1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteFor a Canadian GST/HST input tax credit (ITC), keep supplier invoices or receipts and related business records that identify the purchase, supplier, tax charged or payable, recipient, and business purpose. The Canada Revenue Agency (CRA) says you must obtain sufficient documentary evidence before claiming an ITC; related documents can work together when one document does not contain every detail.
Build a transaction-level evidence file
For each purchase supporting an ITC, keep a connected set of documents that lets you identify what was acquired, from whom, when, and how the claimed tax amount was determined. The CRA states: “You obtain sufficient documentary evidence to substantiate the ITC prior to making the claim in a GST/HST return.” See the CRA’s Input tax credits guidance.

- Supplier evidence: an invoice, receipt, contract, or other valid supplier-issued document, with the required details for the transaction amount.
- Tax and timing: the GST/HST charged or payable, the relevant tax rate or tax-included amount where applicable, and the reporting period to which the transaction belongs.
- Purchase description and purpose: enough information to identify the property or service and connect it to the business records supporting the claim.
- Accounting trail: the entry to which the source documents relate, so the amount claimed can be traced to the underlying purchase.
Documents do not have to be combined into one invoice. The CRA recognizes forms such as invoices, receipts, credit-card receipts, debit notes, account books or ledgers, written contracts or agreements, electronic retrieval or data-storage records, and other valid supplier-issued documents. Multiple records may need to be read together—for example, an invoice, payment receipt, and agreement. That flexibility does not mean an internal spreadsheet or proof of payment alone automatically replaces adequate supplier documentation. See the CRA’s Documentary Requirements for Claiming Input Tax Credits.

The CRA’s invoice-information requirements increase with the total sale amount. Its current thresholds are $100 and $500; the CRA says they replaced the former $30 and $150 thresholds effective April 20, 2021. Apply the CRA’s current table and wording, especially where the amount includes tax or an invoice combines taxable and exempt supplies.

These are CRA invoice-information bands, not a substitute for checking whether the particular evidence is sufficient to support the ITC amount. Consult the CRA’s current ITC guidance for its detailed rules.
Use transaction-specific records where they apply
Computerized records and contracts
For electronic records, relevant information can include supplier and recipient identity and address, the supplier’s GST/HST registration number, reporting period, tax paid or payable, and the nature of the supply. If a contract governs recurring purchases, retain the agreement and related documents so the supplier, recipient, tax, period, and type of supply remain traceable. These are recordkeeping considerations for electronic and contractual cases; they do not make every internal record a substitute for the supplier evidence required in a particular transaction. The CRA’s documentary requirements memorandum describes the applicable details.

Procurement cards
The CRA describes conditional minimum supporting information for certain procurement-card transactions: transaction date, merchant name, place of supply (city and/or province), merchant category, transaction amount, employee or cardholder name, and procurement-card number. Confirm that the specific transaction qualifies and that the available record meets the applicable CRA conditions; do not assume a card statement alone is sufficient for every purchase.
Taxi, ride-share, and cash purchases
The CRA has distinct record provisions for taxi, limousine, and commercial ride-sharing fares, as well as some cash purchases. These are conditional cases, not general exemptions from substantiating an ITC. Check the relevant transaction type and current CRA guidance before relying on a special provision; the CRA’s Input tax credits page outlines these cases.

Keep records retrievable for the retention period
Businesses generally must keep GST/HST records for six years from the end of the year to which they relate. The CRA may require records to be kept longer. If you want to destroy records earlier, you must make a written request and receive approval. Electronic filers do not attach their supporting documents to the return, but must retain them in case the CRA asks to see them. See the CRA’s guidance on GST/HST and payroll records and GST/HST records to keep.
Make the evidence usable if it is requested later: link source invoices, receipts, and relevant payment or contract records to the accounting entry; preserve electronic files in readable, retrievable form; and keep enough context to identify the transaction and its reporting period. The CRA’s General Requirements for Books and Records discusses recordkeeping practices, including backups and secure storage.
