What an Offline-First Point-of-Sale App Has to Get Right

An offline-first point-of-sale (POS) app must do more than show cached screens when the internet drops. It needs to keep essential checkout work available from local data, save each sale durably, show what is still pending, and synchronize without creating duplicates when service returns. Card payments are a separate capability: whether they can be accepted offline depends on the processor, region, device, payment type, and time limits.

What “offline-first” means in a POS app

Offline readiness has several layers. A register may let staff browse a locally saved catalog and record a cash sale while still being unable to accept a card. An offline card transaction may be stored for later processing rather than authorized at the time of sale. The app should describe these states plainly instead of treating every checkout as equally complete.

Layer What should work What the app must make clear
App availability The essential checkout interface opens from resources already on the device. Which functions are available without a server connection.
Local business data The register can use a saved catalog and checkout configuration. When the local copy was last refreshed and whether prices, tax rules, discounts, or stock data may be stale.
Sale recording The device durably records a sale and its receipt information where appropriate. Whether the sale is saved locally, synchronized, or confirmed by the server.
Card acceptance A supported processor and reader may permit a card transaction to be collected while offline. That the payment is pending, subject to later processing, and potentially at risk of decline.
Synchronization Queued transactions retry after connectivity returns. Whether each item was accepted, rejected, or needs staff review.

What should keep working when the internet is down?

For a web-based POS, a service worker can cache application resources and intercept network requests. A cache-first approach can make the app shell load quickly and remain available without a connection, but it can also serve stale information. Cache policy should depend on the data: application files may be suitable for caching, while prices, tax settings, discounts, and inventory need explicit freshness rules.

Before an outage, the register should have the minimum catalog and checkout configuration needed to operate. Show the timestamp of the last refresh. Tell the cashier which data is local and which functions require a live connection. The app should save a sale and receipt details locally when appropriate, but must not label that work server-confirmed until it receives confirmation.

Square Terminal - Credit Card Machine to Accept All Payments | Mobile POS
  • With Square Terminal, you can ring up sales, accept payments, and print receipts, all with one device. Use it at the counter or ring up customers anywhere in your store.
  • Accept all major credit and debit cards and pay one low rate with no hidden fees and no long-term contracts.
  • Process chip cards in just two seconds.
  • Get your money as soon as the next business day.
  • Use it cordlessly with the built-in battery, designed to last all day.

These are design requirements, not a claim that every POS vendor implements them. Offline checkout can also be constrained by local tax, receipt, fiscalization, payment-network, and processor rules; those obligations depend on the merchant’s location and setup.

How should offline sales sync after reconnecting?

Every sale needs a durable identity before it reaches the server. Keep the local record until the server acknowledges it, and make retries safe: sending the same queued sale again should not create a second sale. A useful record includes a stable client-generated ID, timestamps, device and store identity, line items, totals, tax and discount context, and a synchronization state.

Square’s Point of Sale API illustrates why a client-side identifier matters: an offline payment result can include a client_transaction_id before a backend transaction ID exists. The client identifier gives the app a handle for matching the locally staged work to its eventual server-side result.

Square Register (2nd Generation) - Powered by POS
  • A complete countertop point of sale — Combine dual responsive touchscreens, built-in POS software, and durable hardware for a fast, reliable checkout experience.
  • Serve customers faster — Run smoothly through busy shifts, complex menus, and big orders with high-speed processing, memory, and responsive touchscreen displays.
  • Accept every way they pay — Take all major cards at one simple rate, with no hidden fees or long-term contracts. Receive funds as soon as the next business day.
  • Handle real-world demands — Resist everyday spills, dust, and wear with a durable, IP54-rated design.
  • Stay reliable through every rush — Maintain strong connectivity and consistent performance through your busiest hours.

Use explicit states rather than one vague “synced” indicator. For example, the interface can distinguish locally recorded, waiting to upload, processing, confirmed, rejected, and needs review. Keep enough history to investigate a rejected or disputed transaction. The operator should be able to see which sales are unresolved without searching through raw data.

Make retries durable

Background Sync can ask a service worker to retry work when connectivity returns, but browser execution is constrained: retries, task duration, and when the worker runs are not guaranteed. Keep the queue durable across app closure and device restart, and also retry on app launch or when the app returns to the foreground with a connection. A browser background task is a useful backup, not a promise that every sale will upload while the app is closed.

