What Microsoft Copilot Can Access in a Shared Microsoft 365 Account

Short answer: Copilot does not create one shared pool of everyone’s Microsoft 365 data. What it can read depends on which account supplies Copilot, which account owns or opens the file or mailbox, the permissions on that content, the app and device, and any organization policy. A Microsoft 365 Family subscription, several accounts signed into Word, a work or school Copilot license, connected Outlook accounts, and a shared Copilot conversation are different arrangements with different boundaries.

The most reliable rule for work and school documents is Microsoft’s statement: Microsoft Copilot data protection is always based on the identity used to access the file. Microsoft Learn documents this rule and the supported multiple-account scenarios.

What does “shared Microsoft 365 account” mean?

People use that phrase for several unrelated setups. You might mean sharing a Microsoft 365 Family subscription, sharing a file between two Microsoft accounts, signing into multiple accounts in one Office app, using a personal Copilot subscription on a work document, connecting several mailboxes in Outlook, or sending someone a Copilot conversation. Copilot’s access is different in each case.

Arrangement Identity supplying Copilot access What Copilot can ground on What still limits access
Microsoft 365 Personal or Family The individual subscription account The account owner’s eligible content; Family benefits do not automatically include full Copilot for every member Signed-in identity and file permissions
Several accounts in an Office app A signed-in personal or work/school account with Copilot entitlement The currently open file, and in some licensed work scenarios other permitted content Permission to open the file, app/device support, and administrator policy
Organizational Microsoft 365 Copilot The licensed work or school identity Permitted Exchange, SharePoint, OneDrive and Microsoft Graph content Microsoft 365 permissions, labels, DLP, encryption and extraction rights
Connected accounts in Outlook An eligible Microsoft account signed into Outlook Copilot features for eligible connected mailboxes Eligibility, settings, platform and Outlook edition
Shared Copilot conversation The person who generated the conversation The text and responses captured when shared Recipients keep their existing permissions; source files are not granted

Microsoft 365 Family does not share the primary user’s full Copilot

Microsoft describes Microsoft 365 Family as a plan that can be shared with up to six users. That number describes the plan’s reach, not six people receiving the subscriber’s complete Copilot grounding and features. Microsoft’s consumer explanation says the primary account holder receives the full Copilot grounding and features; other family members should not assume that the owner’s Copilot entitlement follows the subscription share.

For an individual account, grounding can use the owner’s eligible content, such as OneDrive files, Outlook.com email and calendar events, and Word documents. The account identity determines whose content is considered. A family member who signs in with a different Microsoft account is not silently added to the owner’s personal data. See Microsoft’s explanation of grounding for individual and family accounts.

Sharing a file is a separate action. If the owner shares a document with another person, Copilot can work with it only when the signed-in user has permission to open it and the app supports that use. Sharing the subscription does not override a file’s permissions, and sharing a file does not transfer the owner’s Copilot features.

Can I use Copilot on a file from another signed-in account?

Often, yes. Microsoft 365 apps including Word, Excel, PowerPoint, Outlook and OneNote can accept multiple signed-in accounts. Microsoft Support says a personal Microsoft 365 Personal, Family or Premium subscription can provide Copilot access when the user opens an accessible file belonging to another signed-in account. A work or school account with a Copilot license can likewise be used with a file from another account if the current user is allowed to open that file. The file’s owner and the account supplying Copilot do not have to be identical.

  1. Sign in to the accounts you need in a supported Microsoft 365 app.
  2. Open the file using the account that has permission to access it. If the file will not open normally, Copilot cannot use it.
  3. Confirm which account is active for Copilot and whether that account has a personal entitlement or an organizational license.
  4. Use Copilot in the open document and ask about or edit that document. Do not infer from this that Copilot can search every file belonging to every signed-in account.

Microsoft’s detailed conditions are in Copilot use when multiple accounts are added to Microsoft 365 apps. Availability varies by app, operating system and release, so the account switcher appearing in one Office app does not prove that the same feature exists everywhere.

What a personal subscription can do with a work file

When a personal Copilot entitlement is used outside an organization on a work or school document, Microsoft documents a narrower capability set. Copilot can answer questions about and assist with the currently open document, can use web search when web search is enabled, and can draft content that references specific documents the active user is allowed to access. It does not become the organization’s Microsoft Graph assistant merely because the work file is open.

Microsoft specifically says this multiple-account path does not provide organizational Graph access or questions about other documents that are not the currently open document. The work identity’s permissions and protections still govern the file. An organization can also disable multiple-account access. Microsoft’s documentation says the feature is always disabled in Microsoft 365 Government Community Cloud (GCC), GCC High, DoD and Microsoft 365 operated by 21Vianet. Read the current app and policy details in Microsoft’s guidance for using a personal subscription at work and the Microsoft Learn multiple-account documentation.

What an organizational license adds

An internal organizational Microsoft 365 Copilot license has broader documented access than a personal subscription being used on one work document. It can ground responses in content the signed-in employee is already permitted to access across Microsoft Graph, including Exchange Online mailboxes and SharePoint or OneDrive documents. It still does not grant permission to anything the employee could not open through Microsoft 365.

