Top Reasons to Outsource IT Services in 2026—and When It Makes Sense

Outsourcing IT can give an organization access to specialist skills, extra capacity, or defined operational and security coverage without hiring every role in-house. It is most useful when the work is clearly scoped and the provider’s responsibilities, access, service levels, and costs are documented. It does not transfer the organization’s responsibility for protecting its systems and customer information.

Why organizations outsource IT services

Fill a specialist skills or capacity gap

Hiring and retaining every technical specialty can be difficult, particularly for smaller organizations. NIST identifies specialist third parties as one option for small businesses that lack the expertise, resources, or budget to hire in-house. A UK government study of the cyber-skills labor market also describes outsourced cybersecurity as a way to address skills gaps. Neither finding guarantees that a particular provider has the skills your organization needs: verify experience against your systems, risks, and required coverage.

Cover defined operations without moving all IT outside

Managed service providers may handle cloud solutions, infrastructure management, IT service management, or managed security. A business can outsource one function or a limited set of tasks while keeping other systems and decisions in-house. UK government research on managed service providers describes these service categories, while UK cyber-skills findings show that businesses outsource particular cybersecurity tasks rather than necessarily transferring all IT operations.

Add security processes or coverage

Outside support may be worth considering for work that requires specialist processes or coverage, such as malware response, firewall configuration, or incident recovery. In the UK Department for Science, Innovation and Technology’s 2026 cyber-skills study, 35% of businesses reported outsourcing at least one aspect of cybersecurity. Among businesses that outsourced any of the listed basic cybersecurity areas, malware detection and removal was outsourced by 84%, firewall configuration by 83%, and incident response or recovery by 83%. These percentages describe different questions and denominators; they are UK survey results, not estimates for all countries or for IT outsourcing generally.

The same study found that 23% of UK businesses outsourced at least one of the listed advanced cybersecurity functions. Among businesses outsourcing any of the listed basic areas, 29% had outsourced all nine. The figures suggest that outsourcing can be selective, but do not establish that a particular operating model improves security.

Bring in expertise for cloud adoption or change

Cloud work can involve procurement terms, performance measures, cybersecurity responsibilities, continuous monitoring, and staff training. The U.S. Government Accountability Office reported that 18 surveyed private-sector companies described practices in these areas, alongside needs for additional training and investment in cybersecurity tools. That small, specific sample is not a representative estimate of all companies. It does illustrate why outside help may complement, rather than replace, internal ownership and investment.

Is outsourcing IT cheaper?

It can change how an organization pays for IT, but the evidence cited here does not establish that outsourcing is universally cheaper or quantify typical savings. Compare the full cost of each model, not just a provider’s monthly fee. Include transition work, tools, retained employees, internal oversight, and the cost of maintaining service continuity. Also account for contract terms and the effort needed to manage the provider.

UK government research estimated combined managed-services revenue of £52.6 billion for the UK sector in 2022. That is a historical estimate of sector revenue—not 2026 revenue, a global market figure, or evidence of customer savings.

What IT services should a small business outsource?

Start with a specific gap or function, rather than outsourcing everything by default. Potential candidates include cloud or infrastructure management, IT service management, and selected cybersecurity tasks such as malware detection, firewall configuration, or incident response. Choose based on the skills and hours of coverage you need, the sensitivity of the systems involved, and whether you can retain clear internal ownership of decisions and risks.

For context, a separate UK Cyber Security Breaches Survey for 2025/2026 found that 48% of businesses had an external cybersecurity provider. Its measure differs from the 35% figure in the cyber-skills study. The survey reported rates of 44% for micro businesses, 64% for small businesses, 70% for medium businesses, and 42% for large businesses. These are UK survey findings from a distinct measure; they should not be treated as global rates or proof that external provision is the right choice for every business.

How to choose an operating model and provider

Compare internal, co-managed, and fully outsourced arrangements against the work you actually need done. A co-managed model can divide work between an internal team and a provider; the contract should make the handoffs explicit. Before committing, document these points:

  • Scope: List included functions, excluded work, systems covered, and who approves changes.
  • Skills and coverage: Match the provider’s expertise and hours of coverage to your requirements, including escalation outside normal business hours if needed.
  • Total cost: Include transition, tools, retained staff, oversight, and any other costs required to keep operations running.
  • Access and supplier risk: Identify what facilities, systems, and data the provider can access, where that data is handled, and how supplier security and jurisdiction risks will be assessed.
  • Responsibilities and incident handling: Document shared cybersecurity responsibilities, service levels, performance measures, escalation routes, and incident-response arrangements.
  • Continuity and exit: Specify documentation, knowledge transfer, access removal, transition assistance, and how service will continue if the arrangement ends.

GAO’s cloud practices report supports defining a business case, negotiating clear terms, and assessing performance. Australian Signals Directorate guidance recommends assessing supplier risk, documenting shared responsibilities, and keeping an up-to-date register of managed services—including providers that can access facilities, systems, or data.

What outsourcing does not change

A provider can perform agreed work, but outsourcing does not hand over your organization’s responsibility for protecting its systems and information. NIST states: “Recognize that even when you outsource some of your cybersecurity needs, you do not transfer your liability for protecting your business and your customers’ information.”

The Australian Signals Directorate likewise says an organization still needs to decide whether an outsourced cloud service represents an acceptable security risk and, where appropriate, authorize it for its own use. Treat provider access, shared duties, and incident arrangements as part of your organization’s risk decisions—not as matters settled simply by signing a contract.
