Top 10 Cloud Storage Services for Business: A Buyer’s Shortlist by Fit

There is no single best cloud storage service for every business. The right pick depends mostly on the productivity suite your team already uses, how much outside sharing you do, and what your security or compliance rules require. Capacity matters less than most pricing pages suggest.

If you want a starting point, use this rule. Microsoft 365 shops should begin with OneDrive for Business and SharePoint. Google Workspace shops should begin with Google Drive. Teams that want a dedicated file-sharing product can start with Dropbox, Box or pCloud Business. The remaining entries, Sync.com, Egnyte, IDrive and AWS, suit narrower needs and are explained below.

As an Amazon Associate I earn from qualifying purchases.

This is a shortlist of ten candidates organized by fit. It is not a lab-tested ranking. We have not benchmarked these services against each other, and the sources behind this guide do not support calling any of them the cheapest, the most secure or the best overall. Where a provider’s plan details change often, the guide points you to the vendor’s own page instead of quoting a number that may be stale.

Quick pick: which service to check first

Your situation Check first Why
Your team lives in Word, Excel, Teams and Outlook OneDrive for Business and SharePoint Storage, sharing and co-editing sit inside the suite you already administer.
Your team lives in Gmail, Docs and Meet Google Workspace (Google Drive) Drive is the file layer of Google’s business suite.
You want a standalone sync-and-share tool that isn’t tied to an office suite Dropbox, Box, pCloud Business Dedicated products with their own sharing, permission and version features.
You want a lower-profile alternative or a different security or backup angle Sync.com, Egnyte, IDrive Named in a secondary top-ten comparison; verify current business plans directly with each vendor.
You need infrastructure-level storage or backup, not a shared drive for staff AWS storage A different category from a collaborative file drive, and it needs technical staff.

How this shortlist was built and what “best” means

The list draws on official vendor documentation and plan pages from Microsoft, Google, Dropbox, Box and pCloud. It also draws on an institutional storage comparison from Caltech’s IT group (updated January 2026), and one secondary top-ten article from Business.com. The vendor pages are the authority for what a plan includes. The Caltech page is useful mainly for the questions it asks, because its allocations and prices apply to Caltech’s own users.

#1 Best Overall
Seagate 2TB Portable Hard Drive | USB 3.0 (STGX2000400) | Everyday HDD storage. Plug-and-play backup. Windows & macOS. Adobe CC trial included. 1-Year Warranty
  • Easily store and access 2TB to content on the go with the Seagate Portable Drive, a USB external hard drive
  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

Two practical consequences follow. First, entries are described by fit, and the depth of detail differs because the verifiable detail differs. Second, every price in this guide should be treated as a starting point. Vendors vary prices by region, billing term and plan, so confirm them on the vendor’s page for your country before you budget.

What to compare before you look at price

A headline storage figure tells you very little. These seven points decide whether a service works for your business:

  1. Capacity model. Is storage allocated per user, pooled across the organization, or both? Microsoft, for example, documents per-user OneDrive allocations alongside tenant-wide pooled limits, so you need to check both numbers.
  2. Sync and offline access. Does the desktop client keep files on the device, stream them on demand, or both? Can people work offline on laptops and phones?
  3. External sharing. Can you set link expiry, passwords, view-only access and guest accounts? Can an admin restrict who may share outside the company?
  4. Co-editing and integrations. Can several people edit one document at once? Does the service connect to the email, chat and office tools you already pay for?
  5. Administration, security and recovery. Look for permission controls, activity monitoring, version history, deleted-file recovery, encryption and any compliance features your industry requires.
  6. Devices and migration. Check the operating systems you support, and how you will move existing files, folder permissions and shared links.
  7. Total annual cost. Multiply the per-user price by your real headcount. Include minimum seat counts, required add-ons and the difference between monthly and annual billing.

Caltech’s comparison covers several of the same axes: team content storage, collaboration, and backup versus working storage. That supports treating these as the usual dimensions. Do not borrow its storage amounts or prices for your own planning.

The ten services, grouped by fit

Group 1: Suite-based storage

1. Microsoft OneDrive for Business (Microsoft 365)

Best fit: organizations already on Microsoft 365.

Microsoft’s OneDrive service description (last updated 2026-07-23) covers work file storage, sharing, collaboration, sync and administration. It lists 1 TB per user for Microsoft 365 Business Basic, Business Standard and Business Premium. E3 and E5 plans start at 1 TB per user and can be increased to 5 TB. Tenant pooled storage limits still apply, so a large team cannot assume that every seat can use its full allocation.

Microsoft’s plan comparison page shows features such as link controls, version history, offline files and encryption. Which of those you get depends on the plan and your market, so read the plan row for the exact tier you intend to buy.

Rank #2
Seagate Portable 1TB External Hard Drive HDD – USB 3.0 for PC, Mac, PlayStation, & Xbox, 1-Year Rescue Service (STGX1000400) , Black
  • Easily store and access 1TB to content on the go with the Seagate Portable Drive, a USB external hard drive.Specific uses: Personal
  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop. Reformatting may be required for Mac
  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

Watch for: OneDrive is designed as personal work storage. Files that a whole team needs to own belong in a shared location, which is where SharePoint comes in.

2. Microsoft SharePoint

Best fit: team sites, departmental document libraries and organization-wide files inside Microsoft 365.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft’s OneDrive documentation describes SharePoint as better suited to advanced content management and to files shared across the organization. Caltech’s comparison also lists SharePoint for team content storage and collaboration in its own environment. SharePoint is not a standalone cloud-drive subscription in the way Dropbox is. In practice you get it as part of a Microsoft 365 plan, and the two products are usually planned together: personal working files in OneDrive, shared team files in SharePoint.

