Ultimatix HRMS Software: Features, Pricing, TCS Portal Confusion, and Alternatives

Ultimatix is not one universally available product. The name refers either to TCS Ultimatix, an internal Tata Consultancy Services intranet and employee-services portal, or to Ultimatix HCM Suite, a commercial HRMS and payroll platform marketed by Orange Technolab Pvt. Ltd. TCS does not present its internal portal as software that outside companies can license. Orange’s product is the one businesses can enquire about for payroll, attendance, leave, recruitment and broader workforce management.

If you are a TCS employee looking for portal access, you need your employer’s official TCS channel—not a commercial HRMS demo. If you are evaluating software for your company, assess Orange Ultimatix as a quote-based HRMS and verify every module, statutory jurisdiction, integration and security control during procurement.

What does “Ultimatix HRMS” mean?

HRMS (human resources management system) generally combines employee records, payroll, attendance, leave and employee self-service. HCM (human capital management) is a broader term that can include recruitment, onboarding, performance, learning, workforce planning and analytics.

Orange Technolab markets Ultimatix HCM Suite as an employee-lifecycle platform covering hiring through retirement and rehire. Its website also uses related names such as Ultimatix Payroll & HRMS and Orange Payroll & HRMS. These names describe the commercial Orange product, not proof of a relationship with TCS. The vendor’s product and company information is available at payrollsoftware.co.in and its About Us page.

TCS uses the name for an internal corporate portal. TCS annual-report material describes Ultimatix as its intranet supporting internal HR, finance, project-management, employee-self-service and reporting processes (TCS Annual Report 2025–26; TCS Corporate Sustainability Report). It is not advertised as a public HRMS subscription.

Orange’s terms identify its Ultimatix Mobile Payroll Application as a service operated by Orange Technolab (terms and conditions). Nothing in the cited material establishes that Orange’s product is owned by, endorsed by or supplied by TCS.

Features advertised for Orange Ultimatix HCM Suite

Core HR and employee records

The vendor describes an employee data centre for maintaining records. Before signing, ask to see custom fields, document storage, employment-history tracking, organizational hierarchy, multi-location and multi-entity support, role-based access, import/export formats, audit logs, retention rules and deletion controls. Public pages do not provide a full data model, API specification or independent implementation evidence, so treat these as demonstration and contract requirements.

Payroll and statutory processing

Advertised payroll functions include salary processing, payslips, salary registers, attendance-linked payroll, leave and overtime, allowances, deductions, loans, advances, bonuses, encashment, tax deductions, exit settlement and payroll reporting. Orange’s contact page references Provident Fund, ESI, Professional Tax, income tax and LWF, as well as international items such as NHIF, NSSF, PAYE and LST (contact page).

Those references are not a guarantee of automatic compliance everywhere. Confirm supported countries, tax years, employee classifications, statutory-rule update responsibility, payroll calendars, bank-file formats, local payslip requirements, compliance reports and who fixes legal changes. Run parallel payroll before production.

Attendance and time tracking

Orange markets digital attendance with payroll integration and biometric connectivity (digital attendance). Its mobile material describes GPS and selfie attendance, attendance correction and anti-spoofing controls (mobile app).

Ask specifically whether attendance works offline; how missed or duplicate punches are corrected; whether employees can work across locations; whether GPS or selfie checks are optional; how inaccurate GPS is handled; how biometric and facial data are stored; and whether shift, overtime, night-shift, holiday and grace-period rules feed payroll automatically or require approval.

GPS and selfie monitoring can conflict with privacy obligations, employee-consent requirements, battery constraints and false-rejection risks. Document the purpose, retention period, access controls and opt-out or exception process before deployment.

Leave, employee self-service and manager workflows

The vendor says employees can view payslips and leave details, submit attendance corrections and cancel leave through the dashboard. The mobile page lists profile access and salary-slip viewing. Confirm the exact edition and workflow for leave requests, approval chains, balances, cancellation, attendance regularization, personal-data updates, UAN and employee identifiers, manager self-service, notifications and browser-versus-mobile parity.

Recruitment and onboarding

Orange markets requisitions, career-portal postings, applicant sourcing and applicant tracking through its recruitment module (recruitment). Recruitment and onboarding are also listed among add-on modules. Verify job-board connections, candidate communications, interview scheduling, résumé parsing, offers, background checks, e-signatures, candidate portals and analytics rather than assuming they are included.

The company page mentions AI integration for recruitment and letter-generation workflows (About Us), but it does not establish the models, safeguards, countries, training-data practices or independent performance results.

Talent, performance, learning and rewards

Advertised talent capabilities include a skills matrix, performance-management functions, training and rewards and recognition. The talent page describes assessing proficiency and interests through a skills matrix (talent management). Ask for evidence of goal setting, appraisal cycles, competency tracking, development plans, succession planning, training assignment and reward approvals. Directory listings provide little meaningful independent review evidence, so a live demonstration and customer references matter.

