What Data and Integrations Does Automated Manufacturing Quoting Require?

Automated manufacturing quoting requires a governed product-and-process model connected to the systems that own customer, engineering, commercial and production data. At minimum, the quote engine must know what can be configured, how it will be built, what it costs, whether materials and capacity are available, when it can ship, and which terms apply. ERP, CRM, PLM/PDM, PIM, CAD and MES integrations each supply a different part of that answer; reliable field mapping, revision control and operational monitoring make the connections usable.

The data model a quote engine must have

A PDF description or a list of selling prices is not enough to produce a manufacturable quote. The automation needs structured records with ownership, units, dates and revision status. The following domains form the minimum practical model.

Customer and opportunity context

Capture the account, contacts, opportunity or project identifier, ship-to and bill-to addresses, requested quantity, target delivery date, comments and any external quote or revision identifier. This information normally originates in CRM or in the quoting front end and must travel with every revision so sales, engineering and operations are discussing the same request.

Product configuration and manufacturing structure

The configurator needs materials or part numbers, units of measure, configurable attributes, allowed values, option dependencies and rules that reject impossible combinations. It also needs the resulting engineering bill of materials (BOM), product structure, routing, work centers, manufacturing attributes, revision and effectivity dates. SAP Digital Manufacturing describes materials, BOMs, routings and work centers as master data; a quote should reference those governed records rather than create conflicting copies.

Engineering inputs for custom work

Engineer-to-order products may require CAD geometry, parameter values, drawings, design metadata, manufacturing specifications and an engineering-generated BOM. CAD or BIM systems can supply geometry-derived dimensions and parts; PLM/PDM supplies the approved revision, documents and change history. The quote model should retain links to the exact files and revision used, while exposing only the sales-relevant options to customers.

Cost and commercial data

Pricing requires more than a base price. Store material, labor, machine, purchased-part, tooling, freight and overhead cost elements; currency; price lists; customer, market or channel rules; quantity breaks; margin policies; tax group; payment terms; delivery location; and any surcharges or discounts. Microsoft’s documented sales-quotation fields include customer account, quotation name, delivery address, payment terms, tax group, item ID, quantity, unit and price. Those fields illustrate the minimum commercial payload even when a different ERP is used.

Supply, capacity and quality feasibility

A promise date is credible only when the engine can check inventory, supplier availability, plant assignment, work-center capacity, routing duration, purchased-part lead times and quality constraints. Include lot or serial restrictions, approved supplier requirements and inspection steps when they can change cost or delivery. If a check cannot be automated, the quote should mark the assumption and route it for review instead of presenting an unqualified commitment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Quote and handoff artifacts

The generated package should contain the configured scope, itemized price, quantities, assumptions, delivery or lead-time commitment, payment and tax terms, exclusions, revision identifier and technical attachments. Approval must be able to create or update a structured ERP order, BOM, route and manufacturing specification. MES then needs the released execution data, not merely the customer-facing PDF.

Which system should own each record?

Integration is safer when each domain has one authoritative owner and downstream systems consume a defined subset. Do not mirror every object from every application into the quote database.

System Primary data supplied or received Boundary to preserve
ERP Part and material masters, costs or prices, inventory, orders, customer master data, purchasing and financial terms ERP or S/4HANA commonly remains the master-data system; order and inventory transactions must reconcile back to it.
CRM Account, contact, opportunity, project, requested dates, sales owner and quote status CRM owns pipeline context and should receive quote value, status and revision changes.
PLM/PDM Engineering structures, CAD documents, revisions, effectivity, approvals, specifications and change processes Expose a sales-relevant configuration model; keep engineering change control in PLM/PDM.
PIM Descriptions, images, technical specifications, language variants and channel content PIM supplies presentation content, not cost, availability or production authority.
CAD or visualization Parameters into configuration; models, drawings and design results out Use stable identifiers and revision links so an approved drawing cannot be replaced silently.
MES Released configuration, work instructions, manufacturing attributes and quality requirements; actual consumption, status and non-conformances back MES is the execution context and work-in-process source, while ERP remains authoritative for enterprise inventory and orders.
CPQ or quoting application Rules, guided selling, calculations, approvals, quote documents and revision history It should calculate and orchestrate using governed data, not become an untracked master for parts or prices.

