It should connect estimates, client records, project time, expenses, payment collection, reminders and, when needed, recurring billing. Easy Invoice, Invoize and Sprout Invoices all advertise combinations of those functions, while WooCommerce invoice extensions are primarily for documents attached to store orders. A hosted service such as FreshBooks can be a better fit when you want project management and reporting outside WordPress.

What a client-work invoicing plugin must handle
A freelancer or agency normally starts with a lead, sends an estimate or quote, records an approval, delivers work, tracks time and expenses, issues an invoice, accepts payment and follows up on overdue balances. A useful plugin keeps those steps connected instead of making you copy totals between unrelated tools.
Recommended Free Tools
- Estimates and quotes: Create a proposal with scope, rates, taxes and expiry dates, then preserve it when the client approves.
- Quote-to-invoice conversion: Turn an accepted estimate into an invoice without re-entering line items.
- One-time and recurring billing: Support deposits, milestones, retainers or subscriptions where your contracts require them.
- Payments and status updates: Offer gateways your clients can use and mark invoices paid automatically when the gateway confirms settlement.
- Project economics: Attach tracked hours and reimbursable expenses to the right client or project.
- Collections and compliance: Send reminders, apply late fees when lawful, and produce tax or e-invoice data required in your jurisdiction.
- Collaboration and records: Give teammates appropriate roles, retain an audit trail and synchronize with accounting software where necessary.
Feature names and limits change by release and license. Treat every paid-tier statement as something to confirm on the vendor’s current listing before you buy.

- Two-Part Carbonless Invoice Book: Each invoice book has 50 sets of invoices, each with a white/light yellow section, with the yellow section retained in the invoice book to maintain detailed records.
- Consecutively Numbered: Enlarged red 6-digit numbers in the upper right corner of each invoice receipt book help you quickly navigate through your orders.
- Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
- 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
- Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.

Easy Invoice: the broadest WordPress-native feature list
The Easy Invoice listing describes invoice and quote creation, payment options, WooCommerce invoicing and accounting integrations. Its Professional tier lists time tracking, project billing, billable expenses, reminders, late fees, e-invoicing, client-language settings and retainers. Agency features include white-labeling, team roles, an audit log, accounting synchronization and webhooks.
When it fits
Choose this route when your work spans estimates, tracked hours, reimbursable costs and recurring retainers, and you want those records in WordPress. The Agency capabilities are relevant to an agency where several people prepare or review invoices.

What to verify
- Which features are available in the current free, Professional and Agency licenses.
- Whether your payment gateway can return a reliable paid-status notification.
- Compatibility with your WordPress and PHP versions, theme and accounting package.
- Whether its e-invoicing output meets the format and signing rules in your country.
These are vendor claims from the directory listing; they do not establish speed, support quality or upgrade safety.
Invoize: quotations, PDFs and recurring invoices
Invoize advertises PDF invoices, packing slips, quotations and WooCommerce invoicing. Its Pro description says recurring invoices are supported and that an accepted quotation can be converted into an invoice.
When it fits
It is a logical candidate if your process is quote-led and you need polished PDF documents, or if one WordPress installation serves both service clients and a WooCommerce catalog.

