Email-to-fax is a service that converts content you send from an email client into a fax and transmits it to a fax number. A fax service or gateway processes the message; it is not an ordinary email delivered directly to a fax machine. The exact steps and requirements depend on the provider.
How email-to-fax works
You send a message through a fax service using the address format it specifies. Depending on the service, you may put the recipient’s fax number in the email address or in the subject line, and include the message as email text or as a supported attachment. The service processes that content and sends it to the recipient’s fax number.

- Choose and configure an email-to-fax service.
- Follow that provider’s instructions for the recipient number and email address or subject line.
- Write the fax content in the email or attach a supported file.
- Send it from an email account or sender address the service accepts.
- Check the provider’s dashboard, sent record, or delivery report for the fax status.
An email appearing in your sent folder does not by itself confirm that the fax was delivered. Use the status or confirmation provided by the fax service.
Provider instructions are not interchangeable
The address format, account requirements, sender authorization, file limits, destinations, and charges vary by provider. These examples illustrate different workflows; use the current instructions for the service you choose.

Email-to-fax versus fax-to-email
Email-to-fax sends content from your email through a service to a fax number. Fax-to-email goes the other direction: a fax arrives at a service-associated number and is delivered digitally to an inbox or account. Receiving methods and security controls depend on the provider. Can you fax from Gmail or Outlook?
Potentially, if the fax provider supports sending from your email account and accepts the sender address and message format you use. Gmail or Outlook alone does not transmit a fax: the fax service processes the email and sends it onward. Check the provider’s current instructions for account setup, authorized senders, supported attachments, and destination coverage.

Do you need a fax machine?
Not at the sender’s end for the documented email-client workflows above. The service processes the email and transmits the fax through its infrastructure, so the sender can use an email client rather than a local fax machine. The recipient’s setup and the provider’s delivery options may differ.
