Online photo storage keeps photo and video files on remote servers so you can access them through an account and an internet connection, usually in an app or web browser. Depending on the service, it may also upload new files automatically, organize them, share them, or synchronize changes across devices. Those features are useful, but storage, synchronization, and backup are not the same thing.
How online photo storage works
You upload photos and videos to a provider’s remote storage, either manually or through an automatic-upload setting. The provider associates the files with your account, and its supported apps or website let you view and manage the library from connected devices. For example, Google describes Photos as cloud storage tied to a Google Account, while Apple says iCloud Photos uploads a library and makes it available across supported devices and the web (Google Photos storage and backup; Apple iCloud Photos).

“Online” means the files are held remotely and reached over a network; it does not mean every service supports every device or works identically offline. Check the provider’s supported devices and browser access if you need the same library on a particular phone, computer, or web browser.
Storage, sync, and backup are different
Storage
Storage is the space a service provides for keeping files. A storage limit can apply to just photos or be shared with other services tied to the same account.

Synchronization
Sync keeps a library or its changes consistent across devices. That can include edits and deletions. Apple says that when iCloud Photos is in use, changes made on one device—including deleting a photo—appear on other devices using the service (Apple iCloud Photos). A synced library can therefore make a deletion more widely visible; it should not automatically be treated as a separate safety copy.
Backup
A backup is a separate copy intended to help recover files if the main copy is lost, damaged, or inaccessible. If a service synchronizes changes, the synchronized library alone may not protect against an accidental deletion or account problem. CISA advises people who store data only on a device to back it up to an external hard drive or a properly vetted cloud service (CISA guidance on external-drive backups). Keep a separate drive safely stored, update it regularly, and disconnect it between backup sessions.

What to check before choosing a service
- Upload quality: Find out whether uploads retain original quality or use a storage-saving option that changes file size or quality.
- Quota and sharing: Check the storage allowance, what else counts against it, and the terms for adding capacity. Google says a Google Account includes up to 15 GB shared across Google Photos, Gmail, and Google Drive; Google directs users to Google One for additional storage where available (Google Photos storage limits).
- Device access: Confirm which phones, computers, apps, and browsers can view or manage the library.
- Sync behavior: Learn whether edits and deletions on one device propagate to others, and how the service handles deleted items and recovery.
- Sharing and privacy: Review sharing controls, account-protection options, and the provider’s statements about encryption and use of your files. Treat provider assurances as claims by that provider, not as independent security evaluations.
- Export and account access: Check how you can download your files and what happens if you lose access to the account or stop using the service.
- Independent copy: Decide whether you also need a separate, regularly updated backup rather than relying solely on the online library.

These services illustrate why it is important to examine a provider’s specific terms rather than assume all online photo storage works alike.

Privacy and retention depend on the provider
Provider policies are not universal. Google says Photos data is encrypted in transit and at rest and provides selective backup and sharing controls. Google also states that it does not sell users’ photos, videos, or personal information and does not use photos and videos for advertising (Google Safety Center: Google Photos). These are Google’s statements about its service; they do not establish the security practices or terms of other providers.

Retention conditions also vary. Google’s help guidance says backed-up photos and videos may be deleted if Photos is unused for two or more years or the account runs out of storage (Google Photos storage limits). Do not assume another service follows the same rule: check its current terms and keep an independent copy of anything you cannot afford to lose.
