The hardest part of self-hosting free and open-source software (FOSS) often begins after installation: you become responsible for updates, backups, monitoring, recovery, and the decisions that keep the system working. Those demands are manageable when they are planned for, but they can turn a useful server into an ongoing burden when nobody owns the routine work.
Why self-hosting feels different after the initial setup
Installation is a visible project with a clear finish line. Operations are recurring: software changes, storage fills, certificates expire, and services occasionally stop responding. The operator—not the application—has to notice, diagnose, and recover from those conditions.

Supabase’s official self-hosting documentation offers a concrete example of the responsibilities involved: provisioning and maintaining servers, hardening security, updating operating systems and services, configuring services, maintaining the database, handling availability, making backups, and monitoring uptime. Other software stacks differ, but the underlying shift is similar: self-hosting moves operational work onto you.
That does not mean every self-hosted service becomes a crisis. It means that a working installation is not the same thing as a maintained, recoverable service. Community posts phrase the concern as “operational headaches,” but anecdotes are not a measure of how often problems occur or how much time maintenance takes.

Updates can change more than the version number
An update may alter configuration expectations, database schemas, or application behavior. Applying changes automatically without knowing what changed can leave you with a service that starts but no longer works as expected—or one that cannot be rolled back cleanly.
Make consequential updates deliberate
- Record the installed application and component versions, along with the current configuration.
- Read release notes for breaking changes and any manual migration steps before updating.
- Keep persistent data and secrets protected independently of deployment files.
- Know how you would restore the service or return to a known-good state before making a consequential change.
Supabase’s supported self-hosted updater illustrates why the details matter. Its documented process uses a recorded base version to compare upstream changes with local files, and can surface merge conflicts or breaking-change steps. The updater backs up configuration; it does not back up Postgres or Storage data. That behavior applies to Supabase’s updater, not to update tools generally. Supabase’s upgrade documentation explains its specific workflow.

A backup is only useful if you can restore it
“Back up the app” is too vague to serve as a recovery plan. Identify what you cannot recreate, then make sure the backup covers it: application configuration, persistent files or database state, and any encryption keys or secrets needed to read or run the data. Keep an appropriate copy away from the server itself, and rehearse a restore before an outage forces you to improvise.

Hetzner’s self-hosting guide recommends having backups running before a production application goes live and testing the restore in advance. An external hard drive can be one destination, but it is not automatically a complete plan: its capacity must fit the data, the copy must actually run, and a drive kept next to the server may share the same physical risks. An offsite copy can reduce that shared-risk problem, but still needs a defined scope and tested restore procedure. Hetzner’s guide discusses backup destinations and recovery preparation.
NetBird’s backup instructions show why the contents depend on the software and deployment. Its example includes deployment configuration and state such as the management database and keys; certificate data may be handled differently because it can be reissued. The documented contents vary with enabled components and database choice. NetBird also warns that its archive contains encryption keys and configuration secrets, so it should be protected like a private key. Do not assume another application’s backup has the same contents. See NetBird’s backup documentation.
Quiet failures need monitoring
Not every failure announces itself with a dramatic error. A service can become unavailable, storage can approach capacity, or a certificate can near expiration while the server otherwise appears healthy. If nobody is checking, the first signal may come from a person who can no longer use the service.

- Availability: check that important services respond, rather than relying only on whether the host is powered on.
- Storage: watch available space so logs, uploads, or database files do not consume the remaining capacity unnoticed.
- Certificates: track expiration and renewal status for services that depend on them.
- Diagnosis: know where to find service status and logs when something stops working.
Network basics are part of the same job. A wrong DNS record, blocked port, or firewall rule can make a healthy application inaccessible from outside. Hetzner’s guide covers these operational checks, while NetBird’s troubleshooting documentation emphasizes checking service status and logs.

Months later, it may be unclear why a port is open, where a data directory lives, which backup contains a particular service, or whether a configuration override is intentional. The system may still work, but forgotten rationale makes upgrades and recovery more error-prone.

Store secrets securely rather than copying passwords or private keys into ordinary notes. The aim is not exhaustive documentation; it is to make the next update or recovery understandable without relying on memory.
Decide which workloads are worth keeping self-hosted
Self-hosting is not automatically the right choice for every application, nor is managed hosting automatically better. The useful question is whether the control and data custody you gain are worth the operational work for this particular service.
| Consideration | Question to ask |
|---|---|
| Control and data custody | Do you need to control where data lives or how the service is configured? |
| Availability | How disruptive would an outage be, and can you provide the response time the workload needs? |
| Time and expertise | Can you routinely update, monitor, secure, and troubleshoot this stack? |
| Recovery | Can you restore the data and service within a timeframe that works for you? |
| Provider responsibilities | Which specific tasks would a managed provider take on, and which would remain yours? |
A managed service may reduce the work of maintaining infrastructure, but it can also reduce some of the control or autonomy that motivated self-hosting. The responsibilities differ by provider and service, so check what is actually included rather than assuming that “managed” means every operational concern is covered. A USENIX Security 2023 study describes self-hosters as having varied motivations, use cases, capabilities, and social contexts; there is no single profile or universal hosting choice. The study’s USENIX Security 2023 page provides its research context.
Make the workload sustainable, not merely installable
Before keeping a service, write down who will apply updates, check backups, notice failures, and perform a restore. If those jobs have no owner or time allocated, simplify the setup, reduce the number of services, or consider a hosting arrangement that shifts some duties. The goal is not to eliminate every operational problem; it is to make the tradeoffs visible and recovery possible.
