UPI Payment FAQs for Merchants in India: Settlement, Refunds and Charges

Short answer: A merchant accepts UPI through an acquiring bank, which provides the merchant identifier, merchant category code (MCC), payment infrastructure and support route. The customer’s payment confirmation can be immediate, but the time and destination of the merchant’s payout are controlled by the agreement with that acquirer. Refunds and transaction-status complaints also go through the acquiring bank. No single UPI settlement time or merchant fee applies to every business.

What a merchant needs before accepting UPI

UPI acceptance is an acquiring relationship, not simply a QR image printed on a counter. NPCI’s merchant FAQ says a merchant partners with an acquiring bank to enable UPI. The bank supplies the infrastructure and manages onboarding details such as the merchant identifier and merchant category code (MCC).

As an Amazon Associate I earn from qualifying purchases.

That relationship determines how your business is identified, where receipts are credited, which payment and refund tools you can use, how support handles a failed transaction, and what fees appear in your contract. A countertop QR stand can make a bank-configured QR easier for customers to see at a physical checkout, but the stand itself is optional equipment. It does not replace acquiring-bank onboarding or create a merchant UPI account.

How to on-board a merchant for UPI

The exact forms and checks vary by acquirer, but the process follows the same practical sequence. Ask the bank for its current merchant application, tariff schedule and operational terms rather than relying on a generic promise about settlement or fees.

  1. Choose an acquiring bank or payment provider. Confirm that it supports the type of business you operate and the acceptance channels you need, such as a shop counter, website or mobile app.
  2. Submit the requested business and bank details. The acquirer will tell you which identity, business-registration, tax, address and bank-account documents apply to your business type and risk category.
  3. Receive the merchant identity details. The acquirer assigns or configures the merchant identifier and MCC used to route and classify transactions. Check that the business name and category shown to customers are correct.
  4. Select an integration mode. NPCI lists QR, intent, application-based and collect integrations. Your acquirer should explain which mode it will enable, the technical setup, and how status and refunds are exposed.
  5. Complete activation and testing. Make a low-value test payment, verify the displayed merchant name, confirm the transaction appears in the provider’s records, and check where the proceeds are scheduled to settle.
  6. Document support contacts. Keep the acquiring bank’s merchant-support number, escalation path and refund procedure with your daily reconciliation records. This is the route NPCI identifies for merchant complaints and transaction-status checks.

Do not publish a personal UPI ID as a substitute for a properly configured merchant arrangement if you need business reporting, controlled refunds or formal settlement records. The acquirer should confirm the account and merchant profile intended for commercial receipts.

What are the available integration modes for a merchant?

NPCI names four modes. It does not rank them or publish a universal cost or conversion winner. The right choice depends on how your customer reaches the payment approval screen, what your checkout can maintain, and how the acquirer reports status and settlement.

QR integration

A merchant QR contains merchant information, including the merchant UPI ID and, where applicable, the amount. It suits a visible physical checkout and can also be displayed in other contexts where a customer can scan it. Ask how the QR is generated, whether the amount is fixed or entered for each sale, how a changed bank account is handled, and how you can replace a damaged or compromised code.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Intent integration

Intent sends a customer from a compatible checkout into an installed payment application for approval. Ask the acquirer which devices and payment applications are supported, what happens if no compatible application is available, and how the checkout receives a success, failure or pending response.

  • Slanted Back Support: To ensure that your pamphlet can maintain a certain Angle of tilt and not tip forward.
  • Stable Base Extended: Allows your book to be more stable on the table.

Application-based integration

An application-based flow is built into a merchant’s software or app. It can be appropriate when the business controls its own digital checkout, but it brings configuration, maintenance and testing responsibilities. Confirm the implementation documentation, credential management, status callbacks, reconciliation export and change-notification process with the acquirer.

Collect integration

Collect requests the customer to approve a payment request in a UPI application. Before choosing it, ask how the customer is identified, how long an unanswered request remains valid, how duplicate requests are prevented, and how an expired or declined request is shown to staff.

For every mode, obtain written answers on five points: the customer approval journey; physical, online or app suitability; merchant configuration and maintenance; transaction-status, receipt and reconciliation visibility; and all settlement, refund, support, rental or service charges under your agreement.

When will a merchant receive money after a UPI transaction?

There are two events that are often confused:

  • Payment confirmation: the customer’s UPI payment may be confirmed immediately and UPI operates around the clock.
  • Merchant settlement: the acquirer transfers or makes the proceeds available in the merchant pool account or merchant bank account under the commercial and operational agreement.

NPCI’s merchant FAQ states: “Merchant will receive the money immediately after customer confirms the payment into the merchant Pool bank account/ merchant bank account as per their agreement.” The important qualification is “as per their agreement.” It means the sentence is not a universal promise that every merchant’s ordinary bank account will show funds at the same moment as the customer’s success screen.

Before going live, ask the acquirer to define the settlement account, settlement cycle, cut-off times, weekends and holidays, minimum payout rules, holds or reserves, and the report that proves which transactions were included. Keep that written schedule with your contract. A provider may make funds visible in a pool account first and transfer them to a linked bank account on a separate cycle; only your agreement can establish the applicable arrangement.

