AI meeting assistants can capture or process far more than a recording: depending on the product and settings, they may handle live audio, transcripts, prompts, responses, summaries, participant details, calendar data and action items. Reduce the risk by collecting only what the meeting needs, telling participants what will happen, checking the provider’s feature-specific terms and controls, limiting access and retention, and reviewing generated notes before relying on them.
Turning off recording or transcription does not always mean nothing is retained. Microsoft says Teams Copilot can work without either, while prompts and responses may still be retained under Microsoft Purview policies and may be discoverable. Microsoft explains the Teams Copilot options.

What can an AI meeting assistant collect?
The answer depends on the assistant, feature, account configuration and organizational policy. Possible data includes:
- Live meeting audio, transcripts and recordings.
- Prompts, responses, summaries, notes and generated tasks.
- Speaker or participant markers and attendance information.
- Account and calendar details supplied through connected services.
These are distinct data types, and they may be stored in different places. Microsoft documents separate storage locations for Intelligent Recap transcripts, recordings, notes, tasks and markers. Microsoft’s Intelligent Recap storage documentation describes those artifacts. Otter says connected accounts and integrations may provide selected username, email and calendar information; see Otter’s calendar-integration information.

What are the main privacy risks?
People may not understand what is being captured
A visible assistant or recording indicator does not by itself explain what information is processed, why it is needed, who can see the output or how long it will remain available. Notice, consent and other legal requirements depend on the jurisdiction and circumstances; consent is not necessarily the only lawful basis. The UK Information Commissioner’s Office (ICO) says organizations must identify a lawful basis for each purpose and explain AI use in relevant privacy notices. See the ICO guidance on AI and data protection.
Records can persist after the call
Transcripts, recordings, prompts and summaries may remain subject to product settings or organizational retention policies. In Teams, Copilot prompts and responses can be retained under Microsoft Purview policies and may be discoverable even when the meeting is not recorded or transcribed. That makes “no recording” different from “no retained data.”
Copies can spread across services
Meeting artifacts may be saved to cloud storage, mailboxes or connected work systems, creating more places to manage access and deletion. Microsoft says Intelligent Recap artifacts are stored across Exchange, OneDrive or SharePoint depending on the artifact. A transcript or summary can also be forwarded or copied outside the original meeting context.

Cloud processing can create provider and transfer exposure
Depending on the service, data may be processed by the provider, subprocessors or systems in other locations. The ICO recommends documenting due diligence and security assessment, and following applicable rules for personal-data transfers outside the UK. Check the terms and controls for the specific product and deployment rather than assuming that a general “secure” claim answers these questions.
Sensitive discussions and speaker identification need extra care
Health information, grievances, personnel matters and other sensitive topics can carry greater consequences if captured or shared too broadly. Speaker identification may also involve biometric processing. UBC’s institutional guidance requires informed consent for biometric features in its setting; that is UBC policy, not a universal rule. See UBC’s AI tools guidance and its AI-tools privacy impact assessment guidance.
Generated notes can be wrong or misattributed
A summary can confuse speakers, misquote someone, omit context or turn a tentative idea into an apparent decision. If copied into a formal record or used to assign work, an error can have practical consequences. The ICO calls for checking outputs for accuracy, and UBC advises reviewing transcripts and summaries before relying on them for decisions or formal documentation.

Does an AI meeting assistant record every meeting?
No single answer applies to every product or feature. Some functions process a meeting without creating a recording or transcript; others require both. Microsoft says Teams Copilot can provide live notes and tasks without transcription or recording. Its separate Intelligent Recap flow requires transcription and recording. Check the mode actually enabled in your account: the same product may offer options with different capture and storage behavior.
Even in a no-recording mode, prompts and responses may be retained under organizational policies. Ask the meeting organizer or administrator what the configured feature stores and what compliance tools can access.
Do AI meeting assistants use meetings to train AI?
There is no safe product-wide answer. Read statements by feature and data category, and check whether they cover the plan, deployment and relevant third parties. Microsoft says customer data for Intelligent Recap is not logged or used for AI model training or testing. Zoom says diagnostic-data consent does not authorize use of customer content for AI model training. These are statements about specified services or data categories, not a blanket guarantee covering every feature, plan or subprocessor. The vendor’s published statement describes its own product; it is not independent verification of how a particular organization configured it.

