What structured and unstructured data mean in an AI system
Structured data has an explicit schema
Structured data is organized according to defined fields and relationships. Relational tables are the familiar example: a customer table may contain an ID, name, region, account status, and creation date; a transactions table may contain an order ID, customer ID, amount, currency, and timestamp. The schema tells software what each value represents and how records can be filtered, joined, counted, or updated.

The important property is not the storage product. It is that the data’s meaning and shape are sufficiently defined for repeatable operations such as “show all open orders for this customer” or “sum revenue by quarter.” AWS notes that traditional machine learning typically depends on structured, labeled datasets; that is a description of a common pattern, not a rule that every AI model requires tables. Unstructured data carries meaning without a fixed tabular model
Unstructured data does not arrive with a predefined relational schema that captures all of its meaning. It includes PDFs, office documents, emails, wiki pages, web pages, support transcripts, photographs, scans, diagrams, audio, video, and source code. A contract’s obligations may be expressed in paragraphs; a product defect may be visible only in a photograph; a meeting decision may be contained in a recording.
Such material can contain structure—headings, pages, timestamps, speakers, or document metadata—but the useful facts are not already represented as consistently queryable fields. An AI system therefore has to extract, interpret, or retrieve the relevant passages or media segments.
Semi-structured data sits between the two
JSON and XML use labels and nested elements, so they are more organized than a free-form document. They are not automatically equivalent to a rigid relational schema: fields may be optional, repeated, renamed, or nested differently across records. Treat semi-structured sources according to the task. If the fields are stable and validated, they may be handled like structured data; if their meaning varies and requires interpretation, document-style retrieval may be more appropriate.

Choose structured data for exact records and repeatable analysis
Start with structured data when the answer depends on selecting, aggregating, or updating defined values. Typical examples include:
- Customer, employee, supplier, or account records.
- Orders, payments, inventory, logistics events, and other transactions.
- Time-series measurements with known units and timestamps.
- Eligibility, status, pricing, or entitlement fields that must be evaluated consistently.
- Questions requiring joins across known keys, such as linking an order to its customer and shipment.
A query such as “Which invoices are overdue by more than 30 days?” needs reliable dates, balances, and status values. A language model can explain the result, but it should not be asked to infer the balance from a collection of loosely related prose files when an authoritative table exists.
Choose unstructured data for interpretation and semantic evidence
Start with unstructured sources when the answer depends on wording, context, visual information, or relationships that have not been converted into fields. Examples include:
- Policies, contracts, manuals, research papers, and operating procedures.
- Internal knowledge bases, project notes, tickets, and email threads.
- Images, scanned forms, diagrams, audio recordings, and video.
- Questions that ask what a document says, why a decision was made, or how a procedure differs between versions.
- Evidence whose relevant details cannot be known in advance well enough to design a complete schema.
For example, “What exceptions does this safety procedure allow, and under what conditions?” is primarily a document-understanding question. The system must locate and interpret passages, preserve their qualifiers, and identify the document version.

