Connectors move or retrieve that content, APIs provide the control and query surfaces, indexes make repeated searches fast, and permission trimming ensures a result never exposes a document the signed-in user could not open in its original system.
Why enterprise search interoperability matters
Most organizations keep useful information in separate systems: collaboration sites, document repositories, ticketing tools, customer platforms, file stores, and line-of-business databases. Each system has its own search box, fields, identifiers, authentication method, and permission model. Searching them one at a time is slow; copying everything into a second repository can create stale data, duplicated retention obligations, and security gaps.

Interoperability is the design discipline that makes those systems discoverable through a common search layer while preserving the facts that give each item meaning. A result should retain its source URL, title, timestamps, source identifier, tenant or workspace context, and the permissions that govern it. The search layer should help a person find an item, not become an unauthorized replacement for the source application.

There is no single implementation that fits every source. Frequently changing or highly sensitive data may be better queried live. Large, stable collections are usually easier to rank and search repeatedly after synchronization. Many enterprises use both patterns, choosing per source rather than imposing one policy everywhere.

The four building blocks
Connectors: the integration bridge
A connector is the integration layer between an original system and a search service. It normally performs several jobs:
- Authenticates to the source with an application identity, delegated identity, or service account.
- Enumerates existing files, records, messages, or objects and receives change notifications when the source supports them.
- Extracts text, structured fields, source links, timestamps, and identifiers.
- Maps those values to the search platform’s schema.
- Carries group, user, role, or other access-control information so results can be filtered for the requesting user.
- Handles updates, deletions, retries, and source throttling.
Microsoft’s connector model supports both synchronized indexing and live federated retrieval. Elastic describes content connectors as integrations that synchronize data from an original source to Elasticsearch by extracting files, records, or objects and transforming them into documents. In either model, the connector is more than a file importer: it is where source identity, provenance, change handling, and authorization are translated for the search system.
APIs: the control and query surface
An API is the programmable interface used to configure connections, send content, synchronize security groups, and submit searches. It is not interchangeable with a connector. A connector contains source-specific integration logic; an API exposes operations that applications or administrators can call.
The Microsoft Search API can query Microsoft 365 resources and external items ingested through connectors. Requests run in the context of a signed-in user, and permissions are evaluated before results are returned. Connector APIs also support creating connections, defining external schemas, ingesting items, and synchronizing external groups. A custom portal, assistant, or internal application can therefore use the API without implementing every source protocol itself.
When evaluating an API, document which operations it supports: full and incremental ingestion, deletion, schema changes, group synchronization, query filters, pagination, ranking controls, and diagnostics. Also record whether the API accepts a user token, an application token, or both; that choice affects how accurately the service can enforce per-user access.

Indexing: a searchable representation, not necessarily a second source of truth
Indexing converts source content into a representation optimized for retrieval. A synchronized index may contain text, metadata, source URLs, identifiers, timestamps, tenant information, and permission-related fields. It can then rank native and external content together with predictable query latency.
The index is normally a derivative copy, while the original system remains authoritative for editing, retention, and final access decisions. That distinction matters when a document changes or is deleted. The connector must propagate the change quickly enough that the index does not continue displaying an item or permission that no longer exists.
Federated retrieval keeps the content in the source. At query time, the search service sends the user’s request to a connector or backend, receives matching results, and returns them without storing the source content in the central index. This can reduce duplication and is useful for live, dynamic, or sensitive collections, but query speed and availability then depend on the remote backend.
Permissions: a security boundary
Permission interoperability is not a display feature. It is the condition that makes a unified search safe. A result must be filtered according to the same authorization that applies when the user opens the item in the source system. Microsoft states that connector results respect source permissions and that a signed-in user cannot receive content they could not otherwise access.
There are two common enforcement points. In a synchronized design, the connector maps source principals and access rules into the index, and the search service applies document- or item-level filtering at query time. In a federated design, the connector or source backend evaluates the user’s authorization while producing the live response. Both designs require current identity and group information; stale memberships can expose data even when the text itself is current.