Give shared data deliberate conflict rules

Not all records can be reconciled with a generic “last change wins” rule. Firebase Firestore documents last-write-wins behavior when multiple changes affect the same document. That may be reasonable for some fields, but applying it indiscriminately to inventory, orders, refunds, or shift state can erase meaningful work.

Define what happens when registers change shared records while disconnected. Preserve sale events rather than overwriting them, and specify business rules for derived state such as stock counts. Send ambiguous cases to a review queue instead of silently choosing a winner.

How do offline card payments differ from offline checkout?

When a POS accepts a card offline, the transaction may not be authorized until the device reconnects and submits it. A pending card payment is therefore not the same as a settled or guaranteed payment. The processor may later decline it, and the merchant may bear the risk under the provider’s terms.

Square’s US support documentation provides a concrete example, not a universal POS rule. It says offline payments must be enabled and limits support by hardware, app, and payment type. Square’s documentation excludes examples such as manually entered cards and certain app-specific payment methods; availability and exclusions can vary by region and may change. Square also lists the Square Reader for contactless and chip (2nd generation) as supporting offline payments in its service, which does not mean the reader works with arbitrary POS apps.

For Square’s documented US workflow, the support page sets a 72-hour upload deadline. It says expired offline payments cannot be retrieved or reprocessed, and recommends uploading within 24 hours to reduce decline or chargeback risk. It also describes a configurable per-transaction offline maximum from $1 to $50,000. These are Square-specific settings and limits, not general payment-industry rules. Some devices require reconnecting every 24 hours to continue accepting payments.

Square’s API documentation describes additional prerequisites for its workflow: the supported reader must remain connected over Bluetooth, the POS app must have been opened online within the previous 24 hours, and offline processing must already be enabled. Check the current provider documentation for the merchant’s region, app, reader, and payment types before relying on offline card acceptance.

Make the pending-payment risk operational

The app should display an unmistakable pending status and deadline, explain what a later decline means, and show staff how to reconnect and upload. An end-of-shift check should surface unresolved transactions. Staff instructions should warn against actions that can jeopardize a provider’s offline queue: in Square’s documented workflow, that includes signing out, deleting the app, switching locations or modes, or resetting a device while transactions are pending.

How should a POS protect data stored on the device?

An offline POS must retain some information locally, so security needs to be part of the design rather than inferred from the word “offline.” Limit the sensitive data retained, protect devices and access, and define retention and deletion behavior. Apply encryption at rest and in transit where relevant to the architecture and payment flow.

The PCI Security Standards Council document library identifies PCI DSS v4.0.1. Use the applicable current standard together with the processor’s integration guidance to determine the controls and scope for the actual system. A vendor’s description of its own encryption does not prove that a different app or payment flow is compliant, and an offline mode alone is not a compliance determination.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For example, Square’s July 2026 article describes additional encryption of cardholder and transaction information in its own offline flow and says that information cannot be decrypted until it reaches Square’s PCI DSS-compliant environment. That description applies to Square’s system; it is not evidence that another POS has the same design or compliance status.

How to evaluate an offline POS before relying on it

Ask the vendor to demonstrate an outage and reconnection using the exact hardware, app, region, and payment types your business will use. Confirm the answers in current documentation and in the merchant agreement where risk or availability is involved.

  • Checkout scope: Which screens and tasks work offline, and which require a live connection?
  • Local data: What catalog and settings are cached, how fresh are they, and how can staff tell?
  • Payments: Which card types and reader models qualify, and is a transaction authorized immediately or submitted later?
  • Risk and limits: Who bears the loss if a queued payment is declined, disputed, or never uploaded? What transaction limits and expiry deadlines apply?
  • Queue recovery: Does the queue survive app closure and device restart? Can staff find, retry, and investigate each pending item?
  • Duplicate prevention: What stable identifier makes repeated uploads idempotent?
  • Conflict handling: How are simultaneous offline changes to inventory, orders, refunds, and shifts reconciled?
  • Security and scope: What sensitive information is retained locally, how is it protected, and which compliance responsibilities remain with the merchant?
  • Availability: Are there location, merchant-category, device, or session restrictions?

A useful acceptance test is to disconnect a register, create different kinds of transactions, close and reopen the app, reconnect, and then verify the server-side results. Include a retry and a shared-record conflict in the test. Confirm that the app does not duplicate a sale and that staff can identify any item requiring intervention. This tests the actual implementation without assuming that a browser, database default, reader, or processor behaves like another product.
