What Happens to Your OneDrive Files When You Exceed Your Microsoft 365 Storage Limit?

When a personal Microsoft account exceeds its Microsoft cloud-storage limit, OneDrive does not immediately erase your files. Uploads, edits and synchronization of new content stop, while existing files become read-only. You can still download files and delete content to get below the limit. If the account remains over quota, Microsoft says it is frozen after three months and that, after six months, it might delete the OneDrive and all files in it. Microsoft says deleted files cannot be recovered.

The same cloud quota can also disrupt Outlook.com mail and Teams messages with attachments, so “OneDrive is full” can become a wider Microsoft-account problem.

What happens first when OneDrive is over quota?

Exceeding the cloud-storage allowance changes OneDrive into a restricted, read-only state. The files already stored in the account remain available for access, but Microsoft blocks actions that would increase or modify the cloud data.

  • No new uploads: You cannot upload additional files, including photos from a camera roll.
  • No cloud edits: Existing files are read-only in OneDrive, so edits cannot be saved back to the service.
  • No synchronization: OneDrive stops syncing new or changed content between your devices and the cloud.
  • Downloads remain possible: Microsoft says you can download files while over quota.
  • Deletion remains possible: Removing content is allowed so you can reduce usage and restore normal operation.

Read-only is therefore a warning and an operational restriction, not an immediate deletion notice. The risk increases if the account is left over its allowance for months.

The over-quota timeline

Situation What Microsoft says happens What you should do
Storage limit exceeded Uploads, edits and synchronization of new content stop. Existing files are read-only. Download important files, delete unnecessary data and empty the recycle bin.
Over the limit for three months Microsoft says the personal OneDrive account is frozen. Get below the quota and allow time for the account status to update.
Over the limit for six months Microsoft says it might delete the OneDrive and every file in it. This is described as a possibility, not an automatic deletion date. Resolve the overage well before this point. Files deleted by Microsoft cannot be recovered.

The three-month and six-month statements come from Microsoft’s consumer storage guidance. They should not be treated as a universal schedule for every work or school tenant.

What counts toward Microsoft cloud storage?

The cloud allowance is broader than the files currently visible in your main OneDrive folders. Microsoft’s consumer storage FAQ describes a shared allowance that can include:

  • OneDrive files and photos.
  • Photos and other camera-roll uploads.
  • Outlook.com attachments and inline images.
  • Certain files saved through Microsoft applications.
  • Items in the OneDrive recycle bin.

Because the recycle bin counts, deleting a file and leaving it there may not reduce the number shown in the storage dashboard. Emptying the bin is a separate cleanup step. Shared folders can also contribute to what you see in OneDrive; Microsoft provides instructions for removing a shared folder from your OneDrive when it is contributing unwanted usage.

Cloud storage and Outlook mailbox storage are different

Free Outlook.com users have a separate 15 GB mailbox allowance, while Microsoft’s current FAQ lists 5 GB of free personal cloud storage shared by OneDrive files and photos, Outlook.com attachments and certain Microsoft-app data. The numbers describe different quotas. You can have room in the mailbox quota but still be over the shared cloud quota.

When the cloud quota is exceeded, Outlook.com can stop sending or receiving messages even when the mailbox’s own 15 GB allowance is not full. Incoming messages may be returned to the sender; senders must resend them after you free storage or add eligible storage. Teams messages that contain attachments can also be blocked.

Personal account versus work or school account

Account type determines who controls the allowance and whether the consumer timeline applies.

Question Personal Microsoft account Work or school account
What sets the limit? Your consumer plan and its cloud-storage allowance. An individual limit, an organization-wide pooled limit, or both, depending on the tenant.
Who can change it? You can delete content or purchase/add storage if your account is eligible. An administrator or organization policy may be required to increase or manage storage.
Does the three-month freeze and six-month possible deletion apply? Microsoft documents this schedule for consumer storage guidance. There is no single Microsoft timeline that applies to every organization.
Where should you get help? Microsoft account storage controls and consumer support. Your organization’s Microsoft 365 administrator or help desk, in addition to Microsoft guidance.

A work or school account can therefore show an over-quota warning without following the exact personal-account sequence. Do not assume that buying consumer storage will fix an organization-managed OneDrive.

How to recover your files and restore OneDrive

Start as soon as the warning appears. The longer the account remains over its limit, the more likely it is that new work and communications will fail.

