The right free replacement depends on the Windows job you need to keep doing—not on finding a perfect visual clone. Use Files for tabbed file management, 7-Zip for serious archive work, Notepad++ for code and logs, SumatraPDF for lightweight document reading, Thunderbird for multi-account email, VLC for broad media playback, Audacity for recording and editing, Greenshot for annotated screenshots, FastStone Image Viewer for photo browsing, Paint.NET for layer-based edits, and LibreOffice for office documents. Each solves a particular need while leaving some advanced features of commercial suites behind.
Choose by the Windows task, not by the app icon
A replacement is worthwhile when it handles the files, accounts, controls and offline behavior that matter to you. A familiar interface is useful, but it is only one selection criterion. The strongest choices below deliberately cover different levels of work: quick viewing, everyday editing, batch processing, coding, communication and production.

Files: a more capable File Explorer workflow
What Files adds
Files targets the same basic job as File Explorer—opening folders, moving files and managing storage—but adds tools that reduce window juggling. Its tabbed interface keeps several locations in one window. Side-by-side folder viewing helps when copying or comparing content. Tags provide another way to organize items, and cloud-service integration can put online storage alongside local drives. Archive support lets you work with compressed files without immediately opening a separate utility.

When it is a good replacement
Choose Files if your daily friction comes from too many Explorer windows, repeated folder searches or switching between local and cloud locations. It is a practical interface replacement rather than a new storage system; your existing files and permissions remain governed by Windows and the services you use.
Important limitation
Windows Central says Files can be made the default file manager, but File Explorer itself cannot be uninstalled. Keep that distinction in mind when documenting support procedures or troubleshooting: some Windows links and system dialogs may still open Explorer.
7-Zip: archives, encryption and compression control
What it handles
7-Zip opens and extracts common archive formats, including ZIP and 7z, and can create archives as well. It supports a wide range of additional formats, which is useful when a downloaded package or a colleague’s archive does not match the format built into Windows.

Why use it instead of basic extraction
Built-in handling is adequate for a quick ZIP. 7-Zip becomes more useful when you need to create a 7z archive, choose compression behavior, or work with password-protected files. Those controls are valuable for backups, project hand-offs and files that should not be left unprotected in transit.
Safer archive habits
- Confirm the archive’s source before opening it; an archive can contain executable files.
- Use a long, unique password for protected archives and share that password through a separate channel.
- Extract to a known folder and check the contents before running anything.
- Remember that compression does not make a file private unless encryption is enabled.
Notepad++: from quick notes to code and logs
Features beyond Notepad
Notepad++ keeps plain-text editing approachable while adding tabs, auto-save, syntax highlighting, auto-completion, macros, plugins and richer search-and-replace tools. Syntax highlighting makes programming languages and structured formats easier to scan. Auto-completion reduces repetitive typing, while macros can replay a sequence of edits across a file. Plugins extend the editor for users whose needs do not fit the default feature set.
Who should switch
It is especially suitable for source code, configuration files, exported data and large logs. A user who only writes a short temporary note may prefer Notepad’s minimal surface; a user who repeatedly searches, edits or compares structured text will usually benefit from the added controls.

Keep text files predictable
Before changing encoding, line endings or file extensions, check what the receiving program expects. A richer editor does not automatically make an incompatible format compatible. Use auto-save as a recovery aid, not as a substitute for version control or backups.

SumatraPDF: a focused reader rather than a document-production suite
Core strengths
SumatraPDF is a free reader for PDF and other document formats. Its portable execution is useful when you need a reader without a conventional installation, and Windows Central describes PDF form filling as part of its feature set. That makes it a sensible default for opening manuals, forms and reference documents on modest or shared systems.
Know the boundary
SumatraPDF is a reader, not a full replacement for advanced paid PDF editing. If your workflow requires complex page composition, extensive redaction, document assembly or sophisticated form-authoring tools, test those requirements separately rather than assuming a viewer can perform them.
Thunderbird: multi-account email with local access
Accounts and protocols
Thunderbird connects to multiple email services and supports POP and IMAP. That makes it a candidate for consolidating personal, work and project mail in one desktop client. The source also describes calendar, contacts, tasks, add-ons and offline access.
Check these requirements before moving
- Confirm that your provider permits the account protocol you plan to use and whether modern authentication is required.
- Decide whether mail should remain synchronized on multiple devices (IMAP) or downloaded locally (POP can behave differently).
- List calendar, contacts, task and add-on functions your current workflow depends on.
- Plan an export or backup before removing an existing profile.
Thunderbird’s broader feature set can be an advantage, but it also means more setup decisions than a webmail tab. Offline access is useful on travel or unreliable connections, while shared-mailbox, policy and collaboration requirements should be validated with the relevant provider or administrator.

VLC: broad playback coverage in one application
Why it is a common media-player replacement
VLC includes codecs and supports a broad range of audio and video formats. It is useful when a file that fails in the default player needs to play immediately, or when a household has mixed formats from phones, cameras and downloads.