How long are AI meeting transcripts and other data kept?
Retention is set by the service and configuration, not by one universal AI-assistant rule. Zoom’s published retention standard says cloud recordings remain while the end user’s account is active unless auto-deletion is configured, chat is retained for 24 months by default, and AI-feature content follows the retention period for the associated Zoom service, subject to controls and exceptions. These are Zoom-specific published terms, not defaults for other providers or all data types. See Zoom’s retention standard.
Before enabling a feature, find out what the administrator can configure, whether users can delete items, how backups and legal or safety exceptions work, and which records must be kept under your organization’s schedule. Set a period tied to the meeting’s purpose and obligations, then delete audio or transcripts when they are no longer needed.

How to reduce privacy risks before, during and after a meeting
Before the meeting
- Decide whether an assistant is necessary. Use recording, transcription or AI only when it serves a defined operational or compliance purpose. UBC’s institutional guidance says to avoid recording unless there is a clear operational or compliance need.
- Explain the use to participants. Say which tool or feature will be used, what it captures, why it is being used, who can access the output and how long it will be retained. Update applicable privacy notices. The exact notice or consent obligation depends on the context and jurisdiction.
- Assess the meeting’s sensitivity. Consider whether it involves personal or sensitive information, external participants or speaker recognition. Choose a more restrictive approach where the consequences of capture or sharing would be higher.
- Check the provider and configuration. Review data roles and purposes, training and secondary-use terms, subprocessors, processing locations, transfer safeguards, deletion behavior, access controls and security evidence. Record the due diligence and security assessment where appropriate.
During the meeting
- Use the least-capturing mode that meets the need. If live assistance is enough, consider a mode without recording or transcription. Confirm whether prompts or responses are still retained under organizational policy.
- Make the assistant’s presence clear. Identify the tool and its role at the start, and allow the meeting to proceed without it where practical—especially if a participant objects or sensitive matters arise.
- Disable speaker identification unless justified. Treat biometric features as a separate use that needs its own assessment and authorization for the specific context.
After the meeting
- Limit access. Share transcripts and recordings only with people who have a legitimate need. Avoid uncontrolled forwarding or external sharing without authorization.
- Apply the retention plan. Keep only what is needed for the stated purpose and applicable records obligations. Delete source audio or transcripts when no longer required, using the service’s actual controls and accounting for relevant exceptions.
- Check the output before using it. Verify names, speaker attribution, quotations, decisions and action items. Correct errors before distributing notes or using them as a formal record.
How to compare AI meeting assistant privacy controls
Do not rely on a generic security label. Compare the actual feature and deployment across these points:

- Capture: live processing only, transcript, audio or video recording, or a combination.
- Artifacts: prompts and responses, source transcript, recording, summary, tasks, speaker markers and attendance data.
- Retention and deletion: defaults, administrator controls, user deletion, backups and legal or safety exceptions.
- Access and discovery: who can see outputs, where they are stored, and whether organizational compliance tools can search them.
- Purpose and training: whether content or diagnostic data may be used for model improvement, and which features, plans and subprocessors a statement covers.
- Location and transfers: storage region, subprocessors and transfer mechanisms.
- Transparency and control: participant notice, visible indicators, administrator policies and the ability to disable the feature.
- Accuracy and sensitivity: how users check outputs and whether biometric or high-sensitivity uses are restricted.
For example, Microsoft documents Teams Copilot without a transcript or recording, with prompts and responses governed by Purview, while Intelligent Recap requires transcription and recording and stores artifacts in specified Microsoft 365 locations. Zoom ties AI-feature content to the retention period of the associated service. These examples illustrate why comparisons must be made feature by feature; behavior can depend on tenant, configuration, product tier and policy.
What to tell meeting participants
Give participants the information they need before capture begins. A concise notice can cover the tool, purpose, data collected, access, retention and where to raise a concern. For example: “We plan to use [tool] to produce meeting notes for [purpose]. It will [capture/process details]. The notes will be available to [audience] and kept for [period]. Please tell [contact/organizer] if you have a concern or need an alternative.” Adapt this to the actual feature and your organization’s legal and privacy requirements; do not promise that no data is retained unless you have confirmed that for the configured service.
This article provides general privacy and governance information, not legal advice. Applicable rules for lawful basis, notice, consent, biometric data, recording, employment and international transfers depend on the jurisdiction, sector, organization and meeting circumstances.