Use both when context and current state must be joined
Many production questions need narrative evidence plus live records. A support assistant might retrieve a warranty policy from a document repository and then check the customer’s purchase date and order status in a transaction system. A finance workflow might combine an accounting record with the explanatory notes in a filing.
This hybrid pattern is an implementation option, not a guarantee of accuracy. The application must define which source is authoritative for each fact, reconcile conflicting values, and enforce permissions consistently across both sources.
Structured data vs. unstructured data: practical comparison
| Decision axis | Structured data | Unstructured data | What to decide |
|---|---|---|---|
| Organization | Defined schema, commonly rows and columns | No single predefined model; documents and media are common | Describe the source as it exists before choosing an AI component. Google Cloud’s overview of unstructured data explains the distinction. |
| Typical work | Exact records, fields, transactions, filtering, and aggregation | Meaning extraction, semantic lookup, and document or media interpretation | Choose the form of evidence needed for the answer. |
| Preparation | Obtain schema access, map business meaning, validate keys, and apply permissions | Extract or transcribe, clean, split, embed, index, and preserve source metadata as needed | Estimate ingestion and maintenance effort, not only storage. |
| Retrieval | Query tables or structured representations | Search indexed content; chunking, embeddings, and ranking affect results | Test relevance and completeness with real questions. |
| Relationships | Relational keys and joins express defined links | Links may be implicit in prose, images, or several files | Consider graph or hybrid retrieval when multi-hop relationships drive the question. |
| Operational concerns | Quality, cost, latency, permissions, and freshness | The same factors, plus format sensitivity and indexing behavior | Measure the entire application; neither form has a universal winner. |
How AI systems work with structured data
Traditional machine learning
Classification, forecasting, scoring, and anomaly detection commonly use rows of labeled examples. Features need consistent definitions, units, missing-value handling, and time boundaries. A model trained on a customer’s current status can become misleading if the source system changes the meaning of that field or if future information leaks into historical training rows.
Language-model access to tables
A language model can translate a natural-language request into a controlled query, call an API, or summarize a result returned by a database. The safe pattern is to keep the database authoritative: validate generated queries, restrict accessible tables and columns, apply row-level permissions, and show the time or snapshot used for the answer.
Recommended Free Tools
Tables can also be converted into text or embeddings, but that may discard arithmetic behavior, exact filtering, or key relationships. Use semantic indexing for fields that genuinely need meaning-based search, not as a reflexive replacement for a query engine.
Structured data in retrieval-augmented generation
Retrieval-augmented generation (RAG) can use database tables and SQL transaction data as supporting context. The retrieval layer may issue a parameterized query, select a record, or combine several query results before the model writes an explanation. Keep identifiers, units, timestamps, and provenance alongside the values so the model cannot mistake a stale or partial result for a complete record.
How AI systems work with unstructured data
Ingestion and extraction
First identify the formats and extract usable content. Text documents may need layout-aware parsing so headings, tables, footnotes, and page numbers remain associated. Scanned pages may require optical character recognition. Images can require vision extraction; audio generally needs transcription with speaker and time information; video may require both speech and frame analysis.

Cleaning and normalization
Remove boilerplate that harms retrieval, normalize encoding, identify duplicate versions, and preserve meaningful structure. Record the source URI, title, author or owner where available, creation and modification dates, effective date, access policy, and page or time offsets. Do not remove disclaimers, exceptions, or units merely because they make a passage longer: those qualifiers often determine whether an answer is safe.

Chunking and indexing
RAG systems commonly split content into chunks, create vector embeddings, and index the chunks for retrieval. Chunk boundaries should follow the content’s structure where possible. A heading with its definitions and exceptions is usually more useful than an arbitrary slice that separates a rule from its conditions. Chunk size, overlap, metadata filters, embedding model, and ranking strategy all affect recall and precision.
Retrieval, reranking, and context assembly
At query time, the system interprets the request, retrieves candidate passages or media segments, optionally reranks them, and assembles a bounded context for the model. Keyword search can capture exact names and identifiers; vector similarity can capture related wording. Combining retrieval methods is often useful, but the choice should be tested against representative queries rather than assumed to work.
The UK Government describes RAG as retrieving relevant information, adding it to the model’s prompt as context, and generating a response. Its workflow includes ingestion and preprocessing, indexing, query handling, retrieval and reranking, context assembly, and generation. Details are documented in AI Insights: RAG Systems.
What RAG adds—and what it cannot guarantee
RAG can make changing, external, or domain-specific information available at inference time without retraining an entire model for every update. That is useful for policies, catalogs, procedures, and other sources that change frequently.
RAG does not make inaccurate sources accurate and does not eliminate fabricated answers. Poor extraction, incomplete indexing, irrelevant retrieval, stale documents, contradictory versions, or an overfilled context can still produce a wrong response. Treat retrieval quality and generation quality as separate questions: first ask whether the right evidence was found, then ask whether the answer faithfully used it.
Microsoft’s Azure Databricks documentation states: “RAG architecture can work with either unstructured or structured supporting data.” Read the statement in its original context at Microsoft Learn’s RAG documentation.

