For private one-off questions, use Temporary Chat; for ongoing convenience, review Personal Intelligence, connected apps, and Gemini Apps Activity instead of leaving every default unchanged.

Why Gemini can still be wrong
Gemini generates language; it does not turn every sentence into a verified fact. Ground an answer in the sources you actually want
Select a narrow, deliberate evidence set
In Gemini for Workspace, add only the Drive files, Docs, Sheets ranges, Slides, or PDFs that should inform the answer. A smaller, relevant set is usually easier to audit than an entire folder containing contradictory drafts, outdated policies, and unrelated notes. If a spreadsheet contains the relevant data, select the needed range rather than relying on a vague request to search the whole file.
Inspect the Sources list after generation
After Gemini responds, open its Sources list and compare each important statement with the underlying document. Check the document’s date, author, version, and surrounding context. A source can be listed even when Gemini did not use it, and Gemini can occasionally miss a source or invent one. Google’s Workspace guidance therefore says to double-check the response and verify information with the listed sources and with other sources you trust before relying on generated content.
Use source grounding for the right kind of question
- Use selected company documents for questions about an internal process, policy, project, or dataset.
- Use a specific PDF or slide deck when you need a summary that should stay within that material.
- Use an explicitly selected Sheets range for calculations or comparisons where the relevant rows and columns are known.
- Do not assume that adding more files always improves the answer; context capacity can prevent Gemini from considering every selected source.

Search similarity is not proof. A high-ranking page can be wrong, outdated, or repeating the same error. For a consequential claim, open the result, identify the primary or official source, and compare the exact wording. Make recurring answers consistent with Instructions for Gemini
Find the setting
- Open Gemini on a supported personal account.
- Open Settings & help.
- Choose Personal Intelligence.
- Select Instructions for Gemini.
- Add concise requirements, such as putting a short summary first, using bullets for long text, or following a preferred format, then save them.
Instructions are useful for presentation and workflow consistency. For example, you can request a two-sentence answer followed by an action list, ask for assumptions to be labeled, or require a table when comparing options. Keep the instruction set short enough that the priority is obvious; conflicting rules make the output less predictable.
Do not use instructions as a deletion mechanism
Google states that instructions to forget or avoid topics in chats do not always work perfectly. If a past conversation contains information you do not want retained or used, delete the related chats from Gemini Apps Activity rather than relying on a sentence such as “forget this.” Instructions shape future responses; they are not a guaranteed eraser.

Understand the 18-month default
Google Safety Center’s current guidance, crawled in 2026, says activity is set by default to auto-delete after 18 months. That is a default policy description, not a permanent promise: Google can change retention settings or the available periods. If your work requires a shorter retention window, choose the shortest option offered and delete older conversations manually when appropriate.

Separate deletion from model-improvement permission
Deleting visible activity and controlling whether data is used to improve Google AI are related but distinct decisions. Review both controls. A privacy-conscious setup should confirm the retention period, the data-use choice, and whether connected services or other account features add context.
Use Temporary Chat for isolated sensitive questions
Temporary Chat is the clearest choice for a one-off conversation that you do not want Gemini to remember or use to personalize your experience. Google’s Privacy Hub describes it as suitable for information you do not want Gemini to retain or use for personalization.
Choose Temporary Chat before entering the sensitive question, rather than starting in a normal conversation and attempting to clean it up afterward. It is appropriate for an isolated brainstorming session, a private draft, or a question whose details should not influence later personalization. It does not make the content universally safe: avoid sharing passwords, authentication codes, private keys, or information you are not authorized to disclose.
Balance personalization and connected apps against privacy
What personalization adds
Personalization based on past chats can make answers more relevant because Gemini has additional context about your preferences and prior work. Connected apps can provide further context when you authorize them. This can reduce repeated explanations and make recurring tasks faster.

The same context can reveal more about your habits, projects, relationships, or interests to the system handling the request. The right choice depends on the task: enable these controls when continuity is worth the extra context, and disable personalization or use Temporary Chat for an isolated task.
A practical decision rule
- Enable personalization: recurring planning, writing preferences, or long-running projects where continuity has clear value.
- Limit connected apps: when an answer does not need information from those services, or when the data is more sensitive than the convenience justifies.
- Disable or avoid personalization: confidential, experimental, or one-time questions that should not influence future answers.

Account and edition limits to check
Instructions for Gemini are documented for supported personal accounts. Work, school, and supervised accounts can have different administrators, policies, or feature availability. Gemini for Workspace also differs from personal Gemini because its source-grounding workflow uses selected Drive files, Docs, Sheets ranges, Slides, and PDFs. Before troubleshooting a missing control, identify whether you are signed into a personal, work, school, or supervised account and whether an administrator manages the setting.
A setting visible in one account may be unavailable, renamed, or governed by an administrator in another. Do not infer that a control is enabled merely because another account displays it.

- Define the claim. Separate factual statements, calculations, recommendations, and creative text. Verification matters most for the factual and consequential parts.
- Provide the evidence. In Workspace, attach only the relevant files, ranges, slides, or PDFs. State the date or version that should control.
- Ask for traceability. Request that Gemini identify which supplied source supports each important claim, while remembering that a citation can still be wrong.
- Inspect Sources. Open the listed material and check the exact passage, context, scope, and freshness.
- Run Double-check response. Use the green, orange, and unhighlighted states as investigation signals, not verdicts.
- Verify independently. Compare consequential claims with an authoritative source outside the generated response.
- Record uncertainty. If sources conflict or no reliable source is available, label the answer uncertain instead of forcing a definitive conclusion.
- Choose the privacy mode. Use a normal chat for work that benefits from continuity, or Temporary Chat for a one-off conversation that should not feed personalization.
Common failure modes and fixes
Gemini cites a document that does not support the sentence
Open the cited passage and compare it line by line with the claim. Ask Gemini to quote the relevant section, then verify the quotation yourself. If the passage is absent, remove the claim or provide a better source.
A response ignores one of the files you selected
Context capacity can constrain source selection. Reduce the source set to the most relevant documents or ranges, restate which file is authoritative, and check the Sources list again. Do not assume that selecting a file guarantees that every detail from it entered the answer.
Double-check shows orange or no highlight
Orange means Search found differing content or no relevant content; no highlight means the text could not be evaluated or was not intended as factual. In both cases, inspect an authoritative source manually. Rephrasing the prompt does not turn an unsupported claim into a verified one.
Gemini keeps using information you asked it to forget
Instructions are not perfect forgetting controls. Delete related chats from Gemini Apps Activity and review personalization and connected-app settings. Use Temporary Chat for future isolated questions.

A privacy control is missing
Check the account category first. Personal, work, school, and supervised accounts can expose different controls, and Workspace administrators may set policies. A missing option may therefore be an eligibility or administration issue rather than a malfunction.
A sensible baseline configuration
