There is no universal document pack for a documentary credit (also called a letter of credit). The credit itself, together with any amendments, states what the beneficiary must present. A commercial invoice and a transport document are common, but an insurance document, certificate of origin, packing list, inspection certificate, draft or other document is required only when the credit calls for it or an applicable local rule makes it necessary.
When a credit expressly incorporates the International Chamber of Commerce’s UCP 600, banks examine the presented documents for apparent compliance with the credit, UCP 600 and international standard banking practice. They do not inspect the goods or decide whether the seller performed the underlying sales contract.

Start with the credit, not a standard checklist
Read the documents-required field and every amendment
The issuing bank’s credit is the controlling checklist. Read the complete instrument and all accepted amendments before preparing anything. Record the exact document names, issuer, number of originals and copies, wording, signatures, dates, authentication, legalization, shipment evidence, presentation period, expiry date and place of presentation.

Confirm whether UCP 600 applies
UCP 600 governs only when the credit says it is subject to those rules. The ICC’s International Standard Banking Practice for the Examination of Documents under UCP 600, commonly called ISBP 821 (2023 edition), is the current companion guide for examining invoices, transport documents, insurance evidence, certificates of origin and other documents. It should be read with UCP 600, not treated as a replacement for the credit’s own wording.
Understand the bank’s limited role
UCP 600 Article 5 states: “Banks deal with documents and not with goods, services or performance to which the documents may relate.” A bank can find a presentation compliant even if the buyer later disputes quality, quantity or performance under the sales contract. It can also reject a presentation when the goods are satisfactory but the documents conflict with the credit.
A document not required by the credit is disregarded for examination. Likewise, a credit condition that does not specify a document to evidence it is disregarded under UCP 600. This is why adding helpful-looking paperwork does not cure a missing stipulated document.

Documents commonly required
| Document | When it is required | Practical checks |
|---|---|---|
| Commercial invoice | When listed in the credit; it is often the central document in the presentation. | Usually issued by the beneficiary. Match the credit’s goods description, quantity, price, currency and other stated data. ISBP 821 says it need not be signed or dated unless the credit requires that. |
| Transport document | When the credit requires shipment evidence, with the specified mode and form. | Use the correct document for the route: multimodal transport document, bill of lading, sea waybill, charter-party bill, air transport document, road/rail/inland-waterway document, or courier/post evidence. Check originals, consignee, endorsement, shipment notation, carrier details and signatures. |
| Insurance policy, certificate or open-cover declaration | Only when required by the credit or applicable terms. | Check the insurer or underwriter, authorized signature, issue date, amount, currency, risks and route. A cover note is not accepted under UCP 600. |
| Certificate of origin | When expressly required. | It should be signed, relate to the invoiced goods and certify their origin. Follow any specified form or issuing authority exactly. |
| Packing list, weight list, inspection, quality or health certificate | Only when the credit names the document. | Verify the required issuer and content. If the credit leaves those details unstated, the document still must appear to fulfil its function and must not conflict with the credit or other stipulated documents. |
| Beneficiary statement or other certificate | When the credit specifically calls for it. | Use the exact subject, wording, date and signature requirements. Do not substitute an informal letter for a stipulated certificate. |
| Draft or bill of exchange | Only when the credit’s availability and payment terms require one. | UCP 600 defines a draft, but not every documentary credit requires it. Check the drawee, tenor, amount, signing and presentation instructions. |
How to prepare each major document
Commercial invoice
The invoice should be issued by the beneficiary and describe the goods in a way that corresponds to the credit. Check the exact currency and amount rules, unit prices, quantities, marks and references requested by the credit. The description does not have to be copied mechanically into every other document, but it must not conflict with them.

ISBP 821 states that a commercial invoice need not be signed or dated unless the credit stipulates a signature or date. If the credit does require either, treat that requirement as mandatory even though the general practice does not.
Transport document
The transport document is determined by the shipment mode and the credit’s wording. UCP 600 has separate provisions for multimodal transport documents, bills of lading, sea waybills, charter-party bills, air transport documents, road, rail and inland-waterway documents, and courier or postal receipts. These forms are not interchangeable simply because each appears to show shipment.
Check the named carrier or issuing party, whether an original is required, the consignee and notify party, endorsement instructions, port or place of loading and discharge, shipment date, “on board” notation where required, freight terms and any apparent reservations about the goods or packaging. If the credit specifies a particular form, presenting another form can create a discrepancy.
Insurance evidence
Where insurance is stipulated, UCP 600 recognizes an insurance policy, insurance certificate or open-cover declaration. The document must be issued or signed by an insurer, underwriter or authorized agent, and its date, amount, currency, coverage and route must satisfy the credit and applicable rules. A cover note is not acceptable under UCP 600.

If the credit does not state an insurance amount and the CIF or CIP value can be determined, UCP 600 Article 28(f) generally requires minimum cover of 110% of the CIF or CIP value. This is a default rule for credits subject to UCP 600, not a universal insurance requirement for every documentary credit.
Certificate of origin
ISBP 821 describes a certificate of origin as a signed document that appears to relate to the invoiced goods and certifies their origin. If the credit names a chamber of commerce, government body, exporter or prescribed form, use that issuer and form. A generic origin statement may not satisfy a credit that requires a specific certificate.
Other certificates and lists
Packing lists, weight lists, inspection reports, quality certificates, health certificates and beneficiary declarations are all conditional documents. For a non-invoice, non-transport and non-insurance document, UCP 600 provides a default function-and-consistency test when the credit does not identify the issuer or content: the document must appear to fulfil the function for which it was requested and must not conflict with the credit or the other data.