  1. Sign in to the warned account. Use the Microsoft account that received the storage notification. Opening a different account can show a normal quota while the affected OneDrive remains over limit.
  2. Open the storage dashboard. Review the usage breakdown to see which OneDrive files, photos, Outlook attachments, app data or recycle-bin items are consuming the allowance. This is the authoritative view for that account.
  3. Protect important data first. Download copies of irreplaceable documents, photographs and project files while they are still accessible. Keep the downloads on a device or another storage system and verify that the files open before deleting cloud copies.
  4. Sort for the largest items. Remove obsolete videos, duplicate photo exports, old installers, device backups and other content you no longer need. Large files reduce the overage fastest, but do not delete an item until you have checked whether another person or device relies on it.
  5. Delete unneeded OneDrive content. Delete files and folders from OneDrive, including unwanted camera-roll uploads. Deleting a local synced copy does not necessarily mean the cloud item is gone unless OneDrive is operating normally; use the web interface to confirm what was removed.
  6. Empty the OneDrive recycle bin. Open the recycle bin from OneDrive, review its contents and permanently remove items you no longer need. Its contents count toward the quota, so this step can be necessary even after a large deletion.
  7. Review shared folders. If a shared folder is adding data to your OneDrive, use Microsoft’s remove-shared-folder instructions. Removing your shortcut or access is different from deleting the owner’s files; read the warning shown in OneDrive before confirming.
  8. Check Outlook.com attachments. The storage dashboard may identify large attachments or inline images. Save any message content you need, then delete unnecessary mail or attachments in a way that reduces the cloud usage shown by the dashboard.
  9. Consider adding eligible storage. If you need the files, check the storage options displayed for your account. Plan entitlements and shared-storage benefits change, so use the account’s current offer rather than relying on an old quota figure.
  10. Wait for the quota to recalculate. Microsoft says a storage change can take up to 24 hours to apply. Avoid repeatedly deleting and restoring files while the dashboard is still updating.

If OneDrive says “full” after you deleted files

Several conditions can make the warning persist:

  • The recycle bin was not emptied. Deleted items still count until permanently removed.
  • Another service is using the shared allowance. Outlook attachments, inline images, photos or Microsoft-app data can keep total usage above the limit.
  • The dashboard has not refreshed. Allow up to 24 hours for a purchase or deletion to appear.
  • You changed the wrong account. Confirm the email address in the warning and in the storage dashboard.
  • A shared folder still contributes data. Review shared-folder usage and remove unwanted shared content according to Microsoft’s instructions.
  • The account is already frozen. Being below the limit is necessary, but the frozen status may take additional time to clear.

If the account is still frozen 48 hours after you are under quota, Microsoft advises contacting support. Include the account identifier, the time you reduced usage and screenshots of the updated storage dashboard.

What a frozen account means in practice

A frozen OneDrive account is not simply a paused desktop application. The restriction applies to the cloud account: new uploads and synchronization cannot proceed, and existing files remain subject to the read-only limitation. Devices may continue to show local copies, but those copies are not a reliable substitute for a functioning cloud backup because changes cannot be uploaded.

Freeing enough space is the primary remedy. Microsoft’s guidance says changes may take up to 24 hours to apply and recommends support contact if the account remains frozen after 48 hours. Until the status clears, avoid making important edits to files that you expect OneDrive to synchronize.

What happens to Outlook.com and Teams while storage is over limit?

Outlook.com

Cloud overage can prevent Outlook.com from sending or receiving mail. This can happen even if the separate mailbox quota has room. Messages sent to you while receiving is blocked can be returned to the sender, so they will need to send them again after you restore storage capacity. Check both the cloud-storage meter and the mailbox-storage meter before concluding that an email problem is unrelated to OneDrive.

Teams

Teams messages that include attachments can fail when the associated Microsoft cloud storage is over quota. Text-only conversation may not explain the warning; the attachment is the part that requires available storage. Freeing cloud space or adding eligible storage is the relevant fix.

How to avoid another quota emergency

  • Review the storage dashboard periodically instead of waiting for a warning.
  • Set a routine for removing duplicate photos, old videos and obsolete device uploads.
  • Empty the recycle bin after large cleanups.
  • Keep a second, verified copy of irreplaceable files before deleting them from OneDrive.
  • Check whether new phone-camera uploads are consuming the allowance.
  • For work or school accounts, ask the administrator which limit applies and whether storage is pooled.
  • When changing plans, confirm the allowance in the current Microsoft account dashboard because subscription entitlements and shared-storage arrangements change over time.

The practical rule is simple: treat an over-quota warning as a time-sensitive access problem. Download what matters, remove data from every category that counts, empty the recycle bin, and verify that the dashboard is below the limit.
