Organize the inventory by source system and entity, then link each item to the business process, configuration, integration, test evidence and rollback plan it affects.
The exact scope depends on your organization and target ERP. Microsoft’s implementation guidance for Dynamics 365 and Business Central is useful as a model, but procedures, supported interfaces and limits must be confirmed for the ERP edition and deployment model you are actually implementing.

1. Establish the migration boundary before cataloging records
A migration inventory is only useful when everyone agrees what the project is trying to achieve. Record the target ERP, edition and version, deployment model, legal entities or companies in scope, planned go-live date, decision owners and business processes that must operate on day one. Link those decisions to the inventory so an apparently minor field or interface can be evaluated against a real process.
Separate three decisions that are often confused:
- What must be configured: chart of accounts, tax rules, warehouses, currencies, approval rules, users, roles and other setup values.
- What business data must be migrated: records and transactions that need to exist in the target system.
- What can remain accessible elsewhere: old history, audit extracts or records retained in a read-only archive rather than loaded into the new ERP.
Microsoft’s configuration and migration data guidance treats configuration data and migration data as different workstreams. For every proposed exclusion, record the reason, retention or access method, regulatory implications and the person who approved it. “We can migrate it later” is not a scope decision unless a funded, owned follow-up exists.

2. Inventory the complete source landscape
List systems, repositories and unofficial sources
Start with a system register, not a list supplied only by the IT department. Include the legacy ERP, separate finance or warehouse databases, CRM and ecommerce applications, payroll or procurement systems, reporting warehouses, document repositories, middleware, vendor portals, extensions, add-ons, desktop databases and spreadsheets used in operational work. Include systems that send files manually or receive exports even if they have no formal API.
For each source, capture its product and version, environment, database or repository, geographic location and data residency, business owner, technical owner, authentication method, backup arrangements, maintenance window, customization level and support status. Record database size, growth rate, largest tables, number of companies or organizational units, performance baseline and known capacity constraints. The Business Central cloud-migration preparation guidance specifically calls for reviewing version, database size and growth, number of companies, customizations, add-ons, integrations, performance, compliance, data residency and business validation owners; those are sensible fields for any ERP program. See Microsoft’s preparation guidance.
Capture constraints that change the plan
Mark systems that cannot be changed during a particular period, contain regulated or residency-restricted data, use unsupported database versions, or depend on a supplier whose test environment is limited. Note source-system change rates and peak processing windows. A high-volume order system with constant writes requires a different extraction and freeze plan from a dormant archive.

Connect each source to business processes
Do not leave an application name without context. State which processes use it—such as quote-to-cash, procure-to-pay, inventory replenishment, payroll posting or statutory reporting—and which target ERP capability will replace or continue that function. This relationship exposes hidden dependencies: a spreadsheet may contain the only approved customer credit override, while a warehouse add-on may own inventory reservations that the new ERP expects to calculate itself.
3. Define data scope by entity and record type
Classify what moves
Create an inclusion decision for every data domain. Typical categories include:
- Master data: customers, contacts, products, services, vendors, suppliers, employees, locations, accounts and payment terms.
- Open operational transactions: sales orders, purchase orders, invoices, receipts, returns, work orders and service cases that remain active at cutover.
- Balances and positions: general-ledger balances, open receivables and payables, inventory quantities and values, deposits, commitments and project balances.
- History: prior invoices, shipments, journal entries, tax evidence, warranties and other records needed for continuity, analysis or compliance.
- Reference and configuration values: currencies, units, tax codes, warehouses, dimensions, payment methods, numbering sequences and approval hierarchies.
For each entity, document the business definition, source and target object, volume, growth, sensitivity, relationships, retention requirement and inclusion or exclusion decision. A customer record, for example, is not just a row count: its addresses, tax registrations, contacts, credit status, open transactions and duplicate relationships must be considered together.
Identify dependencies between entities
Draw or describe the load order. Products may require units, categories and tax codes first; orders require customers, products, prices and warehouses; invoices may require orders, tax configuration and numbering sequences. Record parent-child relationships, required keys, natural-key rules and any target identifiers that must be generated and then written back to related records.