That default does not make vague drafting safe. ICC guidance recommends stating the issuer and content clearly and requiring only documents that are genuinely essential. If a document is not needed to demonstrate compliance, asking for it creates another opportunity for inconsistent data.

Originals, copies and consistency
Supply the required originals
Under UCP 600, at least one original of each stipulated document is generally required unless the credit expressly permits copies or otherwise states the presentation format. Determine which version is legally treated as an original, and count originals and copies separately. A scanned copy may be useful for review but cannot replace an original when the credit requires one.
Keep data consistent without forcing identical wording
UCP 600 Article 14(d) says: “Data in a document, when read in context with the credit, the document itself and international standard banking practice, need not be identical to, but must not conflict with, data in that document, any other stipulated document or the credit.”
For example, an abbreviated product description on a packing list can be acceptable when it clearly refers to the invoiced goods, while a different quantity, destination or shipment date can conflict. Review the documents as a set: names, addresses, goods, quantities, weights, marks, dates, ports, currency, amounts and reference numbers should form one coherent presentation.

Do not rely on extra documents
An additional certificate cannot repair a missing document that the credit requires. Conversely, an unsolicited document is normally disregarded in the bank’s examination and can still create practical confusion if its data contradicts a stipulated document. Present the required set cleanly and remove drafts or attachments that the credit does not call for.

Presentation deadlines that matter
Twenty-one-day transport-document rule
For a presentation that includes the specified original transport document or documents, UCP 600 generally requires presentation within 21 calendar days after shipment and, in every case, no later than the credit’s expiry date. This is a scoped default, not a rule that every document in every transaction must be submitted within 21 days. The credit can set a different period, and the applicable transport provisions and circumstances must be checked.
Five banking days for examination
Under UCP 600 Article 14(b), the relevant bank has a maximum of five banking days after the day of presentation to determine whether the presentation complies. That examination period does not extend the credit’s expiry date or cure a late presentation, so the beneficiary should submit well before the final deadline when possible.
Expiry and place of presentation
The expiry date is a hard deadline stated in the credit, and the place of presentation identifies where documents must be delivered. A document package that is complete but arrives at the wrong bank or after expiry can fail for procedural reasons. Confirm local cut-off times with the nominated or issuing bank rather than assuming that a courier delivery date is the presentation date.
A practical preparation process
- Build a requirement matrix. Copy every document requirement from the credit and amendments into a table. Add columns for issuer, originals, copies, wording, signature, date, authentication, shipment evidence, presentation deadline and responsible person.
- Mark conditional requirements. Separate documents that are expressly stipulated from documents that are merely customary in the trade. Arrange insurance, origin, inspection or health evidence only when the credit requires it or a relevant law or contract makes it necessary.
- Confirm the transport form before shipment. Match the intended route and carrier to the exact transport document named in the credit. Resolve questions about onboard notation, consignee, endorsement and originals before the goods leave the seller’s control.
- Prepare the invoice against the credit. Check goods description, quantity, price, currency and beneficiary details. Make sure the invoice does not introduce data that conflicts with the credit or the planned transport and insurance documents.
- Obtain drafts from the correct issuers. Give each insurer, chamber, inspection body, carrier or other issuer the credit’s required wording and form. Ask the bank about any nonstandard document whose issuer or content is unclear instead of guessing.
- Inspect originals and signatures. Count the originals and copies, verify signatures and dates, and confirm that any authentication or legalization appears exactly as required.
- Run a cross-document comparison. Compare names, addresses, goods, quantities, weights, marks, dates, ports, amounts, currency and reference numbers. Resolve conflicts before presentation; do not assume a bank will interpret a contradiction generously.
- Check timing and delivery. Calculate the shipment-based presentation period, expiry date and bank’s place of presentation. Allow time for transit, bank cut-offs, weekends and corrections.
- Submit the final set and retain a record. Present the documents through the channel and bank specified by the credit, retain copies and delivery evidence, and keep the accepted amendments with the presentation file.
When the credit asks for an unclear or unusual document
Ask the issuing or nominated bank to clarify the requirement before shipment or request an amendment that names the issuer and content. A phrase such as “certificate acceptable to the buyer” leaves too much room for disagreement. Clear drafting should identify who issues the document, what facts it must certify, whether an original is required, how it must be signed and when it must be dated.
If the requirement cannot be met, do not silently replace it with a similar document. Seek an amendment accepted under the credit’s procedure. A bank examines the documents presented under the operative credit, not the parties’ private understanding of what would have been acceptable.
What the bank does not decide
Documentary-credit examination is separate from resolving the underlying sale. The bank does not inspect the cargo, test quality, count goods at the warehouse or decide whether the seller complied with warranties. Those issues belong to the buyer and seller under their contract and any applicable dispute process. The bank’s payment decision turns on the presentation’s apparent compliance with the credit and incorporated rules.
Because statutory requirements, customs rules and bank procedures differ by jurisdiction, transaction-specific advice should come from the actual credit, its amendments and the issuing or nominated bank. No general article can replace those documents.