Synced indexing versus federated retrieval
The choice is an architectural trade-off rather than a ranking of “better” and “worse.” Use the characteristics of each source, its sensitivity, and the user experience you need.

| Where content is searched | In a central search index containing a representation of source items | In the source or its backend when a user submits a query |
| Freshness | Depends on crawl, change-notification, and ingestion lag | Reflects the source response at request time, subject to backend behavior |
| Repeated query performance | Usually predictable and suitable for ranking large collections repeatedly | Depends on each remote connector and source response time |
| Data duplication | Stores searchable content and metadata in the index | Avoids indexing the source content in the central service |
| Source outage behavior | Previously indexed items may remain searchable until freshness and deletion handling catch up | Live results can fail, slow down, or disappear while the source is unavailable |
| Operational responsibility | Requires ingestion jobs, retries, lag monitoring, and deletion processing | Requires reliable query-time gateways, timeouts, and per-source availability monitoring |
| Sensitivity fit | Requires careful control of what is copied and who can access the index | Useful for live, dynamic, or sensitive sources that should not be centrally indexed |
| Permission implementation | Source principals and ACL-related data must be synchronized and enforced in the index | The connector or source evaluates authorization during the live request |
Microsoft describes federated connectors as read-only in its documented overview and based on an MCP model that fetches responses at query time. That makes them appropriate for discovery, not for writing changes back to the source. A hybrid deployment can index ordinary documents while federating a restricted database or a collection whose retention policy prohibits central copies.
Designing a connector and canonical schema
Start with a canonical item model so every source can be searched consistently without erasing source-specific detail. A practical minimum includes:
- Title and body: the human-readable fields used for matching and ranking.
- Source URL: a link that opens the authoritative item.
- Source ID and source type: stable identifiers that prevent collisions between systems.
- Created and modified timestamps: both for ranking and for incremental change detection.
- Tenant, workspace, or repository ID: the boundary needed in multi-tenant deployments.
- Permission principals: normalized user and group identifiers, plus any source-specific restrictions.
- Provenance: the connector and source name shown in the result so users understand where it came from.
Keep source fields that are important for filtering or compliance instead of flattening everything into body text. Preserve the original URL and identifier even if the search service assigns its own document key. Define how null values, deleted objects, renamed repositories, attachments, and unsupported file types are represented before production ingestion begins.
Identity and permission implementation details
Microsoft connector permissions
Google’s SharePoint connector documentation lists Graph permissions such as GroupMember.Read.All, User.Read, User.Read.All, and either Sites.FullControl.All or Sites.Selected for ingestion configurations. These are examples of permissions an ingestion setup may require, not a universal recommendation to grant broad access. Select the narrowest scope that supports the connector’s actual operations and review it whenever the source or connector version changes.

