Point of sale (POS) means either the place and moment a customer completes a purchase or the hardware and software a merchant uses to complete and record it. The intended meaning depends on context: a POS terminal is usually the payment device, while a POS system can refer to a broader checkout setup.
What does “point of sale” mean?
The phrase has two related meanings. It can describe the checkout location and moment when a purchase is completed. It can also describe the merchant’s technology for accepting payment and recording the sale. Visa’s glossary uses POS for the merchant location where a card-present transaction originates; PCI Security Standards Council (PCI SSC) defines a POS system as merchant hardware and software used to accept payments.

In everyday use, “POS” often refers to the system rather than a physical place. Read the surrounding words to identify the sense: “at the point of sale” usually refers to checkout, while “install a POS system” means setting up checkout technology.

A POS system can combine payment hardware with software, but there is no mandatory parts list. The equipment depends on how a merchant takes orders and payments. PCI SSC gives examples including point-of-interaction devices, PIN pads, and electronic cash registers. A setup might also use a tablet, barcode scanner, or receipt printer.

- With Square Terminal, you can ring up sales, accept payments, and print receipts, all with one device. Use it at the counter or ring up customers anywhere in your store.
- Accept all major credit and debit cards and pay one low rate with no hidden fees and no long-term contracts.
- Process chip cards in just two seconds.
- Get your money as soon as the next business day.
- Use it cordlessly with the built-in battery, designed to last all day.
The software may handle the sale and, depending on the system, support functions such as inventory tracking, customer information, and reporting. Those features are not part of every narrow definition of POS, and a payment terminal by itself is not necessarily a complete retail-management system.
POS system vs. payment terminal
A payment terminal is one part of the broader POS picture: it captures payment-card data and participates in payment processing. PCI SSC also uses terms such as POS system, point-of-interaction device, and payment device for terminals. In a particular merchant setup, “POS system” may mean only the payment equipment or may mean a wider collection of devices and software.
- Payment terminal: The device used to capture card data, such as a PIN pad or other payment device.
- POS system: The checkout hardware and software used to accept payment and record a sale; its scope and components vary by merchant.
What happens at the point of sale?
At checkout, the merchant records the purchase and accepts the customer’s chosen payment method using the available setup. For a card payment, the terminal captures payment data and participates in processing. Other POS arrangements and accepted payment methods vary; POS is not limited to card payments.

Some systems connect checkout with inventory, customer, or reporting tools. Whether those functions are present depends on the merchant’s software and configuration.

Payment terminals that directly store, process, or transmit account data are in scope for PCI DSS, but the applicable controls depend on the device and how it is configured. PCI SSC cautions: “The requirements applicable to these devices will vary depending on the type of device being used.” The term “POS” alone does not establish the security requirements for a specific setup.