When a hybrid architecture is the better fit
Policy plus account state
Keep the policy or procedure in a document index, and retrieve the current account, order, or entitlement from a system of record. The answer should cite or expose the policy version and the record timestamp. If the two disagree, route the case to a defined conflict rule or human review instead of asking the model to choose silently.
Catalog text plus inventory and price
Product descriptions, installation instructions, and compatibility notes may be unstructured, while availability and price are structured and volatile. Retrieve descriptive evidence from documents, then query current inventory and price at response time. Cache policies must be explicit so a user is not shown a value that has expired.

Incident narrative plus telemetry
Incident tickets and postmortems explain causes and decisions; logs and metrics provide timestamped measurements. A useful system links the two through incident IDs, service names, and time windows. It should distinguish an observation from a hypothesis recorded in a narrative document.
Design the authority boundary
For every answerable field, specify the authoritative source, acceptable freshness, and fallback behavior. A document may explain the meaning of a status code, while a database supplies the current status. Without this boundary, a model may quote an old document as though it were a live value.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. When graph retrieval is worth considering
Relational joins work well when keys and relationships are known. A graph representation becomes more attractive when the central questions traverse several entities or datasets: dependency chains, ownership, lineage, organizational relationships, or connections spread across documents.
Microsoft Learn summarizes the criterion this way: “A graph database is a strong fit when relationships drive the core questions you need to answer.” The full Microsoft Fabric Graph Database overview should be checked for current feature status, because some capabilities may be labeled preview.
Do not add a graph merely because the data is complicated. Modeling entities, resolving identities, updating edges, securing traversals, and operating another retrieval path introduce cost. For a simple “find the paragraph that defines this term” task, a document index is usually the more direct design. For “which services depend on a component owned by a team that changed this policy?” a graph or graph-assisted retrieval path may reduce ambiguity.
Best Value
A step-by-step decision framework
- Write the questions in their real form. Collect representative user requests, including calculations, lookups, explanations, comparisons, and multi-step investigations. Do not choose a data form from an abstract use case alone.
- Identify the evidence for each answer. Mark each needed fact as a field or record, a passage or media segment, or a relationship across entities. Note whether the fact changes hourly, daily, occasionally, or rarely.
- Assign an authority and permission model. Name the source of truth, allowed readers, retention rule, and version or timestamp required for every evidence type.
- Choose the simplest retrieval method that preserves meaning. Use validated queries for exact filters and aggregates; use indexed document or media retrieval for interpretation; add hybrid or graph retrieval only when the questions justify it.
- Plan preparation and refresh. Estimate schema mapping, extraction, transcription, chunking, embedding, indexing, deduplication, and reprocessing when source formats or documents change.
- Build a representative evaluation set. Include easy, ambiguous, stale, permission-restricted, multi-hop, and no-answer questions. Label the evidence that a correct response should use.
- Measure before deployment. Track retrieval relevance and completeness, answer grounding, factual accuracy, cost, latency, permission violations, and failure rates by source format.
- Monitor after deployment. Watch for source drift, broken parsers, missed updates, index lag, changing query patterns, and newly conflicting records. Preserve enough logs to investigate an answer without exposing sensitive content unnecessarily.
Evaluation: what to measure for each data form
Structured-data checks
- Are field definitions, units, keys, and joins correct?
- Does the query return the complete intended population rather than a convenient subset?
- Are calculations reproducible and performed with appropriate precision?
- Is the freshness timestamp visible and within the task’s tolerance?
- Do row- and column-level permissions apply before the model sees the result?
Unstructured-data checks
- Were all relevant files, pages, tables, images, and transcripts ingested?
- Did extraction preserve headings, exceptions, tables, speaker identity, and page or time offsets?
- Do chunks contain enough context without mixing unrelated sections?
- Can retrieval find exact identifiers as well as semantically similar wording?
- Does the answer cite the correct version and distinguish evidence from inference?