SAP states that ERP/S/4HANA is the master-data system while SAP Digital Manufacturing is the system of record for work-in-process data. AWS guidance similarly describes MES exchanges of production orders, inventory, BOMs, work instructions and non-conformances with ERP and PLM. These boundaries prevent a quote from using an obsolete price, unreleased revision or stale stock figure.

How the integrations work together

APIs, events and messages

Use documented APIs for synchronous lookups such as customer eligibility, current price, inventory or a valid revision. Use events or queued messages for changes that should propagate without blocking a salesperson, such as a released BOM, price update, engineering change or production-status update. cXML or other structured messages can carry orders and procurement information where required by trading partners.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Identity, security and transport

Define service identities for each integration, least-privilege permissions, certificate or token rotation, encrypted transport and network controls. SAP documents HTTPS through Cloud Integration, Cloud Connector, RFC/BAPIs and explicit field mapping as integration mechanisms. The implementation should record which identity submitted each change and which source revision was accepted.

Mapping and canonical identifiers

Create a field-level mapping for part numbers, units, currencies, plants, warehouses, customer IDs, addresses, revision labels and external quote IDs. Convert units and currency deliberately; never infer them from display text. A canonical identifier strategy should handle an ERP item number, a PLM object and a CAD file that describe the same sellable configuration.

Retries, reconciliation and audit history

Transient failures need bounded retries and a dead-letter or exception queue. Every message should have an idempotency key so a retry cannot create a duplicate order. Reconciliation jobs should compare counts, totals, revisions and status between systems and raise discrepancies. Retain the original input, rule version, cost snapshot, approval, outbound payload and response so an auditor can reconstruct why a price and date were offered.

Recommended quote-to-order sequence

  1. Capture the request. Bring account, opportunity, quantity, delivery location, requested date and design inputs into the quoting workspace. Validate required fields before calculation.
  2. Resolve the product model. Apply configurable attributes, option constraints, units and customer-specific rules. Reject incompatible combinations instead of allowing a later production failure.
  3. Validate engineering state. Select an approved BOM, routing, CAD result and manufacturing specification whose revision and effectivity date cover the requested delivery or production date. Route unapproved or ambiguous designs to engineering.
  4. Generate manufacturing outputs. Produce the structured BOM, routing, operation parameters, drawings and required manufacturing attributes. Store identifiers and revision links for each output.
  5. Calculate cost and price. Pull governed material, labor, machine, purchased-part, overhead and freight inputs; apply currency, quantity breaks, customer rules, tax, margin and payment conditions. Save the cost and price snapshot with the quote revision.
  6. Check feasibility. Query inventory, supplier commitments, plant, work-center capacity, routing duration, quality restrictions and lead-time calendars. Return a date with its assumptions, or flag the item for manual review.
  7. Compose the quote. Present scope, configuration, price, delivery, terms, exclusions and technical documents. Keep customer-facing language synchronized with the structured data used for calculation.
  8. Approve and release. On acceptance, send the order, configuration, BOM, route and specifications to ERP and MES using the stored quote and revision identifiers. Prevent release if a required approval or revision check is missing.
  9. Track execution. Return order, production, exception, material-consumption and non-conformance status to the systems that need it. Microsoft documents near-real-time MES exchange so material consumption recorded in MES can be reflected in ERP inventory.

What must stay synchronized

Prices and costs

Set an effective date, currency and source for every price or cost. Decide whether a quote freezes a snapshot at creation, at approval or at order release. If a supplier or ERP price changes during approval, show the affected revision and require a controlled reprice rather than silently changing the customer document.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

BOMs, routings and revisions

Use immutable revision identifiers in quote records. Effectivity rules should answer whether the revision applies by date, plant, serial range or customer program. A change notice should trigger impact analysis for open quotes and identify which ones require reconfiguration or customer approval.

Inventory and availability

Record the timestamp, plant and allocation policy behind an availability result. Distinguish on-hand, allocated, inspection-held, safety-stock and expected-receipt quantities. A quote should not treat all displayed stock as promiseable stock.

