For most Windows 11 users, Snipping Tool is the best Microsoft screenshot app. It captures rectangular, free-form, window and full-screen images, then lets you annotate, crop, extract text, save and share them. Choose OneNote when the screenshot belongs beside research or meeting notes, and use the capture workflow in Word, PowerPoint, Excel or Outlook when the finished image needs to go straight into that document.

This is a workflow recommendation, not a speed or accuracy benchmark. Microsoft has not published a comparative speed test, OCR accuracy rate or independent ranking for these apps.
Snipping Tool: the default Windows 11 choice
Snipping Tool combines the former classic Snipping Tool and Snip & Sketch experiences. Microsoft announced in 2021 that Windows 11 replaced both predecessors with a new Snipping Tool. The current app is therefore the one to learn on a supported Windows 11 installation; Snip & Sketch is best understood as the predecessor experience, not a separate recommendation.
Capture an image
- Press Windows logo key + Shift + S. The desktop dims and the capture bar appears.
- Choose Rectangular Snip, Freeform Snip, Window Snip or Fullscreen Snip.
- Select the area, window or screen. The result is copied to the clipboard and a notification opens the Snipping Tool editor.
- Use Ctrl+V in another app for an immediate paste, or open the notification to edit and save the file.
Rectangular mode is the practical default for a clean region. Freeform is useful for an irregular object, Window Snip avoids dragging around a window, and Fullscreen Snip is appropriate when the whole display matters. Pressing Print Screen provides a full-screen image copied to the clipboard.

Annotate, crop and clean up
In the editor you can draw with a pen or highlighter, add shapes or emojis, erase marks, crop, and undo or redo. Save the finished image from the editor and share it through the Windows sharing options. Snipping Tool can also automatically save captures in the Screenshots folder; the app’s Settings lets you change that behavior.
Extract or hide text
Open a capture and choose Text actions to run OCR on the image. You can copy all detected text or use quick redaction for email addresses and phone numbers. Microsoft says this processing happens locally on the device, so the text-action workflow does not require sending the image to a remote OCR service. OCR results still depend on legible type, contrast, resolution and the language or layout in the source; check copied text before using it in a record or document.
Record a screen video
- Press Windows logo key + Shift + R.
- Drag over the area to record and start the recording.
- Stop when finished and review the result.
- Open it in Clipchamp if you need captions or audio editing.
This is intended for a short screen video rather than a full production workflow. For a still image, use the image shortcut instead.
Use a delay for menus and transient states
Open Snipping Tool, choose the delay control and select one to five seconds. Start the delayed capture, open the menu or tooltip, and let the countdown reach zero. Delay is especially useful when the act of pressing a shortcut would otherwise close the interface you need to show.

Windows 11 and Copilot+ limitations
Features can vary by Windows version and hardware. Microsoft currently identifies Perfect Screenshot and Color picker as available only on Windows 11 AI PCs/Copilot+ PCs. Do not assume those tools appear on every Windows 11 computer; the four capture modes, editing and ordinary text actions are the baseline workflow described above.
OneNote: best when the screenshot belongs with notes
OneNote is a destination-focused choice. It is ideal for research notes, meeting records, bug reports and reference pages where the image should sit beside your explanation rather than exist as a separate file.
- Bring the source content into view.
- Switch to OneNote and click where the image should appear.
- Select Insert > Screen Clipping, or use the documented shortcut Alt+N+R.
- OneNote minimizes. Drag over the source area.
- The clipping appears on the page and is also copied to the Windows Clipboard for pasting elsewhere.
A OneNote clipping is a static image: it represents a snapshot and does not update if the source changes. It also has no live link back to the original page. If you need OCR, delay capture, video, or richer image markup, capture with Snipping Tool first and then paste the result into OneNote.
Microsoft 365 desktop apps: capture for the document you are already editing
When the final destination is a Word report, PowerPoint slide, Excel workbook or Outlook message, the fastest workflow is usually to capture and paste without leaving that document for long.

- Place the document cursor where the image should go.
- Press Windows+Shift+S and choose a capture mode, or press Print Screen for the full display.
- Select the content. Windows copies the result to the clipboard.
- Return to the Microsoft 365 app and press Ctrl+V.
- If the image needs markup or cropping, open the Snipping Tool notification, edit it, save it, and insert the revised file.
This route separates the jobs cleanly: Snipping Tool handles capture and editing, while the Microsoft 365 app handles document layout. Use OneNote instead when the page itself is the long-term record.
Snipping Tool vs. Snip & Sketch
On Windows 11, this is not a meaningful current-app contest. Microsoft described the new Snipping Tool as the replacement that combined the classic Snipping Tool and Snip & Sketch experiences. Guidance written for Snip & Sketch may show older menus or omit current features such as video snips and Text actions. Follow the Snipping Tool interface on current Windows 11 builds, and qualify instructions if you support older Windows releases.
Practical decision guide
Choose Snipping Tool when…
- You need a region, window or full-screen image immediately.
- You want annotations, cropping, delayed capture or local OCR.
- You need a short recording and may add captions or audio in Clipchamp.
- You want one capture tool that can save, copy and share.
Choose OneNote when…
- The image must be attached to surrounding notes, sources or action items.
- You want the same clipping copied to the clipboard and placed on a notebook page.
- A static snapshot is sufficient and a live source link is not required.
Use the Microsoft 365 workflow when…
- The finished image belongs directly in Word, PowerPoint, Excel or Outlook.
- You are happy to use the Windows clipboard and edit in Snipping Tool only when needed.
Troubleshooting common screenshot problems
The shortcut does nothing
Press the keys together and confirm that Windows is responding to other shortcuts. Open Snipping Tool from the Start menu to check whether the app launches. On managed computers, an administrator policy or a keyboard utility can intercept shortcuts; try the Start-menu route or Print Screen.
The wrong window was captured
Use Window Snip and click the target window, or use Rectangular Snip to define the exact area. If a menu disappears, use a one-to-five-second delay and open it during the countdown.

The capture is not where expected
After Windows+Shift+S, the image is copied to the clipboard and a notification opens the editor. Paste immediately with Ctrl+V, or open the notification and save the file. If automatic saving is enabled, review Snipping Tool Settings and the Screenshots folder.
OCR copied incorrect text
Capture a larger, sharper region with better contrast, then run Text actions again. Remove browser scaling or compression where possible, and proofread names, numbers and punctuation before reuse.
OneNote clipping replaced or lost my context
OneNote minimizes while you select the clipping. Prepare the source first, then return to OneNote and use Insert > Screen Clipping. Remember that the result is a static image, not a synchronized view of the source.
Video editing options are missing
Snipping Tool records the selected area; Clipchamp is the documented place for adding captions or audio. Open the recording in Clipchamp after stopping it rather than expecting the still-image editor to provide a full video timeline.

Windows 11’s current built-in experience is Snipping Tool, which Microsoft introduced as the replacement combining the earlier apps. Instructions and menus may differ on older Windows versions.