How to handle a customer-side pending transaction

NPCI’s customer FAQ describes a pending case in which the payer’s account has been debited but the beneficiary has not yet been credited. It attributes the delay to the beneficiary bank and says the funds are expected after the bank completes its daily settlements. That customer-side guidance is not a merchant payout service-level agreement.

Do not release high-value goods solely because a customer shows a debit notification or a screenshot. Check the merchant-side status in the acquirer’s dashboard, point-of-sale application or bank report. If it remains pending, record the transaction reference, amount and time, and contact the acquiring bank through its merchant support route.

What charges apply to UPI merchants?

There is no single fee that can be quoted for every merchant arrangement. Separate the following questions:

  • Customer charge: NPCI’s FAQ says customers pay no charge for UPI transactions involving linked prepaid payment instruments (PPIs). This describes the customer side of that specified transaction type.
  • Merchant acquiring charges: Your contract may set out acquiring, gateway, service, rental, integration, support or other charges. Check the current tariff schedule and whether a fee is recurring, per transaction, tax-inclusive or subject to a minimum.
  • Instrument- or category-specific rules: A rule for one payment instrument or merchant category cannot be generalized to all UPI payments.

NPCI’s 2022 operating circular for RuPay credit cards linked to UPI describes use of the existing UPI settlement process and includes nil MDR for a defined small offline merchant category on transactions up to ₹2,000. That is a limited rule tied to the circular’s stated card instrument, merchant category and transaction conditions. It is not a universal zero-fee rule for UPI acceptance.

An RBI source concerning unbundling MDR for card categories addresses transparency in card acquiring. It is not a complete, current tariff for UPI merchant acceptance. If your acquirer mentions card MDR rules, verify the current applicability and read the UPI-specific commercial schedule separately.

If a customer returns goods or rejects a service, how does the merchant refund the money?

NPCI’s merchant FAQ says: “Merchant will ask the bank to refund the charged amount as per the defined process.” In practice, start with the acquiring bank or provider that processed the merchant transaction, not with an improvised transfer to a different customer account.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Locate the original transaction using the UPI reference, order or invoice number, date, amount and customer-facing status.
  2. Confirm that the return or service-rejection decision meets your business policy and that the original payment is eligible for the acquirer’s refund workflow.
  3. Submit the refund through the merchant dashboard, point-of-sale system or support channel specified by the acquirer.
  4. Record the refund request and the provider’s acknowledgement or refund reference alongside the original transaction.
  5. Reconcile the eventual debit or adjustment against the settlement report and tell the customer what reference to quote if the credit does not appear.

NPCI’s FAQ does not state one refund deadline for all acquirers. Do not promise “instant” or a fixed number of hours unless your own provider’s written terms support it. A refund can have a different customer-credit timeline from the merchant’s internal acknowledgement, so retain both references.

Where does a merchant register a complaint about a UPI transaction?

NPCI directs merchants to their acquiring bank to raise a grievance or check UPI transaction status. Give the bank the transaction reference, amount, date and time, merchant identifier, customer-facing result, settlement batch or report, and any refund acknowledgement. Supplying a complete record helps the support team distinguish a declined payment, a pending payment, a successful payment not yet settled, and a processed refund.

Use the acquirer’s escalation path if the first support response does not resolve the case. Keep ticket numbers and replies with the reconciliation file. A payment application’s customer support channel may help the payer, but it is not a replacement for the merchant’s acquiring-bank route.

A daily reconciliation routine that prevents most UPI disputes

Settlement timing and status problems become harder to resolve when the merchant has no transaction trail. At each closing period:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Export or record the acquirer report for the period.
  • Match each sale to the UPI reference, order or invoice number and amount.
  • Separate successful, failed, pending, reversed and refunded entries.
  • Compare the report’s settlement batch with the bank or pool-account credit shown under your agreement.
  • Record deductions, taxes or service charges exactly as listed in the tariff and settlement statement.
  • Open a support case for unmatched entries and retain the case reference until the books are corrected.

Never mark an order paid solely because a QR was scanned. Require a confirmed merchant-side result, especially when the customer reports a debit but the checkout remains pending.

Special case: UPI Pay by Points

NPCI’s Pay by Points FAQ describes a feature-specific settlement treatment: the merchant receives the full transaction amount under the standard UPI settlement process, while the split between points and credit is handled internally between the issuer and NPCI. Refunds for those payments go back to the original payment method, with points credited back to the rewards account.

Apply that description only when the transaction is actually a Pay by Points payment. It does not change the ordinary rule that your acquiring agreement controls merchant settlement, support and operational handling for other UPI transactions.

Merchant checklist before accepting the first live payment

  • Acquirer and merchant-support contacts are documented.
  • Merchant identifier, MCC and displayed business name are correct.
  • The selected QR, intent, application-based or collect flow has been tested.
  • The settlement account, cycle, cut-offs and adjustment rules are written in the agreement.
  • Refund initiation, acknowledgement and customer-credit handling are understood.
  • The current fee schedule distinguishes customer charges from merchant charges.
  • Staff know to verify merchant-side status rather than relying on screenshots.
  • Daily reports can be matched to orders, refunds and bank credits.

Provider contracts, fee schedules, circular amendments and refund workflows can change. Recheck the terms with your own acquiring bank whenever you change account details, checkout software, payment instrument or business category.
