Technology can help a small business reach customers beyond its local market, handle routine digital work and use tools such as AI. It also brings costs, implementation demands and security risks. The useful question is not whether to adopt technology, but which tools solve a real business task and can be maintained safely.
What technology can—and cannot—do for a small business
Digital tools can support online sales and marketing, customer communication, daily operations and access to information. The U.S. Small Business Administration’s 2023 report describes technology as a way for small firms to reach customers, including internationally, while noting that smaller firms generally lag larger businesses in adoption and face barriers.

Adoption alone does not establish that a business will earn more or become more productive. The evidence cited here describes usage, access and guidance; it does not show that buying a particular tool guarantees better results for an individual firm. Technology is most useful when it addresses a recurring need and fits the way the business already works.
Start with connectivity and the work the business needs to do
A reliable internet connection underpins activities such as processing online orders, communicating with customers and using cloud-based services. SBA Office of Advocacy figures show the share of U.S. small-business establishments with broadband speeds through a terrestrial provider rose from 48.1% in 2014 to 83.9% in 2024. Those establishment-level figures indicate improved access over time, not that every business has adequate or affordable service today.

From there, choose technology by task rather than trend:
- Sell online: An e-commerce site or online marketplace can make products or services available outside a walk-in location.
- Promote the business: A website, email or social media tools can help customers find the business and learn what it offers.
- Serve customers: Digital messaging, booking and support tools can make it easier to answer questions or manage appointments. Keep a human option for situations that need judgment or personal attention.
- Support routine work: Software can help organize records, schedules or repeatable processes. Consider how it fits existing systems and staff responsibilities.
- Protect operations: Security tools and practices help safeguard devices, accounts, networks and customer information.

Where AI fits—and what the adoption figures mean
AI may be worth assessing for bounded tasks such as drafting or summarizing routine material, helping sort incoming questions, or assisting with customer-service workflows. Treat these as possible applications to test, not promised savings. Review outputs before using them, especially when they affect customers, finances or important decisions, and avoid entering sensitive business or customer information into a service unless its data handling is suitable.
The Tool Desk

The analysis also discussed an adoption trajectory suggesting small firms may be about a year behind larger firms. This is a dated adoption snapshot and interpretation—not a 2026 rate, a same-time comparison, or evidence that AI improves a firm’s profits or productivity.
Account for the full cost of adopting a tool
The subscription or purchase price is only part of the decision. Setup, migration, staff training, integration and ongoing support can also consume money and time. Before committing, check:
- Whether the tool solves a frequent, specific problem.
- Purchase, subscription, setup and support costs over the period you expect to use it.
- Compatibility with current devices, software and staff workflows.
- Who will configure, maintain and troubleshoot it.
- What data it collects, who can access that data, and how it is protected.
- How the business can recover its information or keep operating if the service is unavailable.
Where possible, start with a limited use case and decide in advance what would make the tool worth keeping—for example, fewer manual steps or a smoother customer process. Measure the outcome in the business’s own workflow rather than assuming that adoption figures for other firms predict a result.

Make cybersecurity part of the operating plan
More digital activity means more accounts, devices and information to protect. SBA guidance recommends practical safeguards including employee training, strong passwords and multifactor authentication, caution with phishing messages and suspicious downloads, encryption of vendor and customer information, network security and timely software updates. These measures reduce exposure; none guarantees that a business will avoid an attack.
The SBA’s October 2024 article reported that a Hiscox survey found 41% of small businesses experienced a cyberattack in 2023, with a median cost of $8,300. These are survey findings relayed by SBA, not a federal census of incidents, and the year and attribution matter when interpreting them.
Best Value
Put safeguards into routine practice: limit account access to people who need it, turn on multifactor authentication where available, keep devices and applications updated, teach staff how to recognize suspicious requests, and know how important information can be restored. Include vendors in the review when their services store or process business or customer data.
Choose technology for fit, not novelty
A tool is a better candidate when its benefits address a clear operational need and the business can afford and support it. Compare options on workflow fit, total cost, integration, usability, data practices, security and support. The sources cited here do not rank vendors, so a category’s usefulness should not be mistaken for an endorsement of a particular product.
For online sales, marketing, customer service, connectivity, AI or security, begin with the task, identify the risks and ongoing work, and test whether the solution helps in practice. Keep the human side of customer service in view: automation can handle some routine interactions, but personal attention remains valuable when a customer’s situation calls for it.
