AI privacy is not a yes-or-no question. A provider may receive your prompt or file, scan it for abuse, keep an operational copy, and still exclude it from general model training. The result depends on the exact product tier, account, privacy setting, safety review, deletion request, and optional features such as grounding or persistent conversation state.
Consumer chat apps, business workspaces, and developer APIs therefore need separate answers. The guide below explains what OpenAI, Anthropic, Microsoft and Google say about prompts, logs, uploaded files, retention and model improvement, including the limits of “zero data retention.”

Four different questions hidden inside “Is my AI data private?”
Privacy policies use several distinct concepts. Confusing them produces the most misleading answers.

- Collection: the service receives your prompt, response context, uploaded file or connected-service data. OpenAI’s consumer description explicitly includes prompts, files, images, audio and video, connector data, log data and usage data.
- Operational access: systems and, in limited circumstances, people may process content to provide the service, investigate abuse, debug failures, answer support requests or satisfy legal duties.
- Model improvement: content may or may not be fed into training or other product-improvement workflows. A “not used for training” promise addresses this category only.
- Retention: a copy can remain in chat history, a file store, an abuse log, a feedback record, a safety queue, a cache or a stateful API feature after model-improvement use is disabled.
Uploaded documents are normally treated as user content, not as a separate, automatically protected class. Turning off training does not necessarily remove a file from malware scanning, abuse monitoring, a workspace, a connector cache or a legal hold.

OpenAI: separate consumer ChatGPT from business and API products
Consumer ChatGPT
OpenAI says it may use content submitted to ChatGPT and other individual services to improve model performance. Whether a particular conversation is included depends on the account’s data-sharing controls. Before pasting confidential material, open ChatGPT’s settings and review Data Controls; do not assume the default is identical across accounts, countries or app versions.
Temporary Chat is designed for one-off work. OpenAI states that temporary chats do not appear in chat history, do not create or update memories and are not used to improve models while they remain temporary. The same notice says a temporary conversation may be retained for safety for up to 30 days. Temporary mode therefore limits model-improvement and persistent-history use; it is not an absolute no-copy guarantee.
Clearing an ordinary chat is also conditional. OpenAI’s consumer guidance says cleared chats are generally deleted within 30 days, subject to exceptions such as security, legal obligations or content that has already been de-identified. Deleting the visible thread should not be treated as proof that every associated safety or legal record disappeared immediately.
Business, Enterprise, Edu, Healthcare and API
OpenAI says content from these offerings is not used to improve models by default, with opt-in possibilities where available. That is a product-tier commitment about model improvement, not a promise that the provider cannot process data for abuse prevention, support, billing, security, legal compliance or features you activate.

For procurement, read the organization’s contract and administrator settings alongside the public policy. Ask whether prompts and files are logged, how long abuse records remain, whether support personnel can access a case, and what happens when a connector, file store or audit export is enabled.
Anthropic: improvement settings, Incognito and commercial retention
Consumer Claude
Anthropic says consumer chats and coding sessions may be used when you enable model improvement, provide another explicit opt-in, or when content is selected for safety review. Turn off Improve Claude in Privacy Settings if you do not want ordinary conversations contributing to improvement workflows.
For a conversation that should stay outside those workflows, use Incognito. Anthropic’s March 16, 2026 privacy statement says Incognito chats are not used to improve Claude even when Model Improvement is enabled. Incognito does not override every safety, security or legal process, so it should not be described as anonymous or as guaranteed immediate deletion.

Anthropic states that commercial API inputs and outputs are automatically deleted within 30 days unless a longer-retention feature, contract, legal requirement or safety exception applies. A customer’s own architecture can therefore create a longer-lived copy even when the standard API window is short.

Files API objects, saved workspaces, feedback and policy-violation investigations follow different handling rules. Anthropic says data associated with flagged usage-policy violations may be retained for up to two years, trust-and-safety classification scores for up to seven years, and feedback-associated data for up to five years. Those periods explain why “deleted after 30 days” must be read as the ordinary commercial path, not as a universal limit for every record.
Microsoft Copilot: app version and account type are decisive
Microsoft’s cited Copilot Privacy FAQ contains an older-app section stating that, except for certain user categories or people who opt out, Microsoft uses data from Bing, MSN, Copilot and ad interactions for AI training. The same material discusses conversation and voice activity, including images or uploaded files, as possible training data.
Microsoft released a newer Copilot app on August 18, 2026. Because the available FAQ is expressly about the older app, it does not establish the current app’s exact training, retention or file rules. Check the privacy notice displayed by the app you actually use, identify whether the account is personal, work or school, and record the applicable country and version before relying on an opt-out.
Google Gemini Developer API: paid-service exclusion with feature-specific storage
Google’s Gemini API documentation says that, when you use paid services, Google does not use prompts—including associated system instructions, cached content and files such as images, videos or documents—or responses to improve its products. This is one of the clearest written exclusions for paid API traffic, but it does not mean that every API feature is stateless.