Hybrid and graph checks
- Are joins and entity matches correct across systems?
- What happens when a document and a record disagree?
- Can the system explain which path supplied each claim?
- Are graph edges current, authorized, and based on verified relationships rather than guesses?
- Does adding another retrieval layer improve the target questions enough to justify its latency and maintenance?
Evaluate the whole application, not just a retrieval component in isolation. A highly relevant passage cannot compensate for a wrong account lookup, and a correct database row cannot answer a question when the governing exception is buried in an unindexed document.
Governance and security apply to both forms
Data preparation, access controls, lineage, security, and monitoring belong in the design for structured and unstructured sources. Sensitive documents can be just as revealing as sensitive columns, and a transcription or embedding may create another copy that requires protection.
- Access control: enforce source permissions during retrieval, not only in the user interface. Filter results before they enter a prompt.
- Lineage: retain source identifiers, versions, extraction dates, and transformation history so an answer can be audited.
- Minimization: ingest only the fields, pages, recordings, or time ranges needed for the task.
- Retention: define deletion and re-indexing behavior when a source is withdrawn or a legal hold changes.
- Isolation: separate tenants, environments, and confidential collections in indexes, caches, logs, and evaluation data.
- Monitoring: detect failed ingestion, stale indexes, unusual retrieval patterns, prompt injection in documents, and unauthorized access attempts.
A governance plan should also state what the assistant does when evidence is missing or contradictory: ask a clarifying question, return an explicit “not found,” provide competing cited values, or escalate to a person. Silence about these cases encourages the model to fill gaps.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesCommon failure modes and how to correct them
Forcing prose into a table
Teams sometimes create a large extraction project for documents whose questions are mostly exploratory. This can lose qualifiers and create brittle fields. Begin with document retrieval, then promote only stable, high-value facts into structured fields when repeated questions demonstrate the need.
Embedding every table
Vector search is a poor substitute for exact arithmetic, range filters, or current status checks. Keep transactional and numerical questions on validated query paths, and use semantic retrieval only where it adds meaning-based discovery.
Indexing files without version or permission metadata
Content may be easy to find but impossible to trust. Attach source identity, effective date, superseded status, and access policy to every indexed unit. Reprocess or remove content when the source changes.
Assuming retrieval proves correctness
A retrieved passage can be obsolete, incomplete, or contradicted elsewhere. Require grounding checks, expose citations or provenance where appropriate, and test no-answer and conflict cases.
Ignoring format-specific extraction
Text-only parsing can scramble columns, omit scanned pages, merge speakers, or lose diagram relationships. Test each important format with known examples and monitor parser failures after source-system changes.
Adding graph complexity without a relationship question
Graph modeling is valuable when multi-hop connections are the core problem. It adds little for straightforward document lookup and introduces identity-resolution, edge-maintenance, and operational overhead.
Implementation checklist
- List the top user questions and the evidence each requires.
- Classify each source as structured, semi-structured, unstructured, or mixed.
- Document authority, freshness, permissions, lineage, and retention for every source.
- Use database or API queries for exact records and calculations.
- Extract, transcribe, clean, chunk, embed, and index documents or media when interpretation is required.
- Preserve metadata, versions, page or time offsets, and access rules during ingestion.
- Combine structured and unstructured retrieval when the answer needs both current state and narrative context.
- Consider graph retrieval only when relationships across entities or datasets drive the questions.
- Test relevance, completeness, grounding, accuracy, cost, latency, and authorization on representative requests.
- Monitor ingestion, index freshness, source drift, conflicts, and post-deployment failures.
The practical choice
There is no universal winner between structured and unstructured data for AI. Structured representations are strongest when the question has defined fields, records, joins, or calculations. Unstructured representations are strongest when the evidence must be interpreted from language, images, audio, video, or variable documents. A hybrid design is often the most faithful representation of the business problem, provided it has explicit source authority, permissions, freshness rules, and evaluation.