Assign accountable owners
Every domain needs a business steward who can decide whether a value is correct and resolve exceptions. Name separate technical contacts where appropriate. Ownership should cover data definition, cleansing decisions, mapping approval, reconciliation sign-off and post-go-live support—not merely permission to access the source.
4. Profile quality, mappings and transformations
Build a field-level mapping specification
For each source field, record its target field, data type, length, required status, code translation, default behavior, transformation expression, sensitivity classification and validation rule. Explain whether a value is copied, calculated, split, merged, normalized or deliberately discarded. Include examples for dates, currencies, units of measure, tax codes, addresses, account numbers and status values.
Document reference-data crosswalks explicitly. “Customer status A becomes active” is not enough if the source has several meanings for A. State the permitted target values, who approved the translation and how unmapped values are handled. Preserve source identifiers in a dedicated cross-reference where the target system generates new keys.
Measure quality before estimating cleanup
Profile representative and production-scale samples for nulls, invalid formats, out-of-range values, duplicate entities, orphaned children, inconsistent codes, stale records and conflicting ownership. Quantify counts and percentages, but also identify business impact. A small set of duplicate vendors may block payments more severely than thousands of old marketing contacts.
Recommended Free Tools
For each defect class, record the cleansing rule, tool or responsible person, deadline, acceptance test and exception path. Estimate effort from measured findings rather than assuming that a generic deduplication job will solve the problem. The Microsoft data management and governance checklist covers ownership, architecture, mapping, ETL, testing and quality controls that can structure this register.
Protect sensitive data
Mark personal, financial, health, payment-card, export-controlled or otherwise restricted fields. Record masking or tokenization for non-production environments, encryption in transit and at rest, access roles, residency requirements, retention periods and deletion obligations. Test that extracts, staging tables, logs and rejected-record files receive the same protection as the source.
5. Document every integration as an operational dependency
An integration inventory should describe what happens in production, not just which endpoints exist. Capture each interface between the ERP and another application, partner, bank, tax service, carrier, marketplace, warehouse, reporting platform or file exchange.

- [Dont Hesite to Order] 24 hours customer services and professional technology team are standing by
| Integration field | What to record |
|---|---|
| Connected parties | Source and target systems, provider, environment, endpoint or file location, technical and business contacts |
| Purpose and process | The business process supported and the consequence if the interface stops |
| Direction and data | Inbound, outbound or bidirectional; entities, fields, identifiers and documents exchanged |
| Transport and schedule | API, message queue, database link, managed file transfer or manual file; frequency, timing and latency expectation |
| Volume and limits | Typical and peak records, payload size, rate limits, batch windows and growth |
| Reliability behavior | Timeouts, retries, idempotency, duplicate prevention, dead-letter handling, reconciliation and alerting |
| Security and compliance | Authentication, certificates, secrets ownership, encryption, network controls and data-residency restrictions |
| Migration coordination | Test endpoint, partner availability, freeze requirement, cutover switch, validation evidence and rollback action |
Record dependency order. For example, an order interface may not be safe to enable until customers, products, prices and tax codes have loaded and reconciled. Note what an external system does when the ERP is unavailable: queues messages, retries, rejects them or allows manual processing. Microsoft’s go-live checklist recommends integration tests that include expected peak volumes and scenarios in which external systems are unavailable.
Include partner coordination and test results. A supplier may need a new certificate, an updated schema, a changed company identifier or a coordinated production switch. Treat those tasks as dated dependencies with owners rather than informal emails.
6. Choose and document the migration method
Full loads, deltas and hybrid plans
State whether each entity uses a one-time full load, recurring incremental or delta loads, or a hybrid. Compare the options against source change rate, business continuity, reconciliation ability, cutover duration and operational complexity.
| Approach | Best fit and trade-off to document |
|---|---|
| Full load | Simpler logic and a complete baseline, but potentially a long outage or a large final change window |
| Incremental or delta load | Shorter final cutover for frequently changing data, but requires reliable change tracking, duplicate protection and reconciliation across runs |
| Hybrid | Initial full migration followed by scheduled deltas; adds run coordination but can reduce go-live downtime |
Microsoft’s data-migration cutover guidance gives an illustrative calculation: at 100–200 records per second, moving 120 million records might take up to two weeks of continuous runtime; at 50 records per second, the example could take four weeks. These are scenario illustrations published on August 20, 2025, not a benchmark or an estimate for your environment. The same guidance suggests considering full and incremental loads when a migration exceeds two to three days and describes one possible pattern of a full migration about a month before go-live followed by weekly delta loads. Measure throughput with representative, production-scale data before setting dates.
Direct loading versus staging
Record whether data is transformed and loaded directly into the ERP or first placed in a controlled staging area. A staging design can improve auditability, cleansing, reprocessing and exception handling, but adds storage, security and orchestration work. Direct loading may be appropriate for simple, supported mappings; it is risky when complex transformations or repeated remediation are expected. Record the chosen tools, environments, scripts, credentials, logging and retention of extracts and rejected rows.

Sequence the work
For every migration work item, identify source, target, entities or tables, direction, one-time or recurring mode, approach, tool, environment, prerequisites, owner, estimate and status. Link it to configuration, integration, testing, dependencies, validation evidence and rollback procedures. Microsoft’s Deliverables Tree and Work Item Types describes this kind of traceability.
7. Define reconciliation and test evidence before loading
Write acceptance criteria before the first rehearsal. Reconciliation should cover counts, monetary totals, quantities, balances, referential integrity, status distributions, key fields and sampled business documents. Define tolerances and escalation rules: an exact count may be required for invoices, while a documented exclusion may explain a difference in archived contacts.