- QUALITY INVOICES: Adams Order books provide a professional invoice or customer receipt; a great way to create and maintain a professional image for small businesses and service providers
- 50 TWO-PART CARBONLESS FORMS: Customers get the perforated white top copy; retain the canary and pink copies for your records
- WRAP-AROUND COVER: Fold the back cover between sets to keep invoices neat and legible
- ROOM FOR CUSTOMIZATION: A blank space at top leaves room for your company stamp; a big savings over custom-printed forms
- CONSECUTIVELY NUMBERED: Large 6-digit numbers in the upper right hand corner help you thumb through orders quickly
Payment caveats
The listing indicates that some payment integrations and automatic paid-status updates depend on the plan. Confirm that the gateway you use is available in your country and that its callback changes the invoice status without manual reconciliation.
What the listing does not establish
It does not specify a time tracker, project-billing module, expense workflow, client portal or team permission model. If those are essential, treat them as open requirements rather than assumed features.
Sprout Invoices: connect forms, estimates and client billing
Sprout Invoices describes client invoicing and estimates, payment options, imports, WooCommerce integration and connections with form plugins that can generate invoice or quote workflows.
When it fits
This approach suits a site that already collects project briefs or order details through WordPress forms and wants those submissions to feed an estimate or invoice process. Imports can also matter when moving existing client records.
Questions to answer before deployment
- Which form plugins and payment methods are supported by the version you plan to run.
- How an approved estimate becomes an invoice and whether line-item history is retained.
- Whether recurring invoices, time entries, expenses and client self-service are available in your chosen license.
- How exports map to your accountant’s chart of accounts.
The directory entry does not provide comparative performance data, so test the complete form-to-payment path on a staging site.

WooCommerce invoice extensions generally create documents for orders: invoices, receipts, credit notes, delivery notes and packing slips. The WordPress invoice tag directory groups many tools around printing or generating those order documents. That is useful for ecommerce fulfillment, but an order number is not the same thing as a consulting engagement with an estimate, milestones, hours and reimbursable costs.

| Need | Service-client workflow | WooCommerce order-document workflow |
|---|---|---|
| Starting record | Client, project brief, proposal or estimate | Checkout order and product line items |
| Billing basis | Hours, milestones, retainers, expenses or fixed scope | Products, quantities, shipping and order fees |
| Typical documents | Estimate, progress invoice, final invoice, receipt | Invoice, packing slip, receipt, credit note |
| Key automation | Accepted quote to invoice, reminders, recurring billing | Generate or email documents when order status changes |
| Best environment | Freelance, consulting, agency and other project services | Online store fulfillment and tax documents tied to orders |
Some products span both categories. Invoize advertises WooCommerce invoicing alongside quotations, and Easy Invoice lists WooCommerce support. A combined site should still decide whether a service invoice and a store-order invoice need different numbering, tax rules, templates and payment reconciliation.
The directory description also identifies Sliced Invoices as covering invoices, quotes, online payments, clients, reports, exports and taxes. Consider such a tool only after confirming that its current release and integrations match your workflow; the directory entry alone is not a usability or compliance test.
When a hosted service is the better choice
FreshBooks describes a hosted workflow that tracks hours and client expenses, turns those records into invoices, supports recurring invoicing, and includes project management and reporting. Because it runs outside the WordPress admin, it can keep billing available even when the website is being redesigned or maintained.
Choose hosted software when
- Your core records are projects, timesheets and expenses rather than website content.
- Several team members need access without WordPress administrator accounts.
- You want reporting and client billing in one system and only need a website for marketing or lead capture.
- You prefer the provider to manage backups, application updates and payment infrastructure.
Stay WordPress-native when
- Clients already submit forms or place orders on your site and you want a short path from submission to invoice.
- You need invoice templates and data stored alongside WordPress content.
- You can maintain plugin updates, security, backups and gateway configuration yourself.
Check data-export options, accounting integrations, regional tax support and user permissions before moving client financial records to either model.
How to choose the right plugin for your workflow
- Describe one real engagement. Write down whether you send a quote, take a deposit, bill hourly or by milestone, pass through expenses, and invoice once or repeatedly.
- Separate must-haves from conveniences. For example, automatic paid status may be mandatory, while white-labeling may be optional.
- Map each requirement to a documented feature tier. Mark anything described only for Professional, Agency or Pro plans so a free installation is not mistaken for the complete system.
- Confirm regional payment and tax behavior. Verify gateway availability, currency, tax-inclusive or tax-exclusive totals, numbering rules, credit notes and any mandated e-invoice format.
- Check the handoff to accounting. Determine whether invoices, payments, taxes, refunds and fees export or synchronize with your accounting package without duplicate entries.
- Test on staging. Create a sample client, quote, conversion, payment, refund and overdue reminder. Confirm emails, PDFs, numbering and permissions before using live data.
- Plan for migration. Ask how you will export clients and invoices if the plugin is replaced, and retain legally required records independently of WordPress.
Implementation checklist for a WordPress invoice workflow
1. Prepare the site
Take a full backup and use a staging copy when possible. Update WordPress, PHP, your theme and related plugins to versions supported by the invoicing tool. Install through Dashboard → Plugins → Add New or the vendor’s documented package, then review activation notices for required extensions.
2. Enter business and document settings
Set the legal business name, address, tax identifiers, currency, date format, invoice prefix and starting number. Configure payment terms and a late-payment policy that complies with your contracts and local law. Use separate numbering or document types if service invoices and WooCommerce orders must be reported differently.