Documentation for Teams connectors describes connector-specific Graph permissions and recommends associating one data store with actions for a single connector type. Treat that association as an isolation boundary: mixing unrelated connector actions in one store can make troubleshooting, auditing, and access reviews harder.
Elastic connector credentials and document-level security
Elastic documents that connector credentials are stored in the .elastic-connectors index. Protect that index like a secrets store: restrict administrative access, encrypt backups, monitor reads, and rotate credentials according to the source system’s policy.
Document-level security is available by default for a subset of connectors, including Confluence, Dropbox, and Jira. Do not assume that every connector supports identical filtering. Verify document-level security support, principal formats, group synchronization behavior, and update semantics for each source before promising users that one search box has complete ACL fidelity.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.A practical implementation sequence
- Inventory every source. Record its authoritative identity provider, ACL model, data owner, retention rules, API limits, change-notification mechanism, file and record types, and business criticality.
- Classify sensitivity and freshness. Mark sources that contain regulated or confidential information, sources that change minute by minute, and sources where a small delay is acceptable. This classification drives the synced, federated, or hybrid choice.
- Choose a retrieval mode per source. Use synchronized indexing where broad ranking and repeatable low-latency queries matter. Use federated retrieval where copying is undesirable or live state is essential. Combine both when the source contains distinct collections with different requirements.
- Define the canonical schema. Specify title, body, URL, source ID, timestamps, tenant or workspace ID, provenance, and permission principals. Write down field length limits, analyzers, language handling, and attachment rules.
- Build incremental ingestion and deletion handling. Prefer change tokens or notifications over full crawls when available. Process updates idempotently, retry throttled requests, and remove deleted items and revoked permissions rather than merely marking them old.
- Test authorization with contrasting identities. Use users with different roles, direct permissions, group memberships, inherited access, and recently revoked access. Confirm both that authorized users see the item and that unauthorized users cannot discover it through title, snippets, autocomplete, or filters.
- Operate and expose provenance. Monitor connector health, indexing lag, failed authentication, permission-mapping errors, deletion backlogs, query latency, and source timeouts. Show the source name and link in every result so a user can open the authoritative system and understand why the item appeared.
Failure modes and recovery plans
Stale content or stale ACLs
If a result shows an old title, deleted file, or access that was revoked yesterday, inspect change-token processing, retry queues, and group synchronization first. Treat stale permissions as a security defect, not merely a relevance issue. Add an alert for the age of the oldest unprocessed change and a controlled re-crawl procedure for recovery.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Authentication failures
Expired secrets, revoked consent, certificate rollover, and changed tenant configuration can stop a connector without changing the source data. Alert on authentication errors separately from empty result sets, document credential ownership, and test renewal before credentials reach their expiration date.
Best Value
Permission mapping errors
Source systems may use nested groups, email addresses, numeric IDs, or directory-specific identifiers. Normalize principals consistently and retain the source identifier needed for troubleshooting. A mapping failure should fail closed for the affected item rather than make it broadly visible.
Federated timeouts and partial results
Live retrieval can slow down when one backend is overloaded or unavailable. Set per-source timeouts, return clear provenance for partial responses, and avoid presenting an incomplete result set as if every source answered successfully. Decide whether a failed source should produce a visible warning, a retry option, or no result at all.
Index or connector compromise
Central indexes and connector credentials concentrate risk. Segment tenants, limit administrative roles, encrypt data in transit and at rest, audit connector changes, and test restoration of both the index and its permission metadata. A backup that restores text without ACL data is not a safe search backup.

How to choose an approach during design review
Ask these questions for each source:
- How quickly must a change or revocation become invisible in search?
- Is copying the content into another service permitted by policy, contract, and retention rules?
- Can the source express its permissions in a form the connector can synchronize accurately?
- Will users tolerate the source’s query latency and occasional unavailability?
- Does the connector support the required file types, filters, languages, and deletion events?
- Who owns credentials, schema changes, retries, and incident response?
- What evidence will prove that an unauthorized user cannot see a title, snippet, facet, or cached result?
Require a small authorization test matrix and a freshness test before onboarding a high-value source. There is no authoritative cross-vendor benchmark in the documented material for connector freshness, indexing latency, or permission accuracy, so published claims should not substitute for measurements under your own workloads and identity model.
What users should see in the finished experience
A good interoperable search result identifies its origin, links to the source, and applies the user’s permissions before displaying the title or snippet. Filters should distinguish source, workspace, content type, and modification time without leaking values from inaccessible items. If a source is temporarily unavailable, the interface should say so rather than silently implying that no matching content exists.
Behind that simple experience is a set of explicit contracts: connectors translate source data and identity, APIs control ingestion and querying, indexes provide scalable retrieval where appropriate, and authorization is enforced at the point results are assembled. Designing those contracts per source produces a search system that is useful without turning convenience into an access-control bypass.
