Your personal OneDrive files are not deleted immediately when a Microsoft 365 subscription expires. Microsoft says the account falls back to the free 5 GB cloud-storage allowance. If your OneDrive and other Microsoft cloud data exceed that limit, existing files remain but can become read-only: new uploads, edits and syncing may stop. If the account stays over its limit, Microsoft says it is frozen after three months and that it might delete the OneDrive and all files after six months. The word “might” matters: six months is not a guaranteed deadline or a safe waiting period.
The immediate result: your files stay, but the paid quota ends
For a personal Microsoft account, expiration changes the subscription benefit rather than instantly erasing your data. Microsoft says files already stored in OneDrive remain in the account when Microsoft 365 ends. The important change is the storage allowance attached to that account.

After expiration, the account uses the current free allowance of 5 GB. That is an account-level cloud quota, not necessarily 5 GB reserved only for OneDrive. Microsoft counts OneDrive files and photos together with Outlook.com attachments and other cloud data covered by the account quota. A mailbox with large attachments can therefore consume space that you expected to be available for OneDrive.

Being above 5 GB does not immediately remove existing files, but it does put the account into a state where normal OneDrive work can stop and later deletion becomes a risk.

What changes when your account is over the 5 GB limit?
| Account state | What Microsoft’s guidance means | Practical consequence |
|---|---|---|
| At or below 5 GB | The account fits the free consumer allowance. | OneDrive can continue within the limits of the free account. |
| Above 5 GB after expiration | Existing files remain, but Microsoft says new uploads, edits and syncing may stop. | Treat the files as read-only until you renew or reduce usage. Do not assume a desktop copy is still synchronizing. |
| Still above the limit after three months | Microsoft says the account is frozen. | Restrictions can become more serious; resolve the quota before this point. |
| Still over the limit after six months | Microsoft says it might delete the OneDrive and all files in it. | Deletion is conditional, not guaranteed to occur exactly at six months, but deleted files cannot be recovered. |
The table separates two ideas that are often confused. “Files remain” describes the immediate effect of expiration. It does not mean that uploading, editing or syncing will continue, and it does not promise permanent retention while the account remains over quota.
How the over-quota timeline works
At the subscription end date
When the paid term actually ends, the larger Microsoft 365 storage entitlement is removed. Your files are still listed in OneDrive, and the account is evaluated against the 5 GB free allowance. Turning off automatic renewal is not the same as immediate expiration; the paid benefits normally last until the term’s stated end date.
During the first three months over quota
If your cloud usage exceeds 5 GB, Microsoft says uploads, file changes and synchronization may be blocked while existing content remains read-only. The restriction can affect more than a single folder because the 5 GB figure covers the account’s Microsoft cloud storage, including Outlook.com attachments. A file that appears on a computer may therefore be an older locally cached copy rather than a successfully synchronized update.

After three months over quota
Microsoft’s consumer guidance says an account that remains over its OneDrive storage limit is frozen after three months. The guidance does not present this as a user-controlled grace period. Consider the three-month point an escalation marker, not a date on which it is safe to wait for action.
After six months over quota
Microsoft says it might delete the OneDrive and all files in it if the account remains over the limit for six months. This conditional wording means there is no promise that deletion happens on one exact day, but there is also no promise that files will survive beyond that period. Once deleted, Microsoft says the files cannot be recovered. Move or copy important data before reaching this stage.
What to do before or just after expiration
- Check the account’s storage dashboard. Sign in to the personal Microsoft account that owns the subscription and open its storage view. Record total usage and identify whether OneDrive files, photos or Outlook.com attachments are consuming the allowance. The figure to compare with is 5 GB, not the larger amount shown while Microsoft 365 was active.
- Choose between renewing and reducing usage. Renewing Microsoft 365 restores a paid storage entitlement according to the plan and account terms. If you do not want to renew, reduce cloud usage until it fits within the free allowance. Plan names, storage amounts and purchase terms change, so use the storage and subscription information shown in your own account rather than relying on an old offer.
- Make an independent copy of files you need. From OneDrive on the web, select the files or folders, choose the download command, and wait for the download to finish. Open several downloaded files to confirm that the copy is usable. For a large library, an external hard drive can be a local destination; it is an optional storage target, not a Microsoft requirement.
- Remove cloud copies you no longer need. After verifying a local copy, delete the corresponding items from OneDrive. Deleting files normally moves them to the online OneDrive recycle bin, so the cloud usage may not fall until that recycle bin is emptied.
- Empty the OneDrive recycle bin. Open the OneDrive recycle-bin view, review its contents carefully, and permanently clear items you no longer need. This step is separate from deleting files in the main folder list. Do not empty it until you are certain your retained copy is complete.
- Recheck the storage dashboard. Allow the account’s usage display to update, then confirm that total cloud storage is at or below 5 GB if you are staying on the free account. If Outlook.com attachments are the remaining cause of overage, deal with those items as well; moving only OneDrive files may not be enough.
Do not rely on a desktop sync icon as proof that everything is safe while the account is over quota. Microsoft says syncing may stop, so verify important files through the web interface and through an independently opened local copy.