Expenses, claims, travel and help desk

Orange lists expense, loan, claim, travel, help-desk and HR-workflow features. Its help-desk page describes ticket assignment by role, issue-resolution tracking, reminders and audit trails (help desk). Verify policy configuration, mobile receipt capture, mileage, approval limits, SLA escalation, separate queues for HR/payroll/accounts, employee-record linking and exportable audit trails.

Mobile application

Orange says the app is available for Android and iOS and promotes profiles, attendance, regularization, GPS/selfie attendance and salary-slip access (mobile app). Request a live test of authentication, identity management, leave approval, payslip retrieval, correction workflows, notifications, offline behavior, supported devices and administrator controls. Do not rely on unverified app-store versions, permissions or ratings.

Reporting and analytics

The suite is marketed with management dashboards, reports and workflow modules. Ask which reports are standard, which are configurable, whether data can be exported, how report permissions work, whether payroll and attendance data reconcile, and whether an API or scheduled data feed is available. Public product pages do not establish the depth or maintenance status of every integration.

Pricing and buying route

The official site does not publish a dependable standard price list. Orange directs prospects to contact and demo discussions through its contact page. Expect a quote influenced by employee count, modules, deployment model, geography, integrations, migration and customization.

Third-party directories conflict: Software Advice and Capterra display $0.01 per user per year (Software Advice; Capterra), SoftwareSuggest shows a requirement-dependent signal of $1 per employee per month (SoftwareSuggest), ExportersIndia shows ₹80,000 per piece (ExportersIndia), and Techjockey says price is available on request (Techjockey). These are not corroborated official rates and should not be used to budget a deployment.

Cloud, on-premises and security questions

Orange says both cloud and on-premises deployment are available and describes a target range of approximately 50 to 50,000 users (About Us). That range is a vendor statement, not an independently verified performance benchmark.

The same page references ISO 27001/27002, SOC 2 and CERT-In-related credentials or memberships. Ask for the current certificate, scope statement, expiry date and whether it applies to the organization, product or hosting environment. Also request:

  • Hosting location and customer-region choices.
  • Encryption at rest and in transit.
  • Single sign-on, multifactor authentication and role-based access.
  • Backup frequency, disaster-recovery design, recovery-point objective and recovery-time objective.
  • Penetration-test summaries and vulnerability-management procedures.
  • Subprocessors and administrator access controls.
  • Data export, deletion and assistance when the contract ends.

On-premises deployment may help with internal-control or residency requirements, but the customer assumes more responsibility for infrastructure, upgrades, patching, backups and recovery. Cloud deployment reduces that operational burden but requires clear contractual answers about hosting, access and exit.

Orange’s terms state that descriptions, pricing and availability can change and may contain inaccuracies (terms and conditions). Put the demonstrated configuration, service levels, security commitments and support scope into the contract.

Who is likely to fit—and who may not?

Potentially strong fit

  • Indian organizations needing payroll, attendance, leave and employee self-service together.
  • Employers requiring biometric, GPS or mobile attendance options.
  • Businesses wanting cloud or on-premises deployment.
  • Mid-sized or enterprise implementations that can support configuration and testing.
  • Buyers seeking local payroll workflows and vendor-led customization.

Potentially weak fit

  • Very small businesses demanding transparent, self-service pricing and a rapid setup.
  • Global employers needing deeply documented payroll across many jurisdictions.
  • Teams requiring a large, independently verified integration ecosystem or extensive public API documentation.
  • Buyers who prioritize a best-of-breed recruiting, performance or engagement product.
  • Organizations unwilling to govern GPS, selfie or biometric monitoring.

Public review activity is limited on major directories, so satisfaction, usability and implementation quality are difficult to compare objectively. Request references from organizations with similar headcount, geography, payroll complexity and deployment model.

  1. Define scope: list entities, locations, employee types, pay frequencies, modules, integrations and required reports.
  2. Validate statutory rules: document jurisdictions, tax regimes, provident-fund/insurance rules, leave, overtime, termination and update responsibilities.
  3. Prepare data: clean employee identifiers, salary components, opening balances, documents, leave history and organizational hierarchies; agree import templates and retention rules.
  4. Test attendance: connect biometric or mobile sources, test offline and location exceptions, approve corrections and reconcile shifts, overtime and leave.
  5. Run parallel payroll: compare several cycles with the incumbent process, including new hires, exits, bonuses, arrears, loans, tax changes and bank files.
  6. Complete security review: verify hosting, access, MFA, encryption, backups, recovery objectives, subprocessors, audit logs and export/deletion procedures.
  7. Perform user acceptance testing: have HR, payroll, managers and employees test real workflows on web and mobile.

For the commercial product, the sensible next step is a tailored demo and quote using your actual payroll, attendance, leave and approval workflows. Do not budget from directory prices or assume that a listed statutory, security, integration or global feature applies to your country or edition until Orange demonstrates and documents it.
