A calendar-year business generally closes December 31, but businesses using a fiscal year should follow that reporting period instead.
This checklist reflects U.S. federal guidance. State tax, payroll, and filing requirements can differ.

1. Confirm the reporting period and accounting method
First establish which tax year you are closing: a calendar year or the business’s fiscal year. Use the same period consistently when reviewing transactions and preparing annual reports.
Confirm whether the books use the business’s established cash or accrual accounting method. The methods recognize income and expenses at different times, so reviewing receivables and bills must take that method into account. Do not switch methods casually at year end: the IRS generally requires approval to change an accounting method. See the IRS overview of accounting periods and methods.

2. Reconcile bank and payment accounts
Compare each account statement with the books. Record missing transactions such as fees, investigate uncleared checks or deposits, and correct errors so the recorded balances agree with the available statements.
The IRS recommends reconciling accounts monthly; the year-end close is a chance to resolve any remaining differences. Reconciliation verifies cash records and can expose missing or incorrectly recorded transactions. See IRS Publication 583.
3. Gather and organize supporting records
Collect the documents behind recorded income and expenses, including invoices, sales records, receipts, deposit information, bank and card statements, bills, and payroll records. Organize them by year and type so entries can be traced to their supporting evidence.

The IRS does not require one general recordkeeping system. You may use a suitable paper or electronic system, provided it clearly shows income and expenses and preserves the records needed to substantiate tax items. As the IRS puts it, “You can choose any recordkeeping system suited to your business that clearly shows your income and expenses.” Read the recordkeeping guidance in Publication 583 and the IRS page on small-business recordkeeping.
4. Review customer and vendor balances
Check open customer invoices and vendor bills. Look for past-due receivables, unpaid bills, credits, duplicate charges, and balances that no longer appear valid. Investigate each item and document any correction rather than making an unsupported adjustment.
Apply the business’s established accounting method when deciding how these amounts appear in the books. Cash and accrual accounting recognize income and expenses at different times; the IRS explains the distinction in its accounting-method guidance.

5. Check inventory if it applies
Inventory review is relevant when merchandise is an income-producing factor in the business. The IRS describes a general inventory requirement and a small-business taxpayer exception, subject to using a method that clearly reflects income. If the business maintains inventory, it generally values inventory at the beginning and end of the tax year using a consistent method that clearly reflects income.

Because eligibility and inventory treatment depend on the business and applicable rules, do not assume the exception applies or adopt a valuation shortcut without checking current guidance. Start with IRS Publication 334.
6. Review payroll and tax records
Compare payroll totals and tax deposits with the books and supporting records. Then check the current IRS tax calendar and applicable state requirements for the business’s filing tasks; deadlines depend on the business and filing calendar.

8. Confirm the filings that fit the business
Required federal forms depend on the business’s organization and tax classification. An LLC, for example, may have different federal filing obligations depending on its tax treatment. Check the current-year instructions for the entity and tax classification rather than assuming one form applies to every business. The IRS discusses business structures and tax treatment in Business Structures.
Consider consulting a qualified tax preparer for unusual transactions, questions about entity classification or inventory, or a proposed accounting-method change. That is a targeted option, not a requirement for every business.
9. Save the close and carry balances forward
Keep reconciliations with the year’s books and supporting records. Note unresolved items and who will handle them, and carry forward only opening balances that have been reviewed. A clear trail from recorded amounts to source documents makes the books easier to explain and support.
