Small-Business Email Automation: How to Choose a Tool and What to Automate

For a small business, the best email automation tool is the one that supports a specific, repeatable workflow on a plan you can afford—not the one with the longest feature list. Start with a welcome email or a behavior-based follow-up, define its trigger and audience, then compare tools for the automation depth, integrations, sending limits, and pricing model you actually need.

What email automation does

Email automation sends a message—or takes a related action—when a configured trigger or contact behavior occurs. For example, HubSpot documents a workflow that adds contacts to a segment after they click a link in an email. Constant Contact describes building a sequence and setting triggers so messages send automatically. HubSpot’s email automation documentation and Constant Contact’s automation page describe these capabilities.

This is narrower than broad CRM or multi-channel automation. Email may be one part of a system that also manages customer records or other channels, but you can begin with a single email workflow.

Useful first workflows for a small business

Welcome or onboarding

Send a prepared first message when someone joins a mailing list or becomes a customer. Before choosing a platform, check that the trigger you need—such as a new subscriber or a new contact—is available on your intended plan.

#1 Best Overall

Follow-up after engagement

Use a click or another defined action to group contacts and tailor a later message. A link click can be the signal for adding a contact to a segment, as in HubSpot’s documented example. Decide what the click should mean for your business before building the follow-up; a click alone does not establish that a person is ready to buy.

Recurring newsletters and promotions

Scheduling can reduce repetitive manual work, while audience segments let you make recurring messages more relevant. Constant Contact’s official materials describe scheduling and segmentation as plan features. Compare the specific features and allowances on the plan you would use rather than assuming they are included at every tier.

Follow-up across channels

Some platforms combine email with channels such as SMS or WhatsApp. Consider another channel only if it suits the customer relationship and you have handled the applicable consent requirements. Brevo and Constant Contact describe multi-channel capabilities, but the feature descriptions cited here do not establish the legal requirements for SMS consent in any particular location.

Define the workflow before shopping

Write down four things before comparing software: the trigger, the audience, the message, and the next action you want the recipient to take. This keeps the decision grounded in a real task instead of a vendor’s feature count.

Rank #3
Undated Business Planner for Entrepreneurs, 220 Pg, A5 Beige Linen
  • KNOW WHAT IS WORKING AND WHAT IS NOT Each quarter opens with a structured review across revenue, time, clients, marketing, and content, so you understand what actually happened in your business before you decide what comes next.
  • QUARTERLY PLANNING SYSTEM Break your annual vision into four focused 90-day plans using the 12-week-year structure that coaches and entrepreneurs rely on, giving you a strategic layer that sits above your daily calendar and holds the direction your scheduling tools cannot.
  • TRACK REVENUE-GENERATING ACTIVITIES EVERY MONTH Every month gets a dedicated spread to set priorities, track revenue and the activities driving it, and review results against plan, keeping the business moving between quarterly reviews.
  • A5 LINEN HARDCOVER, FULLY UNDATED A5 size (5.8" x 8.3") in linen with gold foil stamping, reinforced binding, and thick lay-flat pages built to hold a full year of planning. Organized by quarter and fully undated, so you start in any month without wasting a page. For business owners who invest in tools that match what they're building.
  • A THOUGHTFUL GIFT FOR ENTREPRENEURS, COACHES AND CREATORS A quarterly planning system makes a purposeful gift for someone building a business alongside a full life, useful long after a birthday or a business milestone has passed because they will reach for it at the start of every quarter and every month.
  1. Trigger: What event starts the workflow, such as a subscription or a link click?
  2. Audience: Which contacts should receive the message, and what makes them eligible?
  3. Message: What information should the email provide at that point in the relationship?
  4. Next action: What should the recipient do, or what should your business do next?

Then check whether the product supports the needed trigger, any branching or segmentation the workflow requires, and the plan limits that apply to your list and sending pattern.

How the four tools differ

The official product materials establish different feature sets, not a consistent hands-on comparison. This table is a fit guide, not a ranking; verify current plan details for your country and contact list.

Platform What its official materials describe What to verify for your workflow
Mailchimp Marketing automation flows and flow templates on specified plans; its feature page also describes basic automation flows. Which plan includes the workflow depth you need, including branching, contact limits, and sending allowances. Mailchimp’s marketing automation features
Brevo A broader customer platform spanning email, SMS, WhatsApp, chat, and related tools; its pricing help page describes multi-channel automation with plan-specific limits. Whether the extra channels are useful and whether the pricing model fits your actual sending pattern. Do not rely on an unverified price or limit. Brevo’s plan documentation
HubSpot Email automation connected to contact actions, including segmenting contacts after a click; its documentation notes that some capabilities require additional subscriptions. Whether the CRM connection is useful and whether the workflow requires a higher subscription. HubSpot’s email automation documentation
Constant Contact Email and SMS automations, triggers, segmentation, and plan-dependent features; its pricing page says price depends on contacts and sends. Whether its templates, reporting, support, sending allowances, and contact-based pricing suit your business. Constant Contact’s pricing page

Compare the plan, not just the product

Automation availability and depth can depend on the subscription. Check the plan against the workflow you defined, and review these factors before committing:

  • Triggers and branching: Can it start on the event you need, and can it handle the different paths your workflow requires?
  • Segmentation: Can you target the intended contacts using the information or behavior available to you?
  • Integrations: Does it connect to the tools where your contacts or customer activity already live?
  • Channels: Do you need email alone, or are additional channels relevant and manageable?
  • Reporting: Can you see whether the workflow is sending and how recipients engage?
  • Limits and total cost: Check contact and send allowances, user seats, and how the pricing model changes as the list or sending volume grows.
  • Support: Decide whether the available help and setup guidance match your team’s needs.

The available official materials do not provide a consistent, country-specific price table across all four platforms. Check each vendor’s current page for your location, list size, and sending pattern before comparing costs.

What feature pages can—and cannot—tell you

Vendor documentation can establish that a platform describes a feature or makes it available under certain plan conditions. It does not establish that one product performs better than another, or that automation will increase sales for a particular business. Treat the first workflow as a practical operating process to configure and monitor, not as a guaranteed revenue result.
