The right time tracker depends on what you need to manage: staff and volunteer hours allocated to programs or grants, or volunteer signups, shifts, check-ins, and hour reporting. Look for records that connect a person and date to a specific activity, program, grant, event, or task—and test the workflow your organization will actually use before choosing software.
What is volunteer time tracking software?
It is software for recording and organizing volunteer service time. Depending on the product, hours may be captured through an event check-in, a mobile app, a browser portal, or a timesheet. A useful record identifies who served, when, and what activity the time belongs to. That last detail matters when you need totals by program, grant, event, or task rather than one organization-wide number.

Some organizations also need paid employees to allocate work across grants or programs. That is related, but not identical: a shared timesheet and budget workflow may suit finance and program staff, while volunteer-first software may focus on events, shift rosters, check-ins, and self-service hour entry.

Shared staff and volunteer time allocation
If your main problem is allocating time and costs across grants, programs, teams, or tasks, assess tools built around timesheets and reporting. actiTIME says users can enter hours through a browser, mobile app, or weekly timesheet and assign entries to a program, grant, or task. It describes reports grouped by program, grant, team member, work type, or location, along with budgets, time and cost reporting, and CSV export. Its page also describes QuickBooks Online, Zapier, and API options; confirm current availability and fit directly with the vendor. actiTIME product information

Ask whether the system supports that allocation and review process rather than assuming that a general timesheet will.
Volunteer events, shifts, and self-service hours
If coordinators mainly need to publish opportunities, manage attendance, and collect hours from volunteers, evaluate tools centered on event and volunteer workflows. POINT says event check-ins can add hours automatically, volunteers can manually enter hours for other experiences, and events can be tagged to programs for grant-related reporting. It also describes impact statistics and exportable group data for corporate partners. POINT product information

How do the platforms differ?
This is a feature-oriented comparison based on vendor-published descriptions, not an independent test or ranking. Capabilities and plan terms can change, so confirm them in a product demo.
| Platform | Emphasis described by vendor | How hours are entered | Reporting described by vendor | Question to test in a demo |
|---|---|---|---|---|
| actiTIME | Staff and volunteer time, grant or program allocation, budgets, and reports | Browser, mobile app, or weekly timesheet; entries can be assigned to a program, grant, or task | Reports by program, grant, team member, work type, or location; CSV export and time/cost reporting | Can staff and volunteers use the same grant/program structure and export records in the format finance needs? |
| POINT | Event-based hours, manual hour entry, impact statistics, and grant reporting | Event check-ins add hours; volunteers can manually enter hours for other experiences | Grant-tagged events and automatic statistics; group data can be exported for corporate partners | Can check-ins handle your event or shift rules and distinguish hours by program or partner? |
| vHours | Volunteer scheduling, mobile hour logging, service history, and integrations | Vendor says volunteers can check in and log hours using its mobile apps | Grant-ready reports for some sectors; API access is listed for Agency and Enterprise tiers | Do current integrations and plan limits work with your database and roster size? |
| LiveImpact | Signup, scheduling, check-in, portal hour entry, group tracking, and reports | Kiosk or mobile check-in; volunteers can post hours through a portal | Customizable summary and detailed reports, including volunteer-hour reports | Does the signup, scheduling, check-in, communications, and reporting workflow fit without unnecessary modules? |
What records and reports should you plan for?
Start with the output you need, then work backward to the data each entry must capture. A total-hours report can be inadequate if it does not preserve the date, person, program, or supporting record needed for a grant, board report, employer volunteer program, or annual report.
- Define who records time: paid staff, volunteers, group leaders, event coordinators, or a combination.
- Choose the attribution unit: event or shift, program, task, grant, location, or functional category. Decide whether one entry must be split across multiple grants.
- Pick a capture method volunteers will use: coordinator-entered logs, weekly timesheets, a mobile app, a browser portal, QR/check-in station, or a combination.
- Set review controls: identify who can approve, correct, or audit entries; how edits are recorded; and how duplicate or partial-shift entries are handled. The vendors’ public descriptions do not establish comparable controls for every product, so ask for a demonstration.
- Check portability and integrations: test an export and confirm compatibility with your CRM, accounting, or grant systems. Do not assume a listed integration covers your specific configuration.
- Ask about operational terms: current pricing, volunteer and administrator limits, onboarding, accessibility, privacy and security, export and retention, and what happens after a trial or cancellation.
How to test whether it will save coordinators time
Do not evaluate a tool only by how quickly someone can enter an hour. Test the full path from signup through reporting with your actual rules.

- Run a volunteer through it: Have someone sign up, attend part of a shift, and accrue or submit hours using the intended capture method.
- Test coordinator corrections: Correct or approve the record, check how partial shifts and duplicates are treated, and verify whether the edit history is understandable.
- Produce the required report: Generate a grant, board, annual, or partner report and confirm that it includes the required fields and can be exported.
- Check the handoff: Confirm that staff can move the data into the organization’s existing systems without re-entering it or losing useful detail.
The key comparison is not a vendor’s feature count. It is whether your people can record the right information, coordinators can review it, and the resulting report is usable without avoidable manual cleanup.

What does the IRS require for volunteer counts?
The IRS Instructions for Form 990 Return of Organization Exempt From Income Tax (2025) direct organizations to enter the number of volunteers, including full-time and part-time volunteers and volunteer members of the governing body, who provided services during the reporting year. If books and records do not track the number, the instructions allow a reasonable estimate based on a reasonable method. An organization may explain its method on Schedule O and include service hours and types, but is not required to do so.
The instructions also state that volunteer services are not noncash contributions for Form 990 Schedule M reporting. Do not treat a software feature that estimates the “economic value” of volunteer service as proof that those hours are a charitable contribution or tax deduction. This IRS guidance does not establish that any particular time tracker satisfies every reporting need. Check the instructions for the filing year that applies to your return.
Can a volunteer app work as a volunteer hour tracker?
Yes, if its hour-entry and reporting features match your process. An event-oriented app may work well when hours accrue through check-ins, while volunteers who serve outside scheduled events may need manual entry or a portal. Confirm that coordinators can review records and that hours can be attributed to the programs, grants, or activities you report on.

What are the top platforms for tracking volunteer hours?
There is no universal top choice established by vendor feature pages alone. POINT and LiveImpact describe volunteer event and check-in workflows; vHours emphasizes volunteer scheduling and mobile logging; actiTIME describes time allocation across staff, volunteers, grants, and programs. The relevant choice depends on whether your main need is volunteer operations, shared time allocation, or both.
What product details should you verify before buying?
Trial lengths, free tiers, user limits, prices, integrations, and plan-specific features are date-sensitive. The vendor pages reviewed describe a 30-day actiTIME trial and a permanent free version for up to three users, POINT’s free nonprofit tools, and a 14-day vHours trial. These details are not a side-by-side pricing audit; confirm current terms and limits with each vendor before making a decision.