- WIDE APPLICATION - Sales reciepts/invoice book for small business is ideal for restaurants, food trucks, vendors, service provider, photographers, caterers, florists, bakeries, cafes, boutiques and salons
3. Configure client and project data
Create a test client with a billing address and tax status. Add a project or service category, then define hourly rates or fixed-price line items. If you bill expenses, decide which receipts or notes must be stored and who can approve them.
4. Build the estimate-to-invoice path
Create an estimate with scope, assumptions, validity date, taxes and acceptance instructions. Accept it as the client would, convert it using the plugin’s documented action, and compare every line and total with the estimate. Never assume that conversion is available in a free tier simply because the plugin supports estimates.
5. Connect payments and notifications
Enable only gateways available to your business. Use sandbox or test mode where offered, pay a test invoice, and verify that the callback changes status once—not twice—and that a receipt or confirmation reaches the client. Send a test reminder from a non-production address before enabling automatic notices.
6. Exercise recurring billing and retainer cases
If you sell retainers or subscriptions, test the schedule, failed-payment behavior, cancellation, proration and numbering. Confirm whether recurring invoices are generated automatically or require manual approval, and whether that function is restricted to a paid license.
7. Lock down access and records
Give staff the least privilege needed to draft, approve or send invoices. Review audit logs when available, enable two-factor authentication for administrator accounts, and schedule off-site backups. Export a periodic copy of invoices, payments and client data so a plugin failure does not erase your accounting history.
Common failure modes and fixes
Payments remain “pending” after a client pays
Check that the gateway’s webhook or return URL is reachable, that the site is not blocking it with a security or caching rule, and that the gateway account is in live mode. Reconcile the transaction manually only after confirming whether the callback arrived; otherwise you can create duplicate payment records.

Quote totals change during conversion
Compare tax settings, currency precision, discounts and item-level rounding between the estimate and invoice templates. Lock rates for the engagement and retain the accepted estimate as the contract record.
Emails or PDFs look wrong
Send a test to multiple mail providers, inspect the generated PDF on desktop and mobile, and check font, logo and address fields. A theme or PDF library conflict may require disabling one integration on staging before changing live settings.
WooCommerce orders and service invoices mix together
Use distinct document prefixes, templates and tax mappings, or route one workflow to a dedicated system. Do not force product-order fields to represent hours, milestones or project expenses.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsStaff can see more financial data than intended
Review plugin roles, WordPress capabilities and connected accounting permissions. Remove unused administrator accounts and test access with a non-admin user before inviting clients or contractors.
Bottom line: match the plugin to the billing model
Start with Easy Invoice if the advertised Professional or Agency features match a service business that needs time, expenses, reminders, retainers or team controls. Consider Invoize when quotations, PDF documents, recurring invoices and a possible WooCommerce combination are central. Consider Sprout Invoices when WordPress forms and estimate workflows are the starting point. If project management, time tracking, expenses and reporting should live together outside the website, evaluate a hosted service such as FreshBooks instead. In every case, verify current licensing, compatibility, payment-region support and tax or e-invoice compliance before moving from a test invoice to real client billing.
