These controls are separate, and a Business, Enterprise, Edu, or Healthcare administrator can set rules that take precedence over individual choices.
Start by identifying which account and workspace you are using
Account type determines who governs the data, what your employer may control, and which settings you can change. ChatGPT account switching does not merge accounts. A personal account and a managed work account remain separate environments, even when they use the same email address or device.

Personal account
You control the account-level settings available to you. If you use it for work, you are responsible for deciding whether business information belongs there and for configuring data controls, Memory, Temporary Chat, sign-in security, and connected apps.

Managed organization account
Data created in a managed account is subject to the organization’s controls. OpenAI advises using the managed account for work-related activity when you want work data to remain under organizational governance. Administrators may control apps, data use, retention, sharing, monitoring, and access. Your choices can therefore be limited or overridden by workspace policy.

Quick account check
- Open the account switcher and note whether the active profile is personal or belongs to an organization.
- Check the workspace name before starting a conversation that contains company information.
- If your employer supplied a managed workspace, use it for work data instead of relying on a personal account.
- Ask your administrator which retention, monitoring, app, and export rules apply; the user interface alone may not show the complete policy.

Stop work chats from being used to improve models on a personal account
On a personal account, open Settings > Data Controls and turn off Improve the model for everyone if you do not want work content used to improve models. This is a forward-looking data-use choice, not a deletion command: existing conversations still appear in your chat history after the switch is made.
What this setting changes
- It prevents eligible new content from being used for model improvement under the personal-account control.
- It does not remove conversations from history.
- It does not clear saved Memory or change connected-app permissions.
- It does not supersede a managed workspace’s administrator settings.
Check the setting on every personal account you use. A change made while signed into one account does not automatically apply to another account, and switching accounts does not combine their conversations or controls.

Audit Memory and personalization separately
Memory is independent of model-improvement training. ChatGPT can retain saved details and use them to personalize later responses, so a training opt-out does not by itself prevent persistence of information in Memory.

- Open ChatGPT settings and go to the Memory or personalization controls available for your account.
- Review the saved items rather than assuming that turning Memory off removes what is already stored.
- Delete any work-related, confidential, or identifying detail that should not persist.
- Decide whether to leave Memory enabled for low-risk preferences or disable it before handling sensitive work.
OpenAI warns that sensitive information can appear in Memory when it is shared with ChatGPT. Treat a saved memory as persistent personalization, not as a temporary note. Memory controls also do not eliminate limited safety-related context used in rare, high-risk situations; disabling Memory or personalization is not a promise that every form of safety processing stops.

When disabling Memory is the safer choice
- You are handling customer records, employee information, unreleased business plans, or regulated material.
- Multiple people can access the same signed-in device or browser profile.
- You cannot reliably review and delete saved items after each work session.
- Your organization has not approved persistent personalization for work content.
Use Temporary Chat for a one-off sensitive conversation
Temporary Chat is designed for a conversation that should not become part of normal history or personalization. While a chat remains temporary, it does not appear in history, does not create or update memories, and is not used to improve OpenAI models. OpenAI may retain a copy for up to 30 days for safety.
How to start it safely
- Choose the Temporary Chat option before entering the sensitive prompt.
- Select Unpersonalized as well if the conversation should not use existing memories, custom instructions, or plugins.
- Confirm that the temporary indicator is active before pasting or uploading work information.
- Do not save the conversation if you want it to remain temporary.
Saving a Temporary Chat converts it into a regular chat. Once saved, normal history, personalization, and model-improvement settings apply to that conversation. Temporary Chat therefore reduces persistence, but it is not the same as a legal, contractual, or organizational guarantee that no copy exists.

Enable multi-factor authentication and verify it
Multi-factor authentication (MFA) adds an additional sign-in check beyond your password. The OpenAI Privacy Center lists MFA as an access and data-use control. Availability and the exact sign-in flow can vary by account and workspace.
- Open your account security settings and enable the MFA method offered for your account.
- Complete enrollment, including any verification or recovery step shown during setup.
- Sign out and sign back in, or otherwise check the security settings, to verify that MFA is active rather than merely configured halfway.
- Store recovery information according to your organization’s security policy and never share one-time codes in a chat.
MFA protects account access; it does not change model-improvement, Memory, Temporary Chat, retention, or app-permission settings. Configure those controls independently.

Connected apps can let ChatGPT read information or take actions outside the chat. App permissions determine when ChatGPT asks for confirmation and which actions it may perform. Depending on the app and your eligibility, choices can include Always ask, Allow read actions, Allow low-risk actions, and Allow all actions.
Choose the least authority that supports the task

Permission prompts are not disconnections
Changing a permission choice changes how ChatGPT asks or acts; it does not revoke the provider’s access. To stop future access, disconnect the app from Settings > Apps or Plugins. Recheck the list after changing workspaces because an app allowed in a personal account may be unavailable, restricted, or governed differently in an organization workspace.
Connected-app checklist
- Identify exactly which account, folder, mailbox, calendar, or service the app can reach.
- Prefer read-only or confirmation-required access when the task does not require actions.
- Do not choose Allow all actions merely to avoid prompts.
- Disconnect apps that are no longer needed; changing the prompt setting alone is insufficient.
- Follow your organization’s approval process for every app that can access business data.
Understand what your employer may be able to see
There is no single answer for every ChatGPT account. In a managed workspace, administrators may control or access workspace data under the organization’s policy, including retention, monitoring, sharing, apps, and authorized access. The Privacy Center does not override administrator controls, workspace retention policies, or authorized access to workspace data.

A personal account is governed differently, but using a personal account for work does not make the activity approved, invisible, or outside company policy. Your employer may still receive data through endpoint management, network logging, legal processes, or other systems that are separate from ChatGPT’s account controls. Do not treat a personal login as a way around workplace rules.
For a definitive answer about visibility, ask your administrator what is logged, who can access it, how long it is retained, and whether monitoring applies to prompts, files, connected apps, or exports. Those answers are organization-specific and can change by plan, region, and policy.

- Confusing opt-out with deletion: turning off model improvement leaves chats in history, and disabling Memory does not automatically erase saved items.
- Using Temporary Chat and then saving it: saving changes it into a regular conversation governed by normal settings.
- Changing app prompts instead of disconnecting: a less frequent confirmation does not revoke provider access.
- Relying on personal-account settings in a managed workspace: administrator controls and retention policies can override or limit user-level choices.
- Assuming the interface is a complete privacy policy: plan, region, platform, and workspace configuration can change what is available and who has access.