Which response fits your situation?
| Choice | When it makes sense | What it solves | What it does not solve |
|---|---|---|---|
| Renew the subscription | You need the larger cloud allowance or want normal collaboration and synchronization. | Restores paid storage according to your current plan and keeps data in OneDrive. | It does not replace backups or clarify business-account retention rules. |
| Move files out and stay free | You want to stop paying and can keep the remaining cloud data within 5 GB. | Removes the over-quota condition and avoids the freeze/deletion risk tied to excess usage. | Files moved to a local disk are no longer automatically protected by OneDrive synchronization. |
| Do nothing while over quota | Only as a very short-term stopgap while you arrange a copy or renewal. | Leaves existing files visible for the time being. | Uploads, edits and sync may stop; after three months the account may be frozen, and after six months Microsoft might delete the OneDrive. |
If you use someone else’s shared Microsoft 365 subscription
Microsoft says that when a shared subscription expires, each member’s personal files remain private and intact, but the member loses the storage benefit supplied by that subscription. In practice, the same 5 GB free-account test matters after the benefit ends. A member whose own cloud usage is above 5 GB can face the over-quota restrictions even though another person originally paid for the shared plan.

Organizations can configure retention, legal holds, account deprovisioning and storage policies differently. If your sign-in is supplied by an employer or school, ask the Microsoft 365 administrator how long the account and files are retained after a license ends. Do not apply the consumer three-month freeze or conditional six-month deletion statement to that tenant without confirmation.

Microsoft’s plan changes do not alter the basic expiration rule: a personal account that is no longer entitled to paid storage falls back to the free allowance. They can, however, affect the amount shown while a subscription is active.
| Date | Microsoft’s stated plan change | Relevance after expiration |
|---|---|---|
| October 8, 2026 | New Microsoft 365 Family and Premium subscriptions, including repurchased expired subscriptions, receive 2 TB of shared OneDrive storage; new Pro subscriptions receive 5 TB of shared storage. | These are paid-plan allowances. They do not change the 5 GB free quota after the subscription ends. |
| April 1, 2027 | Existing Family and Premium subscriptions are scheduled to move to shared storage on renewal or automatically, as specified by the plan. | Check your own plan’s terms; the transition does not guarantee storage after a later expiration. |
| November 1, 2027 | Existing Pro subscriptions are scheduled to move to shared storage on renewal or automatically, as specified by the plan. | Again, the paid allowance applies only while the relevant entitlement is active. |
Because plan history and locale can affect the applicable allowance, use the subscription and storage details displayed in your account. The free-account limit remains the figure to plan around when Microsoft 365 has actually expired.

Examples of what the policy means
A 3 GB OneDrive library
If your OneDrive and other counted cloud data total 3 GB when the subscription ends, the account is within the 5 GB free allowance. The files remain available without the specific over-quota escalation described above. You should still keep backups of irreplaceable material, because subscription status is not a backup strategy.
An 8 GB OneDrive library with no Outlook attachments
The files are not immediately erased, but the account is 3 GB over the free allowance. Microsoft says new uploads, edits and syncing may stop and existing files may be read-only. Downloading the library, deleting verified cloud copies and emptying the recycle bin brings usage down; renewing restores a paid allowance instead.
A 4 GB OneDrive library and 3 GB of Outlook attachments
The OneDrive folder alone appears to fit, but the account total is 7 GB because the quota is shared with Outlook.com attachments. Removing only OneDrive files will not necessarily bring the account under 5 GB. Check the storage dashboard’s category breakdown before deciding what to move.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →A file still visible after six months
Visibility is not a guarantee of future retention. Microsoft’s wording is that it might delete an over-limit OneDrive after six months, so a file that remains accessible on one date should still be copied or the account brought under quota.
Bottom line for personal accounts
Expiration does not immediately delete personal OneDrive files. It removes the paid storage entitlement and returns the account to 5 GB, shared with other counted Microsoft cloud data. Over that limit, uploads, edits and syncing may stop while existing files remain read-only; after three months Microsoft says the account is frozen, and after six months it might delete the OneDrive and its files. Check your storage dashboard, renew or move data out, empty the OneDrive recycle bin, and treat the six-month language as a risk rather than a guaranteed grace period.
