service, a restricted scope used for selected device access and control.

That flow is a Google-specific example, not a universal smart-home rule. Other platforms may offer room, device, account, or role-based controls—or may provide only one broad permission. If individual selection is available, connect only the devices needed for the feature. A thermostat assistant does not need access to cameras or door locks; a lighting routine does not need alarm controls.

Separate status from control

Ask whether the assistant needs to know a device’s state, issue commands, or both. Status access might support “Is the garage closed?” Control access could allow “Open the garage.” Keep control disabled unless you use a command that requires it, and be especially cautious with locks, security systems, cameras, heating equipment, and appliances.

Read Google’s documented authorization and device-selection behavior at Device Access authorization, its API overview at Smart Device Management API, and the current scope listing at OAuth 2.0 Scopes for Google APIs.

Grant categories separately and incrementally

A request for Gmail, Calendar, and devices does not have to be all-or-nothing. Google’s granular-permission guidance says users can grant Calendar access while withholding Gmail access when both are requested. The assistant should continue to provide features that do not depend on the denied category and disable only the features that require it.

Prefer a connection flow that asks for access when you invoke a feature rather than demanding every scope during setup. Google’s OAuth guidance calls incremental authorization—requesting scopes when access is required—a best practice where practical. It also instructs applications to examine the scopes actually granted and handle missing access rather than assuming every request was approved. See How to handle granular permissions and Using OAuth 2.0 to Access Google APIs.

How to evaluate a consent screen

  1. Identify the service. Confirm whether the request is for Gmail, Calendar, a particular smart-home integration, or an unrelated account capability.
  2. Read the operation verbs. Look for read, view, create, edit, send, share, control, or delete. “Manage” and “full access” deserve extra scrutiny.
  3. Match access to the feature. A scheduling suggestion should not require mailbox reading; a draft-writing feature should not require automatic sending.
  4. Check scope and coverage. Determine whether access applies to one calendar, selected devices, one account, or every accessible resource.
  5. Decline unexplained breadth. If a requested category is not needed, withhold it and see whether the useful portion still works.
  6. Review the product’s data practices. Permission limits the API operation, but it does not by itself explain retention, human review, model training, sharing, or security architecture.

What to do after granting access

Keep a permission inventory

Record which assistant has access to which service and why. Include whether it can read, write, send, delete, or control devices. This makes old integrations easier to identify than relying on memory.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Revoke unused connections

Use the account’s connected-app or integration controls to review and revoke access you no longer need. For Google Nest Device Access, Google documents Partner Connections Manager for managing structure and device access and identifies Google Account permissions as another revocation route. Revoking access prevents future authorized API calls; it may not erase data the assistant already received, so consult the product’s deletion and retention policy separately.

  • KEEP YOUR HOME COMFORTABLE - Control compatible smart home devices. Just ask Alexa to turn on lights or touch the screen to dim. Create routines that use motion detection to turn down the thermostat as you head out or open the blinds when you walk into a room.

Recheck after product changes

Permission labels and available scopes can change as an integration adds features or updates verification. Revisit the consent screen after major updates, and remove access if the assistant begins requesting capabilities unrelated to the task.

Permission is only one part of privacy

Google’s Workspace user-data and developer policy calls for minimum relevant permissions and transparent disclosure of collection, use, and sharing. That policy applies to covered Google Workspace API use; it is not a universal rule governing every consumer AI product. Read the assistant’s own current disclosure for retention periods, use of connected data, training practices, human access, subprocessors, deletion, and incident handling. The OAuth grant alone cannot establish those facts.

For policy context, see Google Workspace user data and developer policy. If the product does not clearly explain what happens to Gmail, Calendar, or device data after a request is processed, do not grant sensitive access merely because the feature sounds convenient.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A practical decision rule

Approve access when all three conditions are true: the feature is one you intentionally use, the requested scope is the narrowest available match, and the product’s data handling is acceptable to you. Otherwise, deny the category, use a less capable mode, or choose an integration with finer controls.

In concrete terms, begin with free/busy rather than event details, metadata rather than message bodies, read-only rather than write access, drafting rather than autonomous sending, and selected devices or status-only access rather than broad smart-home control. Escalate only for a named feature, and remove the permission when that feature is no longer worth the exposure.
