An AI meeting agent may retain more than a transcript. Depending on the product and its settings, “memory” can mean a recording or transcript, an AI-generated meeting archive, prompts and answers exchanged with the assistant, or personalization based on work content and chat history. Those are separate data stores with potentially different access, retention, and deletion rules.
Microsoft Teams offers a documented example: its AI archive can support questions about a past meeting and may remain even after the transcript or recording is deleted or expires. That is Microsoft’s implementation, not a rule for every meeting assistant.

What can “remembering a meeting” mean?
Before deciding whether an agent remembers too much—or whether deleting a file removed the information you care about—identify which kind of data is involved. A meeting tool may handle several distinct forms of information:
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →- Recording or transcript: the audio/video capture or its speech-to-text version.
- Meeting recap or AI archive: generated notes, key points, metadata, or other meeting-derived information that can support later questions.
- Assistant interaction history: the prompts you sent and the AI’s responses.
- Personalization or work insights: details inferred from earlier chats, emails, meeting transcripts, and other work content to shape a later response.
These categories should not be treated as one “memory” setting. Turning off a recording, deleting a transcript, clearing chat history, and removing a saved memory may affect different data.

How Microsoft Teams can answer questions about an old meeting
Microsoft describes a Teams AI archive as a generated artifact that condenses essential meeting knowledge and metadata. Copilot, Facilitator, and other Microsoft AI tools can use it to ground answers about that meeting. People invited to the meeting, as well as people given access through recap sharing, can use relevant AI tools to ask about it. The archive is stored in a Teams-owned SharePoint Embedded container rather than an individual user’s space, and users do not directly open the archive file. Microsoft Learn: AI Archives for Microsoft Teams Meetings
In practical terms, an authorized user may be able to ask an AI tool about a past meeting without reopening its transcript. Whether that happens depends on the meeting’s configuration, sharing permissions, and applicable organizational policies.

Archive generation, access, and expiration
- In the documented configuration, archive generation is on by default for a tenant. An administrator can disable it, and generation can also be disabled for a specific meeting.
- The documented default archive expiration is five years (1,825 days). Administrators can customize it, and Microsoft Purview retention policies take precedence.
- After an archive expires, Copilot and other AI tools cannot use it to answer questions about that meeting.
These are Teams settings and behaviors, not general retention defaults for AI meeting agents.
Does deleting the transcript delete the meeting’s AI memory?
Not necessarily. Microsoft states: “The AI archive won’t automatically be deleted if the transcript or recording is deleted or expired.” The meeting organizer can delete the archive by deleting the recap, but deleting or expiring the transcript or recording alone does not automatically remove it. - Dual-mode Recording: Switch between phone call and in-person meeting modes, capturing high-quality ambient sounds for meetings and presentations, while the Vibration Conduction Sensor (VCS) ensures clear call recordings by capturing internal phone sounds.
This distinction matters when someone is trying to remove information rather than simply stop seeing a transcript. Check the recap/archive separately, and consider whether prompts, responses, or saved memories derived from other sources also need attention.
Can Copilot use other work information as meeting context?
Microsoft 365 Copilot can ground responses in organizational content available through Microsoft Graph, including documents, email, calendar, chats, meetings, and contacts. It may combine that material with working context, such as the current meeting and an earlier related email or chat. Microsoft says Copilot surfaces organizational data only when the user has view permissions. It also says prompts, responses, and information accessed through Graph are not used to train the foundation models used by Microsoft Copilot. These statements apply to Microsoft 365 Copilot; they should not be assumed to describe consumer Copilot or other vendors’ products. Saved memories, work insights, and temporary chat
Microsoft separately documents Copilot Memory and work insights. Copilot Memory can automatically save key information from Copilot Chat conversations. Work insights can draw on Microsoft 365 work content, including emails, Teams chats, and meeting transcripts. Temporary chat does not access or store personalized information for later reference, but an organization’s retention policy may still require temporary-chat data to be kept. Removing something fully may require addressing both a saved memory and history-derived inferences; the available controls depend on the data source and account context. For consumer Copilot, Microsoft says signed-in users can edit or delete remembered details or turn personalization off. Turning personalization off removes conversational memories but does not delete conversation history. Those consumer settings are not interchangeable with Microsoft 365 work-account controls. Microsoft Support: Copilot Memory and Personalization
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Does turning off recording stop the assistant from keeping anything?
No such guarantee follows from turning off recording alone. Teams Copilot can provide live note-taking and task management with transcription and recording off. Microsoft says prompts and responses from that use may still be retained under the organization’s Purview policies. After the meeting, Copilot is not available in the recap unless recording or transcription was enabled. If transcription is switched on, interactions can use the speech-to-text data and transcript. Microsoft Support: Use Copilot without transcribing or recording a Teams meeting or call
Microsoft’s support page puts the compliance caveat plainly: “Depending on your org’s Microsoft Purview retention policies, Copilot prompts and responses during meetings may be retained for compliance purposes, even if recording and transcription are turned off.” A live response, a transcript, and a durable searchable archive are different things; meeting settings and organizational policy determine what applies.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsWhat to check before using an AI agent for a sensitive meeting
Ask the administrator or vendor about each data type rather than relying on a single “recording off” or “memory off” label. For a Microsoft 365 work account, also confirm the organization’s own configuration and compliance rules.
- Source material: Does the tool use live audio, a transcript, a recap/archive, calendar details, chats, email, or other work content?
- Later questions: Can users ask about the meeting after it ends, and which stored artifact supports those answers?
- Access: Who can query the meeting-derived information—attendees, recap recipients, administrators, or other permitted users?
- Retention: What is the default expiration, can an administrator change it, and can organizational retention requirements override user deletion or temporary mode?
- Deletion: Which separate actions remove the recording, transcript, archive or recap, assistant prompts and responses, saved memories, and history-derived inferences?
- Scope: Does the assistant personalize answers using only that meeting, or can it draw on a broader set of work and chat content?
Do not assume another provider follows Teams’ archive, access, or retention model. Confirm the product’s current documentation and the settings that apply to your account and meeting.