Attach each test case to an owner, expected result, environment, execution date, evidence location, defect and retest result. Include:
- Unit and mapping tests for transformations and code translations.
- End-to-end process tests from source transaction through the ERP and connected systems.
- Integration tests at expected peak volumes and while dependencies are unavailable.
- Security tests for roles, masking, certificates and least-privilege access.
- Performance tests using realistic record sizes, concurrency and batch windows.
- Business validation by the steward who owns the data, not only by the migration team.
Run multiple rehearsals using representative data. Record elapsed extraction, transformation, load, reconciliation and defect-remediation times. A rehearsal that succeeds only with a small sample does not establish a production schedule.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →8. Turn the inventory into a cutover runbook
The cutover document should be an executable sequence with named owners and decision gates. Include:
- Pre-cutover backups, restore verification, final source extracts and confirmation that target configuration is complete.
- Change-freeze start time, systems and transactions covered, approver and emergency-exception process.
- Final full and delta loads in dependency order, with start, finish and throughput recorded.
- Interface shutdown, queue draining, endpoint switch and partner confirmation.
- Automated and business reconciliation, with explicit pass thresholds and sign-off owners.
- Verification of critical processes such as order entry, purchasing, posting, payments, shipping and reporting.
- Go/no-go decision gates, communications to users and external parties, and escalation contacts.
- Rollback or restore criteria, backups required, maximum decision time and the person authorized to invoke them.
- Support handoff, monitoring dashboards, alert thresholds, incident routing and the period of enhanced support.
Document what happens if a step fails. A rollback plan that says “restore the backup” is incomplete unless it identifies the backup, restoration time, data created after the backup, interface behavior and business decision authority. Keep the runbook version-controlled and require sign-off after each rehearsal.
9. A practical inventory template
| Record | Minimum useful fields |
|---|---|
| Source or target system | Name, owner, product/version, environment, repository, geography or residency, compliance constraints |
| Data entity | Business definition, source and target, steward, volume and growth, sensitivity, relationships, inclusion decision |
| Mapping and quality | Source/target fields, code translations, transformations, cleansing, reference data, duplicate rules, validation and reconciliation |
| Integration | Connected systems/provider, purpose, direction, entities, method, frequency, volume, schedule, dependencies, failure/retry handling, contact |
| Migration work item | Source, entity scope, approach/tool, sequence, environment, owner, estimate, prerequisites, test evidence, status |
| Cutover control | Activity and sequence, owner, duration, freeze, decision gate, verification, communication, rollback, escalation and support handoff |
These fields are a practical synthesis, not a universal vendor template. Adapt them to the target ERP, regulatory obligations and governance model.
10. A sequence that keeps documentation usable
- Set the boundary: confirm target ERP, deployment model, business scope and decision owners.
- Discover: inventory systems, repositories, data domains, customizations, extensions and integrations, including unofficial sources.
- Decide scope: approve inclusion, exclusion, retention and ownership for each entity and interface.
- Profile and map: measure quality and volume; define transformations, cleanup, reference values and reconciliation.
- Design execution: select migration and integration methods, environments, sequence, dependencies and partner coordination.
- Rehearse: run production-scale migration trials, integration tests and business validation; log and resolve defects.
- Approve cutover: sign off freeze, gates, rollback, communications, support handoff and monitoring before the production switch.
Business Central-specific planning notes
If the target is Business Central cloud from an on-premises deployment, recheck current Microsoft limits and procedures before scheduling. The preparation guidance says cloud migration capabilities are optimized for batches of up to 10 companies and recommends smaller batches when migrating more than 250 companies. Those figures are Business Central-specific and may change; they should not be applied to another ERP without confirmation. Record the number of companies, customizations, add-ons, integrations, compliance constraints and business validation owners in the project register.
Common documentation failures and their fixes
Only the ERP database is inventoried
Why it fails: spreadsheets, partner files and add-ons continue to create transactions after go-live.
Best Value
Fix: trace each business process end to end and ask process owners where data is entered, copied, approved, exported and reported.
Counts are recorded without definitions
Why it fails: “10,000 customers” may include inactive, duplicate, test and archived records, making reconciliation meaningless.
Fix: define the entity, filter, snapshot date, source query and treatment of excluded records.
Interfaces are listed without failure behavior
Why it fails: a cutover can produce lost, duplicated or out-of-order messages.
Fix: test outage, retry, queue, replay and duplicate scenarios, then document monitoring and ownership.
Migration duration is guessed
Why it fails: transformation, validation, throttling and cleanup often dominate raw load speed.
Fix: measure every phase on representative production-scale data and include reruns and reconciliation in the window.
Business sign-off is postponed
Why it fails: technical success can still leave incorrect balances, tax values or operational statuses.
Fix: assign a steward to each domain, require evidence-based acceptance and make unresolved exceptions visible at every go/no-go gate.
