Choose according to the work you need to finish, the files and office suite you already use, how important inspectable sources are, and which plan your account actually includes. ChatGPT is the broadest documented option for drafting, file and data analysis, and cited multi-step research. Microsoft Copilot is the most natural fit when your work already lives in Word, Excel, PowerPoint, Outlook, and Teams. Start with the job, not the chatbot
AI apps overlap, but their useful differences appear in the workflow around the model. A writer who needs outlines, rewrites, and document feedback has a different requirement from an analyst who must trace every claim to a source, or an employee who needs help inside a shared spreadsheet and email system. “Best” therefore means “best fit for this job and this account,” not a permanent league table.

Use four questions before you choose:
- What is the primary task? Is it drafting and revising, multi-source research, or work inside office and project tools?
- How visible must the evidence be? A response with links and citations is easier to audit, but a citation is a verification aid, not proof that every sentence is correct.
- Where do your files and context live? Uploads, a personal workspace, Microsoft 365 documents, and an organisation’s controlled data all create different practical advantages.
- What can your account use? Plan tier, web-search settings, device, language, region, usage limits, and administrator configuration can change the experience.
The sources available for this guide are mainly official product documentation, plus one editorial comparison. They establish advertised features and constraints, not a head-to-head test of accuracy, speed, or productivity gains. No reliable statistic in the available material supports claims about market share, hours saved, or one app always producing better answers.

| App | Best documented fit | Evidence and workflow strengths | Access points to check |
|---|---|---|---|
| ChatGPT | General writing, rewriting, document and spreadsheet work, and broad research | Drafting, summarising, uploaded-file analysis, structured-data analysis, Canvas co-writing, and cited Deep Research are documented capabilities | Feature availability can vary by account and product; confirm that the tools you need appear in your workspace |
| Claude | Research and analysis for users who can enable web search | Claude Research performs iterative web searches and returns citation-supported output | Anthropic’s 2 June 2026 documentation lists paid Pro, Max, Team, and Enterprise plans on web, desktop, and mobile; web search must be enabled |
| Microsoft Copilot | Work already conducted in Microsoft 365 | Assistance across Word, Excel, PowerPoint, Outlook, and Teams; Researcher is intended for deeper multi-source reports with citations | Subscription, user, platform, language, region, licensing, and administrator settings affect availability and organisational grounding |
| Gemini, Perplexity, and Grok | Consider them when their ecosystem or research style matches your needs | The cited editorial comparison frames selection around task and ecosystem and describes Perplexity as source-oriented | The available evidence here does not establish comparable plans, prices, limits, or performance; verify current details directly before committing |
The table is a starting point rather than a ranking. For example, a Microsoft user may prefer Copilot for the benefit of working where documents and meetings already are, while a freelancer with mixed file types may value ChatGPT’s wider set of documented file and data workflows. A researcher who needs links in every answer should inspect the citations in a sample task, regardless of the brand name.

ChatGPT: the broadest all-purpose writing and research workflow
OpenAI’s capabilities overview documents ChatGPT for drafting, rewriting, summarising, analysing uploaded documents and spreadsheets, analysing structured data, and co-writing or editing in Canvas. Its Deep Research feature is designed for multi-step research across online sources and produces structured output with citations. Those descriptions tell you what the product is built to do; they do not demonstrate that it is more accurate or writes better than every alternative.
When it is the practical first choice
Choose ChatGPT first when one project moves between several modes: brainstorming an article, revising a supplied brief, extracting facts from a spreadsheet, and then asking for a source-linked investigation. The advantage is continuity. You can keep the objective and constraints in one conversation while changing the form of the work. That is particularly useful for independent writers, students, and small teams whose files are not all stored in one office suite.
Writing and editing
For a draft, give the app the audience, purpose, length, tone, factual boundaries, and a definition of success. Ask for an outline before prose when the structure matters. For revision, provide the original text and specify whether you want a light copy edit, a structural rewrite, a fact-checking pass, or a list of unresolved questions. Canvas is documented as a co-writing and editing environment, so it is suited to iterative changes rather than treating each response as a disposable paragraph.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
A dependable prompt separates instructions from source material. For example: Use the attached brief as the only factual source. Produce a 700-word draft for a technical audience. Mark any missing evidence as a question instead of guessing. After the draft, list claims that require human verification. The final verification still belongs to you; fluent wording can conceal a wrong inference.
Documents, spreadsheets, and structured data
ChatGPT’s documented file and data capabilities make it useful when the answer depends on material you already possess. Upload the relevant document or spreadsheet, state which sheets or sections matter, and request an output format such as a table, a set of calculations, or an executive summary. Ask it to show assumptions and identify blank, conflicting, or outlier values. Before sharing sensitive material, apply your organisation’s data policy and remove information the service is not authorised to receive.

