The right time clock depends on what “entertainment business” means in your case. Film and television productions commonly need crew timecards that move through approval and into production payroll. Theatres, attractions, museums, sports venues, and event operators more often need shift attendance, scheduling, and labor reporting across departments or locations. Choose for that workflow first; a punch clock alone may not solve either job.
Start with the kind of workforce you manage
Film and television production crews
Production timekeeping is often a timecard and payroll workflow rather than a simple clock-in/clock-out system. Crew members submit timecards, production teams review and approve them, and the process may account for production-specific items such as overtime, meal penalties, night premiums, rates, allowances, and code splits. Entertainment Partners describes SmartTime as a digital crew timecard tool and its Production Finance Studio workflow as supporting payroll submission and archiving. Compare how employees record time
The best capture method follows where a shift starts and how often staff move between sites or roles. Ask vendors to demonstrate the normal punch as well as the correction path when an employee forgets to clock in or out.

| Method | Typical fit | What to verify |
|---|---|---|
| Digital timecard submission | Production crews whose timecards require review and approval. | How employees submit time, who approves it, how corrections are documented, and how approved time reaches payroll. |
| Fixed station or register | Venue staff who begin shifts at a box office, register, or other consistent station. | Whether staff can select the correct department, record breaks, and recover from a missed punch. |
| Mobile clock | Staff who work across sites or do not begin shifts at a single staffed station. | How the system associates a punch with the right location, role, or shift, and whether location controls meet the employer’s needs. |
| Kiosk | Workplaces that need a shared, on-site clocking point. | How workers identify themselves, prevent or review incorrect punches, and handle queues at busy shift changes. |
These are workflow categories, not a guarantee that every named service offers every method. Check the exact edition, region, hardware, and configuration with the provider.
Check pay rules, approvals, and payroll handoff
Do not assume a generic attendance clock can calculate production payroll rules, or that a production timecard service is the right scheduler for a venue. Ask for a demonstration using representative shifts or timecards from your operation, then confirm the rule setup with your payroll professional.

- Approvals and edits: Who can approve, amend, or reject a time entry? Does the system flag discrepancies and retain an approval or change history?
- Missed punches: Can a supervisor correct a missing punch, record why it changed, and route the correction for approval?
- Payroll and finance: Is there a direct connection to your payroll service, a provider-specific export, or a CSV file? Do hours feed production costing or venue labor reports, or only payroll?
- Operational reporting: Can managers see labor by department or location, and, where useful, compare labor with sales or admissions?
Vendor descriptions show different versions of these functions; there is no single feature set implied by the phrase “entertainment time clock.” Ready Theatre Systems describes payroll export and labor reporting, while Entertainment Partners describes timecard approvals and a production payroll submission workflow. Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. When a fingerprint clock makes sense
A fingerprint reader may suit a venue that uses a compatible fixed station and wants employees to identify themselves at that punch point. Ready Theatre Systems says a fingerprint reader can be added to a station so staff can punch in as themselves. Its description does not establish compatibility with third-party clocks or identify a universally compatible accessory. Ask the vendor to confirm the exact hardware, availability, configuration, and any applicable workplace or privacy requirements before buying. Ready Theatre Systems
Account for geography and worker category
Employment rules, contract terms, and labor awards vary by jurisdiction and worker category. A timekeeping system’s ability to configure a rule does not by itself establish that the rule is legally correct for your employees. Confirm requirements with a qualified payroll or employment professional in the relevant location. RosterElf’s page includes Australian award examples; those examples should not be applied to other jurisdictions or treated as current legal guidance without checking the applicable official award. Quick Recap
A practical selection checklist
- Name the workflow. Decide whether the primary need is production crew timecards and payroll routing, or venue shift attendance and scheduling.
- Map where work happens. List the locations and departments, where shifts begin, and whether employees move between roles or sites.
- Write down pay and coding requirements. Include the production-specific rules or venue break and shift rules that matter, plus required payroll or accounting codes.
- Trace a normal entry and a correction. Ask the vendor to show a worker recording time, a supervisor resolving a missed punch, and the resulting approval history.
- Test the handoff. Confirm the output format and how it reaches your existing payroll and, if needed, production finance or labor reporting.
- Check local fit and terms. Verify regional availability, applicable worker rules, hardware compatibility, and any contract requirements before committing.
