Slack puts all-message exports on Business+ and Enterprise+, while legal holds and the Discovery API are Enterprise+ features. Teams retention is administered in Microsoft Purview, where compliance copies of edited or deleted messages can remain available for eDiscovery even after users lose access to them in Teams. Neither platform should be treated as an equivalent substitute for the other without checking the exact plan, Purview license, policy scope, data types, and review workflow in your tenant or workspace.
The practical distinction is between retention and review access. A retention rule determines how long content is kept or deleted. A legal hold preserves potentially relevant content despite ordinary retention or user edits. Export and eDiscovery tools then make that preserved material available for investigation, litigation, regulatory response, or archiving.

This table is a screening guide, not a licensing decision. Slack says its plan comparison can change, and Microsoft packaging for Purview features varies by subscription and tenant. Confirm the entitlement assigned to the specific workspace or Microsoft 365 tenant before promising a regulator, opposing counsel, auditor, or investigator that a feature is available.

Workspace defaults and automatic deletion
Slack says paid plans keep data for the lifetime of the workspace by default. Administrators can replace that default with automatic deletion rules. The policy can be set for different content types, including messages, files, canvases, and lists, and the available choices depend on the plan. A rule might therefore retain content indefinitely, retain it for a defined period, or remove it after the selected interval.

Retention is not merely a display preference. Slack states that the selected retention policy affects what appears in exports. If a message or file has already been removed by the workspace policy, an ordinary export should not be assumed to recreate it. Conversely, where Slack permits an organization to export all conversations, some deleted messages can remain accessible in JSON exports when Slack still has a retained or otherwise preserved copy. Treat the member-facing workspace and an export or preservation copy as separate views of the data.
Who can export what
Slack’s current plan table lists these relevant thresholds:
- Pro, Business+, and Enterprise+: custom retention policies.
- Business+ and Enterprise+: exports for all messages.
- Enterprise+: exports for all messages from a single user, legal holds, the Discovery API, audit logs, and native DLP.
These are tier-level indications, not a guarantee that every workspace has the same contract terms or administrator permissions. Check the plan assigned to the workspace and any organization-level controls before planning a collection.
How Microsoft Teams retention works
Purview retention policies
Microsoft documents Teams retention policies for chat and channel messages in Microsoft Purview. An administrator can choose to retain messages, delete them, or retain them for a defined period and then delete them. Scope can cover the organization or selected users and teams. Retention labels are not supported for Teams messages according to Microsoft’s documented Teams retention behavior, so administrators should design policy scope rather than expecting to apply a label to each chat message.
The compliance copy is different from the user view
Users can still edit or delete a message in Teams while Microsoft stores a compliance copy in a secured location for eDiscovery. The visible conversation and the discoverable compliance record therefore can diverge. An employee may no longer see an earlier version, while an authorized investigator can find the stored copy through the compliance workflow.

When multiple retention policies apply, Microsoft says the retained content remains available for eDiscovery and the longest applicable retention period generally governs. Deletion is not instantaneous: Microsoft notes that processing can take time, and messages may remain visible in Teams for up to seven days after the configured retention period expires. That delay should not be mistaken for an extended legal hold or a promise that content will remain permanently searchable.
What happens to edited and deleted messages
Slack
Slack’s ordinary retention policy controls whether content remains in the workspace and in the resulting export. Its Enterprise Discovery API can collect edited or deleted content when that content was preserved under a retention policy or legal hold. This qualification matters: the API is not a universal undelete function. If the workspace policy removed the content and no hold or preserved copy applies, an administrator should not assume the API can recover it.

A hold changes the result. Slack says held messages and files are retained regardless of retention settings or member edits and deletions. Investigators should record the time the hold was issued and the custodians and conversations it covered, because material changed or deleted before preservation may not be available in the same way as material captured after the hold.
Teams
Teams uses the Purview compliance copy model. An edit or deletion in the client does not necessarily remove the record held in Microsoft’s secured compliance location. Purview search and eDiscovery can expose the retained copy to authorized reviewers, subject to licensing, permissions, policy scope, and the applicable workload. This is why a user’s screenshot of the current chat is not a complete record of what may be discoverable.
Legal holds and their boundaries
Slack holds
Slack documents legal holds as an Enterprise feature. A hold can preserve messages and files from all conversations or the direct messages in which selected members participate. Slack says the hold overrides ordinary retention settings and member edits or deletions for the covered material.

- Slack warns that held data is not saved if a channel included in the hold is deleted.
- The documented exclusions include Slack Connect conversations, Slack sales-home notifications, emoji reactions, and snippet version history.
- A hold only covers the conversations and custodians selected. It does not automatically preserve every workspace object.
Before relying on a hold, document the included custodians, channels or direct-message scope, excluded data types, start date, and process for changing or releasing the hold. A hold should be coordinated with records, legal, and security teams rather than created as an informal administrator setting.
Teams holds
Microsoft describes legal holds for a user or team in its Teams compliance and eDiscovery workflow. Held channel-message copies remain available through eDiscovery search even if end users edit or delete the visible messages. The exact hold behavior depends on the Purview case, workload coverage, permissions, and license assigned to the tenant. Confirm that the hold covers the relevant chat, channel, meeting, file, or summary data before treating it as complete preservation.
Export and eDiscovery workflows
Slack exports and Discovery API
Slack’s plan table separates broad exports from more specialized collection. Business+ and Enterprise+ list exports for all messages. Enterprise+ additionally lists exports for all messages from a single user, legal holds, and the Discovery API.
The Discovery API is intended for security and compliance uses such as eDiscovery, archiving, and data-loss prevention. An organization owner on an Enterprise plan enables approved third-party applications to collect the organization’s history. Slack states that data exported through the Discovery API comes in JSON format by default. The downstream application may normalize or index that JSON differently, so confirm the partner’s supported data types, attachment handling, threading model, reactions, edits, deletions, and audit metadata before signing off on a collection design.

