Host a side event when you need more control over the format or want to gather a defined community outside that agenda—and are ready to manage the logistics. Neither format guarantees acceptance, turnout, or business results: the conference’s own rules determine what counts as official and what the host must provide.
What is the difference?
An official session is part of the conference’s main program or another organizer-controlled session route. The organizer sets the selection process, schedule, and format; depending on the event, applying may involve fees or other requirements.
A side event takes place outside the main agenda, often with the host choosing a more specific audience or format. It may still need advance approval to be listed or recognized by the conference. An independent gathering is not automatically an “official conference event”: use that description only if the organizer’s rules and approval support it.
There is no universal definition across conferences. Check the terms for the exact event edition before announcing, budgeting, or describing your event.

Compare the two options
| Decision | Side event | Official conference session |
|---|---|---|
| Control | Often more host control over venue, guest list, and format, subject to organizer approval and program rules. | More constrained by the organizer’s format, selection process, program, and schedule. |
| Audience | Can focus on a defined community or invitation list; the host may need to recruit attendees directly. | Program placement can connect a session with conference attendees, but selection and reach depend on organizer policy. |
| Workload | The host may be responsible for venue, invitations, registration, promotion, operations, and costs. | Requirements vary. Confirm the application route, production support, fees, and attendee access. |
| Timing and location | May be limited by conference dates, location, or schedule rules. | Set by the organizer’s agenda and available slots. |
| Promotion and certainty | Recognition or listing may require approval; promotion does not guarantee attendance. | Program placement may be selective; acceptance and audience outcomes are not assured. |
These are common decision axes, not guarantees. Compare the host guide and agreement for the specific conference; policies at Bits & Pretzels, IVS, and the International Transport Forum illustrate how much terms can differ (Bits & Pretzels; IVS; ITF 2027 Summit).
Choose based on the outcome you need
Choose a side event for a focused gathering
A side event is a better fit when the value comes from bringing together a particular group, hosting a format that does not fit the main agenda, or shaping the conversation more directly. A small dinner can support deeper discussion; a breakfast or reception may suit a broader guest list. The trade-off is ownership: the host may have to secure the venue, invite attendees, handle registration and promotion, and run the event.

Choose an official session for agenda placement
An official session is a better fit when being part of the conference-controlled program is central to the event’s purpose. First find the correct route: a speaker proposal, sponsor package, partner conversation, and curated-session application may all be different processes. Ask how selection works, what you must supply, whether fees or passes apply, where the session will appear, and what support is included.
Do not choose on assumed turnout or leads
The organizer guidance reviewed here does not establish that either format produces better attendance, startup leads, fundraising, or other business outcomes. IVS says it may help promote side events but explicitly warns that attendance is not guaranteed (IVS side-event guidance). A listing, promotion, or agenda slot is not a turnout promise.

What hosting a side event involves
Before you commit, check the organizer’s approval process and the duties assigned to the host. Bits & Pretzels’ 2026 guidance, for example, allows varied formats but assigns hosts responsibilities including organization, location, invitations, costs, registration, promotion, operations, and insurance (Bits & Pretzels 2026 Side Event Program). IVS2025 likewise places planning and execution responsibility on organizers and reviews applications (IVS2025 side-event guidance).
- Set the purpose and attendee outcome. Decide what a guest should be able to do, learn, or discuss, and identify the audience that makes that outcome possible.
- Choose a workable format and scale. Match the venue and guest list to the intended conversation rather than choosing a format solely for visibility.
- Check the edition-specific rules. Confirm whether organizer approval is required, how the event can be described, which dates and locations are allowed, and whether there are limits on timing or format.
- Build the real budget and operations plan. Confirm venue costs, registration responsibilities, staffing, attendee communications, and any insurance obligations before announcing.
- Plan invitations and arrival details. Do not rely only on an organizer listing. Send guests the exact address and arrival instructions, and arrange check-in supplies such as name badge holders if you are printing badges.
Timing restrictions can be specific to a single edition. Bits & Pretzels’ 2026 program required an in-person Munich-area event and asked hosts to schedule on conference days after 5 p.m.; IVS2025 recommended aligning events with its own conference timetable. Those terms should not be carried over to another conference or year.

Check the conference edition, not just the event format
Organizer examples show why it is risky to treat “side event” or “official session” as a standard package. Bits & Pretzels described its 2026 program as having 100+ side events; that is a program-scale figure, not attendance at any individual event or evidence of success. Its listed submission deadline was 25 September 2026 at 12:00 CEST, a deadline specific to that edition—not a current deadline for future programs (Bits & Pretzels).
The International Transport Forum’s 2027 Summit offers a separate example outside the startup-conference category: its organizer lists side-event administrative-fee options of EUR 3,000 + VAT for a package including four passes, or EUR 3,500 + VAT including five passes, with an exemption for member countries. Its Secretariat selects side events and Open Stage Café sessions and controls schedule placement; the café format is a scheduled discussion during main-program breaks (ITF 2027 Summit side events). These are ITF terms, not a benchmark for startup conferences.

Questions to settle before you commit
- Does the organizer require an application or written approval before listing or recognizing the event?
- What wording may you use to describe its relationship to the conference?
- Who controls selection, schedule, venue, format, registration, and attendee access?
- What costs, passes, production support, staffing, promotion, and insurance obligations apply?
- What are the exact dates, location, and timing restrictions for this edition?
- What will you do to attract the intended guests if organizer promotion does not translate into attendance?