Features that create a separate retention decision
- Grounding with Google Search or Maps: Google documents storage of prompts, context and outputs for 30 days when this feature is used.
- Interactions or other stateful features: stored conversation state remains available according to that feature’s retention rules rather than disappearing at the end of a single request.
- Live API: a session handle can retain conversation state, including text, audio and video, for up to 24 hours to support resumption.
- File API: uploaded objects remain until deletion or expiration under the File API rules.
- Context caching: a user-defined time-to-live controls how long cached context persists.
If your requirement is that no provider-side copy survive the request, avoid these optional capabilities and confirm how abuse logs are handled for the paid service you selected.

A file can be copied into more places than the visible chat: malware and policy scanners, text-extraction services, vector indexes, connector caches, workspace storage, backups and support tickets. A connector may also send material from a cloud drive or business system even when you did not manually attach a document.
Before uploading, determine whether the feature stores the original binary, extracted text, embeddings or a reusable file identifier. Then check whether deleting the chat also deletes the file object, and whether administrators, reviewers or connected applications retain their own copy. “Not used for training” answers only one of these questions.

What “zero data retention” should mean in a contract or design
Zero data retention is meaningful only when its scope is written down. Ask whether it covers prompts, outputs, uploaded binaries, extracted text, embeddings, system instructions, cached context, telemetry, abuse logs, backups and human review. Also ask whether the promise applies to every endpoint and feature or only to a named API route.
- Identify the exact service. Record provider, product, API or app version, account type, region and plan.
- Disable improvement sharing. Use the provider’s data-control setting, opt-out or contractual no-training default, and save the effective date.
- Use a transient mode for one-off work. OpenAI Temporary Chat and Anthropic Incognito reduce persistent history or improvement use, but do not cancel safety or legal processing.
- Turn off stateful extras. Do not enable grounding, persistent interactions, Live resumption, File API storage or context caching when a stateless request is required.
- Minimize the payload. Remove names, account numbers, secrets and unnecessary pages; redact locally before transmission.
- Delete provider-side objects. Remove chats, uploaded files, saved workspaces and API resources separately where the product exposes separate controls.
- Verify organizational copies. Check logs, SIEM exports, support tickets, connector caches and employee downloads under your own control.
Retention, deletion and safety exceptions
Deletion is usually a process with a clock, not an instantaneous eraser. A provider may queue a deletion, remove the user-visible object first, and later purge production storage and backups. Safety investigations, fraud detection, legal holds, regulatory duties and records already separated from direct identifiers can delay or prevent complete removal.
When requesting deletion, ask for the scope and completion event: which databases, file stores, caches, backups, feedback records and safety systems are covered; what exceptions apply; and whether an administrator or contract can impose a different schedule. Keep the provider’s confirmation with the original account and workspace identifiers.
A practical decision guide
For personal, sensitive one-off work
Prefer a transient mode, disable improvement sharing, redact the input and avoid connectors, grounding and file persistence. Do not paste secrets that would cause harm if retained for a safety review.
For a company deploying an API
Choose a tier with a written no-training default, then negotiate retention, support access, incident handling, deletion, regional processing and subprocessors. Test every endpoint—including file upload, streaming, caching and retrieval—rather than assuming the chat endpoint’s policy covers them all.
For regulated or legally privileged material
Obtain counsel and a provider contract that defines data ownership, confidentiality, breach notice, audit rights and deletion. A public help page alone rarely answers the requirements of a regulated record or privileged communication.
Bottom line
“Not used to train” is narrower than “not retained,” and “deleted” is narrower than “never copied.” Treat the product tier, privacy setting, app version and optional stateful features as separate decisions. The safest workflow sends the minimum necessary content to a service whose retention and review rules are documented for the exact account and endpoint you are using.