Watch for: SharePoint rewards some upfront planning of sites, libraries and permissions. A small team that only needs a shared folder may find OneDrive sharing enough.

3. Google Workspace (Google Drive)

Best fit: teams that work in Google’s business suite.

Rank #3

  • High capacity in a small enclosure – The small, lightweight design offers up to 6TB* capacity, making WD Elements portable hard drives the ideal companion for consumers on the go.
  • Plug-and-play expandability
  • Vast capacities up to 6TB[1] to store your photos, videos, music, important documents and more
  • SuperSpeed USB 3.2 Gen 1 (5Gbps)

Google Drive is the storage layer of Google Workspace. Google’s pricing page is the place to confirm which plan includes what storage, and what it costs in your region. We have not verified a feature-by-feature comparison against competitors, so check sharing controls, admin features and storage per user against your requirements rather than assuming parity with Microsoft.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Watch for: if your staff rely on desktop Microsoft Office files, test how those files open and sync in Drive before committing.

Group 2: Dedicated business file-sharing platforms

4. Dropbox for business

Best fit: teams that want a dedicated sync-and-share product independent of an office suite.

Dropbox publishes a business plan comparison. Confirm the storage allowance, minimum number of users, sharing controls and admin features for the tier you are considering, because those limits are what separate its plans.

5. Box

Best fit: organizations that want a content-management platform with administrative control over how files are shared.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Box lists its tiers on its plans and pricing page. Confirm the capacity, controls and contract terms of the specific plan before you compare it with a per-user storage drive. Box is positioned as a business content platform, so its value depends on whether you will use its governance features.

6. pCloud Business

Best fit: small teams that want straightforward per-user storage with shared folders.

The pCloud Business page describes teams and access levels, shared folders, activity monitoring, file versions, branded sharing and pCloud Drive. When accessed on 2026-10-05, it displayed 1 TB of storage per user at $7.99 per user per month with yearly payment or $9.99 per user per month with monthly billing. Treat those as volatile and market-dependent, since the page can show different amounts by location.

Worked example: at the displayed rates, ten users cost about $958.80 a year on annual billing ($7.99 × 10 × 12) or $1,198.80 on monthly billing ($9.99 × 10 × 12). That is a difference of $240 a year, and it is the kind of arithmetic worth running for every shortlisted vendor. Minimum seat requirements were not stated in the information we reviewed, so check them on the order page.

Group 3: Alternatives to evaluate directly with the vendor

Business.com’s top-ten comparison names Sync.com, Egnyte and IDrive among its picks. We could not verify their current business plan details, so the notes below are limited to what a buyer should confirm. They are not endorsements.

7. Sync.com

Appears in the Business.com list. Before shortlisting, confirm its current business tiers, per-user storage, sharing and admin controls, and how it handles co-editing with the document formats your staff use.

8. Egnyte

Appears in the same list. Ask the vendor for current plan structure, minimum users, governance and compliance features, and how its file access works with your existing storage and permissions.

9. IDrive

Appears in the same list. Confirm whether the business plan you are looking at is built for backup, for file sharing or for both, since those are different jobs and the answer determines whether it can replace a shared drive.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Group 4: Infrastructure storage

10. AWS storage

Best fit: technical teams that need backup, archive or application storage rather than a drive for office staff.

Caltech’s comparison lists AWS in an institutional backup and storage context. That is a different purpose from a managed collaborative drive: AWS storage is infrastructure that someone has to design, secure and administer, and it does not hand ordinary employees a ready-made sync client and sharing interface. Include it if you have IT capacity and a backup or archive requirement. Otherwise, one of the first six options will serve a general office better.

Per-user versus pooled storage: a worked check

Microsoft’s model shows why the headline number can mislead. A plan that gives each user 1 TB does not mean your organization can store 1 TB multiplied by every seat, because the tenant has its own pooled limit. When you price any service, ask two questions: how much can one person store, and how much can the whole company store? Then check that your largest shared project folders fit. Do not assume the answer is the same for another vendor; read each vendor’s own documentation.

How to run a two-week trial

  1. Pick two finalists. Use the first table to choose, and add one wildcard only if you have a clear reason.
  2. Move a real project folder, not sample files, including nested folders and the permissions you rely on.
  3. Have two or three people edit the same document at the same time, one of them on a phone or tablet.
  4. Share a file with an outside contact using the strictest link settings the plan allows. Check that expiry, password and view-only options behave as the plan page says.
  5. Delete a file and restore a previous version, and note how long recovery takes and who can do it.
  6. Confirm your annual cost at your actual headcount, including add-ons, and compare it with what you pay today.

Common selection mistakes

  • Buying on storage alone. Sharing controls, recovery and admin features are usually what you will miss later.
  • Using institutional or regional prices. Caltech’s allocations apply to Caltech, and vendor prices vary by market and billing term.
  • Treating backup and file sharing as the same job. A tool that protects data and a tool that lets teams collaborate on it can be separate products.
  • Ignoring tenant limits. Per-user allowances can sit under an organization-wide cap.
  • Paying for a second suite. If you already pay for Microsoft 365 or Google Workspace, you probably already have business storage. Test it before buying another service.

Verdict

Start with the suite you already pay for: OneDrive and SharePoint for Microsoft 365, Google Drive for Google Workspace. Add Dropbox, Box or pCloud Business only if a specific workflow gap shows up in your trial. Look at Sync.com, Egnyte or IDrive if their vendor-confirmed features fit a specific requirement, and reserve AWS for backup and archive work run by technical staff. Whichever you choose, verify the plan, region and price on the vendor’s own page on the day you buy.
