It may use a clock, paper records, employee self-recording, or another method, provided required records are complete and accurate. The practical choice is the method workers can use consistently at their worksites and the business can review and retain—not simply the device with the most features.
Does a farm need a physical time clock?
No. The U.S. Department of Labor (DOL) says time clocks are not required under the FLSA. Its general recordkeeping guidance allows employers to choose a recordkeeping method as long as the records are complete and accurate. A physical employee time clock is one option for capturing punches, not a guarantee of compliance.

That federal answer is not a state-by-state compliance determination. State or local rules, agricultural labor arrangements, and other laws may add requirements, so check the rules that apply where the farm operates.

What hours and information should the system capture?
The DOL’s general FLSA recordkeeping guidance calls for records such as employee identifying information, hours worked each workday and workweek, and wage and payment details. For an agricultural business, the details can depend on the work and pay arrangement. The DOL’s January 2025 Fact Sheet #12 on agricultural employment flags recurring recordkeeping problems including missing permanent addresses for temporary agricultural employees, missing birth dates for minors under 19, and missing hours for piece-rate employees.

- Hourly work: Capture actual start and stop times or otherwise keep an accurate record of hours worked, organized by workday and workweek.
- Piece-rate work: Keep records of hours as well as the piece-rate and pay information needed to calculate wages. A piece-rate amount alone does not show how long an employee worked.
- Temporary agricultural employees and minors: Maintain the identifying details the applicable rules require; the DOL specifically identifies permanent addresses and birth dates for minors under 19 as common omissions.
These are not just fields to collect once. Records need a process for review and correction so that missed punches, changing work locations, or other errors do not leave the payroll record inaccurate.
How to choose a timekeeping method for farm work
There is no single best format for every farm. Compare methods based on where work begins, how pay is calculated, how errors are corrected, and what the business can retain. The DOL does not evaluate particular devices, connectivity, or farm layouts, so treat worksite suitability as something to assess for the operation itself.

| Method | Useful when | Check before relying on it |
|---|---|---|
| Physical employee time clock | Employees regularly start work at a location where a device can be used. | Confirm that all relevant workers can record time, including employees starting at separate or remote worksites. A punch record still needs a review and correction process. |
| Paper timesheet or employee self-recording | A simple, low-cost process fits the work and supervisors can check entries. | Set a consistent way to record actual hours and identify, review, and correct errors. The method must still produce complete and accurate records. |
| DOL Timesheet App | A no-cost digital option is practical for the employer and employees. | The DOL Agriculture Compliance Assistance Toolkit lists the app as free and available in English and Spanish. Confirm that the app-based workflow suits the worksites and recordkeeping needs. |
| Timekeeping or farm payroll software | The business wants hour capture and payroll records in a combined workflow. | Assess whether it supports the farm’s work locations, hourly and piece-rate pay, review, corrections, and record retention. Federal guidance does not endorse a particular commercial service. |
The DOL’s Agriculture Compliance Assistance Toolkit lists its free Timesheet App in English and Spanish. For a small operation, that may be worth considering before buying a device or software. A physical clock can still make sense where workers share a stable starting point and the punch process is easy to supervise.

How to handle punches, rounding, and corrections
A time clock records punches; it does not determine by itself whether all compensable work has been counted. The DOL Hours Worked Advisor says employers must count identifiable work time, including small amounts of time an employee is regularly required to spend on assigned duties. If a worker starts a required task before punching in, the record should reflect that work time.

- Easy Attendance Editing & Real-Time Sync: Edit punches in seconds via the mobile app, with instant sync across the system (requires the same local network). Ensures accurate hours and simplifies payroll adjustments.
- Built-In Data Protection: Integrated backup safeguards attendance records during power outages, keeping data secure and recoverable to minimize disruptions.
The DOL says longstanding rounding practices to five minutes, one-tenth of an hour, or one-quarter of an hour may be used only when they do not, over time, fail to count all hours actually worked. Rounding is not automatically safe: a practice that consistently rounds workers’ time down can produce inaccurate records. The DOL also discourages major discrepancies between clock records and actual hours because they raise doubts about accuracy.
- Give workers a reliable way to report missed or incorrect punches.
- Have a supervisor review corrections and preserve a clear record of what changed.
- Check the recorded hours against how the work actually happened, rather than treating a punch as conclusive proof that no other work occurred.
How agricultural exemptions affect time records
Timekeeping remains important even when an agricultural exemption may affect overtime or minimum-wage coverage. The DOL’s January 2025 Fact Sheet #12 explains that the FLSA covers minimum wage, overtime, recordkeeping, and child labor, and describes primary agriculture—such as cultivation, dairying, crop production, and raising livestock—as well as certain secondary practices performed by a farmer or on a farm in connection with farming. Some work related to agriculture may fall outside that definition in particular circumstances, including packing or storing another farm’s commodities.

The fact sheet describes agricultural employees as exempt from FLSA overtime provisions, while also outlining specific exemptions affecting minimum wage, overtime, or both. One conditional exemption uses a threshold of 500 man-days in any quarter of the preceding calendar year for the exemption in the subsequent calendar year. A man-day is a day on which an employee performs agricultural work for at least one hour. This threshold is not a blanket rule that every farm or farm worker is exempt; coverage and exemptions depend on the work and applicable conditions.
The same fact sheet notes that using a farm labor contractor can create joint employment responsibilities. A farm should not assume that a contractor’s records remove the farm’s own obligations; clarify who is responsible for recording, reviewing, and retaining the required information.

How long should agricultural time and payroll records be kept?
Under the DOL’s general federal guidance, payroll records are generally retained for three years, while wage-calculation records such as time cards are generally retained for two years. These periods are tied to that general guidance; agricultural labor arrangements and other federal, state, or local rules may impose additional requirements. Check applicable rules before setting a farm’s retention schedule.
Quick Recap
A practical setup checklist
- Identify the work and pay arrangements. List employee groups, worksites, workweeks, and whether workers are paid hourly, by piece rate, or under another arrangement.
- Choose a usable recording method. Compare a physical clock, paper or self-recorded timesheets, the free DOL app, and payroll/timekeeping software against the actual locations where work starts.
- Define how hours are recorded. Make clear how workers capture all work time, including work performed before or after a punch and work at a different field or site.
- Set a correction and review process. Decide who reviews entries, how employees report errors, and how corrections are documented.
- Check required employee and wage details. Include the records relevant to the business, paying particular attention to temporary agricultural employees, minors, and piece-rate hours.
- Set retention with applicable rules in mind. Use the DOL’s general periods as a federal baseline, then account for any additional rules that apply to the operation.