Do not assume that an all-message export and a legal-hold collection contain identical material. The export is constrained by retention and export permissions; a hold is a preservation action; the Discovery API is a transfer route to an approved application. Keep the export manifest, time range, workspace identifier, and policy state with the collected files so reviewers can explain what the package represents.
Teams Content Search and Purview eDiscovery
Microsoft’s Teams compliance overview describes Content Search across Teams data, with results exportable with or without an eDiscovery case. Purview eDiscovery Premium adds case management, preservation, search, analysis, and export for Teams chats, messaging and files, and meeting and call summaries, where the tenant’s licensing includes those capabilities.
A defensible Teams workflow normally separates preservation from searching. First identify custodians, teams, channels, date ranges, and workloads. Then apply the appropriate hold or retention control, run a scoped search, review the result set and metadata, and export using the options required by counsel, an auditor, or the receiving archive. Verify whether the required export includes message text, attachments, edits, deletions, participants, timestamps, reactions, meeting artifacts, and call summaries; a search result that contains message text alone may not satisfy the matter’s requirements.

Slack checklist
- Confirm the workspace plan. Determine whether the workspace is Pro, Business+, Enterprise+, or covered by a different negotiated entitlement.
- Inventory content types. List messages, files, canvases, lists, direct messages, group messages, and external conversations that your policy must cover.
- Record the retention rule. Capture the current automatic-deletion settings and the date and time they take effect.
- Test a controlled export. Use a non-sensitive channel to verify which messages, files, edits, and deletions appear under the active policy.
- For a matter, issue a legal hold. Define custodians and conversations, check the 1,000-custodian limit, and document exclusions such as Slack Connect and emoji reactions.
- Choose the collection route. Use the permitted all-message or user export, or enable the Discovery API for an approved application when the plan allows it.
- Validate the JSON package. Confirm that the receiving tool parses threads, files, edits, deletions, timestamps, and participant information as required.
- Preserve audit records. Keep the hold notice, policy settings, export logs, hashes if used by your process, and chain-of-custody notes with the collection.
Teams checklist
- Confirm Microsoft 365 and Purview licensing. Do not infer eDiscovery Premium or export rights from the fact that Teams is enabled.
- Map the workload. Identify one-to-one and group chats, channel messages, meeting chats, files, meeting artifacts, and call summaries that may be relevant.
- Define policy scope. Choose organization-wide or selected users and teams, and specify whether the outcome is retention, deletion, or retention followed by deletion.
- Check policy conflicts. Document every policy applying to the same user or team and use the longest applicable retention period when evaluating preservation.
- Place the hold. Use the Purview case workflow to preserve the relevant user or team and confirm that the hold covers the required Teams workload.
- Search with a case or without one. Content Search can export results without an eDiscovery case; use a case when preservation, review, and legal tracking are required.
- Review compliance copies. Include edited and deleted versions where available rather than relying only on the current user-visible conversation.
- Export and document. Record query terms, custodians, date ranges, workload selections, export settings, permissions, and the time the package was generated.
Which platform fits common compliance scenarios?

Common mistakes and how to avoid them
Assuming a paid plan includes every compliance feature
Slack’s custom retention, all-message export, single-user export, legal hold, and Discovery API capabilities appear at different plan levels. Teams capabilities likewise depend on Microsoft Purview licensing. Maintain a feature-to-license matrix for the actual contract, not a generic product comparison page.

Confusing deletion delay with preservation
Teams messages may remain visible for up to seven days after a retention period expires while deletion processing completes. That operational delay is not a legal hold. Slack’s default lifetime retention is also not a substitute for issuing a matter-specific hold.
Using an export that does not match the review need
An all-message export, a single-user export, a Discovery API feed, a Content Search result, and a Purview eDiscovery package can contain different metadata and workloads. Define the receiving reviewer’s requirements before collecting data, then test a sample package.
Ignoring excluded or unsupported data
Slack explicitly lists exclusions for legal holds, including Slack Connect conversations, sales-home notifications, emoji reactions, and snippet version history. Microsoft’s workload descriptions distinguish chats, messaging and files, and meeting or call summaries. Make a written data map and identify anything outside the selected scope.
Failing to preserve policy state
Retention settings can change what is exportable. Save screenshots or configuration reports, administrator action logs, hold notices, search queries, and export timestamps. Without that context, a reviewer may not be able to tell whether an absent message was never sent, expired under policy, excluded from scope, or omitted by the export tool.
How to make the decision
Choose Slack when its Enterprise controls, approved Discovery API ecosystem, and JSON-based collection fit your existing archive or review process, and when you can operate within its hold exclusions and custodian limit. Choose Teams when your organization already governs collaboration data through Microsoft Purview and needs a unified case workflow for preservation, search, analysis, and export across Teams workloads.
For either platform, make the decision in this order: identify the regulatory or litigation requirement, map the exact data types, verify the plan and license, configure retention, test how edits and deletions appear, define the legal-hold scope, and validate an export with the intended review system. That sequence prevents the most expensive mistake: discovering after a request arrives that the workspace retained the wrong data or that the licensed export cannot produce the required evidence.