Units, calendars and locations

Normalize units of measure and conversion precision, then preserve the source value for audit. Lead time must use the selected plant calendar, holidays, queue time and shipping lane. Ship-to, bill-to and tax jurisdictions should be validated independently because they can alter both price and delivery.

Implementation plan that limits risk

Start with quality-critical flows

First make part and material identity, product rules, current prices, revision selection and availability reliable. These directly affect whether the quote is correct. Add richer PIM content, automated document layout and secondary workflow notifications after the transactional foundation is stable.

Define ownership and service levels

For each field, name the system of record, update mechanism, acceptable latency, validation rule and business owner. Examples include ERP ownership of item status, PLM ownership of engineering revision, CRM ownership of opportunity stage and MES ownership of work-in-process status.

Test realistic exceptions

  • A quote uses a BOM that becomes obsolete while approval is pending.
  • A required purchased part is unavailable at the selected plant.
  • A CAD parameter creates a part number that has no approved routing.
  • A currency or unit conversion is missing.
  • An API times out after ERP creates an order but before the quote engine receives the response.
  • MES reports consumption that differs from the planned BOM.

For each case, specify the visible message, owner, retry behavior, rollback or compensation action and audit record.

Measure operational health

Monitor message latency, failed and retried transactions, mapping errors, stale master data, reconciliation differences, manual overrides, quote-to-order conversion and the age of unresolved exceptions. Alert on business impact, such as a price feed older than its allowed window or a capacity service unavailable during quoting.

How to evaluate an integration or quoting solution

Evaluation axis Questions to ask
Product-model depth Can it express variants, constraints, dependencies, units and plant-specific rules without custom code for every option?
Engineering support Can it consume BOMs, CAD parameters, PLM revisions, effectivity and approval state while preserving traceability?
Costing and pricing Can it combine cost elements, quantity breaks, currencies, customer rules, tax, freight and margin with effective dates?
Feasibility Can it check inventory, supplier availability, capacity, routing time, quality restrictions and lead-time calendars?
Connectivity Are ERP, CRM, PLM/PDM, PIM, CAD and MES APIs, events or message adapters available and documented?
Governance Are identity controls, field mappings, retries, monitoring, reconciliation, versioning and audit history built in?
Quote-to-order Can an approved quote create a structured order and release the correct BOM, route and specifications without rekeying?
Maintenance effort Can business users maintain rules and mappings safely, and are upgrades tested without breaking existing configurations?

Common failure modes and fixes

“The API is connected, but quotes are still wrong.”

A connection only moves fields. Check ownership, mapping, units, effective dates, revision selection and whether the response is stale. Add validation and reconciliation before adding more endpoints.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“Sales can configure options engineering cannot build.”

Separate selling rules from engineering constraints only when the handoff validates both. Import approved structures and rules from PLM, then test every generated configuration against a routable BOM and process.

“The quoted date ignores production reality.”

Replace a generic lead-time number with plant, work-center, supplier and calendar checks. Show the assumptions used and require review when capacity or purchased-part data is unavailable.

“A revision changed after the customer approved.”

Keep the approved quote immutable, create a new revision, compare BOM, cost, date and documents, and obtain the required commercial or engineering approval before releasing the order.

“Retries created duplicate orders.”

Use idempotency keys tied to quote revision and order intent, persist request and response identifiers, and reconcile ERP order counts against the quoting system.

Frequently Asked Questions

Does every manufacturer need all six integrations on day one?

No. Begin with the systems that own prices, parts, product rules, revisions and availability. Add CRM, PIM, CAD and MES flows according to the product and process, while preserving clear ownership and a path to structured order release.

Should the quoting system copy the entire PLM or ERP database?

Usually not. Keep authoritative records in their owning systems and replicate only the sales-relevant, versioned subset needed for configuration, costing, feasibility and handoff.

What happens when a required data source is unavailable during quoting?

Block or qualify the affected calculation, show the missing source and timestamp, route the quote to an owner, and record the exception. Do not substitute an unmarked guess for inventory, revision or capacity data.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