The interface trade-off
That breadth brings menus and options that can feel less simple than Media Player. Start with the basic play, pause, seek and subtitle controls; learn advanced settings only when a specific file or device requires them. VLC is a playback tool, not a promise that every damaged or proprietary stream will work.
Audacity: recording and editing instead of a simple voice memo
What it can do
Audacity records and edits audio, supports multitrack projects, provides effects and mixing, and exports finished files. It is therefore a substantial step up from Sound Recorder for podcasts, interviews, music sketches, voice-over cleanup or repeated editing tasks.
Set expectations for new users
A multitrack editor has a learning curve. Start with one input, record a short test, check the waveform and playback, then add tracks or effects. Save a project before destructive edits and export a copy in the format your listener or editor requires. The extra capability is valuable only if you are willing to learn the recording and mixing workflow.

Capture and annotate
Greenshot captures a full screen, a selected region or an individual window. After capture, you can annotate the image or obscure information. That is useful for support tickets, documentation, bug reports and training material where an untouched screenshot would expose a name, address or token.
A practical capture routine
- Select the capture type that matches the material: region for a focused instruction, window for an application state, or screen for a complete layout.
- Crop or mark the important control before exporting.
- Obscure personal or security-sensitive information rather than relying on a verbal warning.
- Open the saved image once to confirm that annotations and redactions are visible.
Greenshot complements an image editor; it is not intended to replace a full photo-editing workflow.
FastStone Image Viewer: browse and process large image folders
Where it fits

Interface consideration
The source notes that its interface can look dated. Treat that as an ease-of-use trade-off: evaluate whether the navigation and batch controls are clear to the people who will use them, rather than judging it only by visual style.
Paint.NET: approachable layers and effects
Why it is different from Paint
Paint.NET offers layers, effects and plugins while remaining aimed at entry-level image editing. Layers allow text, shapes and corrections to be kept separate, so you can revise one element without repainting the entire image. Effects and plugins expand the basic toolset for users who need more than drawing and cropping.
What it does not replace
Paint.NET is not a full Photoshop substitute. For professional color workflows, complex compositing, print production or other advanced requirements, list the exact features you need and test them before migrating. For thumbnails, diagrams, simple composites and routine edits, its smaller scope can be easier to learn.
LibreOffice: test office documents before a wholesale switch
The suite’s role
LibreOffice is a free office-suite option for word-processing, spreadsheet and presentation workflows. Historical category guidance from Argonne National Laboratory shows that free and open-source alternatives have long existed for these jobs, while PCWorld’s roundup includes LibreOffice as a current free-PC choice.
Compatibility is a project, not a slogan
Do not assume that opening a file means perfect fidelity. Create a test set containing the documents your household or organization actually uses: complex tables, formulas, charts, presentations, mail-merge files and templates. Compare pagination, fonts, formulas, embedded objects and comments after saving and reopening.

Check how files are exchanged, whether colleagues require a particular format, and which collaboration or automation features are mandatory. A local suite may be ideal for offline work but less suitable where a team depends on a shared editing environment. Keep the original files untouched until the test is complete and everyone who receives the documents has approved the results.
Optional default-app swaps
Windows Central’s Windows 11 guide also mentions SimpleWeather as a Weather alternative and Brave as an Edge alternative. They broaden a default-app roundup, but they are less central to replacing classic desktop utilities. Consider them only if weather or browser choice is part of your actual migration; apply the same checks for current availability, privacy settings, extensions and account needs.
A migration checklist that avoids unpleasant surprises
1. Inventory the job
Write down the action you perform, not just the old app’s name: open a ZIP, fill a PDF, synchronize two mailboxes, batch-convert photographs or edit a spreadsheet with macros. This prevents choosing a lightweight viewer when you really need an editor.
2. Gather representative files
Use copies of ordinary and difficult files. Include the largest log, the oldest document, a password-protected archive, a form with fields and any media format that regularly causes trouble. Remove personal data from test copies where possible.

- Open the file or account in the candidate app.
- Perform the edit, export, reply or conversion you actually need.
- Reopen the result in the old workflow or the recipient’s expected application.
- Check layout, metadata, attachments, audio sync, formulas and permissions.
4. Decide what remains installed
Some alternatives coexist safely with the original. File Explorer cannot be uninstalled, and keeping a familiar viewer available can help when a partner sends an unusual file. Remove software only after confirming that no file association, plug-in or saved profile is still needed.
5. Record recovery steps
Document where profiles, exported mail, project files and backups live. For email and office documents especially, a rollback plan matters more than a clean-looking application list.
Free does not mean identical
These tools are free alternatives in the sense used by the cited guides, but current licensing, distribution and feature terms can change. Some are deliberately narrower than commercial suites; others expose more controls than the Windows default. The meaningful comparison is whether the tool completes your job with acceptable compatibility and effort. PCWorld notes that some users may still benefit from paid alternatives, and the historical Argonne table should be treated as category context rather than current product endorsement.