Deep Research and source inspection
Use Deep Research when the question requires several online sources rather than a quick explanation. Define the date range, geography, acceptable source types, and the decisions the report must support. Request a source list and ask the system to distinguish direct evidence from interpretation. Open the cited pages yourself, especially for legal, medical, financial, safety, or rapidly changing claims. A citation makes checking possible; it does not guarantee that the cited page supports the exact wording.
A specialised scientific-writing option
OpenAI’s AI for Scientific Research and Discovery page also describes Prism, a scientific writing workspace for manuscripts, citations, equations, and collaboration. Prism is more specialised than a general writing assistant. It is relevant when the work is a technical manuscript rather than a normal report or blog post; do not assume that a feature designed for scientific collaboration is necessary for everyday office writing.
Where ChatGPT is not automatically the winner
If your priority is native context from a Microsoft 365 organisation, a general workspace may require extra file handling compared with an assistant embedded in those apps. If your priority is a research trail, compare the clarity and completeness of citations on your own representative question. Treat the documented feature set as a reason to test the workflow, not as an independent performance claim.
Claude: a research workflow with explicit access conditions
Anthropic’s help article Use research on Claude, dated 2 June 2026, describes Claude Research as iterative web searching, analysis, and citation-supported output. It says the feature is available on paid Pro, Max, Team, and Enterprise plans on the web, desktop, and mobile, and that web search must be enabled. That qualification matters: a person using a different plan or a workspace where search is disabled should not expect the same research workflow.
Who should consider it
Claude is a sensible candidate for a researcher who values an iterative investigation and is already eligible for the feature. It can be useful when the first search raises a sub-question, because the documented workflow is designed to continue searching and analysing rather than stopping at one response. You still need to set the scope: tell it which countries, dates, industries, or source classes are in bounds, and ask it to flag uncertainty.

How to test the research feature responsibly
- Confirm access. Check that your account is on an eligible paid plan and that web search is enabled in the product you are using.
- Write a research brief. Include the decision you are making, the cutoff date, required source types, and any terms that have multiple meanings.
- Request an evidence map. Ask for claims, supporting links, disagreements between sources, and questions that remain unanswered.
- Audit a sample. Open several citations, check publication dates and context, and verify that the source actually supports the associated claim.
- Turn findings into an output. Only after the evidence review should you ask for a memo, outline, or draft; keep citations attached to the claims they support.
This process separates research from presentation. It reduces the risk that polished prose will hide a weak source, but it cannot remove the need for subject-matter judgement.
Microsoft Copilot: the natural choice for Microsoft 365 work
Microsoft’s Microsoft 365 Copilot page describes capabilities across Word, Excel, PowerPoint, Outlook, and Teams, including drafting, research, summarising, and analysis. It also warns that availability and usage limits can depend on the subscription, user, platform, language, or region. Copilot’s main advantage is contextual integration: the assistant is close to the documents, messages, meetings, and spreadsheets where the work already happens.
Copilot Chat versus Researcher
Microsoft’s Researcher documentation distinguishes quick Copilot Chat tasks from Researcher. Chat is appropriate for a short explanation, a rewrite, or a question about material you provide. Researcher is intended for deeper, multi-source work and can produce a structured report with citations. Researcher may depend on administrator configuration or organisational access, so its presence in one tenant does not prove that every Microsoft 365 user has it.
Grounding depends on licence and location
Microsoft Learn’s overview of Microsoft Copilot Chat explains that grounding depends on where Copilot Chat is used and whether the user has a Microsoft 365 Copilot licence. The licensed experience has broader organisational grounding. Chat outside Outlook is primarily web-grounded and may use files you explicitly provide or supported app context. In practice, verify the exact account and deployment before telling colleagues that Copilot can search across their organisation’s content.
Best uses inside an office workflow
- Word: start with an approved brief, then request an outline, a first draft, or a revision that preserves required terminology.
- Excel: ask for an explanation of a calculation, a summary of visible trends, or checks for inconsistent values; inspect formulas and source rows before acting on the result.
- PowerPoint: turn an approved document into a proposed structure, then check every number, chart, and speaker note against the source.
- Outlook and Teams: use summaries to regain context, but confirm decisions, owners, dates, and sensitive statements in the original messages or meeting record.
Copilot’s integration can outweigh differences in conversational style when the cost of moving files between apps is high. Conversely, a person working across many unrelated services may prefer a more portable workspace.