How permissions and information protection limit organizational Copilot

Organizational Copilot inherits the tenant’s access model. SharePoint and OneDrive sharing and membership controls determine whether a document is discoverable. Sensitivity labels, encryption, data-loss-prevention rules and other information-protection settings can restrict what Copilot can retrieve or use. Microsoft Purview documentation describes cases in which a user has view rights but lacks extraction rights; in those cases, seeing a file does not necessarily allow Copilot to extract its contents.

A document opened in an Office app can be used in that session context even when it is stored outside the tenant, subject to the applicable rights and controls. That session context is not a bypass around the organization’s security model. For the service boundary, auditing and retention concepts, see Microsoft’s Copilot data-protection architecture and Microsoft Purview’s Copilot security and compliance considerations.

Practical permission checks

  • Open the source file or mailbox directly with the same identity you expect Copilot to use.
  • Check whether the item is shared to you as an individual, through a group, or through a site membership; inherited permissions can be changed by the owner or administrator.
  • Look for sensitivity labels, encryption or DLP notices that limit copying, extraction or automated processing.
  • Ask your administrator whether multiple-account access, web search or specific Copilot features are disabled for your tenant.

Does Copilot merge connected Outlook accounts?

Outlook has a distinct connected-account feature. Microsoft Support says Copilot features can be available for connected email accounts on a device when an eligible Microsoft account with Microsoft 365 Personal, Family, Premium or Pro AI credits is signed into Outlook. A work or school account with a Copilot license can also supply access to connected mailboxes. The documented account types include Outlook.com, Hotmail, Live, MSN, work or school accounts and certain third-party providers connected to Outlook.

This is feature access across connected accounts, not a merger of identities or a transfer of mailbox permissions. Microsoft notes that personal Microsoft accounts and work or school Microsoft Entra accounts remain distinct: data entered in the work experience does not flow into the personal experience, and vice versa. Eligibility can be affected if Connected Experiences are turned off or age restrictions apply, and the feature is not available in classic Outlook for Windows. Details and exceptions are listed in Microsoft’s connected-account Outlook documentation and the Copilot app account-separation update.

What happens when you share a Copilot conversation?

Sharing a Copilot session or response shares a snapshot of the conversation as it existed when you shared it. It does not grant the recipient access to the files, emails, chats, meetings or other Microsoft 365 content that Copilot referenced. The recipient’s existing Microsoft 365 permissions continue to apply. If the recipient needs the underlying document, the owner must share that document separately through the normal Microsoft 365 sharing controls.

Microsoft explains this boundary in Manage content sharing for Microsoft Copilot. A response can therefore contain conclusions or excerpts while the recipient still cannot open the source.

Which Copilot name and license applies?

Microsoft’s product names and entitlements are changing. Documentation now refers to Microsoft Copilot and Microsoft Copilot Chat in places where older pages used Microsoft 365 Copilot and Microsoft 365 Copilot Chat. Treat the label shown in your app, account page and organization policy as authoritative for your situation. A personal Copilot feature, a Copilot Chat experience and a fully licensed organizational Microsoft 365 Copilot are not interchangeable access levels.

Before relying on a feature, verify five things: the signed-in identity, the account’s entitlement, the file or mailbox owner, the app and operating system, and the organization’s policy. Microsoft’s overview of the current product boundary is available at What is Microsoft Copilot?.

A decision checklist for a shared-account question

  1. Name the sharing arrangement. Decide whether this is a Family subscription, a file shared between accounts, multiple accounts in an Office app, a work tenant, connected Outlook mailboxes or a shared conversation.
  2. Identify the Copilot identity. Find the account currently supplying the Copilot entitlement; it may not be the account that owns the open file.
  3. Test ordinary access first. Open the file, mailbox or document with that signed-in identity. Copilot cannot legitimately expand access beyond what the user can open.
  4. Limit the expected scope. With a personal entitlement on a work file, expect current-document assistance rather than organization-wide Graph questions. With an organizational license, expect only content already permitted by tenant controls.
  5. Check support and policy. Confirm the app, device, Outlook edition, web-search setting and administrator rules. Government and specialized environments can disable multiple-account access entirely.
  6. Handle sharing separately. If you share a Copilot response, share the source file through Microsoft 365 only if the recipient should have that permission.

Common mistaken assumptions

  • “Family sharing gives everyone the owner’s Copilot.” It does not; Microsoft reserves full Copilot grounding and features to the primary account holder in its current Family description.
  • “If two accounts are signed in, Copilot can search both accounts.” Multiple sign-ins can allow work on an accessible open file, but they do not automatically create a merged content index.
  • “A personal subscription on a work document gives me company-wide Copilot.” It does not provide organizational Microsoft Graph access.
  • “Opening a file defeats its sensitivity label or DLP rule.” Information-protection and extraction controls can still prevent Copilot from using the content.
  • “Sharing the chat shares the documents.” It shares the conversation snapshot, not the underlying permissions.

The Bottom Line

Copilot can use shared or cross-account content only when the active identity has the relevant entitlement and permission, and when the app and organization support the feature. Family subscription sharing, multiple sign-ins, organizational Copilot, connected Outlook accounts and shared conversations each have separate boundaries; none creates unrestricted access to another person’s Microsoft 365 data.