Gemini, Perplexity, and Grok: treat editorial comparisons as directional
A 30 June 2026 TechRadar comparison frames the choice around intended task and ecosystem. It presents source-linked research as a reason some readers consider Perplexity, and suggests that people already invested in Google or Microsoft services may look at the assistant that fits that ecosystem. The article also includes Gemini and Grok in its comparison.
The available evidence does not establish current prices, plan limits, administrator controls, supported file types, or comparative accuracy for those products. Do not infer those details from a general editorial description. If one is on your shortlist, run the same controlled task through each candidate, inspect the sources, and read the current official plan and availability information before purchase.
A repeatable workflow for writing with any AI app
The following process works across the products above and keeps the human decision-maker in control.
- Define the deliverable. State who will read it, what decision it supports, the required length or format, and the deadline.
- Assemble authoritative inputs. Attach the approved brief, data, style guide, or source list. Separate facts from assumptions and label material that is confidential.
- Plan before drafting. Ask for an outline, missing-information list, and proposed evidence structure. Correct the plan before generating long prose.
- Generate a bounded draft. Specify tone, terminology, exclusions, and what the assistant must do when evidence is missing. “Do not guess; ask or mark unknown” is a useful constraint.
- Review against the inputs. Check names, figures, dates, quotations, calculations, and requirements line by line. Use the original file, not the model’s paraphrase, as the authority.
- Run a separate challenge pass. Ask for contradictions, unsupported claims, alternative interpretations, and likely reader objections. Treat the output as a checklist, not as proof that the draft is correct.
- Edit for humans. Restore a clear voice, remove repetitive phrasing, protect private information, and make the final responsibility and next action explicit.
A source-first workflow for research questions
Research features are most valuable when the question is narrow enough to verify. “Tell me about renewable energy” is a poor test. “Compare the stated 2025 grid-storage targets of these three regulators, using documents published by each regulator, and identify disagreements” gives the system a source boundary and a checkable result.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors- Set the scope. Name the jurisdiction, date cutoff, definitions, and excluded material.
- Set the source hierarchy. Prefer primary documents, then reputable secondary analysis for context. Ask the assistant to label the type of each source.
- Require claim-level links. A bibliography at the end is less useful than a citation next to the statement it supports.
- Check disagreement. Ask for competing figures or interpretations and read the underlying passages.
- Record uncertainty. Keep “not established,” “not stated,” and “inferred” distinct from confirmed facts.
- Freeze the evidence date. Save the access date and source version for fast-changing subjects, because a later page may change without preserving the earlier wording.
These steps apply whether the source links come from ChatGPT Deep Research, Claude Research, Microsoft Researcher, or another tool. Source visibility improves accountability; it does not turn generated research into an automatically verified report.

How to choose by reader profile
Freelance writer or editor
Start with ChatGPT if you regularly switch between outlining, rewriting, file review, spreadsheet analysis, and web research. Test Canvas and the file workflow on a real project, and define a house style in the prompt. If your organisation is already standardised on Microsoft 365, test Copilot in the documents where you actually edit rather than judging it in a blank chat.
Analyst or researcher
Prioritise citation quality, source coverage, date controls, and the ability to inspect the evidence. ChatGPT Deep Research and Claude Research both document citation-supported research workflows, while Microsoft Researcher targets structured reports with citations. Access conditions differ, so confirm the plan and settings before designing a team process around one feature.
Microsoft 365 team
Copilot deserves the first controlled trial because Word, Excel, PowerPoint, Outlook, and Teams are already the team’s working surfaces. Ask an administrator which licence, grounding scope, and Researcher configuration apply. Do not assume that a consumer or unlicensed Chat experience can search the same organisational content as a licensed deployment.
Student or independent learner
Use an app as a tutor and organiser, not as an authority. Ask it to explain a concept at two levels, generate practice questions, and critique your own answer. For assignments, keep the original sources, follow your institution’s AI rules, and verify every quotation, citation, and calculation.
Common failure modes and fixes
| Failure | Why it happens | Better practice |
|---|---|---|
| Confident but unsupported claims | The prompt rewards a complete-sounding answer without an evidence requirement | Require claim-level citations, an uncertainty list, and a “not established” label instead of a guess |
| Out-of-date information | The question has no date cutoff or the app is not using a current web-search workflow | Specify the cutoff, ask for publication dates, and open the cited pages |
| Wrong organisational context | The user assumes a chat has access to company files because the product has an enterprise edition | Check licence, tenant configuration, app location, and administrator settings; provide only the files the assistant is authorised to use |
| Good prose, wrong brief | The assistant starts writing before requirements and exclusions are explicit | Request an outline and missing-information list first, then approve the structure |
| Data leakage | Private documents are pasted into a service without a policy check | Minimise sensitive data, remove unnecessary identifiers, and follow your employer’s approved-tool policy |
| Automation without review | A summary or generated formula is treated as a final decision | Inspect the source rows, formulas, calculations, recipients, and consequences before sending or publishing |
Access and availability checklist
Before rolling an app out to a team, record the exact configuration rather than relying on a product name:
- Plan tier and whether the feature is included, metered, or separately controlled.
- Device and surface: web, desktop, mobile, or a particular Microsoft 365 application.
- Web-search status and any source or browsing restrictions.
- Language and geographic availability for the users who need it.
- Administrator approval, tenant settings, and the scope of organisational grounding.
- File types, retention rules, privacy requirements, and who can access generated content.
- Usage limits and a fallback process for urgent work when the feature is unavailable.
Recheck these details at launch and when renewing a plan. Product labels and limits can change, and a feature documented for one edition may not appear in another.
Bottom line: select the workflow you can verify
For a broad mix of writing, uploaded files, data analysis, and cited online research, ChatGPT has the widest set of capabilities documented in the material available for this guide. Claude Research is worth choosing when its paid-plan and web-search requirements fit your account and you prefer an iterative research workflow. Copilot is the practical choice for people whose work is already organised in Microsoft 365, provided the licence and organisational-grounding details match what they expect. Gemini, Perplexity, and Grok may suit particular ecosystems or research preferences, but the evidence here is not sufficient to rank them or state current plan details.
